Operations Coordinator

We have reached a critical point in our journey where we need someone who can help us coordinate the operations and logistics of our work across all our projects. What you bring to the table:
Strong organizational skills and ability to handle multiple tasks
A great personality that helps you get along with people from all walks of life
An ability to identify connections between things to see the bigger picture
Capacity to manage the financial and administrative operations of a growing organization
Familiarity with G Suite, Google Drive and standard Microsoft applications
An understanding of and appreciation for community change principles
What exactly would you be doing? Well, things change regularly base on needs that emerge and as our organization is evolves, but here’s a general overview of what we’re looking for: General Administration and Meeting Management:
Acting as the first point of contact for the organization, and supporting the daily operations of the Dartmouth office
Coordinating meetings of the Board of Directors, staff teams, and other stakeholder groups including scheduling, ordering catering, circulating meeting materials, etc.
Taking meeting minutes for the Board of Directors meetings, as well as staff and other stakeholder meetings, as needed
Developing a system for saving and organizing files on Google Drive and training staff on how to use the file management system
Editing and formatting documents, and supporting the admin tasks in the office
Organizing the development and printing of materials for meetings
Helping to ensure staff have their logistical needs covered (e.g., business cards, email addresses, office keys, etc.)
Supporting the development and maintenance of our policies and procedures handbook, with oversight from the Executive Director
Undertaking and owning project-based admin jobs across our variety of projects
Organizing staff retreats (twice annually) and other workshops and events for the team
Working with staff to prepare and submit funding applications
Tracking key reporting dates across the organization and following up with responsible staff to ensure reports are submitted on time
Financial:
Acting as the point of contact for all financial enquiries from staff, organizations, contractors, or any other parties involved with our work
Coordinating the process of submitting invoices and getting approvals for payments, and working with the accountant to ensure invoices and expense claims are submitted on time
Basic IT Support:
Working with the IT support person, ensure employees have Inspiring Communities email addresses, calendars are shared, etc.
Ensuring office equipment is functional and coordinating repairs, as needed
