Position overview
The Coordinator of Student Fees coordinates:
Accurate and timely invoicing of student fees.Liaison of Third Party invoicing of student fees.Granting of student fees exemptions.Responses to student fee appeals.Accurate and timely processing of electronic student data relating to Higher Degrees by Research (HDR).
Detailed statement of dutiesStudent Fees1. Liaise closely with relevant staff in the Finance Division in relation to the receipting of fees, Third Party Fee Sponsorship, including refunds.
2. Provide finance with relevant reports relating to the Payment Advice of fees.
3. Coordinate the provision of advice to students on Institute student fees and associated procedures for the granting of fee exemptions.
4. Maintenance of data entry instructions, forms, flyers and templates relating to Student Fees.
5. Provide written updates, responses and advice to students regarding student fees
6. Coordinate the raising of invoices for Third Party sponsors.
7. Coordinate accurate and timely updating of students fees in the Callista Student Management System, including:
Enrolment and change of enrolments;Credit transfers and Recognition of Prior Learning (RPL);Unit and course discontinuation and associated fee refunds/credits.
8. Identify and resolve student fee issues with students and/or trainers and/or external organisations.
9. Coordinate the correction of fee calculations.

10. Act as a key contact person to resolve student fee issues.
11. Coordinate issuing of VET Enrolment and Fee Invoices, including the overnight bulk run of invoices.
Higher Degree by Research (HDR)12. Coordinate the processing of Student Administration data of HDR candidates.
13. Record resulting and decision by the HDR Committee.
Other14. Submission of student data to Department of Human Services.
15 Other duties as directed with the skill level and classification of the position.
Essential selection criteria1. Excellent interpersonal and communication skills with proven experience to communicate with Aboriginal and/or Torres Strait islander people.
2. Taking personal initiatives and making decisions appropriate to the level of responsibility of the position.
3. Significant relevant experience in the operations and processing of data in an Oracle based Student Management System, specifically the enrolment of students and the charging and/or deferral of student fees to tax.
4. Understanding of relevant AVETMISS Rules relating to the accuracy of student data.
5. Previous experience in problem solving with good consultative skills and ability to assess when a referral to expert assistance is necessary.
6. Demonstrated experience to work within the social, political and cultural environment of Indigenous Australian communities.
7. Possess a Current criminal history check or the ability to obtain one.
8. Possess a current NT OCHRE Card or the ability to obtain one.
9. Understanding of Work Health and Safety principles and practices, and ability to comply with Institute WHS Policies and Procedures.
10. Demonstrated understanding of Equity and Anti-Discrimination issues.
