Organizers: THANK YOU for volunteering to help your church host Refugee Sunday! You are helping Christ’s church to stand in the gap for refugees, demonstrating His love and compassion for families who have lost everything. Your support in ensuring an unforgettable event—and helping your church members make a lasting difference for displaced people by becoming Refugee Responders—is crucial. Here are some tips and tools to get you started. Suggested planning timeline 3 weeks ahead Meet with your church’s planning team to organize the event details. Ask your pastor to make an announcement during services for a couple of weeks before the event. Recruit volunteers (we suggest 2 volunteers per 300 people; volunteers should be at least 18 years old). Arrange for 1-2 tables at each sanctuary exit 2 weeks ahead Send the Pastor Talking Points to the church leader who will be sharing from the pulpit. You are helping Christ’s church to stand in the gap for refugees, demonstrating His love and

compassion for families who have lost everything. Your support in ensuring an unforgettable

event—and helping your church members make a lasting difference for displaced people by

becoming Refugee Responders—is crucial.

Here are some tips and tools to get you started.

Suggested planning timeline3 weeks ahead

• Refugee Sunday Event Kit including Refugee Responder folders and envelopes (mailed to your church in advance of the event)

• Cash box or other secure container for completed Refugee Responder forms

1 week ahead

Add story cards to church bulletins (or put on seats on event day).

Announce event on church’s social media accounts and email church members.

Confirm with volunteers and remind them what time they should arrive.

Print enough copies of the Volunteer Instructions for all your volunteers.

Event day

1 hour before service: Set up lobby table.

45 minutes before service: Put story cards on seats, if not in bulletin.

30 minutes before service: Train your volunteers (see “Tips for training volunteers” section on the next page).

Keep the cash box secure at all times, and never leave it unattended.

1 day after

Complete the Event Report Form.

Send Event Report Form and completed Refugee Responder forms (inside envelopes) in the prepaid mailing envelope provided to:

(Keep the unused Refugee Responder folders for people who want to sign up later.)

1-2 weeks after

Continue to staff the lobby table before and after services for the next two Sundays to catch those who weren’t there the first Sunday.

Mail all additional completed Refugee Responder forms to World Vision after the additional two weeks.

Celebrate! Place an announcement in the bulletin thanking people for becoming Refugee Responders and updating them on the number of people who gave.

Tips for training volunteersExplain who World Vision is and the goal of Refugee Sunday.

Go over the Refugee Responder folder and be sure volunteers are clear on how to instruct people to complete the forms.

Remind volunteers to place each completed form in a sealed envelope before placing it in the secure cash box.

Have them stay until 10 minutes after the service begins and return 15 minutes before it ends.

If needed, find volunteers to rejoin you next week and the week after to serve those who still want to sign up.
