[edit] What is POD?
Projects On Demand (POD) is a hosted project management application. Your
data is stored securely on our servers, and is accessible from anywhere in the
world, as long as you have an internet connection.
There are two primary components to POD. The Web Interface, and the
Planner. The Web interface is primarily for reporting and administration, and the
Planner is for creating and editing projects.
[edit] Creating and Editing projects
You create and modify projects using the Planner. The planner is a Java
application very similar to equivalent desktop applications. It can either run in

[edit] Adding tasks
Adding tasks is as simple as typing in an empty row in the Gantt spreadsheet.Normally, you give each task a name and a duration (in working days). You
then assign dependencies between tasks by dragging one bar to another. This
is more flexible than entering specific dates. Date constraints should be used
sparingly
[edit] Setting up a Hierarchy
It is also a good idea to create a Work Breakdown Structure (WBS) for your
project. This means breaking up larger tasks into smaller ones. This enables
you to more easily deal with the complexities of larger projects.
[edit] Baselining the Project
It is a good idea to save a baseline of your project once the initial plan is
completed. This will let you compare a current plan to the original for budget
and time. It also lets you use Earned Value.
[edit] Saving the Project
changes are saved to local hard drive as an mpp format.
[edit] Project TemplatesIf you have many projects that are similar, the best thing to do is make a
"template" project. It's a project like any other that you make copies of by using
the "Save As" button. This is useful also if you have common calendars you
want to use in every project.
[edit] Updating progress
When you are assigned to a task in a Project (and the Project is saved), you'll
see it show up in your Tasks tab. There, you can enter a % complete. When a
project manager next opens the project, the percent complete you have entered
will show up.

Projects can only be deleted by Administrators on the Admin | Manage Projects
tab.
[edit] Locking Projects
When you are working on a project you have it locked, unless you choose toopen it read-only. This is a similar mechanism to file locking on corporate
networks. You can always open a locked project read-only. When you are done
with a project, make sure to close it. This releases it for someone else to work
on. A POD Administrator can unlock a project on the Admin | Manage Projects
page.
[edit] Managing resources
Your company has a common resource pool across all its projects. Only PODAdministrators may modify the resource pool. This ensures that the resource
pool remains coherent. All POD users are automatically present in the resource
pool. You can add non-user resources and modify the properties of any
resource by opening up the Master Project (Resource Pool) in the planner.
POD Administrators will get this option at startup of the Planner.
[edit] Tracking time
A common concern is to make sure your resources are available. Both the
Histogram and the Resource Gantt Chart can be used to see resource usage
across all projects.
New Web InterfaceProjects On Demand uses new Web 2.0 technology to provide you with a rich
experience all in your browser.

* All navigation should be done by clicking on the various tabs and menus
within the page.

[edit] Projects
The Projects view presents you with different ways of seeing your project data.
It will show you all of the projects which you are on the Project Team or have
permission to see. POD Administrators can see all projects. It also serves as alaunching point to open projects in the Planner, to zoom into details (either
reports or Gantt), and to display the latest images of the Gantt Chart and
Network Diagram. The Project tabs are:

Reports shows you a list of all you projects with the possibility offiltering,
changing the columns you see displayed, sorting, and grouping by columns.
Clicking on the pull down menu on each column to see possible options. Of
special use is the grouping feature, which lets you organize your projects by
various criteria (e.g. Manager, Status, Division, etc). The values for these
criteria are set in the Project Information Dialog in the Planner.
Here is a sample report

The Gantt view shows you an All Projects Gantt Chart. There is one row for
each project that has been created.
If you click on a a project name (underlined in blue), the project will open
in a new tab.
The button will switch to the data view which shows work hours
instead of bars.
The button will go back to the All Projects Gantt Chart.
The All Projects Gantt Chart and the data view let you see data daily or
weekly. To change scale, use the zoom in/zoom out buttons.

Dialog in the Planner. You must have values entered for fields such as Risk,
Net Present Value (NPV), Benefit, and Project Type in order for the charts to
have meaning. These fields are all user-defined. There are several charts to
choose from in the Chart select.

When you have been assigned to a project and the project is saved, you will
receive an email notification of the new assignment or assignments. If you
prefer not to receive such emails, uncheck this option.
[edit] Run Planner (POD) in browser
Normally, the Planner runs as a java applet in your browser. You may choose
instead to run it using Java Web Start (JWS) technology. The functionality is
equivalent with the following minor differences:
The JWS version does not require your web browser and when it is
installed, it can be integrated with your desktop so you can start it by clicking
on an icon or from the "start" menu
JWS has more memory available to it and runs slightly faster.

If you have limited memory and have speed or stability issues with
POD as an applet, JWS might run better
Because it doesn't use the browser session, you have to log in to
use the JWS version, though you can choose to save the login/password.
Since it runs outside your browser, it may seem less integrated; however,

The only required field is the Project Name. The Project Start date will be today
(or the next working day after today) by default, but you can change it. Normallyprojects use forward scheduling, where you pick a start date and the dates are
calculated in the future. However, you can also use "reverse" scheduling, in
which case, you pick a finish date for the project and the application will
schedule dates backwards from that date. Dates are calculated using the
Critical Path Method
You can modify any of the values at a later time by going to the Project
Information Dialog
After entering details, you will be shown an empty Gantt Chart where you can
start Creating Tasks.

The Resource Pool holds the list of people and materials that are available to
work on your company's projects. This list is common across all projects in your
company, and because of its importance, it can only be modified by POD
Administrators and only when modifying the special "Master Project (Resource
Pool)" project (see below).

Only POD Administrators may modify the Resource Pool. To modify it, either:
Choose the "Manage Resource Pool" option from the Welcome dialog
when the applet starts

POD prevents you from having any other projects open when you are modifying
the resource pool. When you open it, you are taken immediately to the
Resource View, and it is the only view available. Here, you'll be able to add and
modify your resources. When you finish, make sure to save and close it. The
changes that you make will be available for all users the next time they open or
create a project.

Calendars that you assign to Projects or Tasks are known as base calendars.There are three Predefined Calendars, and you can create your own.
Also, each resource has a base calendar, as well as its own exceptions to that
base calendar. This lets you choose a standard employee calendar to use, and
then you can add holidays or special working times for each individual.

Calendars are modified by the Change Working Time Dialog which you can get
to by clicking on the change working time button in the toolbar or in theResource Information Dialog.

You can assign calendars to Projects, Resources, and Tasks.
For Projects, you can modify the Base Calendar field in the Project
Information Dialog, or choose to display the Base Calendar field on the
Spreadsheet of the Projects View
For Tasks, you can modify the Task Calendar field on the Task
Information Dialog, or choose to display the Task Calendar field on the
Spreadsheet of the Gantt Chart. If you do not specify a task calendar (leave
it blank), the project's Base Calendar will be used.
Each resource is associated with a base calendar, and it may also have
exceptions to that base calendar (for personal days for example)
A Project calendar serves as the default for all tasks in the project that don't
have a special task calendar. It's actually rare that a task would have its owncalendar, but it may be necessary in some cases - for example, for tasks which
happen on weekends. Each resource has its own calendar which is primarily
used to set vacation days.

Projects On Demand has two primary tools for managing your resources across
your projects, the Histogram and the Resource Gantt Chart.
[edit] The Histogram
The Histogram is available in the Planner applet. It shows you resource usagefor selected tasks, all tasks in your project, as well as total resource usage
across all projects. This is very useful in figuring out where your resources are
free to work.
[edit] The Resource Gantt Chart
The Resource Gantt Chart is available in the web interface by selecting
Resources from the top menu, and then the Gantt tab. You'll be presented with
a Gantt chart that shows all your resources at once that shows their usage overtime. You can then click on a resource name to zoom into details for that
resource.
You may wish to use both views together. To do this, either click on the blue
"Full Screen" button in the applet, or uncheck the "Run POD in browser" option
on the Admin | My Account tab. This will keep the applet open in a separate
window while the Resource Gantt Chart is open. Note that the Resource Gantt
chart is generated just once. Currently to reload it after making a change to
your project, you'll need to log out and log back in. This will be changed in the
near future.

subprojects and establish cross project links between subprojects at the task
and summary level. These links specify the logical sequence of events among
the subprojects. This feature allows Program Managers to have a panoramic
view of the entire Program. Program execution and control is made lot simpler
when compared to the traditional approach.
Each Subproject when opened separately contains the cross project
predecessor task information to help individual PMs / leads to communicate
effectively. Cross linking between subprojects helps Program Managers to
arrive at an optimal Project schedule for complex projects.
Observing effects of changes/updates made to the subprojects by respective
project managers on the overall program schedule and monitoring overall
program progress is made simple when using the Multi-project feature. For
example, a software engineer might need more time to complete a certain task
in the coding phase which is supervised by the software manager as a separate
subproject. Accepting the change would effect the release date of the product.
In the Multi-project scenario, the overall effect of this change can be
immediately seen as the coding subproject is inserted into the multi project and
linked in a structured hierarchy.
Using the Multi-project feature, subprojects or unrelated projects can also beconsolidated together to give a panoramic view of all the projects on an
enterprise level. Program Managers can view and print custom reports of all the
projects combined together. The Multi-Project feature allows Managers to view
key details of projects in relationship to each other. It helps Program Managers

subprojects without having to open the main project file. The changes made are
automatically updated into the overall program file once they are saved. This

The Multi-project feature resolves another major bottle neck in collaborative

When a project that is open in another window is inserted into the current
project, the other window is closed and its project is used as the subproject.
POD safeguards Project Managers from inserting the same project twice into
another.
[edit] Opening a Sub-Project:
In POD, if a main project containing subprojects is opened, the subproject isnt
opened till it is expanded. The subproject task which is displayed will however
show the updated dates even when not opened.
All unopened subprojects are marked read-only. An opened subproject has agreen + sign to expand or contract it. All unopened project have a red + sign.
POD also displays a special indicator icon to highlight inserted subprojects.

When a main project containing subprojects is saved, all opened subprojects
that are not read-only are also saved automatically. To save a Multi-project file,
click File Save.

In the Projects View, subprojects automatically appear under their parent
project. Individual subproject details like Start, End, Cost, Work, Actual work areseen here along with the rolled up values for the entire Program.

The Multi-project feature enables links between tasks in a parent project and asubproject or between subprojects that live in the same master. These external
links show up in gray when the individual subprojects are opened.
One cannot link to an external task as it is read-only. If the real task for an
external task is opened in a sibling subproject, the gray task is removed and the
link is drawn to the real task.

[edit] Special Indicators: Invalid Subproject
Under complicated circumstances with nested subprojects, one could
conceivably have a subproject included twice in the main project. One can also
rarely have projects include each other or themselves (via an intermediate
project). In these circumstances, POD will disable this subproject and show a
special indicator. Moving the mouse over the indicator shows This subproject is
not valid: It can only be inserted once in a consolidated project.

In certain complicated scenarios, one can have a circular link produced by
opening a subproject. In such cases, POD warns the user and disables the link
automatically. These links are denoted by grey dashed lines.

Microsoft Project FilesYou can read .mpp, .xml and .mpx files created with Microsoft Project including
version 2007 or other products which generate .xml or .mpx files.
In OpenProj, opening a Microsoft Project file is the same as
opening a native openproj file. Just click on the Open File button (or choose it
from the file menu) and you get the open dialog box:
You can save/export a file to the Microsoft Project 2003 XML format by
selecting 'File > Save As...' and selecting the 'Microsoft Project 2003 XML
(*.xml)' file type.
In POD, you can import a file by clicking on the Import button in the toolbar.
After the Project is imported, you will be presented with the Merge Dialog to
map the imported resources to your company's resources.

There are two license types in POD, Power user and Lite User (formally known
as Project Manager and Team Member). The difference between them is that a
Power Users can access the planner applet to create and manipulate projects,
whereas Lite Users are restricted to the web functionality (Timesheet,
Schedule, Project List) only
In addition to license, POD Administrators can also specify the following when
they create or update a user:
For Power Users: you can specify that they are Administrators of the
POD system. Administrators have additional functionality related to the
Resource Pool, Project Locking, User Management, and your company's
subscription.
For both Power Users and Lite Users: you can specify that they are
Partner/Customer users. If you declare someone as Partner/Customer, thenby default, they will only be able to see and modify projects where they have
explicitly been given a project role. This lets you prevent people outside your
company from gaining access to projects that they do not participate in.

In the applet on the Resources view, there is a column "Project Role" which lets
you specify what role each resource performs in the project. (Note that unlike
the other fields in the spreadsheet, this one is both editable and it applies to thecurrent project only). You can use it as a way of building yourProject Team.
This serves two purposes:
To prevent or limit access to projects for users that are not part of the
Project Team.
To filter the various views in the POD applet to show only resources that
are on the Project Team. For this, there is a toolbar button that you can use
to switch between seeing only resources assigned to the team, and seeing
all resources in the company. When the button is in this state: , no
filtering takes place. Otherwise, when the button is , you will only see
resources on the Project Team. You can use it to remove unwanted "clutter"
from your views as well as the Assign Resources dialog.
[edit] The possible project roles are
- (none) - The resource is not part of the Project Team Team Resource - The resource is not a POD user, but will be used on
the project.
Team Member- The resource is a POD user, but will only have web
access to the project. Note that you can use this setting to prevent Power
Users from being able to open the project in the planner applet
Project Manager- The resource is a POD user with a Power User
license. This user can open the project in the planner applet. (Note that if the
user's license is subsequently changed, their access will be limited to whattheir license permits)
A user which is an Administrator may always open any project in the planner
whether or not they are on the Project Team.

[edit] How project roles are initially set:
POD will set up the Project Roles for your Company's resources when you
create a project (either by creating or importing). When you make a new project,
you'll see an option in the dialog for setting the Project Team. There are two
options:
If you choose to set the Project Roles on the Resources view, then only
you will have access to the project with the project role Project Manager.
You will then need to explicitly modify the Project Role for each resource
that you would like to be on the Project Team as they won't have access
otherwise.
If you choose the option that all resources are on the Project Team, then
POD sets the project roles as follows: Users which are Partner/Customer will be not be given access,
otherwise:
Users with a Power User license will be given the project role
Project Manager.
Users with a Lite User license will be given the project role Team
Member.
Users that are Inactive will not be given access.
All other resources (i.e. resources that are not users of POD) will
be given the project role Team Resource.
You can always modify the project role value for any resource at a future time;
you will always need to modify the project role of Partner/Customer resources
to give them access.
In the Project Information dialog, there is also the project visibility field. You can
use this to reset the values of the project role field for all your resources at
once. It will use the rules listed above. You should use this with caution as it will
overwrite any customizations you may have made previously.

If you assign a resource that is not on the Project Team, then that resource will
automatically be given a role of Team Member if it is a POD user, or Team
Resource if not.

In the Company Profile tab (Service Account for Salesforce users), there is a
setting "Team Members only can see assigned projects". An "assigned project"
is one where the user has been assigned to one or more tasks in that project.
This applies to the Projects list and primarily concerns projects that were
created before POD had Project Roles. It still functions, though, and will be
applied to restrict viewing of projects in addition to any Project Roles you may
have.

Projects On Demand (POD) is a hosted Project Management solution that is
available on a simple annual subscription. It seamlessly integrates into your
existing Salesforce environment.

Projects On Demand will work with the Professional Edition, Developer Edition,
Enterprise Edition, or Unlimited Edition, but will not work with the Team Edition
