WelcomeIt gives me great pleasure to share with you the theme for AIDA 20-21, Powerful Voice.

We chose this theme because Aboriginal and Torres Strait Islander doctors have the privilege and fortune of having a voice in improving the health of our Peoples. There is an enormous challenge ahead, and we must all raise our voices to effect change. In order to have a Powerful Voice, AIDA works with our Aboriginal community-controlled health sector, with our Peoples and communities across Australia, and with Non-Indigenous people and organisations who will lend their voice to the task.

At the 20-21 Conference we want to hear from students, doctors, researchers, medical bodies and organisations who are leading in their work. We want to hear from anyone who is working to improve Aboriginal and Torres Strait Islander health, and the health workforce – to form a Powerful Voice for change.

These are key priorities for us as we work toward building and sustaining culturally safe workplaces across the health sector and our overall goal of improving health outcomes for Aboriginal and Torres Strait Islander Peoples.

We ask you to join us in this important conversation by attending our conference, submitting an abstract to deliver a workshop or presentation to our delegates, or partnering with us through one of our partnership packages.

Your support is invaluable to us in delivering a strong conference program, rich in relevant academic and scientific content. Terms and ConditionsAIDA reserves the right to decline any partnership or sponsorship booking based on the partners’ alignment with AIDA’s Vision, mission and values. AIDA reserves the right to amend and change the partnership benefits listed on this document at any time, dependant on specific deliverable dates and the timing of the partnership agreement execution date.

By completing an online partnership sponsorship booking you are declaring you are authorised to enter into this agreement and agree to be bound by the full partnership package terms and conditions below:

Definitions » AIDA refers to the Australian Indigenous Doctors’ Association,

» Partner and you refers to the purchaser of a partnership package,

» Partnership package refers to any partnership package, exhibition stands, advertising packages and Indigenous medical student or junior medical officer (PGY1) sponsorship,

» Exhibitor refers to any organisation displaying an exhibition stand at the event,

» Partnership agreement and contract refers to the agreement between AIDA and the partner.

Application and paymentFollowing the submission of your partnership package order, AIDA will issue you with a tax invoice for the full amount of the specified partnership package. Full payment will be required in line with AIDA’s payment terms. If payment is not received in line with these terms, the partnership package will be released for re-sale.

Your partnership package will only be confirmed once full payment is received. Payment is accepted via MasterCard, Visa Card, Cheque and Electronic Funds Transfer (EFT). Partners must ensure that the partnership agreement is read, understood and agreed by an authorised representative.

AIDA reserves the right to decline any partnership package or student and Junior Medical Officer Sponsorship application at its sole discretion. 

Variations to partnership packagesAll variation requests must be received by AIDA in writing by 28 May 2021 and are subject to approval by the AIDA Chief Executive Officer.

Cancellation policyOnly in exceptional circumstances, AIDA will consider the cancellation of your partnership agreement. The following conditions must be met:

» The request for cancellation is submitted in writing,

» The reason given for the cancellation is, in the opinion of AIDA, well founded,

» AIDA is able to re-sell the sponsorship item,

» The Partner agrees that AIDA will retain 10% of the contract price if the cancellation is accepted before 28 February 2021 . It can be cancelled via the partnership portal,

» The Partner agrees that AIDA will retain 50% of the contract price if the cancellation is received in writing after 28 February and before 31 March 2021,

» The Partner agrees that AIDA will retain 100% of the contract price if the cancellation is received in writing after 31 March 2021.

If the AIDA 2021 is cancelled for any reason, AIDA will refund the full contract price to the Partner.

Exhibitors » All Exhibitors are required to operate their stands on Wednesday 30 June, Thursday 1 and Friday 2 July 2021. All exhibition stands must be fully staffed during all breaks on all three days. AIDA will advise exhibitors of specific bump in and bump out times closer to the event,

» All marketing material and property must remain within the designated stand space. No advertising material or property will be allowed outside the allocated stand space,

» In accordance with AS 3760, all portable electrical equipment brought onto the premises must have been tested and tagged by a suitably qualified person and the tag must be valid,

» Excessive noise from televisions or laptops or similar, which could inconvenience other exhibitors will not be allowed,

» The Exhibitor can independently obtain unique wall panels, power outlets, furniture, IT, audio-visual aids and/or flooring with the agreed exhibition provider. All additional costs incurred are the responsibility of the Exhibitor,

» Exhibitors must have public liability insurance of at least $20 million and provide evidence of such cover. Certificate of Insurance must be supplied to AIDA by 3 April 2021.

Exhibition stand site allocation is on a priority basis and will be allocated based on partnership package entitlements and order of confirmation.

Event collateralAny costs associated with production, design or development of conference partner’s branded banners, satchel insert material or branded merchandise, and all costs associated with delivery of these items to the venue are the responsibility of the conference Partner.

Due datesTo maximise AIDA’s promotion of your partnership, logos are required at the time of confirmation of your partnership package. Logos are required to be provided to AIDA in a vector graphic (eps or ai format) or in a high-resolution jpeg format (300dpi or above). If logos are supplied in a format different to this AIDA will not be responsible for the quality of logos in any promotional material. For those Partners taking the daily catering partner, pen partner, recharge lounge partner, tote partner, notepad partner and lanyard partner packages, logos will be required no later than 7 April 2021.

For those Partners with the opportunity to supply a company biography, biographies must be supplied no later than 16 April 2021. For those Partners taking digital advertising packages in the delegate app and/or the event stream wall, artwork must be supplied in dimensions appropriate to your package no later than 28 May 2021. For those Partners taking a satchel insert package, either an A4 flyer (maximum four pages double sided) or a merchandise item (excluding a pen or a USB), items must be approved by AIDA no later than 4 June 2021. Satchels will be pre-packed externally prior to the event and further details on shipping will be provided by AIDA.

Delivery of all branded banners and other conference material (excluding satchel insert material) must be received at the venue using an AIDA issued delivery docket.

ResponsibilityAIDA will not accept responsibility for:

» Any incidents, acts or omissions caused by service providers,

» Loss or damage of exhibitors’ property,

» The accuracy or content of any written or oral statements made by speakers or presenters.

All Partners are required to:

» Ensure that the partnership contract is read, understood and agreed upon by an authorised representative,

» Meet all due dates outlined in this document,

» Meet all responsibilities outlined in this document.

TimelineCommencement date of this agreement is the day payment is received in full by AIDA. Date of completion of this agreement is 2 July 2021.

Exceptional circumstancesAIDA reserves the right to change the venue, duration of the conference and/or package inclusions at our discretion. In the unlikely event that this occurs, AIDA will provide 30 days written notice.
