PricingAll prices are subject to change and will be confirmed no more than 45 days prior to the event. A service charge of 18% will be added to all food & beverage service, room rental and audio visual rentals. All prices, including services charges, are subject to applicable taxes.

Food ServiceAll Food and Beverage selections must be confirmed with the events and catering manager at least 14 days prior to the function start. For all functions with Food and Beverage a guaranteed number of guests is required at least 3 business days prior to the function date Should no guarantee be received the most recently provided expected number of guests will become the guarantee. The Hotel will charge for the guaranteed number or actual attendance, whichever is greater. Dietary substitutes are available upon request. Outside food and beverage are not permitted in the banquet rooms with the exception of a wedding cake. A minimum charge of $200 will be applied to any group that brings in any outside food or beverage. All food and beverage provided by the hotel must be consumed on site. No Hotel food or beverage may be taken off of the property. Food can be left in the room to a maximum of 2 hours, after which it will be removed to comply with all food safety regulations. In any event that the guaranteed number of guest’s falls below the minimum amount of guests required for a specific buffet the minimum amount of guests required will be charged.

Bar ServiceThe hotel permits the service of Alcoholic beverages from 11am – 2am. The Pomeroy Hotel will adhere to all applicable laws and regulations as they pertain to the service of alcohol to underage or intoxicated persons. A bar service fee of $100 will apply should net bar sales be less than $350. All forms of entertainment must be shut down by midnight.

PaymentA non-refundable deposit representing 25% of the estimated cost is due at the time of signing. 100% of the total estimated costs is due no later than 7 days prior. Unless otherwise approved for direct billing any outstanding balance following the event will be applied to the authorized credit card provided. All cancelations must be made in writing to the events and catering manager and are subject to the following charges based on the estimated agreed expenditure including all service charges and taxes: 100% if canceled within 7 days, 50% if canceled 90 days.

Additional FeesFor all social events a minimum amount of guests is required. The hotel reserves the right to move groups to appropriately sized rooms based on the actual guaranteed participants for your function. A charge for additional labor will apply in the event that the setup of a function room is significantly changed on the day 24 hours prior to the function start. The hotel is required by law to collect a royalty on all recorded entertainment performed or played during a function. These are paid direct to SOCAN (Society of Composers, authors and Music Publishers of Canada) www.socan.ca and Re:Sound (www.resound.ca) The fees are based on events with and without dancing and the total capacity of the room. Standard electrical power (110v / 15 amp service) is included with all function spaces. Should additional power be required a connection / set up fee will apply with the amount based on the service request.

Wireless internet service is complimentary in all function spaces, guest rooms and public spaces. Should additional bandwidth or dedicated connections be required, setup fees will apply based on the request.

The hotel does not provide specialty décor or props. Event signage must be professional in preparation and appearance, and is to be pre-approved by the hotel prior to display. The hotel reserves the right to remove any signage that does not met these requirements. Open flame and smoke machines are not permitted in any of the function space. Nails, tacks, staples and confetti are not to be used on the premises. The use of any type of sparkles or glitter is prohibited a minimum clean up charge of $500 will apply in the event of non-compliance.

Indemnification ClauseYou shall indemnify and hold us our parent companies, subsidiaries, affiliates, officers, directors, employees, agents and representatives forever harmless from and against and all personal injury, property damage , loss, liability or claim, expenses, fines and penalties including reasonable legal fees caused by any wrongful or negligent act, error or omission by you, your guests, invitees, agents, delegates or representatives, except to the extent and percentage attributable to the hotel’s negligence, error or omission or that of our parent companies, subsidiaries, affiliates, officers, directors, employees, agents and representatives.

We shall indemnify and hold you, your parent companies, subsidiaries, affiliates, officers, directors, employees, agents and representatives forever harmless from, and against any and all personal injury, property damage, loss, liability or claim or any wrongful or negligent act, error or omission by us, our agents, employees or representatives except to the extent and percentage attributable to the groups or its guests, invitees agents delegates or representative negligence the indemnification provision shall survive the termination or expiration of this contract.

Force MajeureIndemnity If the contract becomes impossible to perform by either party due to acts of war, government regulations, disaster, strikes, civil disorder, curtailment of transportation facilities (which prohibit more than 25% or more of the meeting delegates from attending your conference), or other emergencies making it illegal or impossible to provide the facilities or hold the meeting, this Contract may be terminated for any one or more of such reasons by written notice of one party to the other provided that reason for said termination is in effect in the jurisdiction or surrounding area and is in effect within 7 days prior to the arrival of the first member of the group.

Damages or Loss of PropertyThe hotel is not responsible for any damages to or loss off property before, during or after an event held by their client or their delegates. The hotel reserves the right to inspect and control all private functions and rooms. Arrangements must be made for security of exhibits, equipment or merchandise left inside function rooms via an outside security company. A waiver is to be signed nu the clients if materials are left inside the hotel without proper security in place.
