1. smartLICENSEMANAGER Overview1.1. Introduction

smartLICENSEMANAGER is a cloud based offering that consists of two main components:

• The cloud based portal that allows clients to have a comprehensive view of its Microsoft Enterprise Agreement information. Additionally the portal allows a company to view its current Microsoft License Entitlement position, its Microsoft software deployment information and lastly its Microsoft compliance position.

• The second component is the Collection Service, this service is installed in the client environment and interacts with Microsoft SCCM’s database to extract the client’s Microsoft Inventory/Discovery information.

2.1 smartLICENSEMANAGER Portal Feature Set2.1.1. Over Licensed Products

The Over Licensed Products Chart compares the total installs for a product against the number of licences for the product and reports the 5 products for which there are the most unused licences. Each product is represented by a coloured wedge. Hovering over a wedge will display the number of unused licences for the product. Clicking on a product wedge will redirect to the Estimate Licence Position page with the product selected.

2.1.2. Under Licensed Products

The Under Licensed Products Chart compares the total installs for a product against the number of licences for the product and reports the 5 products for which there are the most unlicensed installs. Each product is represented by a coloured wedge. Hovering over a wedge will display the number of licences needed to cover the installations. Clicking on a product wedge will redirect to the Estimate Licence Position page with the product selected.

2.1.3. Most Licensed Products

The Most Licensed Products Chart reports the 5 products for which there are the most licences purchased. Each product is represented by a coloured wedge. Hovering over a wedge will display the number of licences purchased. Clicking on a product wedge will redirect to the Entitlements page with the product selected.

2.1.4. Most Installed Products

The Most Installed Products Chart reports the 5 products for which there are the most installations. Each product is represented by a collared wedge. Hovering over a wedge will display the number of installations for the product.

2.1.5. Enterprise Agreement Details

The Enterprise Agreement Details displays the Agreement Number pertaining to the company’s Microsoft Enterprise Agreement as well as the agreement start and end dates. If a company has more than one enrolment under the master EA, the one with the latest end date will be shown. Clicking the Agreement Number will redirect the user to the Licence Agreements page to view the agreement details. The dial chart will show a scale from 0 to 36 months with 0 being closest to the agreement end date. If a customer is in the red, the agreement is close to the specified renewal date. The number of months remaining on the agreement will be shown to the user. Once there is less than a month left, the remaining time will be shown in days.

2.1.6. Customer Details

The Customer Details will display the current status of the Customer’s data. Initially the Last Updated, Last Updated Compliance, Last Updated Entitlements and Client Installed information will be shown.

Clicking on the “Show More Details” link will pop up a window displaying all customer details.

2.2 Licence AgreementsThe Licence Agreements tab is designed for users to view licence agreement details for their company. The tab is split into three sections: Enterprise Agreements, Touch Plan and Account Team Contacts.

2.2.1. Enterprise Agreements

The Agreements tab will display the Enterprise Agreement details for the customer logged in. The page will contain three sections: operating companies, agreement details and products. The text that appears under the agreement as well as the text that appears in the product section can be unique for each customer. If a company contains multiple Operating Companies (OpCos) that are covered under the Enterprise Agreement, a section will appear at the top of the page listing the covered OpCos. The majority of customers will not have defined OpCos, in which case this section will not appear.

The agreement details define the Master Agreement and the Enrolments defined for the agreement. The details include:

• Master Agreement Number Master Agreement Number for the EA

• Enrolment Numbers Individual Enrolment Numbers for the EA

• Agreement Numbers Individual Enrolment Numbers for the EA

• Start Date Agreement (Enrolment) Start Date

• End Date Agreement (Enrolment) End Date

The third section of the Agreements tab will display the products covered under the Enterprise Agreement. Click the “Click here to see the list of products” link to view the product list. The list is designed so that clicking on a product Family will expand part descriptions defined. Clicking the link again will hide the product list.

2.2 Licence Agreements2.2.2. Touch Plan

The Touch Plan tab will show the details for the Communication Plan defined by Microsoft for the Microsoft Enterprise Agreement. Currently this plan is called the “T-36 Touch Plan”. It is a 3 year (36 month) schedule for communicating with the customer. The details for each year can be viewed by clicking on the “Year 1”, “Year 2” and “Year 3” links. The Communication Plan can be modified for specific customers. If an alternate detail is defined for the logged in customer the alternate text will be displayed instead of the default detail.

2.2.3. Account Team Contacts

The Contacts tab will display Account Team Contacts for the customer.

2.3 EntitlementsThe Entitlements tab will allow customers to view licence rights for specific products. Users can select a Publisher and Product for which they have purchases defined for in the system. Once a product is selected, the information will be displayed in three parts: Entitlement Summary, Version Map and Purchase Details.

2.3.1. Entitlement Summary

The Entitlement Summary section of the Entitlements page will show a Bar Graph Chart detailing how many licences have been purchased for each version on the selected product. The left side of the chart contains a scale of the number of licences. The versions are shown at the bottom of the graph. If more than one licence model exists for the product, the bar on the graph will contain multiple colours. A key at the bottom of the chart will define the licence models and their corresponding graph colour. Hovering over a specific colour on the bar graph will show the exact number of licences available for the licence model at the version.

2.3.2. Version Map

The Version Map grid on the Entitlements page will show the customer’s purchases for the product rolled up into the licence rights for each version. The grid will show the following information:

• Version Product Version

• Licence Model Licence Model

• Rollup Type Base Licence or Upgrade

• Quantity Quantity Purchased

When looking at the Rollup Type on the Version Map grid, a type of “Upgrade” (which includes Maintenance) on its own will not mean that entitlements exist for that product version. Base Licences must exist at the same version or earlier for licence rights to exist.

2.3.3. Purchase Summary

The Purchase Summary grid on the Entitlements page will show all purchases made for the selected products, including base licences, upgrades, maintenance, etc. The grid will show the following information:

• Version Product Version

• Licence Model Licence Model

• Licence Type Licence Type (i.e. “Licence w/ Maintenance”)

• Rollup Type Base Licence or Upgrade

• Manufacturer Part Number Manufacturer Part Number

• Users Per Licence Number or Users Per Licence

• Purchase Quantity Quantity Purchased

• Order Date Date Ordered

• Invoice Number Invoice Number

• Invoice Line Number Line Number on invoice

• Coverage End Date Maintenance End Date

Clicking on the Details link in the grid will pop up a more detailed view of the purchase, including billing and shipping information.

2.4. InventoryThe Inventory tab will allow users to view hardware and software discovered for their company by the SCCM inventory tool. The page will be split into a Hardware and Software section.

2.4.1. Machines

The Machines tab on the Inventory page displays a list of all machines discovered for the customer. Expanding the grid will show all software installed on the selected machine. The Machine grid shows the following information:

• Machine Name Discovered Machine Name

• Manufacturer Discovered Machine Manufacturer

• Model Discovered Machine Model

• Operating System Discovered Machine OS

Clicking the Details link in the grid will pop up a more detailed view of the machine, including processor information and serial number.

2.4.2. Software

The Software tab on the Inventory page displays a list of all software discovered for the customer. Expanding the grid will show all machines where the software is installed. The Software grid shows the following information:

• Publisher Discovered Publisher

• Product Discovered Product Name

• Version Discovered Product Version

• Language Discovered Product Language

• Operating System Discovered Product OS

Clicking the Details link in the expanded machine grid will pop up a more detailed view of the machine, including processor information and serial number.

2.5. Estimated Licence PositionThe Compliance tab will allow customers to view compliance data for specific products. Users can select a Publisher and Product which has been discovered by the SCCM Client Tool. Once a product is selected, the compliance details will be shown.

2.5.1. Overall Position

The Overall Compliance Chart will show the percentage of compliance across all versions of the product. Click the “View Details” link on the chart to see a grid detailing compliance at each version of the product. The grid will show the following fields:

• Version Product Version

• Licences Total licences

• Total Installs Total installations

• Installations Covered Number of installations covered by licences

• Unlicenced Installations Number of installations not covered by licences

• Percent Licenced Percentage of compliance

• Licenced True or False

Expanding the row on the grid will show the Machines the product was installed on. Clicking the “Details” link on the Machines grid will pop up a window showing the Machines attributes. Expanding the Machines grid or clicking on the “Show Installed Software” link will show all Software installed on that Machine.

2.5.2. Over Licensing

The Over Licensing Chart will show the percentage of unused licences across all versions of the product. Click the “View Details” link on the chart to see a grid detailing unused licences at each version of the product. The grid will show the following fields:

• Version Product Version

• Licence Model Product Licence Model

• Unused Licence Number of unused licences for product version

2.5.3. Under Licensing

The Over Licensing Chart will show the percentage of unlicensed installs across all versions of the product. Click the “View Details” link on the

chart to see a grid detailing unlicensed installs at each version of the product. The grid will show the following fields:

• Version Product Version

• Licences Total number of licences for product version

• Licence Model Product Licence Model

• Unlicensed Installs Number unlicensed installs for product version

2.5.4. Estimated Licence Position by Product Version

Compliance will be broken down by version in the “Estimated Licence Position by Product Version” section. The data can be viewed as a graph

or as a table. The bar graph will show each version of the product with one colour bar being the number of installs and the other being the

number of licences. Clicking a specific version in the chart will show the Overall Position, Over Licensing and Under Licensing Charts for the

specified version.

2.6. Accessing the PortalThe client portal is accessed from an internet browser via the following address:

3. smartLICENSEMANAGER Client Collection Service3.1. Client Collection Service

The collection service is a windows service that is installed and runs on a customer’s server. This service collects schedule information from the client’s Cloud Portal and extracts SCCM information. The information is then compressed, encrypted and pushed to the cloud for displaying in the Portal. Information collected from SCCM includes:

smartLICENSEMANAGER supports collecting information from SCCM using the ‘Add/Remove Programs’ discovery methodology, ‘File Based’ discovery methodology, and ‘Registry Based’ discovery methodology. Additionally smartLICENSEMANAGER supports these discovery methodology WITH or withOUT Asset Intelligence (AI) service. Alternatively, we can provide you with an Excel form with pre-defined tables that you can use to export your inventory tool into, which we can then upload into the portal.

3.2. Client Collection Service – Security

Information extracted from SCCM is encrypted using a X509 Public/Private key. Additionally, the transport of the information from the client to the smartLICENSEMANAGER Cloud service is encrypted at both the transport and protocol layer(s) (HTTPS).
