New Features & Functionality in Q General Navigation (Shell) • Increase the length of name fields to now be: first name 30 characters, middle name 30 characters, and last name 50 characters. • Increase the length of Contact, Staff and Student passwords from 10 to 25 characters. • Icon update including four of the Home page icons, Configure Banner icon and the delete icon is now red, to standout.

All Banners: Class, Staff & Student

• Banner Widget capability is now available for Class, Staff & Student Banners o From within the banner, when configured, clicking the new Banner Widget icon will open banner widgets available by

subscription. Each widget has a print button. o Three sample student banner widgets, shown here, are included with the release:

Enrollment History Graduation Requirement

widget lists all requirements that have been calculated for a student. This is currently the only place in the system that shows multiple graduation requirement status for a student in a single view.

Student Pulse widget is intended to help counselors when scheduling a student, as an example, if they would like to see how the student is currently doing.

o Clicking the Widget Subscription icon at the bottom of the Q screen within a banner application will open the ‘Widget Subscription & Configuration’ screen for the banner widgets appropriate to the current application: Class, Student, Staff.

Attendance Mass Attendance

• A new tab is added called ‘Parent Reported’ used to process the absences parents report through Parent Connection.

• Rapid Entry Tab will now allow the user to update an attendance note without updating an attendance code: an entry will be changed if

either the attendance code or note has changed.

• When a student is enrolled in only one period, such as an elementary school, the application will now behave as if ‘Set All Periods’ is set regardless of its setting.

Student Attendance • Show Parent Reported Absence record if the date suggests it is related to a grid cell.

• When right clicking an attendance cell and no audit history records exist for that class and date, the message has been changed to reflect

“No Attendance history exists for this class and date.”

Truancy Tracking • Added Address To: option to send the Letter to multiple contacts based on the Contact Flags set in the Student Editor.

Attendance Reports Calculate Attendance

• Performance improvements.

Chronic Absences Report • Performance improvements.

Class Attendance Spreadsheet • Added an option to print ‘One Class per Page’. The default is yes. • Added option to print Teacher Signature Line only once, after the teacher’s last course for the track. • Added option to include Grade when printing student identification information: ‘Student Name, ID

and Grade’. • Changed list of courses from those meeting in the current term to those meeting during the terms of

report date range.

Collection Status Report • Replaced the single date parameter with From and To Date parameters which default to the system date. If the dates differ, a Date

column (mm/dd) will be added to the report and the date range will be included in the report header. Date is also available as a sort item.

Monthly Hours Attendance Report • Changed the display of minutes from HH:MM to HH:mm where mm is fractional minutes of hour.

Perfect Attendance Report • Mail Merge option has been added to the report. • Attendance Track options have been re-configured:

Student Attendance History Report • Previously the By Period display would only show one attendance code in each period. If the student was enrolled in more than one class

in a period and those classes had different attendance codes, only one of those codes would show. Now all the different codes are shown.

Behavior Behavior Reports Behavior History Report

• Changed to accommodate behavior event dates that contain time components.

Enrollment Contact Editor

• Added print button to the Duplicates List when ‘Show All Potential Duplicates’ is selected.

Student Documents • Added language attribute when adding or editing a Report Card. Users should now be able to save different versions of the same term’s

report card in different languages.

Summer School Enroll • Added new preferences Low Grade and High Grade Adjustment that may be set so students in grades lower than the school’s Entry

Grade or higher than the schools Exit Grade may be enrolled in summer school using the Summer School Enrollment application. Note: both numbers should be positive numbers indicating the number to be subtracted from Entry Grade or added to Exit Grade for the summer school range.

Enrollment Reports Enrollment Analysis

• Since this report returns students active on the effective date, the ‘Enrollment’ section has been removed from the Report Filter to reduce confusion. The ‘Exclude Part-Time Students’ option within that section has been added to the Report Options area.

Withdrawal Checklist Report • Added new prompts: A Print Message checkbox and a multi-line Message textbox. The message is printed as the last section on the page

surrounded by a border and the text is center justified.

Food Service Direct Certification

• Certified siblings will now be linked to status record of eligibility origin to enable required SNAP and TANF Certification reporting for Verification.

Eligibility Applications • Implemented Income Eligibility Guidelines for school year 2019-2020.

Process Applications • Added ‘Process Applications’ application preferences in Preference Editor to configure the following two new survey processing options:

o Option to hide / show Social Security information on Survey form. o Option summarize by entering Household Member totals (number of non-student members and total income) instead of

itemizing members on survey forms.

Verification • Added new report MINDS SFA Verification Collection Report to the set of

Verification Reports. • Siblings certified from SNAP and TANF students, formerly reported as ‘Other’ are

now reported SNAP and TANF. See related FS Accounts item. • Added ability to extend the Verification Deadline date. To do so, a new database

preference needs to be set: In SNPREF the snapp is ‘fsVerify’, preference name is ‘DeadlineExtension’, and the Preference Value must be set to the funiq of the user with permission to extend the deadline. When the permission preference is set, the specified user will see a new data element in Verification Tab, in Statistics under Verification Sample Pool called Extended Deadline Date: Entering a date and submitting will update the application and student status expiration dates and allow verification activities until the new deadline. The deadline must be extended on or before November 15th.

Food Service Reports Eligibility Notices Report

• To accommodate a request to ‘undo’ printing of notices: In addition to standard ‘Un-Printed’, ‘Printed Only’, and ‘All’ Options, the Show Messages drop-down list now includes dates that notices were “printed” within the last month (according to the system date). When a date is selected, the notices printed on that date are listed, the ‘Select All’ checkbox is enabled and an ‘Un-Print’ button now appears, allowing users to designate notices as ‘Un-Printed’.

• The merge field called ‘Today’s Date’ {Today} is now replaced with the Server (actual) Date. And, the merge field titled ‘Q System Date’ {System Date} is replaced with the Q System Date.

Food Service POS FS Accounts

• Archived sites will now be excluded from site drop-downs and scoping for future transactions. • When a program record is generated by FS Eligibility the program entry will now honor the program’s Conflict ID and not create one

when there is a conflict. • Siblings certified from SNAP and TANF students will now be linked to status record of eligibility origin to enable required SNAP and TANF

Certification reporting for Verification. Note: previously certified siblings will still show as they have in the past. The status record editor pop-up will now display originating student and certification status for sibling status records.

Cafeteria • Archived sites will be excluded from Cafeteria login. • A new Cafeteria permission item has been added: Cafeteria [Change Login Date]. Only users with Administrator permission or this

permission will be able to change the login date. Users without this level of permission then, when opening a cash drawer will not be able to do transactions in the past or future.

• Added ability to scan barcodes for ala Carte items. The items are identified by the value entered as the Menu Items Item ID which must be in one of two formats to be identified as barcodes:

o The 12-digit UPC (Universal Product Code) number present on any pre-packaged product; o A custom identifier beginning with the letters ‘QPC’ and limited in length to 10 characters after the QPC designator with no

symbol characters.

The items must have corresponding buttons present on the register being used. Buttons may be placed on separate tabs and do not need to be visible when items are scanned. See related entry for Food Service Setup below.

Food Service Setup o Allow FS Sites to be archived and remove archived sites from appropriate lists under other tabs. o Added Archived column to FS Sites list to identify archived sites. The column appears when ‘Show Archived’ box is checked on.

o A new database preference [in SNPREF called FSEligOnly] has been added: When this preference is set to ‘YES’, Food Service Sites tab will be available in FS Online Eligibility Setup and allow FS Sites to be archived, archive column will appear when Show Archived is checked on. This preference is intended for districts with only Food Service Eligibility (and not POS) to be able to manage archive sites.

o Exclude archived FS sites from the Online Income Survey List. o A new button has been added to the Menu Items tab: ‘ala Carte Barcode Labels’ to provide an ability to print ala Carte QPC

barcodes using Avery 5160 or 5161 label sheets. QPC codes are limited in length to 10 characters after the QPC designator with no symbol characters.

Data Entry • Archived sites will be excluded from Cafeteria login.

Payments • Archived sites will be excluded from Cafeteria login.

Food Service POS Reports Daily Detail Reports

• Archived sites will be excluded from Select School(s) list box used in multiple Food Service reports.

Daily Summary Reports • Archived sites will be excluded from Select School(s) list box used in

multiple Food Service reports. • Reset Over/Short calculations for each school when producing reports for

selected schools.

Security Transaction Roster Report • A new Q Report which lists the transactions in the selected date range(s).

Health Student Health

• Added ability to associate multiple screening types with a specific screening status by entering a comma separated string of screening types into the scrntypec column for Health Screening Status Lookup Codes.

• Updated to support: o Assigning students to the CA_19 Immunization rule; o Perform CA_19 Compliance calculation.

Health Reports CA Immunization Blue Card Report

• New 2019 CA Blue Card format.

Marks Class Marks

• Added attendance fields contained in Report Card Marks (sturcd) to the interface. The ability to edit these fields (periods enrolled, periods present, periods absent and periods tardy) falls within the Academic Edit window in Marks Setup and is controlled by a new permission item: Class Marks [Edit Attendance].

Grade Book • When adding assignments, order by term, then period, instead of period only. • Support for Equidistant Grading Scales. When an Equidistant scale is in use, the

representation of the student grade becomes the Mark (Level) instead of the traditional Mark (Pct). See Grade Book Manager for details.

• New Standards Spreadsheet tab provides a view of students and assignments for the selected term or date range and the selected Domain. The user may Show all standards for the selected domain, as shown here, or select a specific standard. Users may check the box to hide standards that are not tied to an assignment. Progress marks shown are based on the standards marks in the selected term. Just like in ‘Stds by Student’ or ‘Stds By Task’, when entering an assignment score, the standard mark will automatically populate, and may be adjusted. Clicking the folder icon will open ‘Stds by Student’ for the selected student.

• Added New ‘Standards Only’ to Grading Options. This option will only show for sections of courses with ‘Mask Marks’ set ON. When this option is selected, Percentages and Marks will not be shown on any Gradebook screen. Also, Options that turn off the display of Marks and Percentages in the Portals will also be turned off. Note: ‘Mask Marks’ is an extension field available in District Courses (xcourse). When configured it will appear in District Courses, under Additional Information.

• Added support for Standards calculation functions at the School and School Track level. See Grade Book Manager.

Grade Book Manager • Added support for Standards Calculations function at levels other than the District. On a new ‘Standards Calc’ Tab it is now possible to

set by School or School and Track the Standards Calculation procedure used to calculate term-ending standards marks.

• Added support for Equidistant Grading Scale Definitions: Two Equidistant Scales have been configured [Letter Marks (no +/-) and Letter Marks with +/-] and may be added for district use. When an Equidistant Scale is added, the district will need to configure the Mark and Color for the scales as desired or may accept the defaults provided. Teachers will only be able to set the color. When an Equidistant scale is in use, the representation of the student grade becomes the Mark (Level) instead of the traditional Mark (Pct). See Grade Book.

Mark Setup • Navigation improvements when adding and editing Standards:

o When editing Standard Types, disable or hide navigation links between Standards views. o When adding a new Standard Type, put focus in Description field. o When creating a new Standard Set, set focus to the set name, and make the field required. o When adding Standards Definitions, set focus to Long description. o Added double-click to edit Standards Definitions.

Mark Reports Multi-Track Report Card

• Added option ‘Exclude Waived Contacts’ which, when selected, will omit from printing contacts who had agreed to receive only an electronic version of the report card.

Report Card • Changed Report Cards so non-English documents can be saved. Allow addresses to be included even in non-English Report Cards. When

saving documents, an English copy of the Report Card is saved even when a student has no English home language or Contact. • Added option to split Note text between multiple columns. Previously a long note that would not fit in the remainder of the column was

not printed in current column -leaving a large white space- and printed at the top of the next column.

Programs Service Tracker On the Service History Tab:

• Placement information is now in its own band which may be expanded or collapsed. This band includes the adjacent Service History (program) related extension area. This band will default to be open for staff on their first launch of the application, thereafter it will remember and honor the + / - setting.

• In the Service History band, when a row is selected the detail information is now shown at right with associated Monthly Summary information below the detail with a ‘+’ or ‘-‘ icon to show or hide the Monthly Summary information.

• Add context (service code) for Service History extension data (Service Detail, Edit Service History, Edit Group Service). • Fix legend on Edit Service Status tab to say Medicaid instead of MediCal. • When editing a Monthly Summary require that the Monthly Progress Notes be supplied if the status is ‘Ready To Bill’ or ‘Billed’.

Programs Reports EL Roster Report

• The report now addresses printing more than one test for English Language Learners. It will now print tests and all the dates from most recent to oldest. The user has the option to print: only the latest test result given for each test; all the dates given with all scores; or all tests given with only the most recent scores.

Service Tracker – Monthly Service Report • Restriction removed that the student must be enrolled in Special Education during the month of the report. This will enable reporting of

services that are recorded prior to a student’s start date for receiving Special Education services.

Reporting Report Writer

• Multi-line Reports now have the option to save to Student Documents. Note: The data source needs to have a field that represents the unique student key (suniq) and the Report Designer needs to specify the field.

• Faculty Certification data has been added to Data Designer.

SBA – Student Body Accounting SBA Accounts

• Increased maximum length of the Receipt # textbox from 8 to 10 characters.

SBA Setup • Increased maximum length of the Receipt # textbox from 9 to 10 characters in the Admin tab under ‘Receipt Number Ranges’.

Scheduling Student Schedules

• A class is now considered ‘Active’ (shows when the ‘All Classes’ checkbox is off) when: o Entry / Exit dates span the As Of date o This is a previous term (term ends before As Of date) column and Entry / Exit dates span last day of term, or o This is a future term and Entry / Exit dates span the first day of term.

• Show term begin and end dates as a tool tip on term description in the column header and use highlight color for background of term column header that includes the As Of date.

• Show schedule record entry and exit dates as a tool tip on class descriptions in the grid. • Flag request records as modified after running the Walk-In Scheduler so the change to the request status will be saved.

Scheduling Reports Class Roster Report

• Added four new prompts, all of which default on: Include Name; Include Ident; Include Grade; Include Gender.

Course List & Tally Report • When logged into a Summer School, only show Summer School tracks. If not logged into a Summer School, show only regular tracks.

School Extra-Curricular

• Added a print button to Student Schedules – Estimated Fees. • In Student Schedules the Account number is now a link (if the user has permission to the Account Info tab). Clicking the link will open

the Account Info tab with that account selected. • On the Account banner Find form, add ‘Find by Student’ button. • On the Account Info tab, remove the Show Students button and instead display the student list at right. • On the Account Charges/Payments tab: allow zero amount when posting charges and payments. • Implement multiple accounts associated with a student program schedule record. • Account charges / payments entries will be linked when:

o A transaction is split across multiple accounts o A transaction is adjusted. The detail display on the right of the list will show the original and all adjustments (for adjustments done going forward, previous adjustments are not linked to the original.) The transaction list will show (Adj) for adjustment transaction.

• When adjusting a transaction now, the user enters the new amount (which may be greater or less than the transaction amount), and the difference is calculated and displayed as read-only. When adjusting linked transactions, the transactions are shown in a grid with new amounts for each account.

• A new Locate button has been added to the Account banner. The Locate button brings up a search form that searches ALL accounts. The first column displays an asterisk if the account is currently in the banner. If the selected row is for an account not in the banner, the account can be added to the banner either Temporarily or Permanently. Temporarily adds it until the next time the app is loaded. Permanently sets a flag in the account record (Lock to Banner) that makes it always appear in the banner for the associated program.

• On Account Charges/Payments tab previously there was a Print button. Now there is a label ‘Print:’ followed by two buttons: o ‘Transactions’ will show the previous report. o ‘Summary of Account’ when selected runs the new EC Summary of Account report for the current account, date range, set of

transactions and void status from the settings for the grid. A report set may be selected. • On the Student Contacts tab ‘Type’ (Contact Type) now displays in the grid. • In the previous version, accounts with no schedule records appeared in the account banner when Inactive was chosen. With the

addition of the new Locate banner button, this no longer happens. The alternatives are: Find each account via the new Locate banner button and add temporarily or permanently to the banner or request a script that will set the ‘Lock in Banner’ flag for each account with no schedule records.

Inventory Setup • On the Titles tab show in the detail pane the number of books checked out - ‘# Checked Out:’ Delete is disabled if any books are

checked out.

Mass Email • It is now possible to include contacts in the list of

available contacts that do not have Parent Portal access using a new Code Association in Lookup Codes called ‘MassEmailAdditionalContacts’.

• Mass Email has been updated to support sending Mobile Notifications through the Mass Email application.

School Reports EC Summary of Account Report

• A new Extra Curricular report that may be run from either the School Reports menu or within the Extra Curricular application from the Account Charges / Payments tab for the selected account. The report may be run in a manner similar to the EC Print Bills report by selecting: ‘Mail To’ and ‘Include Info’ areas and checking ‘Group by Transaction’ Type. Otherwise, the report is similar to the existing report on the Account Charges / Payments tab. Transaction types may also be filtered: All, Payments, or Charges.

State Reporting CA Only SDEM

• Modified to exclude faculty who have exited before the beginning of selection range. • Added ability to exclude staff by included them in a faculty group associated with new Code Association 'CALPADS_ExcludeStaffGroup.'

SASS • Added ability to exclude staff by included them in a faculty group associated with new Code Association 'CALPADS_ExcludeStaffGroup.'

CRSE • Performance enhancements. • Updated extract for 2019-20 school year, added new columns in xcourse and xmstsched and added zcode/zcodecat data so that new

extract data can be maintained in Q. • Scripted adding extension fields for District Courses and Master Schedule Manager if they do not exist. New fields have been added to

the end of any existing extension fields for both of these areas. See screens below:

SELA • Modified to never send up TBD records if there is any ELAS information at CALPADS for the student.

STAS • Add ability to mark students exempt based on a student group identified by Code Association for

"CALPADS_STASExemptStudentGroup.”

System Banner Widget Editor

• A new application to configure Banner Widgets: Similar to the Widget Editor, this application enables districts to define widgets for Class, Staff or Student Banners. Banner widgets may be shared with specific permission roles. And, widgets may be linked to specific applications. See Banners.

Group Editor • Added new check box to the group definition ‘Is Exportable’ to facilitate Q Communication interface.

Parent Connect Manager • Added management of Parent Reported Absences module and preferences.

• Added module ‘Test Electronic Score Reports’ for accessing CA Electronic Score reports.

District testing records are only accessible using the pre-existing Testing Information module.

Pre-Enrollment Manager • On the Cleanup Tab:

o Added Search button to provide the ability to search Pre-Enroll records by name of student or contact. o Added a Print button to enable printing the same report that can be printed from the Pre-Enroll application.

• On the Page Content tab, added ability to edit ‘PreEnroll Complete’ portal content.

Process Manager • New Data Extracts:

o Univ of CA | UC Electronic Transcript o Food Service | USDA APEC III Participation File Extract

Produces a file containing meal service (participation) data for any school year. Enrollment date defaults to June 30, 2018 to produce data.

Note: The name of the existing APEC III Data Extract has been changed to ‘USDA APEC III Enrollment File Extract.’

Q Mobile Push Service Windows Service • Initial release of a stand-alone windows service that is used to facilitate communication through cloud messaging services to enable

notifications to be sent to individual user’s phone or tablet.

Q Mobile Applications For Parent Connection and Student Connection

• Mobile applications will be released for both iOS and Android. • These apps will be downloadable from Google Play and the Apple App store. • They will include the full functionality currently found in the desktop versions. • New features include support for push notifications, displaying standards, parent reported absences,

online payments and online re-enrollment. • We will support a Test Mode to enable districts to test production before rolling out the applications

publicly. • Districts will be notified when the applications are approved by the Google Play and Apple app stores.

Districts will need to let us know when they have updated to Q 3.7.0 and are ready to go live with Mobile apps.

Q Parent Connection • Added Accessibility features [based on feedback provided by WAVE Accessibility Assessing

tool and use of Screen Reader NVDA.] • Implemented Parent Reported Absences (shown at right). • In Marks Report area, links to Report Cards will be based on current language being viewed.

For example, if the user is viewing in English, only English versions of the Report Card documents will appear. If the user is viewing the portal in Spanish, then Spanish versions of the Report Card will appear when they exist, and English versions will appear when no Spanish version exists.

• New Mobile support for: o Information Update function / Re-enrollment o Parent Reported Absences o Online SBA Payments o CA Electronic Score Reports in Tests o Added standard scores for Assignments o Added ability to open saved Report Cards in Marks.

Q Pre-Enroll • Reworked ‘Print and Submit’:

o Move Submit button before Print button and change the default label in Summary to ‘Submit and Print.’

o Only show Reset and Submit buttons if record has not previously been

submitted. o Changes to make it more obvious to the user that the submission has been

accomplished: Add a new Portal Content page which will be displayed in the right-
