Overview Polk County, Florida is located in the center of the Florida peninsula on the I-4 corridor. Its 7.5 million residents make it one of the largest concentrations of population in the southeast. Challenge In Florida, as in other areas of government across the U.S., the availability of information and transparency of government has become increasingly important in the aftermath of in- cidents such as the 9/11 attacks. Sunshine laws and the Freedom of Information Act are examples of new regulations and requirements placed on government, and they are being en- forced more intensely than ever before. These laws require businesses to capture and archive all forms of communication, such as email and mobile messages. A few years ago, Polk County implemented a BlackBerry communications system with 220 users, choosing BlackBerry because of BlackBerry’s superior security ca- pabilities. While this communication was secure, the EMM logs on the BlackBerry Enterprise Service were simply not enough to fulfill the county’s need for greater transparency. To as- sure openness in governance and to maintain integrity with its citizens, the county needed a stronger, third-party solution capable of provid- ing history for all text and phone communica- tions between employees and constituents. Solution To assure that all mobile communications are archived, Polk County purchased and installed Micro Focus Retain Mobile to archive com- munications for each of its BlackBerry users. Retain Mobile integrates with the BlackBerry Enterprise Service to take the logs and archive them in a compliant, searchable, and discover- able archive. All SMS, MMS, BBM, PIN, and phone call logs are stored in Retain Mobile and can be viewed in context. This fully compliant archive can be searched for auditing, discovery, and compliance needs. Retain Mobile provides the most effective solu- tion for BlackBerry systems where retention, archiving, and retrieval are essential. This is because Retain Mobile for BlackBerry pulls the data directly from the BES itself; therefore, individual BlackBerry device communication is tracked and logged without the need for an application to be installed on each BlackBerry device. It is very effective for BBM Enterprise archiving because Retain Mobile integrates directly with the BBM Enterprise app, elimi- nating the need for a separate app for BBM Enterprise archiving. It is important to note that BBM Enterprise archiving with Retain Mobile works across iOS, Android, and BlackBerry platforms without the requirement of hav- ing the devices managed by the BES.
