Expense Management Market DefinitionExpense management software records, processes, reimburses, and reports on employee expenses. Employees input expenses for approval through a browser or mobile application. Administrators can track expense reports, enforce company policies for expenses and travel, set up approval workflows, and generate reports for specific projects or company departments. In addition, some software provides tools to help book and manage travel itineraries.

This Grid℠ report includes only products that contain expense management features. When reviewing a product, users self-select which functionality they use, and this report focuses on the reviews and ratings provided by users that selected expense management. Profes-sional services automation (PSA) products include broader functionality for time tracking, project management, resource management, and client billing. For more information on PSA products, please see our PSA category. This report also excludes vendors that primarily focus on time tracking. These products are designed for users to record time spent on specific tasks. For an in-depth comparison of the function-ality of these products, please see the Time Tracking category. Expensify is a best of breed, online expense management tool, and it offers plans for both personal and business use. According to reviewer demographics, Expensify primarily serves the SMB market with 57% of users working for small businesses and another 34% being mid-market customers. Expensify has received 94 new reviews since the Winter 2015 Expense Management Grid℠ Report. ExpenseWatch is highlighted in our Grid℠ Changes section for improving their market presence since our Winter 2015 report and moving from a High Performer to a Leader.

Reviewers said it simplified their processes and reduced the time spent on expenses and reimbursement. They loved the user ex-

perience: tracking receipts via mobile app photos and credit card integration, optical character recognition helps build reports from physical receipts, and quick and easy approval routing. Users also emphasized Expensify’s low costs, and it was rated the most cost effective solution in this report. Expensify’s ease of setup was also rated the highest of the products in this report at 93% satisfaction (avg. 79%), and Expensify has a notably short average implementa-tion time of less than 1 month.

Reviews had various suggestions to improve the user experience or make the dashboard more useful. Many of these were related spe-cifically to receipt management in the application, which became unruly for some users in specific use cases. Various bugs or glitches with the mobile app were also reported. Overall, these were the minority of reviewers, and Expensify was rated above average for almost all satisfaction metrics and feature ratings.

Certify is a highly rated cloud-based travel and expense manage-ment program. It has both a browser and mobile application with various forms of receipt capture and management. According to reviewer demographics, the majority of Certify users work for mid-market companies (57%), while another 35% are enterprise cus-tomers. Certify has received 4 new reviews since the Winter 2015 Expense Management Grid℠ Report. The summary below may be out of date, as it is provided based on any new reviews and reviews received prior to February 2015.

Reviewers found the application easy and efficient and that it accelerated their reimbursement times. They were glad to reap the

benefits of an automated system. Users loved Certify’s intuitive user experience through the desktop or mobile app. Review after review praised the simplicity of acclimating to the reporting process and quickly reporting expenses. The mobile app especially was noted as full-featured and useful.

Certifiy swept the satisfaction metrics and feature ratings. It was rat-ed highest for several of the overall satisfaction metrics, like ease of administration, ease of use, ease of doing business with, and meets requirements. All of Certfy’s features were rated above average, many of these also rated highest among the products in this report.

Many users refrained from reporting dislikes of the software, and those who did usually asked for enhancements to existing function-ality that would streamline or improve the usefulness of the appli-cation. These requests include more granular approval permissions or more apparent notifications to the user. Overall, however, the reviews were very positive.

TriNet provides human resources solutions and a cloud HR suite including recruiting, training, performance management, procure-ment, time tracking and expense management modules. According to reviewer demographics, TriNet primarily serves the SMB market with 53% of users working for small businesses and another 46% being mid-market customers. This is TriNet‘s first appearance in the G2 Crowd Expense Management Grid℠ Report.

TriNet received a large number of positive reviews. Most users concentrated on the usability of system, saying submitting expens-es with TriNet was an efficient and frustration-free process. Many reviewers spoke well of the desktop and mobile applications.

The large majority of reviews focused on the user experience, so it is more difficult to glean administrative details about TriNet Expense. It does have a notably short average implementation time of less than 1 month. But despite its fairly impressive overall satisfaction, TriNet was rated below average for several key satisfaction metrics, including ease of administration (74%, avg. 81%), ease of setup (71%, avg. 79%), and ease of doing business (75%, avg. 86%). Many feature ratings hovered around average as well. Most reviewer feedback, however, was confined to usability improvements, gripes with performance, or further customizability. In fact, the few lacklus-ter numbers do not seem reflected in short-answer responses at all, in which reviewers were very positive and many refrained from describing any dislikes altogether.

Concur is a travel and expense management system in the cloud. It utilizes credit card import and a mobile app for tracking and upload-ing receipts. According to reviewer demographics, 82% of Concur users work for mid-market or enterprise companies and were evenly split between these segments. Concur has received 13 new reviews since the Winter 2015 Expense Management Grid℠ Report.

Users were generally satisfied with Concur’s offering, saying the program saved them time and automated their expense processes. Most reviews focused on the user interface and the speed of build-ing and submitting expense reports. ExpenseWatch is a spend management suite with modules for expense management, procurement, and invoicing. Modules are available individually as best-of-breed solutions or together as a full suite, and the software is only deployed in the cloud. According to reviewer demographics, the majority of ExpenseWatch users work for mid-market companies (53%), while another 40% are enterprise customers. ExpenseWatch has received 47 new reviews since the Winter 2015 Expense Management Grid℠ Report. ExpenseWatch is highlighted in our Grid℠ Changes section for improving their place-ment considerably since our Winter 2015 report: a 17-point increase in overall satisfaction and a 16-point increase in market presence.

Reviewers continuously noted that ExpenseWatch had effectively helped their organizations eliminate paper approvals and automat-ed their expense processes. Users liked the easy workflows and the “expedient reimbursements.” Employee reimbursements were rated at 95% satisfaction compared to the average of 90% for prod-ucts in this report. Ease of use was also above average at 90% (avg. 86%). For vendors in this report, ExpenseWatch is tied for easiest company to do business with at 95% satisfaction (avg. 86%).

Many reviewers refrained altogether from providing dislikes or areas for improvements. Other users had suggestions for streamlining the expense management and approval processes even more. Older reviews focused on customer support, which was held in high regard and highly rated at 93% satisfaction (avg. 85%). Those reviewers also found that ExpenseWatch’s platform was useful for supporting com-plex or multi-tiered approval workflows, but they also pointed towards means for improving the administrative experience. Ease of adminis-tration was rated at 88% satisfaction compared to an 81% average.

Nexonia Expenses is a cloud-based expense management system that boasts an array of accounting integrations. According to review-er demographics, the majority of Nexonia users are from mid-market companies (59%), while a smaller percentage were small business users (38%). Nexonia has received 8 new reviews since the Winter 2015 Expense Management Grid℠ Report.

Nexonia’s ability to integrate with other software, customizability, and customer support were common topics of reviews. Its integra-tion capability received an 89% satisfaction rating compared to the category average of 80%, and users maintained that integrations were seamless and easy to set up. Nexonia’s integration functional-ity was tied for the highest of the products in this report, and review-ers mentioned many different accounting systems with which they used Nexonia. Several reviewers found the Nexonia system flexible

and easy to adapt to non-conventional expense procedures or particular general ledger setups. NetSuite is a comprehensive cloud-based ERP and CRM system, and OpenAir is its PSA module, which includes project management, re-source management, and time and expense. Most reviewers report-ed taking advantage of OpenAir’s time tracking and other PSA func-tionality in addition to expense management. According to reviewer demographics, OpenAir typically does not serve small businesses, as the majority (51%) of OpenAir’s reviewers work for mid-marketing companies and 37% are enterprise users. OpenAir has received only 1 new review since the Winter 2015 Expense Management Grid℠ Re-port. The summary below may be out of date, as it is provided based on any new reviews and reviews received prior to January 2015.

Users found NetSuite’s reporting to be full-featured, including filtering and drill-downs. Reports are user-specific and customizable to that user’s needs and preferences. The system in general was noted as flexible to set up; however, it was rated lowest for ease of setup at 62% satisfaction (avg. 79%).

NetSuite had quite a few vocal detractors. They critiqued the ap-plication’s user interface, calling it complicated and unintuitive. Deem expense management primarily serves mid-mar-ket companies (51-1000 employees) based on reviewer demograph-ics (75% of reviewers). This is Deem’s first appearance in the G2 Crowd Expense Management Grid℠ Report.

Reviews focused on Deem’s ease of use—especially compared to manual expense management processes. Users found Deem’s process convenient and straightforward: Most users import receipts into the system via email, associate receipts to expenses, and then periodically compose and submit expense reports. Deem’s ease of use ranked at 84% satisfaction compared to the category aver-age of 86%.

All of Deems reviewers identified themselves as users as opposed to administrators, which leaves the product without a rating for many satisfaction metrics. Rating Changes and DynamicsThe ratings in this report are based on a snapshot of the user reviews and social data collected by G2 Crowd up through August 31, 2015. The ratings may change as the products are further developed, the vendors grow, and as additional opinions are shared by users. G2 Crowd updates the ratings on its website in real-time as additional data is received, and we will update this report at least twice per year. By improving their products and support and/or by having more satisfied customer voices heard, contenders may become leaders and niche vendors may become high performers.

TrustKeeping our ratings unbiased is our top priority. We require the use of a LinkedIn account to validate a G2 Crowd user’s identity and employer and verify all reviews manually. We do not allow users to rate their employer’s products or those of their employer’s competitors. Though we share reviews from business partners (they often contain valuable content), we filter out business partner ratings in our aggre-gate ratings to avoid bias.

Our G2 Crowd staff does not add any subjective input to the ratings, which are determined algorithmically based on data aggregated from publicly available online sources and social networks. Vendors cannot influence their ratings by spending time or money with us. Only the opinion of real users and data from public sources factor into the ratings.

Grid℠ Inclusion CriteriaAll products in a G2 Crowd category that have at least 10 reviews from real users of the product will be included in the Grid℠. Inviting other users, such as colleagues and peers to join G2 Crowd and share authentic product reviews will accelerate this process.

If an expense management product is not yet listed on G2 Crowd and it fits the market definition above, then users are encouraged to suggest its addition to our Expense Management category.
