Business ExampleThe Precision Petrol Pump Company consists of a large number of independentbusiness areas worldwide. One area is the production of industrial pumps. In thisbusiness area, the solutions for life-cycle data management is to be introduced for theproduction of industrial pumps.

The pumps are produced in a plant belonging to your company. Product-relevantdata is created in a CAD system by the engineering department and managed withSAP ERP.

As required, data is changed with a time-based reference, and distributed to other SAPERP systems using product data replication.

You can manage all product and project data using mySAP Product LifecycleManagement (mySAP PLM). Any user can call this data at any point from the start ofplanning to the discontinuation of the product. Product Lifecycle Management (PLM)can be used in close integration with Customer Relationship Management (CRM) andSupply Chain Management (SCM) solutions.

Product Lifecycle Management is a collection of solutions with which you can createand maintain digital product information throughout the company and for the entireproduct life cycle, and make this information available on the Internet. PLM combinesthe management of product and process data with other applications. A range offunctions from the following applications is available:

Life-Cycle Data ManagementProgram and project managementLife-cycle collaborationEnvironment, health, and safetyAsset lifecycle managementQuality management

Components of Life-Cycle Data ManagementIn the engineering environment, original application files tend to be first created witha CAD system. These originals can be transferred to the connected Life-Cycle DataManagement system by using PLM interface integration. In order to then use SAP

ERP to manage CAD originals, you require document management. This enables thestorage of originals in SAP secure storage areas, or links to other SAP ERP objects.The product structure browser is the central navigation tool for product data. At aglance you can see all product-relevant information, such as material master, billsof material, routings, and documents.

If production-related changes are made to the product, the data must also be changedin the SAP ERP system. This is done with change management. This lets you makechanges dependent on date, serial number, or custom effectivities. The product datacan be recorded in the system with configuration management and transferred toother systems using replication. This allows you to run a separate system for theengineering process, in addition to the production system.

Life-Cycle Data Management also belongs to the mySAP ERP solution.

PLM100 Lesson: Document Management

SAP ERP document management enables the integration of external files in SAP ERPsystems. You can choose the format of the external files. As a necessary SAP ERPobject, you use a document info record, which controls the processing flow for theoriginals in the SAP ERP system. The document info record can be linked to otherSAP ERP objects, in order to make the original information available to these otherSAP ERP objects. The originals can be stored in different secure storage areas, anddisplayed and processed directly from the document info record. Access is controlledusing the authorization concept of the SAP ERP system.

A document is an information carrier with specific information on it that is determinedfor either the user or the exchange of information between systems (DIN definition).The document is made up of a document info record and the originals that belong toit. The originals may be stored in files or printed out.

Document info records allow you to manage original application files and control theprocessing flow. You can link a document info record to other SAP ERP objects,such as materials or equipment. The document info record supports versioning andclassification.

A document info record has a special key. The document number can only ever beused together with a document type. The document type is the central element of thedocument key. A document part can be used to divide up original information. Theversion allows a user to make different changes states in the course of processingvisible, by using different versions in the document.

The �real� information is contained in the assigned originals. These originals can alsobe stored in a secure storage area if required, and displayed or edited directly whenprocessing the document info record. You can use the ECL viewer, or MicrosoftOffice integration, to do this.

Third-party CAD systems are connected to SAP ERP by using the PLM interface, andthird-party archiving systems are connected by using the ArchiveLink interface.

SAP Easy document management is an interface that gives the end user an easy wayto handle document management. This is a tool for creating and changing documentswithout specialist knowledge and without an SAP GUI.

The document info record features simple and clear navigation, with the mostimportant functions available at the touch of a button, or by choosing a tab page.

Status management and the status network help the user with the release of documents.The user can run checks in the document info record before the document is releasedfor subsequent production.

Any number of originals can be linked to the document info record, and then displayedor changed by navigating with pushbuttons. The display of originals can be integratedin the document info record, or run in a separate application.

If you wish to make information in the form of originals available to other SAP ERPobjects, then object links are created between the document info records and theseobjects. For example, you can link specifications, documentation, or images to adocument info record, and use an object link to make them available to a materialmaster.

The originals can be displayed on the object side of the link, without having to displaythe document info record.

Objects links can be created from the object side as well as from the document side.

You can link original application files to a document info record. The originals arelocated on either a data server or a local computer (front-end). After processing, theoriginal are checked in to a secure storage area. This is referred to as the check-inprocess. Here they are controlled by the SAP system, and you can only use them againif you have the correct authorization. This protects the originals against unauthorizeduse.

Check-in is controlled by the Knowledge Provider (KPro). KPro is part of SAP WebApplication Server. You can connect HTTP content servers or SAP databases to theKPro. In the standard SAP delivery, you can install the SAP HTTP content server.

You can display originals integrated in the document info record with the ECL viewer,so that you do not need to start a separate application. The ECL viewer can displaya range of 2D and 3D originals, and is provided with redlining and measurementinformation. This information is stored in additional files, so that the original staysunchanged.

You use Office integration to display or edit Microsoft Office files within thedocument info record. You stay in a familiar work environment, and do not need toleave the document info record to display or edit the original.

Copying an original from the secure storage area to the working area is known ascheck-out.

Most systems that are to be connected are CAD systems, which run data transfer usingthe CAD interface, a subgroup of the PLM interface.

The PLM interface is used for bidirectional data exchange between a third-partysystem and the SAP ERP system. This means that data from the CAD system can betransferred to SAP ERP, and also that you can search for information in SAP ERP andtransfer it to the CAD system.

You can transfer data with or without a GUI. If the end user works without a GUI,the user can continue working in a familiar environment. The user enters all thedata in dialog templates that transfer the data to SAP ERP. The SAP ERP system isinvisible to the end-user and functions purely as a database server. If the end userworks with a GUI, SAP ERP does not work in the background as a database server,but is visible to the end user as a separate application. The end user starts the requiredtransaction from the CAD environment, is connected to SAP ERP, and performs thetransaction in SAP ERP.

The PLM interface is based on the standard SAP RFC library or other officialtechnologies, such as the SAP Java Connector.

The CAD desktop serves as a user interface for a CAD integration, which allows youto process links between documents in either the CAD system or the SAP ERP.

The CAD desktop lets you manage all engineering data of the CAD system:

� Access to CAD data can use version management and status management.Several users can process the data at the same time.

� Inconsistent data is avoided by the check-in mechanisms.

The third-party CAD application is connected to an application-specificComplementary Software Partner (CSP) program, which is connected to the PLMinterface. There is no one all-encompassing interface, but rather one individuallyconfigurable interface, tailored for each CAD system.

Complementary Software Partners develop these application-specific programs,which implement data transfer between SAP ERP and the CAD application, and alsoact as consultants in this field.

The material master contains information on the materials that a company designs,purchases, manufactures, stores, and sells. You create a record in the material masterfor each material in your company. Each material master record has a unique materialnumber, a material type, and an industry sector to identify it.

General engineering data that is valid for the entire enterprise is stored at the clientlevel. Examples of this data are the base unit of measure, material descriptions, basicmaterial, or general technical data. Data for a plant is stored at plant level. Thisincludes, for example, MRP data and forecast data. At storage location level, youstore all the data that is valid for one storage location.

The material can be a finished product (product or article), a semifinished product(subassembly), a raw material (purchased part), or something else.

Different departments or competence groups in an enterprise work with the samematerial. However, as each department wants to store different information in thematerial master, the information is subdivided in different views.. Each departmenthas its own view of a material master record, and is responsible for the correctness ofthis data.

The engineering department is normally responsible for basic data and classification.However, it all depends on how your company is organized. The engineeringdepartment may also be responsible for data on work scheduling and MRP.

The material master record is split into a main working area and an additional dataarea. The data in the main working area includes data of the individual departments,such as material requirements planning (MRP), costing, or purchasing. Universallyvalid data is stored in the basic data view, which includes data for dimensions,descriptions, or base units of measure.

Data that is valid enterprisewide is stored at the additional data level, so that it isavailable in all views. Examples of this are document data or units of measure..

The material status enables the targeted control of the use of a material indownstream logistics applications. The material status determines whether a materialis locked for specific business transactions or whether it can be used with a warningmessage. In this way, materials can be allowed for use as a BOM header material, andprohibited for use as an item material.

A cross-plant material status can be defined at the basic data level, and a plant-specificstatus can be defined at the work scheduling level. A cross-plant status is valid acrossthe entire company for all plants, while the plant-specific status is only valid for theuse of the material in one particular plant.

Statuses are hierarchical. The error message overrides the warning message and thewarning message overrides �No Message�.

If you set a material status that prohibits BOM maintenance at client level, no materialBOM can be created, regardless of the plant-specific material status.

If you set a material status with a warning message at client level, and a status withan warning message for a specific plant at plant level, the material can be used in allplants with a warning message.

If you set a material status with a warning message at client level, and a status with anerror message for a specific plant at plant level, the material cannot be used in thisplant, but can be used in all other plants with a warning message. Only in the onespecific plant does the processor receive an error message.

If you set a material status with a warning message at client level, and no status fora specific plant at plant level, the material can be used in all plants with a warningmessage.

If you set no material status at client level, the statuses at plant level always apply.

In Customizing for the material master recod, you can make user-specific settings formaterial master maintenance. First, you can change the sequence of the individualviews and save your own screen sequence.

Within each view, you can put subscreens together and change them. You can useeither standard subscreens or customer-specific subscreens.

Within each subscreen, you can also change individual fields.

Then you can save the user-specific settings, and even make them dependent on thematerial type, for example.

Bills of material contain essential basic data, or master data, for integrated materialsmanagement and shop floor control. The bill of material (BOM) describes whichcomponents are needed for the construction of an assembly. A BOM in SAP ERP isalways single-level. Only if additional BOMs are created for its components does aBOM become multilevel.

BOMs are used in their various forms wherever finished products or semifinishedproducts are assembled from a number of components or substances. Accordingto the industry sector where they are used, they are also known as recipes or listsof ingredients.

Material BOMs usually show the structure of products that are manufactured in acompany.

Product descriptions can consist of programs, technical drawings, documents, orphotographs. The related document info records are collected in document structures.

Equipment BOMs are used to describe engineering structures for equipment, or toassign spare parts for plant maintenance to equipment.

BOMs for functional locations group together the elements of a technical structure,such as the functional unit of a plant.

An engineering BOM contains all the components of a product from an engineeringviewpoint, and contains all the technical data.

A production BOM is created from the production point of view. For example,process-oriented data is required for assembly.

A costing BOM is the basis for automatic determination of material costs for a product.

You can also define one BOM for all application areas, using item statuses to defineany differences between the different applications.

The BOM for the pump lists the parts from which the pump is assembled. Theseindividual components are stored in the BOM items, and identified by their materialnumber.

If the components consist of additional components, then separate BOMs are createdfor them. The component then has an assembly indicator.

If you need to install partial quantities of an item at different points, then items can bedivided into subitems. Subitems have no functional character.

The wide range of BOM data that you need to enter is managed in a structured way.Here we differentiate between data that is valid for the whole BOM and data thatis valid for a single BOM item.

Data for the entire BOM is stored in the BOM header. This can be the BOM status,the BOM text, or general administrative data.

The general data for the BOM item is recorded on the item detail screen. This can begeneral administrative data, or the item status for controlling the use of the individualitems.

The BOM status controls the entire BOM in the various downstream application areas.The status allows or forbids the use of the BOM in, for example, MRP.

The item status controls the use of the individual BOM items, at item level within theBOM. For example, one item may be relevant to engineering whereas another isrelevant to engineering and production.

When you enter new BOM items, you must assign an item category to each item. Theitem category defines the properties and functions of an item. It defines which itemdata is processed and controls subsequent system activities.

The item category answers the following questions:

� Is a material number required?� Is quantity-based inventory management supported for the item?� Can there be negative quantities of the item?� Are subitems supported?� Which screens are selected and which fields appear on the item detail screens?

Once you have entered an item, you cannot change the item category. If you make amistake, you have to delete the item and enter a new one.

For example, if you want to enter a document in a BOM, you select item category D.You enter a document info record that was created in document management. Theoriginal application files can be displayed directly from the BOM.

You can create a BOM without reference to a plant in the form of a group BOM. Thisis always useful when an engineer works with a BOM during the engineering phase,but does not know yet which plant it will be used in. The group BOM can later beconverted to a production-relevant, plant-specific BOM. To do this, you use either aplant assignment or a BOM copy.

For a plant assignment, a plant is added to the group BOM. However, it is still thesame BOM, with one internal BOM number. When a group BOM is changed you seethe changes in the plant BOM.

A BOM copy is a second, separate BOM with a different internal BOM number. Thegroup BOM only serves as a copy template.

You can select any direction for both plant assignments and copies.

In a BOM explosion, the components of a BOM are exploded either on a single level,or on multiple levels. An explosion gives you a useful overview of the componentsand materials required.

The where-used list displays where a material is used, and in which quantity. This isuseful for determining the requirements for a particular material.

The BOM comparison is useful if several BOMs are created for one material, anddifferent usages or change statuses are to be determined.

The material BOM browser allows you to display the BOM as a tree structure withdetail.

Classification within SAP ERP supports the end user when searching for SAP ERPobjects.. There is less emphasis on entering an exact object number, and more onentering object attributes and values. For example, you can search for a pumpaccording to the lift or power of the pump. You find objects that correspond exactly toyour search criteria, or are similar to your search criteria, within limits that you define.

You require a material master as a new component for the BOM. Since materialsare classified in your company, you first search for the relevant classes, in whichmaterials are classified.

You select a relevant class and display the characteristics of the class. Values areassigned to the characteristics, and the search is started.

You receive a list of materials that have the characteristic values you entered asselection criteria.

Finally, a material is copied to the BOM.

Classification functionality can only be used after some preparatory work. The personresponsible has to consider which attributes (characteristics) properly describe theproduct. Then he or she creates these characteristics with specific characteristicvalues.

Rather than being assigned directly to the SAP ERP object (for example, material),the characteristics are assigned to a class. By using different classes with differentclass types, you organize the SAP ERP system into order. The relevant SAP ERPobjects are assigned to the classes. A document could, for example, be included indifferent class from a material master.

The following steps are performed in the course of classification:

1. Create characteristics and allowed characteristic values2. Maintain class and assign the relevant characteristics3. Create an object (for example, material), assign it to the class, and assigncharacteristic values4. Search for object

You must start with the basic data screen when processing characteristics. All otherscreens are optional. Maintain the status, data type, and value assignment attribute fora characteristic on the basic data screen. You can create descriptions for a characteristicin several languages. You can maintain allowed values for a characteristic. You canalso define whether only these allowed values can be selected or whether other valuesare allowed You can create references to table fields, to use them for classification.You can link document info records to the characteristics and their values.

In the format dataset, you enter the data type of a characteristic. The data type describesthe type of characteristic and determines the format for entering characteristic values.The data type CHAR describes a characteristic with alphanumeric format. The valuefield can contain any character. The data type NUM describes a characteristic withnumeric format. The value field can only contain figures.

A characteristic value is either single value or multiple value. Single-value meansthat you can only assign one value to a characteristic in value assignment functions.Multiple-value means that you can assign more than one value to the characteristic.

You must start on the basic data screen when processing classes. There you maintainthe central settings for a class, such as the class status, the organizational areas,and the authorization group. You can assign catchwords to help you in matchcodesearches. The most important step is assigning the relevant characteristics, which theuser then selects for the object assignment to assign values to the object. You canassign documents to the class. You can create classes according to a standard (such asDIN, ISO, or ANSI). You can define that a class can be used as a BOM item in theBOM of a configurable material.

The class type is a central concept of the classification system. It controls theprocessing of classes, classification, and the search for objects in classes. Class typesare always created for a specific object type, such as material. Objects of this objecttype can then be classified in classes of this class type. When you create a class, youmust enter a class type first. Each class is completely separate, and the class types arenot linked in any way.

You can define hierarchical structures for SAP ERP classes. Characteristics can beinherited within a hierarchy. The idea is that certain characteristics are requiredfor multiple classes under one hierarchy node in a hierarchy. You assign thesecharacteristics to this node (class) only, in class maintenance. The characteristics arethen inherited by all classes that are below this class node in the hierarchy.

If lower-level classes inherit a characteristic, you can also systematically restrictthe value range for this characteristic. In the subordinate classes, you only see therestricted set of allowed values, and you can only select values from the restricted setfor further assignment.

Business ExampleYou want to design a new pump. To do this you create material masters, and use themin an engineering BOM. This BOM includes a document to provide documentation forthe pump, and the BOM is copied to a production-relevant BOM. The properties ofthe product are then examined and stored in the system in the form of characteristicsand characteristic values. You also create the class that is required for this. You canthen get an overview of your product in the product structure browser.

Task:Next, you use the product structure browser to get an overview of the product structure.

1. On the initial screen of the product structure browser, enter your material:

Stay in the browser.

2. In the browser, check the status of material master T-F6##.

A work center can be a geographical location, or a particular machine in a departmentwithin a plant. A work center is assigned to a plant.

Work centers are used in task lists (routings, inspection plans, maintenance tasklists, and so on), and in orders. A work center is a location where a capacity withproduction resources is required to fulfill the requirements from orders. This capacitycan be in the form of people or machinery.

PLM100 Lesson: Routing and Work Center

The data in the work center can be used for scheduling, costing, or capacity planning.In the context of scheduling, the operating time and formulas to calculate the operationduration, among other things, are stored in the work center. For costing, formulas tocalculate the operation costs are stored in the work center, and the work center isassigned to a cost center. For capacity planning, the available capacity, and formulasto calculate the capacity requirements of an operation are stored in a work center.

Routing

A routing describes which operations or process steps are carried out during theproduction of an assembly or a finished product, and in what order they are totake place. As well as these details, a routing contains information on the workcenters where the individual operations are to take place, as well as on the necessaryproduction resource and tools, such as tools, setups, or documents, that are notnormally available at this work center.

In addition, the standard values for the execution of individual operations are stored inthe routing. Routings serve to plan the production of assemblies or finished productswith regard to the necessary resources. Routings are used as a template for productionorders and run schedule headers.

You can define a worklist for the engineering workbench. This contains selectedobjects that are to be processed in the engineering workbench. The objects arecopied from the database into the worklist. Only when you save the worklist, afterhaving processed the objects, are new objects created in the database, or existingones changed or deleted.

Another advantage of using the engineering workbench (EWB) is the lock logicfor individual data, because the EWB does not lock the entire routing or BOM forprocessing. Different items from the same BOM or different operations from the samerouting can be processed by different people at the same time.

If you want to edit an item that is being processed by someone else, the system stopsyou, and at the same time gives you information on how to contact that person, sothat you can make arrangements with him or her. The person can release the item oroperation for you, without interrupting his or her work on other objects.

The data of Life-Cycle Data Management is normally also used in the mySAP SupplyChain Management (mySAP SCM) solution. For example, supply chain managementuses material masters and their BOMs. The material masters no longer consist ofonly basic data � they also contain data for material requirements planning (MRP)and purchasing, or data for plants or storage locations. Materials are manufacturedin-house or ordered from vendors, according to the situation in the enterprise. Aplanning run (MRP) is carried out, which creates planned orders or productionorders, or purchase requisition or purchase orders. Planned orders can be convertedto production orders, and the purchase requisitions can be converted to purchaseorders. The components are purchased, or the material is produced. The productcan then be delivered to the customer.

Multivariant products have a vast selection of variants, arising from the combinationof individual product features. Variant configuration is used in the SAP ERP systemto deal with this.

As you would expect, complex products are reflected in complex configuration tasksin sales and production. However, a company that sells or produces products withvariants must perform these configuration tasks quickly and accurately.

A product that is to be manufactured in multiple variants is described as a configurablematerial. The configurable material covers all possible features of the product, so it isnot a finished product in itself.

In the SAP ERP system, characteristics are used to describe the features ofconfigurable products.

In variant configuration, a class groups together the characteristics that describe aconfigurable material.

The features of a product are stored in the SAP ERP system in the form ofcharacteristics. You define characteristic values for each characteristic, then assignthese values to the configurable material.

The BOM of the configurable material contains all components that could possiblybe required to produce a variant of the material. You use object dependencies toconfigure the BOM, in other words, to select only the components that are required forthe specific variant. The BOM is exploded according to the characteristic values youassign. If the configuration profile contains the appropriate settings, you can makemanual changes to the BOM for a sales order (for example, you can delete or insertcomponents). The BOM is then saved as an order BOM for the sales order.

The routing of a configurable material contains all the operations that could possiblybe required to produce any variant of the material.. You use object dependencies toselect the operations that are required for a specific variant.. The task list is explodedaccording to the characteristic values you assign.

Dependencies describe the interdependencies between different objects in aconfiguration. They check the consistency of the configuration and the completenessof the configuration. Dependencies can be used to infer characteristic values. TheSAP system supports five different dependency types.

A precondition is a necessary condition. You can control whether characteristicsvalues can be set or whether a characteristic can have values assigned to it.

A selection condition is a sufficient condition. This determines that a BOM item or anoperation is selected, or that a characteristic must have values assigned to it.

Actions infer values for characteristics. Actions are declarative, so neither theprocessing sequence nor the time of processing is relevant.. Procedures, like actions,can be used to infer values. A procedure is a set of instructions that is processed inexactly the sequence you define, like a program. Values inferred by procedures canoverwrite each other, but they must not conflict with statements from other sources(for example, user entries).

Constraints are designed for highly interactive configuration tasks, and for tasks wherethe interdependencies between the characteristics of several objects are important.The main purpose of a constraint is to check the consistency of a configuration.

A material change can have a range of consequences within a company. However,a material change also affects the data in the SAP ERP system. A material change,as well as affecting the material master record, can also affect bills of material,routings, or documents. These objects are grouped together using engineering changemanagement. If you need to change a shaft, there is a material master record forthis, which is used in a bill of material, and is linked to a document info record bymeans of an object link.

The product changes can be carried out with either a change master record or anengineering change request (ECR) and engineering change order (ECO).

You can use engineering change management to group together changes for differentSAP ERP objects that are affected by one change.

Engineering change management is a central logistical function for master datachanges. These changes are monitored and fully documented, to fulfill obligations toproduce supporting documents.

You can use engineering change management to store certain SAP ERP objects (forexample, bills of material and routings) multiple times, thereby saving a history of allrelevant change states.

The definition of validity in the change master record (or in the engineering changeorder) means that changes are only effective with the validity defined. Validity can be,for example, a point in time.

The changes are automatically made effective in areas of the logistics process chain(for example, sales orders, MRP, and shop floor and production control) by settingthe release key for the area concerned.

You can use engineering change management to make changes to many life-cycle datamanagement objects. You can create a change definition that is valid for all bills ofmaterial and task lists, or you can create it for specific BOM categories and task listtypes. For example, you can decide that any bill of material can be changed with achange number, or that only material BOMs can be changed with a change number,but not document structures.

In the change header of the change number you enter general data on the change. Thisincludes a short change description, the validity, and the status.

You determine which objects can be changed with the change number and how byselecting the object types.

The object management records specify the actual objects to be changed. Here youcan specify, for example, exactly which BOM is changed and with which usage.

You can assign accompanying documents to the change number, in the form ofdocument info records.

You can use classification to search for a change number.

Alternative dates allow you to control the valid-from date for individual objects moreprecisely.

First, in the header of the change master record, the user enters general information,such as the reason for the change and the validity. The user enters the objects that areto be changed, or gets the system to generate them. Then the user changes the objects.

First, in the header of the engineering change request (ECR), the user enters generalinformation, such as the reason for the change and the validity. Then the user specifiesthe objects that are to be changed, depending on status. The user cannot changeobjects until the ECR has been converted to an engineering change order (ECO).This conversion is dependent on status.

Unlike the change master record, the ECR/ECO has a status network, which enableschange processes to be requested, checked, and released.

A workflow management system can coordinate the flow of all kinds of informationthroughout the various activities. A workflow brings the �right� work to the �right�people in the �right� order at the �right� time.

Status management serves to control the business process within a change process.The status network is valid for both the header of the ECR/ECO, and the assignedobject management records.

By assigning a status network to the object management records, you can decide foreach object whether the changes are possible, not possible, or not necessary.

First, the user enters the objects that are to be changed in the ECR. Another userchecks whether the object changes are good. If the changes are approved, the ECR isconverted to an ECO. The employee then has the ECO to carry out the object changes.Once the changes are completed, this is also documented with an appropriate status inthe ECO. Once all changes are released, no further changes can be made with the ECO.

You can use effectivity types to define company-specific validity criteria, in additionto the date-dependent change that is standard in SAP ERP. Among these is thespecification of time intervals or serial numbers.

You can use the date interval effectivity type to control object changes that are, forexample, seasonal and only valid for a certain time period.

You can use the serial number interval effectivity type to make object changesdependent on the serial number of an finished product.

As it would be practically impossible to include all possible effectivity types in thestandard software, you have the option of defining additional effectivity types inCustomizing for engineering change management.

From time to time, sales orders or projects may need to be changed, even if they arealready scheduled for production and have been converted into production orders.

For this situation, you can use order change management (OCM) in the SAP ERPsystem.. This enables the early conversion of product structures to productionstructures in material requirements planning (MRP), whilst retaining the option ofchanging data up to the last possible moment. Even partially confirmed productionorders can be changed.

The changes can be initiated either because of a changed customer requirement orbecause of an engineering change, by means of a change request.

When you start development of a product, you often start with only a few initialsketches of your product. These may already be managed in SAP ERP, with documentmanagement. The next development step is to create the first CAD drawings. To do

this, you create new document info records or new versions of existing document inforecords.. At some point you may leave the initial development phase, and create SAPERP objects, in the form of material masters and engineering BOMs.

You now want to manage this data that you have created in the system. You useconfiguration management to do this.

Configuration folders are created, to collect objects that describe a product or a projectin a particular life-cycle phase.

Over the course of time, a network of folders will be built up, representing the entireproduct life cycle.

Configuration management is the basis for product replication. This technology isused to distribute the contents of configuration folders to other systems.

A configuration folder contains all the objects that describe a product or a project in aparticular life-cycle phase. The controlled object is the central object of the folder,typically a material master record.

If you want the individual development statuses to be put together automatically,you can use a baseline. The baseline can start, for example, with a material master,and collect all dependent objects, starting with bills of material, and continuing withdocuments, right through to the objects of classification and variant configuration.The baseline is a snapshot of the processing states of all objects that describe theproduct or project.

You can connect multiple SAP ERP systems in a heterogeneous environment by usingApplication Link Enabling (ALE).. For example, you can separate the engineeringsystem (PLM) from the production system (SCM). The initial product data is createdin the engineering system. This is usually in the form of engineering BOMs, materialmasters with basic data views, and document info records. . When this engineeringdata is required in the production system, it is distributed using product replication..The product data is collected in consistent data packets, and distributed to the targetsystem using ALE. The engineering BOMs are copied to production-relevant BOMs,and the material master records can be extended to include, for example, MRP data.

Since the engineering and production systems are separate, the user needs a toolthat can access information across systems. The product structure browser providesthis capability..

Product data replication is an easy way to distribute product data from a centralengineering system to various production systems.. The product data is collected inthe replication workbench. The workbench uses the folder technology of configurationmanagement, and the distribution technology of ALE..

Distribution-relevant data is added to the data of the configuration folder. Forexample, the receiving systems are defined and the baseline profiles are recorded.

Within the replication workbench, the data is collected by using a baseline, thendistributed to the target systems.

The main steps in the product replication process are as follows:

� Select controlled object and collect its dependent objects in the configurationfolder.

� Use a baseline to collect the data to be distributed, name the target systems, andinform the recipients.

� Create a distribution order and collect the data to be distributed.� Convert the distribution order to a distribution packet. This packet contains

the distribution units.� The distribution units to the target system send distribution tracking information

in the distribution unit cockpit.

Web browser. The enterprise portal forms the access point for an employee�s dailywork, providing the information and applications that he or she requires at a click ofthe mouse button. The user interface is easy to understand, easy to adjust, and easy touse. Here are some of the features of the portal:

� Single point-of-access: central access to the most diverse applications, content,and services, using the Web browser, so that access is possible anywhere, atany time.

� Integration of SAP and non-SAP components and applications, as well asintranet services and Internet services

� Openness and flexibility� Personalized, role-based user interface that can be individualized

In the portal, you can save product-related information, project-related information,and technical system information, as well as company-specific information. It ispossible to access several SAP systems to get the information you need.

The product information can be displayed in the portal by using material masterselection. The material master records can be recorded as favorites in the portal, todisplay them faster. Product information includes bills of material, change numbers,classifications, and documents, as well as the material master. If the documents have

original application files, these can be displayed either integrated in the portal or in aseparate application. Bills of material can always be displayed on a single-level basis,although any number of levels can be exploded here. Classes, characteristics, andclassification information are also integrated.

The project information can be displayed in the portal by using a project definition.You can save these as favorites in the portal. The work breakdown structure (WBS)elements that are dependent on the definition can be displayed on a single-levelbasis, and can be exploded down as far as you want. If networks exist, they are alsodisplayed in the structure with their activities. Documents can also be linked to theobjects in a project and displayed.

The plant maintenance information has a similar structure to project or productinformation. Here, too, you select a functional location as the access object for atechnical system structure, which can consist of functional locations, equipment, andso on. If documents exist, you can display them.

Enterprise Portals, which can contain product information, for example, can also beused on the Internet. For example, you can search for material master records in theportal, and display their basic data. If there is a product structure for the materialmaster, for example, in the form of a bill of material, you can also display this. Iforiginal application files exist for the product, they are displayed either in MicrosoftInternet Explorer or in a separate application.

cFolders can also be used as a discussion forum on the Internet, with the help ofWebEx technology. Various engineering groups can meet there and discuss theproduct online. Redlining functions can also be used in this situation.

The cFolders scenario consists of a collaborative scenario and a competitivescenario.. The collaborative scenario is used when development partners need to beprovided with all the important information. The competitive scenario is used whenyou want to involve several vendors, each of which saves data to its own defined area.

Within such a scenario, you can set up folder structures that contain the necessary data.This includes material master, bill of material, and/or documents. This data can eitherbe created in the folder or imported from a connected SAP system (PLM orSCM).

In the cFolders scenario, the development partner (customer or vendor) can display thedata and change it if required. If original application files from document info recordsare available, these can be displayed on the Internet. If the originals are 3D originalsof type JT, you can display them on the Internet and add redlining information to them.

Once the data has been changed, it can be copied back to the SAP system.

If you want to transfer data from the back-end SAP system to the cFolders system,first select the data in the SAP system. If there are documents as well as materialmasters and bills of material, you can use the product structure browser.

In the product structure browser, you select the data and transfer it to a table. Thenyou decide which target folder you want to transfer the data to. You can either use adifferent folder for each object or define a standard folder for all objects.

Then the data is transferred to the cFolders scenario and is available there.

The cFolders scenario is usually installed on an external system (not behind thecompany firewall). This means that a cFolders user cannot access the productivesystem.

The external user can access the cFolders system, using the HTTPS protocol. Thisis where he or she finds the data provided. This data is only a selection of the datain the SAP back-end system. From the material master, for example, you can makeonly selected basic data available. All other data, such as MRP or costing, is notavailable to the external user.

The internal user also accesses the data in the cFolders system by using HTTPS.However, the internal user may also have the option of transferring data from theback-end system to the cFolders system and back.

The cProjects Suite is a simple, Internet-based user interface for project work. In yourcompany, it allows virtual teams to work together without having to learn to use SAPR/3. The Internet user interface can be used intuitively without knowledge of SAP R/3.

The cProjects solution of the cProjects Suite can be used for virtual project work.Project members can define the usual project tasks, such as checklists, tasks, orprocesses. You can set up similar structures to those in SAP R/3 project management.

This includes the integration of SAP R/3 project management functions, such aswork breakdown structure (WBS) elements, networks, materials, or documents. ThecProjects solution serves, in effect, to predefine processes and functions that are thentransferred to project management in SAP R/3.

As in project management in SAP R/3, you can display the graphical planning board,so that you can see on the Internet whether your target dates are still realistic orwhether you are behind. You can define relationships between individual networkactivities to show interdependencies.

Transfer to SAP R/3 can take many routes. The data can be transferred manually, orwhen the project is released, for example. This allows project members to decidewhen they want to transfer the data to the downstream SAP R/3.

Program which can be started directly from a document info record to processan original application file. The data carrier and the path where the originalapplication files are stored in the file system are defined uniquely in the documentinfo record. Example:

A standardized programming interface that facilitates external access to businessprocesses and data in the SAP System. You define Business ApplicationProgramming Interfaces (BAPIs) in the Business Object Repository (BOR)as methods of SAP business objects or SAP interface types. BAPIs offer anobject-oriented view of business components in the SAP system. They areimplemented and stored as RFC-enabled function modules in the FunctionBuilder of the ABAP Workbench.

baselineA snapshot of the processing status of all objects that describe a product orproject. A specific configuration is frozen in a baseline. This means that aspecific processing status is defined for all objects in a configuration folder ata specific point in time. A configuraiton that has been recorded in a baselinecan be reproduced at any time.

bill of materialA complete, structured list of the components that make up an object. The listcontains the description, the quantity, and unit of measure. The components areknown as BOM items. You can create the following BOM categories:

� Material BOM� Document structure� Equipment BOM� Functional location BOM� Sales order BOM

BOM applicationA procedure for automatically exploding the BOM for a section of a company,such as sales and distribution. The application is defined in Customizing, anddefines the following criteria for the search process:

BOM comparisonA reporting function that compares item data in a primary BOM with data in asecondary BOM. You have the following explosion options:

BOM explosionA function for determining all components of a bill of material and listing them.You can explode a BOM to show the structure of the product or to show the totalquantity of each component. BOM usageA tool that allows you to maintain BOMs, for example, for material �LAMP�,for specific sections of your company. You can maintain a separate BOM foreach section in your company, for example, production, so that each section onlyprocesses the items relevant to that section. In Customizing, you can definewhich item statuses can be used in which BOM usage. For example, all items inBOMs with a certain usage are relevant to production. The usage is an importantselection criterion in the �BOM application�, which controls the automaticexplosion of BOMs.

CAD desktopInterface for CAD integration that enables you to edit documents and linksbetween documents both directly in the CAD system and from the SAP system.CAD structures are displayed in the CAD desktop via a fully configurable userinterface that enables you to display and manage a wide variety of documentinformation from the SAP system.

change master recordData record that contains all the information required for managing a change. Achange master record contains descriptive data, such as the reason for the change,and data with control functions, such as valid-from date and indicators for objecttypes. In addition to this data, which you can maintain directly, there is data thatthe system updates automatically, such as administrative data.

change numberA number used to uniquely identify a change master record. All changes madewith reference to a change number are controlled and logged by the changemaster record. Numbers can be assigned both internally and externally.

change typeThe change type controls the process flow of change objects in engineeringchange management. You can define this for an entire change master record,or for objects that are assigned to the change master, such as bills of materialor routings.

� The process flow is defined internally using the system status, and youcannot change it manually.

� The workflow workbench lets you define specific workflow tasks forspecific processing statuses. These tasks are monitored and controlledby the workflow manager.

� If you want to organize the business transactions for a specific processingstatus in more detail, you can define a status profile in Customizing andassign the profile to the change type. In the change master, this processflow is controlled by the user status.

characteristic inheritanceAutomatic inheritance of characteristics within a class network or hierarchy. Thismeans that the characteristics are available in all subordinate classes and do nothave to be entered manually in each class within a path. Characteristics are onlyinherited by classes that do not already contain the characteristic.

check-inThe process of transferring the component content of the physical documentfrom an external application to the Knowledge Provider (KPro) and creatingall necessary administration data in KPro. There are two check-in scenarios:1. Check-in with preceding check-out Check-in without preceding check-out.Example of check-in with preceding check-out: A user has requested a documentfor processing by using check-out. Copies of the originals managed in the KProare provided to the user. The user can process the document with the relevantapplication (for example, Microsoft Word). During this time, the check-outadministrative data in the KPro ensures that no other user is processing the samedocument. Once the user has finished processing, the check-in process can beused to transfer the files to the KPro, thus revoking the check-out lock.

check-outProcess by which the content of components of physical documents is requestedusing an external application, a cope of the content of components of thephysical document is transferred from the SAP Knowledge Provider (KPro) tothe application, and the necessary administrative data is created in the KPro(check-out lock). Example: An application requests a Microsoft PowerPointpresentation for changes. KPro transfers the presentation to the application andcreates various administrative data. This administrative data has two mainfunctions: 1. The exported document must remain locked for other requests tochange for the entire duration of the check-out. 2. All information that enablesone-touch check-in is linked to the process. Once the user has finished processingthe document, the document can be transferred to KPro using a check-in process.

PLM100 Glossary

A class contains characteristics that describe the attributes of the objects to beclassified. The characteristics can only have allowed values defined for them.

class typeThe top-level unit for control for classes. Each class must be assigned to exactlyone class type. There is no connection between the individual class types. Theclass type is used to define a number of parameters, such as:

� The objects that can be classified in a class� Whether objects of different object types can be classified in the same class� Whether an object can be classified in more than one class of the same

class type� The class maintenance screens that can be processed

classificationThe assignment of objects to a class. When you assign objects to a class, youassign values for the object to the characteristics in the class.

configurable materialA material that can have different variants. For example, a car can have differentpaint, trim, and engines. Configurable materials have a super bill of material(BOM) that contains all the components for producing every variant of thematerial. Similarly, they have a super task list that contains all the operations.When a material is configured, only the components and operations needed fora variant are selected.

configuration definitionA container in which all configurations of a product or project in all its life cyclephases are collected. A configuration definition contains all configuration foldersand baselines from all life-cycle phases of a product or project.

configuration folderA folder that collects all objects that describe a product or project in a specificlife-cycle phase. At a specific time, the configuration folder contains theobjects that define the product at that particular time. In a configuration folder,you collect the objects required to determine specific configurations, such asdocuments and materials. Unlike baselines, configuration folders do not record aspecific processing status of the objects. The configuration folder is a templatefor creating a baseline.

configuration profileAn object in which you enter configuration parameters for a configurable object.Each configuration profile must be assigned to at least one class with a classtype that supports variant configuration.

constraintThe interdependencies between objects and their characteristics. A constraintis used as a dependency in variant configuration.You can use constraints to setcharacteristic values or to check the consistency of assigned values. In variantconfiguration, you can use constraints to address different assemblies in a BOM,between which interdependencies exist.

documentInformation medium for information that is intended either for the userresponsible or for data exchange between systems. Depending on the type ofdocument (for example, engineering drawing, program, photo, or text), differentdocument data is managed.

document info recordMaster record containing all information necessary for managing a document.The data is sorted according to various criteria. A document info recordcontains both descriptive data (such as language and laboratory) and controldata (such as change number and status). In addition to this data, which youcan maintain directly, there is data that the system updates automatically, suchas administrative data.

document managementA set of integrated functions which allows you to manage different types ofdocuments.

document partTerm for dividing a document into several documents. Versions are maintainedseparately for each document part. Example: The individual pages of a designdrawing are recorded as document parts under one document number.

document statusInstrument for controlling current document processing. For each document type,a status network can be defined that has one or more previous statuses specifiedfor a document status. The status type lets you assign properties to a status.

document typeA categorization of documents in document management according to theirdistinguishing characteristics and the organizational procedures that result fromthem.

ECL viewerTool for enterprisewide graphical display of the original application files of adocument info record. The integrated viewer displays all generally available 2Dformats and 3D models. By using the redlining function, you can enter remarksand comments about an original application file. Example: In a CAD system(such as AutoCAD), a design drawing is created (*.DWG) and transferred to theSAP system. This design drawing is also to be displayed on front-end computersthat have no access to a CAD system. The first step converts the data to a

more readily available format. For example, the *DWG file is converted to*TIF format. The new TIF file is entered as an original application file of thedocument info record. In Customizing for document management, it is definedthat the display of TIF files starts the viewer. When you display a TIF file in thedocument info record, the viewer is started automatically.You enter remarks andcomments and send them to the engineer.

effectivity typeThe conditions under which changes are effective. The effectivity parameters foreach type determine the conditions defined.The effectivity parameters for each type determine the conditions defined.Example: effectivity type SERNR (serial number) �this effectivity type has thefollowing parameters:

� Material number (single value)� Serial number (open interval)Changes are effective for a specific material and a specific range of serialnumbers.

engineering change managementA component that allows objects to be changed with history. The differentprocessing states of the object are saved. All changes are made with reference toa change master record.

engineering change orderA change master record created as an engineering change request (ECR). Afterdefined checks, an ECR is converted to an engineering change order (ECO). AnECO ensures that all the steps required to make the change follow a predefinedsequence.

engineering change requestChange master record created with reference to a change type, that defines aprocedure for the change. Change objects cannot be processed with reference toan engineering change request (ECR). The person responsible must approve theECR and convert the ECR to an engineering change order (ECO).

HTTP content serverThe SAP Knowledge Provider (KPro) can use different physical storage media.These are described as content servers. A content server may be used forseveral content repositories. Example:If texts created for the help applicationin the SAP system are stored on an HTTP content server, this server, togetherwith all the software components that are required to access the documents, isa content server. At the same time, several content repositories can exist onthe same system.

industry sectorThe industry sector groups together companies according to their activity, suchas plant engineering and construction, mechanical engineering, the chemicalindustry, and the pharmaceutical industry.Table-driven program support isprovided according to industry sector, for example, the selection of data fields onscreens, for the sequence of the screens, and the assignment of material types.

item categoryAn object that defines items in a BOM according to criteria such as the objecttype of the component, for example, material master record or document inforecord.The item category controls the following:

� Screen sequence� Field selection� Default values� Material entry� Inventory management� SubitemsExamples: stock item, non-stock item, and document item.

item statusA range of indicators stored for a BOM item. The availability of the indicatorsis determined by the definition of the BOM usage, for example, production.The indicators control:

� Processing of the BOM item in related application areas, for example, itemrelevant to production→ transfer to planned order

� Selection of items in the BOM explosionKnowledge Provider

SAP Knowledge Provider (KPro) is integrated in SAP Web Application Serverand is used for managing objects with a document-like character. KPro providestransparent and generic functions that can be integrated by various applications.SAP Knowledge Provider thereby provides a cross-application, cross-media,information technology infrastructure.

Life-Cycle Data ManagementPart of mySAP Product Lifecycle Management. A suite of tools for creatingproduct and process data and adapting it in all phases of the development andproduction cycle. For example, the following data is processed:

Variants and object dependenciesMaterial mastersCAD information

life-cycle phaseA stage in the life of a product or project that is of commercial importancefrom the point of view of a company. A product can go through the followinglife cycle phases:

� Sales and distribution� Specification� Engineering� Work scheduling� ProductionThe life-cycle phases of configuration management can be defined inCustomizing.

material master recordA data record containing all the basic information required to manage a material.This data is sorted according to various criteria.A material master record contains data of a descriptive nature (such as size,dimension and weight) and data with a control function (such as material typeand industry sector). In addition to this data, which can be directly maintainedby the user, it also contains data that is automatically updated by the system(such as stock levels).

material statusIndicator in a material master record that restricts the use of a material. You canrestrict the use of a material for certain functions by assigning it , for example,the status �test part�. Tables are used to define how the system is to respond inindividual applications, for example, with an error message or a warning, incase of unpermitted use of a material.

object dependenciesThe mutual dependencies between objects. Object dependencies can be definedbetween characteristics and characteristic values such that 21-speed gearsare only allowed for racing bicycles. They can also be defined to ensurethat the correct BOM items and operations are selected when an object isconfigured.They can be described in a dependency editor using a special syntax.There are different types of object dependencies for different purposes.

object linkA function for linking various SAP objects (such as materials, change numbers,BOMs) to a document. In Customizing for document management, you definewhich objects can be linked to each document type.

object management recordA data record that describes and controls a change to an object in the changemaster. Object management records can only be entered for certain changeobjects: Object management records can only be entered for certain changeobjects:

original application fileA file that contains the actual document information.

plantOrganizational unit within logistics, serving to subdivide an enterprise fromthe point of view of production, procurement, maintenance, and materialrequirements planning (MRP). A plant is a place where materials are produced,or where goods and services are provided.

plant assignmentYou can extend the area of validity of a BOM by assigning the BOM to one ormore plants.These related BOMs in different plants are identified by the sameinternal BOM number.

Product Lifecycle ManagementA suite of solutions for creating and maintaining digital product informationcompany-wide and throughout the life cycle of a product, and making it availableon the Internet. PLM combines the management of product and process datawith other applications. A range of functions from the following applicationsis available:

Life-Cycle Data ManagementProgram and project managementLife-cycle collaborationEnvironment, health, and safetyAsset lifecycle managementQuality management

release keyA component in a change master record which controls the release of objectchanges for different areas in a company. You can release changes globally or forindividual areas such as costing, planning, or production at a specific point inprocessing.

RFCCall of a function module that runs in a different system (destination) fromthe calling program. Connections are possible between different <ZH>SAPsystems</> and between an SAP system and a non-SAP system. In non-SAPsystems, instead of function modules, special programmed functions arecalled, whose interface simulates a function module. We distinguish betweensynchronous, asynchronous, and transactional function calls. The called systemis accessed via the RFC interface.

routingA description of the production process used to manufacture plant materials orprovide services in the manufacturing industry. A routing contains sequencesof operations. An operation describes how a work step is to be executed. Thegrouping of operations in sequences allows you to map parallel or alternativeprocess flows. An operation may occur in more than one sequence. Severalsimilar routings and their operations are collected in a group. An operationcan be divided into suboperations to provide a more detailed description. Anoperation or suboperation can refer to the work center where it is executed. Anoperation or suboperation contains the required activities. An operation may alsorequire a certain quantity of material components or production resources andtools. You can use a routing for the production of several plant materials. It isused as a template for production orders and run schedule headers.

secure storage areaA protected storage area for original application files of a document info record.For security reasons, this area is not accessible from the file system of a front-endcomputer. You can only transport original application files to the secure storagearea and edit them again with the maintenance functions for a document inforecord in document management You can use the following secure storage areas:

� Storage systems that are controlled using document management:

� SAP database (part of the standard SAP system)� Vault (defined in Customizing for document management)� Archive (SAP ArchiveLink interface)

� Storage systems that are controlled by the Knowledge Provider, such as:

� HTTP content server� SAP database

selection conditionDependency type used to define that a value must be assigned to a characteristic,or a BOM component must be selected, if a specific value is assigned to aspecific characteristic.

value assignmentEntry or selection of one or more values for the characteristics of an object.

variant configurationDescription of complex products that are manufactured in many variants (forexample, cars). All variants are defined as one variant product. The variantproduct has a bill of material, containing all the components that can be used inthe product, and a super task list, containing all the operations that can be used tomanufacture the product. By assigning the variant product to a class, you assigncharacteristics to the variant product. You use these characteristics to describean individual variant. Object dependencies ensure that the correct componentsare selected from the super BOM and the correct operations are selected fromthe super task list.

versionThe creation of a derivation relationship between two documents. Therelationship is in the direction of document 1 to document 2, where document2 has been derived from document 1 using a certain criterion.In KnowledgeProvider (KPro), the term versioning is a superordinate term for various subtypesof versioning. These subtypes can be defined by various versioning relationshipclasses. The following versioning relationship classes are defined in KPro:

� Format versioning

The format has changed

� Language versioning

The language has changed

work centerAn organizational unit that defines where and when an operation must beperformed.The work center has an available capacity. The activities performedat or by the work center are valuated by charge rates, which are determined bycost centers and activity types. Work centers can be:

� Machines� People� Production lines� Groups of craftsmen

workflowSequence of steps processed either by people or by the SAP system. Thechronological and logical sequence of steps, linked to the evaluation ofconditions, is monitored by the workflow manager and can be controlled flexiblywith event-related response mechanisms. From a technical point of view, aworkflow is represented by a workflow work item (type F).
