Administration Officer - New ZealandThe Australasian College for Emergency Medicine (ACEM) is a member based organisation whose principal role is the training, assessment and professional development of emergency doctors for Australia and New Zealand.
We are a small College of just over 65 staff with a positive and friendly environment and a CEO and senior management who are committed to supporting the staff.
The PositionWe are currently seeking Administration Assistant. This is a permanent part-time position that reports to the Chief Executive Officer based in Melbourne, Australia.
The Administration Officer is responsible for:
General duties
Providing timely and effective administrative support to the New Zealand Branch (Faculty) of the College. This support includes scheduling of meetings and teleconferences, preparation of agendas, taking and drafting the minutes, uploading to the Faculty Chairs Moodle page and follow up of action items as required.
Assist with respond and/or escalate the various enquiries made via phone and email. Liaising with the New Zealand Faculty Chair and Fellows regarding regional College
and other correspondence.
Disseminate correspondence and information to New Zealand Fellows as required by the CEO or Faculty Chair.
Maintaining the New Zealand Faculty Web page including updates and improvements.
Overseas Trained Specialists
Work with the Overseas Credentials Officer in facilitating the assessment of overseas doctors wishing to work in New Zealand.
Liaise with the Overseas Credentials Officer in all areas of assessment processes
Accreditation
Work with the Accreditation Officer in arranging hospital inspections in New Zealand and collating inspection documentation
Assisting with applications process and enquiries e-voting process for reports and applications
The Person
The ideal candidate will have:
Business related qualification and 10+ years’ administration experience in busy and varied roles. Experience or background in a membership organisation or academic institution is desirable.
Experience in working with committees, minute taking, preparation of agendas, meeting organisation
High level of accuracy and attention to detail Ability to work autonomously Professional, positive and collaborative attitude with a flexible approach to deal
effectively with change Demonstrated ability and willingness to learn new processes & systems quickly Excellent organisational and time management skills Excellent written and verbal communication skills Computer literacy skills and intermediate competence with the suite of Microsoft Office
products (Access, Word, Outlook, Excel and PowerPoint Demonstrated understanding of working with sensitive and confidential information Event, travel and accommodation coordination skills (Desirable)
