    group founded in 1889.

    It has been consistently ranked among the top hospitals of the USNews and World Report of Best Hospitals for 20 years.

    Mayo Clinic specializes in hard-to-treat diseases, and is known for

    innovative and effective treatments for diseases that had goneundiagnosed.

    They are ranked number one in treating diabetes and endocrinedisorders.

    Mayo Clinic is located in metropolitan areas of : Minnesota, Floridaand Arizona state.

    They have a state of the art information system called Mayo ClinicHealth System, which can be accessed from over 70 hospitals andclinics across Minnesota, Iowa and Wisconsin.

    Patients need to book/take appointments through their online systemand they have online access to their medical records 24 X 7.

    About the Case Situation - A new point of care glucose monitoring device was to be

    installed throughout the patient care areas of Mayo Clinic. In additionto facility updates and information technology integration, personnel

    were to be trained to use the equipment and tested for competency,plans for equipment maintenance were to be put in place, and allaspects of the installation and integration were to be coordinated with

    the device vendor. Response The head doctor or the physician leader for the project

    appointed a Project Manager to initiate, plan and execute theinstallation of the devices, provide for personnel training andassessment and manage the other aspects of the project. The PM

    utilized the expertise of personnel from across the clinic, providing acomprehensive approach and meeting the needs of the stakeholders inall areas.

    Results The project was completed on time and on budget, with theinstallation of over 250 point of care devices and with the training and

    assessment of over 2000 personnel. The communication plan enabledthe wides read acce tance of the chan e in rocess.

    Issues for Physician leader

    Project was complex since it involved the installation of POCglucose equipment at multiple sites/locations.

    Physician leader did not have the required expertise in projectmanagement. Project management practice and involvement ofproject manager was essential since it was a complex project.

    Unable to identify the internal and external projectdependencies and constraints.

    Not aware of quality aspects, scheduling and cost estimation andhow the project should be tracked.

    Unable to come up with risk mitigation plans. Efficiency and effectiveness of project very critical since cost

    overruns not allowed.

    Handling and coordinating the procurement of POC glucose

    equipment from vendor. How to organize and plan the training of 2000 personnel.

    Role of Project Manager

    Mayo clinic appointed a PMP certified Project manager for managing thehealth care project and the physician leader became one of thestakeholders.

    Ability to ask tough questions to ensure that the project makes sense forthe organization.

    Organizational skills to ensure that project is well planned and wellexecuted.

    Focused manager capable of understanding the dependencies of project.

    Prepare a risk mitigation plan.

    Facilitate communication between various departments and to create a

    overall project plan for training of personnel. Negotiation of contract terms with vendor since equipment maintenance

    post implementation was also part of project scope.

    Should have an eye for problem identification.

    Keep the project on track and keep the stakeholder updated on the status.

    Ensure project completion on time and within budget.

    Lessons Learned Role of project manager and importance of project

    management in health care projects.

    Mayo Clinic recognized the importance and advantages ofinvolving the PMP certified professionals in handling their

    health care projects. Currently Mayo Clinic has a PMO and they employ over 80

    project managers with PMP credentials.
