To install the Interchangeable Items package, you need the shipping paper that was sent by Prophet 21®. This shipping paper contains a serial number that is used in a later step.

Installing Interchangeable Items requires that files be created and / or expanded. Prophet 21 recommends that you perform this installation at night or on the weekend. Due to file size and system configuration, we cannot offer an estimation of how long the installation will take.

Caution! Before installing Interchangeable Items, make sure you have a total copy of your system.

1. Stop the system.

2. At the Utility Command, run the VERIFY command and the MISMATCH job to check the integrity of the files.

For more information on these commands, refer to your Prophet 21 System Administration manual.

3. Turn all units offline.

For more information on turning your units offline, refer to the System Administration manual.

4. Make a total copy of your system.

For more information on creating a total copy, refer to the System Administration manual.

5. After the total copy is made, keep the system stopped and turn all units online.

For more information on turning your units online, refer to the System Administration manual.

6. At the Utility Command, press [Esc] to access the Job prompt.

7. At the Job prompt, press [Enter] to log into the system.

8. At the jump to box, type PKG-INSTALL [Enter].

9. Enter the serial number that appears on the shipping paper you received from Prophet 21, and press [Enter].

A. If you enter the correct serial number, the following message appears:

Proceed to Step 10.

B. If you enter an incorrect serial number, the following message appears:

If you receive the previous message, retype the serial number on your shipping paper.

If you still receive the previous message after you retype the serial number, contact the Prophet 21 Inside Sales Department for assistance. If you receive the message in Step A after you retype the serial number, proceed to Step 10.

Note: To suspend the installation of Interchangeable Items, type [N] [Enter] when the system prompts you to run the INSTALL. When you are ready to resume the installation, type INSTALL [Enter] at the jump to box.

10. To install Interchangeable Items, type [Y] [Enter]. The Interchangeable Items installation screen appears.

Your answers to the following profile questions help determine the size of the files that are being created.

Number of # of Interchangeable Sets

. . . total number of interchangeable sets of items. For example, if you have 35 sets of items that are interchangeable, enter 35 in this field.

# of Items per Set (Average)

. . . average number of items per set. For example, if you have an average of 3 items that you substitute for one another in each interchangeable set, enter 3 in this field.

% More

. . . percentage over the number value entered for each question. The value entered here increases the file size by the percentage specified. This is an informational field.

Tracks

. . . number of tracks used to enable each feature.

Fixed File Space

. . . amount of space needed on the disk to install any fixed files created by the Interchangeable Items package.

Minimum # of Tracks needed

. . . number of free tracks used to install the Interchangeable Items package.

To edit any of the profile questions or values in the % More field, enter [1] at the Field prompt. The cursor jumps to 1a, # of Interchangeable Sets. Press [Enter] until you’ve accessed the field you want to edit, and then edit that field accordingly.

11. At the Field prompt, press [Enter].

A screen showing the units and the free tracks on each unit appears:

12. At the Enter Destination Unit # prompt, enter the destination unit that is to hold the Interchangeable Items package.

The destination unit must have a free track number that is larger than the value in the Minimum # of Tracks Needed on Destination Unit field. This value is the minimum number of tracks needed for installing Interchangeable Items.

13. Press [Enter]. The system starts creating the files and job streams required to install Interchangeable Items.

14. At the Utility Command, type GO to activate all terminals.

You are now ready to use Interchangeable Items.

IMPORTANT NOTICE!! Not all browses may be operational at this time. Should this occur, scans are available to provide instant access to information throughout the system. All scans are used in a similar manner. Type a scan character (. , ; / [ ]) and press [Enter]. You will instantly see a list of customers, vendors, items, orders, etc. Choose from the list by entering the sequence number of your selection.

The Interchangeable Items optional package provides a quick and simple way of referencing and/or recalling substitute items.

The Interchangeable Items package is composed of the following options/modules:

INTERCHANGE Interchangeable items are set up in the INTERCHANGE module. This module includes options to enter, edit, view, list, and delete interchangeable items. An unlimited number of items may be set up as interchangeable. An interchangeable items list may be printed at any time.

ORDER During order entry, the system allows for quick substitutions from a list of interchangeable items when the originally requested item has insufficient stock. You can easily view the interchangeable items for a particular item with the associated company-wide and location stock information. The S disposition on the order item screen and the SUBS option in Pricing and Availability bring up a list of interchangeable items, if any exist.

The decision to substitute, and which items to substitute, may not occur during order entry. You simply indicate at order entry whether or not the customer will accept a substitute for those items with an associated list of interchangeable items. If substitutes are allowed, the items can be substituted using the allocation options in the MATERIAL module. Otherwise, the items are processed in the normal manner.

MATERIAL The MATERIAL module provides two options to allocate free stock to interchangeable items on backorder. You can allocate to a range of interchangeable items or to a specific order item.

The option to allocate to a range of items allows you to specify a range of vendors and orders. The system automatically allocates to backordered items for which a substitution is allowed. Items are allocated starting with the first item in the interchangeable list until sufficient free stock is allocated. A list of substitutions prints.

The option to allocate to a specific order item allows you to select which item or items to substitute from a list of interchangeable items.

A new order item is created when the system makes the substitution, with the order quantity set to the quantity of the substitution. The price is set to the price of the item being substituted. The cost is the cost of the new item. The Description 3 and Description 4 fields on the substitute item show the descriptive notation 'SUBSTITUTE FOR' followed by the item code of the item being substituted. The quantity of the substitution is reflected as a canceled quantity on the order item being substituted.

TRANSFER The TRANSFER module allows you to view the requirements of all members of the interchangeable set of items when considering the transfer requirements for a given interchangeable item.

PURCHASE The PURCHASE module allows you to view the requirements of all members of the interchangeable set of items when considering the purchase requirements for a given interchangeable item. The Stock Card screen displays interchangeable item information.

The PURCHASE module includes an option to print an Interchange Report. For all items in the interchangeable set, the Interchange Report displays purchase class, protected quantity, order point, location and company free quantity, and location and company monthly average usage.

You can PowrDrill from an item browse to an interchangeable item browse. In an item browse, highlight an item that has interchangeable items and press [F6]. A menu similar to the following will appear:

Select the Interchangeable Items option from the PowrDrill menu. The interchangeable item browse will appear. The browse displays differently, depending on from which area of the system you access the item browse.

ITEM must be an existing stock item. A browse is available to help you find existing items. For more information, refer to the Browse manual.

Upon entry of a valid stock Item Code, its description is displayed for verification.

Interchangeable items are entered in pages of fifteen (15), with the interchangeable items continuing from page to page. There is no maximum number of pages.

If you use all fifteen of these prompts and need more, use the <ESC> for More option to enter more interchangeable items on a new page; press the [Esc] key while control is still in field 15. To move backwards through pages, use the “-” for Previous option.

The ALLOW SUB IN MATR RCPT field allows you to allocate interchangeable items for backorders in Material Receipt.

If you are enabled for both the Pricing Service and Catalog Match optional packages, the ALLOW SUB IN MATR RCPT field defaults to the value entered while running the Build Interchangeable Item Sets option for Trade Service stock items.

Some thought should be given to the order in which interchangeable items are entered. Interchangeable items are allocated from the list of interchangeable items by order of occurrence when allocating to a range of items at material receipt time.

Interchangeable items must be stock items.

Interchangeable items cannot be a member of more than one set of interchangeable items.

[Enter] at an INT prompt halts the specification of additional interchangeable items.

IXX is used to insert an additional item before a specified field # (XX). The item is inserted in the list and all interchangeable items are resequenced.

DXX is used to delete the interchangeable item in a specified field # (XX). The item is deleted from the list and all interchangeable items are resequenced.

The N for Next Page option can be used to advance to the next page.

The SUM INTERCHANGE field allows you to view the requirements of all members of the interchangeable set of items when considering the purchase requirements for a given interchangeable item.

When this field is set to Y, the system processes a given interchangeable item by summing the information of that item and all other items that are members of the interchangeable set. The system applies the purchase criterion of the interchangeable item to the summed data. The lowest location purchase class of the interchangeable items is used to access the item class information for the requirements calculation.

On the requirements report, the interchangeable item is identified by an *I* below the Item Code and is followed by the Source Interchangeable Item Code. The information shown for the interchangeable item represents the totals from the interchangeable set.

If an interchangeable item has a value in the protected stock quantity field at a particular location, the needs for that location should only be filled by that specific interchangeable item, and not by other members of the interchangeable set.

When processing an interchangeable item, the system ignores a location of a member of the interchangeable set if that member has a value in the protected quantity field. Furthermore, when processing the location of an interchangeable item that has a value in the protected quantity field, the system prints a P next to the quantity required and ignores the other members of the interchangeable set for that location.

It is recommended that members of the interchangeable set have the same purchasing method to ensure that the requirement is offset when the item is purchased. Otherwise, when processing the next item in the interchangeable set, an additional quantity may be purchased for subsequent items in the interchangeable set.

MATERIAL ADDENDUM The MATERIAL module provides two options to allocate free stock to interchangeable items on backorder. You can allocate to a range of interchangeable items or to a specific order item.

The option to allocate to a range of items allows you to specify a range of vendors and orders. The system automatically allocates to backordered items for which a substitution is allowed. Items are allocated starting with the first item in the interchangeable list until sufficient free stock is allocated. A list of substitutions prints.

The option to allocate to a specific order item allows you to select which item or items to substitute from a list of interchangeable items.

A new order item is created when the system makes the substitution, with the order quantity set to the quantity of the substitution. The price is set to the price of the item being substituted. The cost is the cost of the new item. The Description 3 and Description 4 fields on the substitute item show the descriptive notation

Furthermore, when processing the location of an interchangeable item that has a value in the protected quantity field, the system prints a P next to the quantity required and ignores the other members of the interchangeable set for that location.
