Highlights: Physician Advisory Group and Clinical Advisory Group Joint Meeting

The Clinical Advisory Group (CAG) and Physician Advisory Group (PAG) held a joint meeting July 11. A variety of topics were discussed, including:

Communication: A high-level overview of a physician communication plan was presented to the groups, including proposed vehicles focused on physician stakeholders throughout KentuckyOne Health. Highlights of a Cerner-specific communication plan will be reviewed with the PAG and CAG at their respective meetings by the end of July.

Blood transfusion: A modified workflow, including conditional orders, will be discussed with Blood Bank and Nursing. A finalized workflow will be presented to PAG for discussion.

Medication reconciliation: In regard to free-text reconciliation in Radiology, special verbiage for all interventional procedures will be presented to CHI national for approval. The group recommended following up with Dr. Dale Absher regarding the appropriate Radiology medication reconciliation workflow.

CAG members met just prior to the joint session and received an update on the Ambulatory Electronic Health Record (AEHR) project, and reviewed the policy and procedure tracker. Organizational Change Management team leads presented an overview of the KentuckyOne Health OneCare Cerner system validation sessions held recently in Kansas City, Mo.

Provider and Clinician Feedback Needed for Health Information Exchange and Clinical Portal Project

The national build for the Health Information Exchange (HIE) and Clinical Portal project is under way. CHI has received all necessary hardware, and the project team has begun installation.

The HIE Clinical Workgroup, comprised of representatives from each CHI region, held its first meeting July 12 and will continue to meet weekly through September. Representing KentuckyOne Health are Donnie Bunch, DO; Cheri Davidson, RN; and Karen Radabaugh, RN.

To ensure the clinical portal is comprehensive and intuitive, all physicians and clinicians have the opportunity to provide feedback on decisions regarding the national build. Each week, briefs summarizing build recommendations will be posted on the Health Information Exchange area of CHIOneCare.net. Providers and clinicians, from hospitals and practices, are asked to review the briefs and provide feedback by the deadline provided. KentuckyOne Health providers and clinicians should submit feedback to Cheri Davidson, RN or Karen Radabaugh, RN.

Input from across CHI will be used to make final recommendations regarding CHI policies and how clinicians will use the HIE and Clinical Portal. These recommendations will be reviewed by the HIE and OneCare leadership teams. The national HIE build is scheduled for completion in early fall 2012. Testing and training in the pilot market—Des Moines, Iowa—will then begin, working up to a tentative pilot go-live date of Jan. 14, 2013. The HIE implementation timeline for KentuckyOne Health is under review and will be shared when finalized.

System Validation Offers Physicians Hands-on Cerner Experience

Representatives of the KentuckyOne Health Physician Advisory Group (PAG) took part in Cerner system validation sessions July 10 and 11 in Lexington. PAG members included Drs. Dale Absher, Donnie Bunch, Eliseo Colon, Jack Geren, Daniel Rodigue, Tod Russell, Val Slayton

and Worawute Supaongprapa.

During this final segment of the local design and build phase, the PAG team had the opportunity to work in the Cerner system to ensure it reflects decisions made during the system and design reviews.

Each physician was given a system login and assigned a test patient, and was able to work in the build environment. PAG members had the opportunity to use the message center, search for patients, place orders, create documentation and reconcile medications.

Overall the system validation went well with no major revisions to the build needed. The session did bring to light a few additional topics, which will be taken back to the PAG for discussion.

Participants provided an overview of their experience and decisions made during system validation at the July 11 joint meeting of the PAG and Clinical Advisory Group (CAG). With the completion of system validation, the Cerner project moves into the testing phase. Back to top

Cerner Testing Under Way

Cerner testing teams began unit testing the week of July 10 and will continue through Aug. 17. Testing teams are made up of subject matter experts who were part of the design phase of the project.

Aaron Cox is the testing lead. Candice Warf and Karen Radabaugh, RN, are testing coordinators. Each testing team has a test case developer.

Unit testing will be followed by system testing, scheduled to end Sept. 28, and then integration testing, scheduled to span Oct. 15 through Jan. 7.

Business processes

Testing teams are working closely with Cerner, CHI national architects and the CHI National Testing Center of Excellence. Back to top

AEHR News & Updates

Jewish Physician Group Kicks Off PPMS, AEHR Projects

On Wednesday, July 11, national project team members from Learning, Organizational Change Management, IT and Communications met with Jewish Physician Group providers, physician liaisons and managers to kick off the Physician Practice Management System (PPMS) and Ambulatory Electronic Health Record (AEHR) implementations. The primary purpose of the day-long meeting was to bring local stakeholders together with the national teams to review the tools and processes for successful adoption of the PPMS and the AEHR.

AEHR Program Manager Donna Walls opened the day with a cartoon that illustrated how everyone comes to a project from a different point of view and methodology. She explained that this will be a complex, multifaceted project in which some will excel and some will struggle, but everyone is on the same team and will support each other. Donna finished by inviting feedback and questions throughout the process to ensure everyone’s needs are being met. The end goal is successful implementation, adoption and optimization that will lead to sustainability.

Trudie Frantz, AEHR and PPMS project manager, presented a project overview that included the current AEHR project milestones. Many of the pre-planning milestones have been completed. Trudie shared that leadership is reviewing the final draft of the sequencing schedule. The schedule will be distributed as soon as it is approved by national and local leaders. Clinics will be grouped into waves for the implementation. Those involved with the planning have tried to group practices logically. For example, practices that tend to refer patients to each other or are in close proximity to each other should go live together.

The afternoon session was presented by Matt Daniels, PPMS program manager, and Stephanie Strode, PPMS Application Support Team manager, who reviewed the PPMS. They also spoke to how the PPMS and the AEHR work together to standardize workflows between the clinical and operational sides of a practice. Back to top

First KentuckyOne Health Practices Nearing AEHR Go-live

Twelve Saint Joseph Physician Enterprise practices in Lexington and Mt. Sterling are completing training and are preparing to go live on the Ambulatory Electronic Health Record (AEHR) July 31. Wave 2 practices in Lexington are on track for an Aug. 14 go-live.

The next Practice Manager Forum is scheduled for July 25 at 3 p.m. ET.

Practice Manager Forum web meetings are held the second and fourth Wednesday of the month and are typically 30 minutes in duration. Meeting topics focus on CHI’s Ambulatory Care Initiative, which includes Ambulatory Electronic Health Record (AEHR), CHI eScripts and Physician Practice Management System (PPMS).
