    Preface

    Welcome to use the access control management system software, the preparation of this version

    is 2.01. This software applies to access control device including AT100, AT200/AC200, AT220,

    AT300/AC300 series, if not specified, the above-mentioned products in this instruction are called by a

    joint name fingerprint access controls.

    Introduction of main functions

    A variety of communication modesSoftware offers Ethernet, USB and serial communication networking with access control device,

    performing management and downloads of the records with the device instantaneously. Please refer to

    the various series of hardware parameters of the fingerprint access control device to determine the

    communications modes of software

    Unified device managementMulti-device management, the software supporting for all products can be unified for device, user

    information and attendance records management, so as to avoid different products using different

    management software.

    Users information import and exportSupporting EXCEL format for import and export users information, which provides a convenient way

    of data entry.

    Offline Attendance importImport attendance records and management records of device into the software system for facilitating

    the statistics of time attendance information that the online operation can not be performed with the

    fingerprint access control.

    Intelligent staff shift managementIt is a flexible and intelligent shift management, which can set out different scheduling rules,

    support even the double shift, shift work, substitution etc shift managements and automatically

    generate scheduling table each month based on different departments and staffs.

    Comprehensive report generationProduce statistical schedules, tables of work hours and abnormal attendance list in accordance with

    department, date and other different searching ways to search for. All reports can be printed or exported

    directly into EXCEL files.

    Attendance exception handlingIt is easily handle a variety of unusual attendances, such as holiday management, leave / out

    Chapter 1 Installation and uninstallation of the software

    1.1 Software installation

    When installing software, we recommend closing other running applications to avoid program

    conflicts during the installation process.

    Run the installer Setup.exe of the Access Control Management System in CD-ROM, follow the

    installation wizard, you can specify the installation path in the installation process, as shown in Figure

    1-1

    After complete the installation, the system will create a shortcut on the desktop.

    Whe he installation is complete, you can start the process experience.

    1.2 Uninstallation

    If you do not need to use this software and want to delete it from your computer, you can do as the

    followings: exit all of software applications of the access control management system,, and enter

    Uninstalling the software does not remove all the files. For account data security

    reason, user database files will not be deleted. If you are sure that the database files need to be

    removed or have good backups, you can go into the software installation directory and delete the

    catalog file;

    1.3 Main interface of the program

    The main interface as shown in Figure 1-2, the main interface includes the "system ",

    "personnel management", " Attendance set", "Attendance Management", "Access

    Management", "Help".

    If you are a user of prior 2.0 version, you may be familiar with on menu-style interface.

    The program provides two types of interfaces: WEB-style interface and the classic interface. To switch

    mode, please run the "System System Maintenance Interface Management" in the menu, shownin Figure 1-3.

    The instruction is prepared for the WEB-style. The corresponding operation mode has

    corresponding menu item in the operation of classic mode.

    1.4 Use Wizard

    First-time user can use the software that familiar with the wizard to complete operation steps and the

    initialization of the system, shown in Figure 1-5.

    Chapter 2 Device management

    2.1 Add the fingerprint access control

    In order to establish communication between the fingerprint access control device and the software

    of access control management system, the first use of the software database of access control

    management system is empty, it needs to download fingerprint user information from the fingerprint

    access control. If the software of the access control management system has been storing the user

    information of the fingerprint database access control, the operation is to establish communication and

    facilitate the management of user information.

    Operation steps

    1. Run "System Device Management", shown in Figure 2-1. Click the "Add" to add afingerprint access control device.

    2. In new device, it requires to select the communication mode, product type, device number,

    communication password and name etc.

    Communication mode Ethernet, RS232/485, USB. For the choice of means of

    communication, please follow connections with access attendance hardware.

    Product type: All products are divided into two categories by software, AT100/200/300 and

    AT220 series. Please follow the demand to connect different types of hardware.

    IP address of the devicethe fingerprint access control IP address. (Use in Ethernet

    communication)

    Port

    Network communication port, the system defaults to 5005, please do not modify

    usein Ethernet communication

    PortCOM1COM8, select a serial communication port to connect with the fingerprint

    access control device. (Use in RS232/RS485 communication)

    Baud rate115200, system defaults serial port baud rate. (Use in RS232/RS485

    communication)

    Device number Each product has its own device number, it shown as the device number

    in the settings of the fingerprint access control device.

    Communication passwordTo prevent the software connect to the unauthorized users, you

    can set a communications password of the fingerprint access control device.

    Namethe name of the fingerprint access control device in this software

    If the device is connected using the RS232/RS485 mode, and sets of the fingerprint access

    control devices are connected to the serial communication ports of the same PC, please be

    sure to set different device numbers, or it can not communicate normally.

    3. Test connection: after the parameter is set up, please run . When test connection

    is successful, press to add the fingerprint access control device. So this device

    would be completely to add.

    If the device is not communicated, please make sure: the fingerprint access control machine

    is turned on; the connected communication lines are normal; and the communication

    parameters are consistent with the fingerprint access control machine. When using Ethernet

    communications,pls make sure the port 5005 is occupied. If you need help, please look for

    Device Manager.

    2.2 Information of the device

    First, it is an information page of the fingerprint access control device, you can view the

    information capacity of device, and product name, model number, serial number and other

    information. Click"Read ", you can see the device information:

    The above information can not be edited, it is only for view.

    2.3 Power Supply managementTo ensure the stability running of device in a long time and easiness of punching card, the device can

    set regular sleep time, regular time off, regular boot, regular state settings, click Power Supply

    2.4 Other settings

    Click the Other Settings tab to view the other settings features of the device:

    1. Clear user data: the system shall clear all data on the device, including the fingerprint information

    and user information.

    Emptying can not restored, please confirm that you have downloaded all the data to the

    software before clearing.

    2. Upgrade firmware:If you need to upgrade the firmware, please click the

    "Upgrade Firmware"

    Other Settings (Figure2-7)

    Click"Yes" to start to upgrade firmware. Click"No" to cancel upgrading. If you click"Yes", select a

    file, it says " ", after upgrading completed, please click

    OK, it means that your firmware of the device has been upgraded.

    Device Management (Figure2--8)

    Users should not upgrade firmware themselves, you should contact with distributor before

    upgrading or when distributor notifies that you need to upgrade, you just do. Those upgrading

    problems by your own that may affect your normal use.

    3. Initialize device: Click the "Initialization button. It prompts as follows:

    Click"Yes" to initialize the device. Click"No" to cancel initialization.

    4. Synchronize time: You can let the device time consistent with that of the computer.

    5. Clear management record: Click the "Clear MLog" button. It prompts as follows:

    Click "No" to cancel all administrative records of the device, click "Yes" to identify that wanted

    removal of all administrative records. If set the password of database management, it will prompt as

    follows:

    After enter the correct administrator password, click "OK" that it shall prompt you to complete this

    operation, and click"OK" to finish clearing of administrative records.

    6. Clear attendance data: the operation is same with the 5 Clear GLog".

    Chapter 3 Downloading of user information

    It is a window for exchanging data between management software and the device. Through this menu,

    you can download user information and fingerprint information of the device to the software. When

    downloading, firstly, you need to connect the device, " Select device", shown as the Figure below:

    After click the "View user in device ", the newly registered users is displayed in the right column, if

    the user already exists in the software, it will be displayed in the left column, shown in Figure3-2:

    Select "New User", and click"Download " the new user, shown in Figure3-3:

    If it prompts that downloading of user information is completed, please click OK to complete

    downloading.

    In the process of downloading, the fingerprint access control device shall prompt

    working.. At this time, the operation has no response.

    Chapter 4 Department management

    The chapter facilitates administrative department to manage sub-sector. It mainly can add, delete

    departments, and hire staffs in departments. After software of access control management system

    downloads user information and fingerprint information, if there is no department, it would need to

    add departments, and recruit the downloaded users to the sector, otherwise it can not display the users

    attendance normally. There is details information to add departments, recruit staff functions as

    follows.

    After staff zoned to corresponding departments, and perform Staff shift, the system

    can make out attendance statements to staffs according to the staff shif shift frequency..

    4.1 Add departments

    When adding new departments, orderly click mouse left to select superior department of a new

    department, then click"Add "Department button, enter the new department name and click"Save"

    in the dialog box, shown in Figure 4 - 1:

    4.2 Recruitment

    Select the department for recruiting the staffs, click"hiring staff" button, it shall pop "hiring staff"

    interface, shown in Figure4-2:

    In the staff box, please select the recruited staff of the department, click the hiring button to add the

    staffs to the department.

    In the staff box of the department, select the staff leaved from this department, click remove.

    In the staff box of the department, you can select all staffs hired, clickAll employed button. If you

    want to remove all staffs from the department, clickAll withdrawal button. Operation is complete,

    click Close button " " return to department management interface.

    4.3 Delete departments

    Select the department for deleting, click "Delete " department button, it shall prompt "Sure to

    delete Current department: [...]"? Click"OK" to delete the department.

    After delete the department, if it holds staff information, the staff information shall not

    be deleted. The staff will be set to not hiring. You can follow "recruitment" approach to entry the staff

    to other departments.

    4.4 Check staff Info.

    Select the department for checking staffs, click " View staff " button, you can check the staff

    information of the department.

    4.5 Upload the department to the device

    Upload the user's department information selected department, click"Upload the department to

    the device" button, says ", it shall prompt if you want to upload the current department

    information to the device: [...]"? Click"OK", it shall complete the uploading the department to the

    device.

    Chapter 5 User management

    User management includes add, modify, delete user information, import and export user

    information, upload the user information and fingerprint to the device and delete it from the device.

    Method of operation Select Personnel Management and click User Management.

    5.1 Edit user information

    Enter into the "User Management", double-click the "staff number" to edit the staff information.

    After edited staff information, you should click "save and exit", then select the staff for editing,

    shown in Figure5-1:

    5.2 Upload updated information

    Double-clicking "Upload" for above selected staffs, or click"Select All" button to select all the staffs.

    For the selected user, click "Upload and update" button. If you need to upload the fingerprint

    information, please select "Upload fingerprint Information", the system defaults uploading of user

    information, shown in Figure5-2:

    After upload successfully, click OK

    After completed the uploading of staffs information, at meanwhile, upload fingerprint information of

    the staffs.

    5.3 New add staffs info.

    If it requiredtoadd staff, click the "Add " add Staff and then edit information of new staff.

    5.4 Resignation

    Select the staffs to leave, click the "Leave Job" button, it shall prompt "Confirm the current

    staff[]who need to Leaving job"? Click"OK" to complete the resignation.

    The quitted staffs can be re-employed by Leaved job the staff. You can select "never

    employed" for complete removal of the user in Leaved job the staff, and completely remove the

    user.

    If the Staff resigns, you can delete both the software database and the device data.

    Please be careful to confirm whether the data you want to remove from the device.

    5.5 Import and export

    Import and export functions can exchange between user information (not including the fingerprint

    data) with the EXCEL file, which is convenient for user batch editing. For import format, please

    strictly comply with the format shown in Figure5-5.

    In the import process, you can select "Delete the old record before importing". Please

    use it carefully. The users fingerprint is no exists after importing the data, please promptly download

    from the fingerprint access control device.

    5.6 Other functions

    1. Print: select the user, click the "Print" button to select the user information, in the preview mode to

    view format, you can click " " print, shown in Figure5-6:

    2. Search: Enter the user's number or work number, click the "Search" button, shown in Figure5-7:

    Chapter 6 Setting of attendance rules

    All attendance statistics are performed according to the attendance rules.

    6.1 Basic settings

    Clickattendance rule settings button. The default is the tab of basic settings. The pop-up interface

    is as following:

    1.Company FullName: Set the company name

    2. ShortName: set the abbreviation of the company

    3. Working days of a week: set working days per week

    4. One workday marks: set working hours for a working day

    5. Am Work Time: from___to ____

    6. Pm Work Time: from_____to____

    7. OT Work Time: from_____to____. It can be set free overtime (OT means Overtime)

    the settings shown in Figure6-1, and click OK.

    6.2 Calculation rules

    Click the tab of the calculation rules, it will appear the interface of attendance calculation, shown in

    Figure6-2:

    1. Each late or leave early ___minutes once, it does not record being late / leave early

    2. Late or leave early today ___ minutes, it shall record late / leave early

    3. Each late or leave early ___minutes, it shall deduce ___ minutes of attendance time

    4. Each late or leave early ___minutes once, it shall record as absence5. Without attendance records for working shall be recorded as late or absence, without attendance

    records off duty shall be recorded as late or absence

    6. Duty off ____ minutes shall be recorded as overtime

    the settings shown in Figure6-2, and click OK.

    Chapter 7 Staff Shift

    If not perform the Staff shift, attendance statistics shall not be completed, if an staff has not shift, the

    system can not determine his attendance record is working or off duty, nor his attendance statistics.

    7.1 Shift Shift frequency management

    ClickStaff Work Scheduling, select Work Shift, shown in Figure7-1:

    A. Name of Shift frequency

    In the "Setting of work shift ", click"Add" to increase the name of the shift frequency, set the start

    time, end time, number of cycles, cycle unit and whether to implement the long and short week system,

    shown in Figure7-2:

    After edit the shift frequency, click Save and add the content of shift frequency, shown in Figure7-3:

    The name of shift frequency, start time, end time, number of cycles, cycle unit, if there is a long

    week cycle or short week cycle, the first week is a long or short week, if it needs to Edit / delete,

    select the name of shift frequency to "Edit /Delete."

    B. Time period setting

    Click the "Add" buttonunder the "Time Zone" and edit the content of"Input the detail of time

    zone", shown in Figure7-4:

    After finished editing click on the "Save" button, if save setting of the time improperly, you can

    modify, delete, add button to manage. The completed edition shown as Figure7-5:

    After ended time editing, click"Close" button to complete the time setting, then add time to the shift

    frequency.

    C. Add time period

    Click"add time" button in the "Staff shift" Shift frequency setting, shown in Figure7-6:

    Select a time period, double click the advanced trace the day for not working, such as Sunday, click the

    "Add" button, it shall prompt as the followings:

    Click "OK" button, the "normal shift" have added "morning shift" in, and then click to add the "Pm

    shift" time in. After edited the "normal shift", click"Close" button:

    1. Ordered shifts as shown in Figure7-8 need to delete the name, firstly clear the time, and then remove

    the shift frequency. The direct deletion is not successful, there will be prompts as the followings:

    7.2 Department shift

    Department Shift on the base of the characteristics of different departments. Select department,

    click "Dept Schedule" button on the top of left corner, it shall appear the following dialog box:

    Shift by "Fixed shifts ", "Active shifts", where take a fixed shift frequency as an example, select

    Chapter 8 Holiday settings

    In the legal holidays, staffs will leave under the relevant regulations, during the leave period, the

    staff will not be registered to attendance. In accordance with the general situation, if there are no

    attendance register, the system shall take the registered staffs as absenteeism, and overtime for staffs in

    the festival can not be effectively shown, under such circumstances that the management system should

    be set appropriately. Select "Attendance Settings" option, open the "holiday settings" window:

    Add: Click"Add" button, it shall appear a blank for adding information in the holiday setting module.

    Fill the holiday name, vacation date, vacation days, paid leave in an empty column. Shown in

    Delete: Click the "delete" button to delete the festival message not for using.

    Edit: When it needs to adjust the increased holiday time, please click on the " " and modify the

    holiday information. Then click on "Save", and modify the information preserved.

    After increase the holiday, in the staff shifts, the system will not be scheduling in these short days.

    In the absence of scheduling records, therefore, the set of the holiday in the attendance report, the

    system will not calculate the attendance at this time. If the staff during the holidays makes an

    attendance register, in the attendance statistics, it shall show free overtime for the staff.

    Chapter 9 Leave settings

    When encounter special circumstances, staffs may need to leave for different reasons, and hope that

    leave can be performed in the system Statistics automatically. The system provides to set leave, select

    the Attendance Settings option, open the "leave setting", shown in the following Figure:

    Add: Click"Add" button to add new types of leaves. You can define leave name, and if the leave is

    recorded as paid leave in the report. After fill in this information and click "OK" button to save the

    above operation, and click"Cancel" button to cancel the current operation. In the process of adding

    leave types, you need to add the following information:

    Leave name: a name defined for a type of leave.

    Record as paid leave: ifthe leave is credited to paid leave.

    Delete: it can delete a type of leave. Select a leave name needed to be deleted, click the "delete"

    button to delete the selected leave.

    Edit:"Edit" a type of leave. Select a leave name needed to be modified, then click this button on the

    box to modify the leave types.

    Chapter 10 Attendance Management

    10.1Downloading of attendance records

    Select "Attendance Settings" option, open the "Download attendance records", select the device

    name, as required in the "attendance record" or "management record", select the download time

    conditions (the "Download the latest record", "Download all records" download records within

    the specified date"). Ifdownload "from the device" or "read from file", shown in Figure10-1:

    Chapter 11 FAQ

    11.1 The fingerprint access control device can not enter the menu mode, what shall we do?

    Answer: The first methodYou can connect communication between the fingerprint access

    control device and PC software. After the communication is successful, please enter to the "User

    Management" and change the super administrator into a user under the "level", and then upload

    and update the modified users information.

    The second methodYou can connect communication between the fingerprint access control

    device and PC software. After the communication is successful, enter to the "Device

    Management""Other Settings", and select the device. If completed, please read theinformation in other settings, and click clear user data. The method will delete all user

    information of the fingerprint access control device, it is not recommended to use the second

    method, but the first method.

    11.2 When connecting by some 232/485 converters, if not connect successfully, what should we do?

    Answer:RS232 TXD pin head (the third feet) to connect the RS232RXD of the fingerprintaccess control device, RS232 RXD pin head (the second feet) to connect the RS232TXD of the

    fingerprint access control device, RS232 head GND pin (the fifth feet ) to connect the GND of the

    fingerprint access control device.

    Serial RS485 head D + / B of the access control management system software machine withRS485B of the fingerprint access control device. Serial RS485 head D + / A side of the access

    control management system machine with the RS485A of the fingerprint access control device.

    After connect via RS232/RS485, if the interfaces of device RS232/RS485 with access control

    management system software can normally use, you can connect successfully.

    11.3 I have shifted, why the statistics results do not reflect absence, late or leave early?

    Answer: First of all, view the shift frequency setting in the shift frequency management, in the

    correct circumstance, the shift frequency name corresponding to the right time frame shall be

    showing the time period. if there is no problem, enter to staff shift to view the opening date for

    Staff shift is or not before the statistic time range, if not, please re-schedule and set a new start

    date.

    11.4 How to delete the exist shift frequency?

    Answer: In Staff shiftshift frequency management", clear the time period, and delete theshift frequency. See "shift frequency setting" in the "Staff shift".

    11.5 I have normal attendance check. Why does it show my absence in the statistics?

    Answer: Firstly, check your time settings, confirm your attendance records within the time range

    of the attendance sign-in and sign-out, for example,

    You set the sign-out time is from 17:30-19:00, and your attendance record is 15:25, the system will

    determine your absence in the afternoon (set no sign out records in the attendance rules as

    absences). Secondly, check your attendance record time is correct or not.

    11.6 The leaders do not need to sign in and sign out, but for calculating the normal attendance, how to

    set?

    Answer: Enter into the "Staff shift", select leader user, click on the "Staff shift""sign-in set:

    do no sign in for working," "sign-off setting: do not sign out off duty" select the content, and

    click on "Save".

    11.7 Why the access control management system can not communicated?

    Answer: possible reasons:

    1. Connection is not in a correct way.

    2. The wire or serial port is not connected.

    3. PC or device communication is error.

    4. Make sure the IP address ofthe fingerprint access control device and the IP address of PC

    are in the same sub-net.

    11.8 When importing the data (xls) under the user management turns wrong, what shall we do?

    Answer: import data (xls) under the user management, as per the clue to prepare the data (xls)

    format to keep the data under the same circumstances:

    11.9 Why the user information is not consistent with the fingerprint information?

    Answer: Possible reasons: There are more than one fingerprint access control devices, some new

    device entered fingerprint, recruited number starts from number 1. As user information of

    previous device has already downloaded to the software, at this time, download from the new

    device to the software, it shall overwrite some repeated numbers and the same fingerprints.

    Solution: it is suggested that the user input the fingerprints on different devices to ensure entry of

    numbers in all the fingerprint access control devices are unified, that is, the user ID is not

    occupied by users of the other devices.

    11.10 The user did attendance by fingerprint or card, why the access control management system

    software show it empty?

    Answer: possible reasons

    1. Whether the user to download software to access control management system.

    2. Users download to software of access control management system,make sure that it creates

    department in a same company and the department recruits the user .

    3. Make sure setting the attendance rules is ready.

    4. Make the user is scheduling already.
