INTRODUCTION TO INSTRUCTOR NOTES

Objectives

The objectives are:

• Provide instructors with guidance on how to use instructor notes. • Provide guidance on how to use the training manual’s introductory

chapter. • Set expectations of instructors for pre- and post-class tasks. • Set expectations of how to begin the class.

Introduction

This chapter serves as introductory guidance to instructors teaching Microsoft Dynamics® class. The purpose of this chapter is to create consistency between all classes. A participant attending a development class for software solution A will experience the same class beginning as a participant attending an application class for software solution B. This chapter provides the following information:

• How to use the Introduction chapter • Pre-class tasks • How to the begin class • How to use the instructor notes • Post-class tasks

Pre-Class Tasks

There are several tasks that instructors will need to take care of to ensure a smooth start-up to the class. These include, but are not limited to:

• Contact training center in advance – Contact the training center several days prior to the beginning of class and verify these things: o Center has correct VPC image. o Image will be installed prior to your arrival. o Training room has white boards, markers, flip charts, and

audiovisual equipment as is required to deliver the class. o Confirm the date and time you wish to arrive at the center. 

 • Check the training room before class – Go to the training center

and check your room the day before class starts. Verify that equipment is available and images are loaded. Always test the image during this inspection visit. This is also the time to set out participant materials at the participant desks, prepare name cards, prepare white boards and flip charts for use, and to test audiovisual equipment.

• Arrive early the first day of class – Leave yourself time to take care of last minute details. Give yourself time to start up your instructor machine, open your PowerPoint slide deck, and ready your notes.

• Prepare a parking lot – It is strongly encouraged to designate a flip chart page or a section of a white board as a parking lot for unanswered questions. This will enable the instructor to set aside questions that cannot be immediately answered or that require answers that may take longer than the class timeline will allow.

• Display the Welcome slide – The Welcome slide is the first slide in each class slide deck. This slide will be on display as participants enter the room.

• Ensure participant sign-in – Ensure that participants sign the class roster provided by the training center as they enter the training room.

Please check on PartnerSource to see if there is a training Extension that goes with this course. The Extension is to be used in conjunction with the courseware, not as a stand-alone training manual. Beginning the Class

Introductions The beginning of class is guided by the first few slides of the PowerPoint slide deck. Display the Introductions slide and introduce yourself using the bullets on the slide. The instructor will include information about the qualifications the instructor has to teach the class. Allow participants time to introduce themselves using these same bullets.

Class Logistics Display the next slide and go through the logistics of times, breaks, and bathrooms. This is also a good time to start setting expectations for participation: class will start on time and participants are expected to shut off mobile phones and email at that time.

Introduce the Class The remaining slides will introduce the table of contents of the class. It is recommended to have the participants open the training manual and browse the table of contents while you review the topics that will be covered in class.

The Introduction Chapter There are no planned slides for the Introduction chapter. Instructors will use their discretion to call out the highlights from the chapter. The introduction chapter contains information about:

• Microsoft Dynamics training offerings – Make participants aware of the information for their later reference.

• Microsoft Dynamics certifications – Make participants aware of the information for their later reference; stress that 100 percent of the questions on certification exams are incorporated into the content provided in the training manual.

• Class prerequisites – Use the information to assist in the expectation setting for the class; this will ensure that all participants understand what the expected level of expertise is for taking part in the class.

• Chapter contents – Provide a summary of each chapter as well as information about the organization of the chapter; in particular discuss the three levels of labs.

Give the participants time to write down their objectives for the class. This will help them focus on the information and skills they wish to learn during the class.

How to Use Instructor Notes

Instructor notes are provided by Microsoft Dynamics content developers to serve as a guide for instructors. They are the communication link between developers and instructors. Content developers write instructor notes to:

• Provide guidance on which topics will be emphasized during class. • Provide clarification on how to use examples and case studies

provided in the content. • Provide approximate timelines for presentation and completion of

material. • Provide guidance on how to augment the presentation of the content

with Microsoft PowerPoint slides. • Provide tips and tricks to augment participant learning. • Inform instructors of any special requirements of the class. • Provide any additional files that are to be used with a chapter.

Instructor notes do not have to be followed verbatim. They are suggestions for how to present the material included in the training manual and must be adapted to the individual skills and knowledge of the instructor. However, the instructor notes are written by seasoned training professionals that are themselves trained on the best practices in classroom training presentation. Also, the content developers have tapped into the various expert resources of Microsoft Business Solutions consulting, development, and support professionals as well as Microsoft Business Solutions Partner professionals to include the most relevant information possible for instructors to use in their presentations. Therefore it is important for instructors to incorporate the guidance provided by the instructor notes into their presentations.

Organization of Instructor Notes Instructor notes are written in the order in which the material is presented in the training manual. Instructions and suggestions can be cross-referenced with the training manual topic by topic, and in many cases paragraph by paragraph. Instructor notes will suggest the appropriate time to display the slides that accompany each chapter. Slides are provided to give instructors visual references for participants while the instructor explains the topic being presented. Instructor notes will also provide any additional information needed to set the stage for participants to engage in the labs.

Using Callouts Callouts are used to draw attention to useful information. During class, consider highlighting call-outs as appropriate. Following is an example of how callouts are used throughout the training material.

CAUTION: Cautions are found throughout the training courseware and are preceded by the word CAUTION in bold. Cautions are used to remind you of a specific result of a specific action which may be undesirable.

HINT: Hints are found throughout the training courseware and are preceded by the word HINT in bold. Hints are used to suggest time-saving features or alternative methods for accomplishing a specific task.

NOTE: Notes are found throughout the training courseware and are preceded by the word NOTE in bold. Notes are used to provide information which, while not critical, may be valuable to an end-user.

EXAMPLE: Examples are found throughout the training courseware and are preceded by the word EXAMPLE in bold. Examples bring to light business scenarios that may better explain how an application can be used to address a business problem.

BEST PRACTICES: Best Practices call out background information and best practices about security, where appropriate, so that users can judge risks and benefits and make informed choices (used to emphasize the secure choice over the insecure choice when coding, installing, upgrading, configuring, and setting up the system.) As the instructor make sure you call out these things as part of Best Practices when implementing an ERP system. Example of a best practice call out box:

BEST PRACTICES: Before your deployment is complete, be sure to apply the latest service packs and relevant security patches to your system. Keeping current on the latest service packs, in particular, is one of most important things you can do in managing the security of your system.

Post-Class Tasks

Post-class tasks can vary depending on the class delivered and the training center used and they generally include the following:

• Evaluations – Administer any evaluations required for the class, including the standard Microsoft Dynamics post-class evaluation. It is recommended to direct the participants to the evaluations in the middle of the last day of class so participants have time to thoughtfully fill out the evaluation.

• Parking lot – Take down any remaining parking lot issues, and determine how answers will be distributed to participants. Obtaining participant email addresses and sending out a group email with follow-up answers is often a simple solution.

• Closure with training center – Make a final visit to the training center contact person to ensure the training center knows the class is completed and any final issues can be addressed.

• Introduce students to Microsoft Office SharePoint Server 2007. • Introduce students to Microsoft Dynamics NAV 2009, with an

emphasis on the Role Tailored Client. • Illustrate integration with the Cronus Global Website, which can be

found on the class VPC.

Timeline Presentation: 120 minutes

How to Teach this Chapter

General This part of the class is largely lecture. Set aside a large part of the time for demonstrating the Cronus Global Website in detail. Microsoft Office SharePoint Server 2007 Explain what types of solutions might use SharePoint server. Discuss in detail how the design goals support those solutions. Discuss how the various features in the application are used and how the program is administered. 2007 Microsoft Dynamics NAV 2009 Explain what an ERP system is and how it can be used. Discuss the benefits from such a system. Explain the Architecture of the system. Cronus Global Website Explain in general terms how Employee Portal in Microsoft Dynamics NAV is integrated with SharePoint server through Web Services. With a copy of Microsoft Dynamics NAV running the Classic Client, go through the different types of Web Parts on the Subsite collections and show how data can be added, deleted, and modified in each one. Then switch back to Microsoft Dynamics NAV and show that the data modifications are in the database.

Chapter Overview The goals of this chapter are to:

• Define some of the main functional areas of SharePoint. • Illustrate uses for the functional areas with use cases.

Timeline Presentation: 150 minutes

How to Teach this Chapter

General This part of the class is largely lecture. Study the use cases and use them as demonstrations to break up the lectures and generate discussion. The use cases are designed to introduce the SharePoint system and lead to the hands on demonstrations and labs later. Time will be an issue, so you will not want to get stuck on a use case at this point. Try to demonstrate without doing the actual work outlined; just show how it will be done at this point. Collaboration Discuss the enabling technologies that allow teams to work together effectively, providing intuitive, flexible, and secure mechanisms for sharing information through the use of wikis and blogs, collaborating on and publishing documents, maintaining task lists, conducting surveys, developing and maintaining site templates customized for specific business uses, and implementing workflows Portal Discuss the facilities that provide the capabilities to personalize the user experience of an enterprise website, to target content to various audiences based on sets of rules, to automatically facilitate intuitive navigation through the website while tailoring the navigation to the individual rights of the user, to deliver comprehensive site content management and structural facilities, and more. Enterprise Search Discuss how the Shortcut Bar is used and the different types of shortcuts that can be added. Point out the shortcuts that are included by default. Add a shortcut for the Microsoft® Windows Calculator.

Content Management Discuss the critical ability to quickly and easily locate relevant content distributed across a wide range of sites, document libraries, business application data repositories, and other sources, including files shares, various websites, Microsoft Exchange public folders, and Lotus Notes Databases— and to find the appropriate people who can help answer questions or be involved in projects. Business Forms and Integration Discuss the ability to rapidly and effectively implement forms-based business processes, from design to publication to user access, by using standard web browsers or a rich client application such as Microsoft Office InfoPath 2007. It also includes the ability to connect with structured systems such as databases and line-of-business applications, and the ability to access that information in a number of ways. Business Intelligence Discuss the ability to deliver information critical to business objectives through a wide range of mechanisms, from server-based spreadsheets accessing business data in real time and performing sophisticated analyses to the presentation of key performance indicators (KPIs) through enterprise websites.

CHAPTER 3: WORKING WITH MICROSOFT DYNAMICS NAV 2009

Chapter Overview The goals of this chapter are to:

• Familiarize a Microsoft® Office SharePoint Server® 2007 user with Microsoft Dynamics NAV 2009. Special attention will be given to navigation, user customizations and data entry.

• Discuss topics needed by all users, then focus on working with Sales data as a representative sample of how a user might work with the system.

Timeline Presentation: 150 minutes

How to Teach this Chapter

NOTE: All the demonstrations in this chapter can be taught as labs if the instructor prefers to work with students individually. They are designed for self-study.

General This will be taught “hands-on,” entirely within Microsoft Dynamics NAV (no slides). The goal is for the student to have learned enough about Microsoft Dynamics NAV to understand the Integration application that is demonstrated at the end of chapter 1, and to prepare them to be able to do the integration work in chapter 5. Point out that Microsoft Dynamics NAV is designed to ease data entry and to allow customized roles.

NOTE: All the demonstrations in this chapter can be taught as labs if the instructor prefers to work with students individually. They are designed for self-study.

General As with chapter 2, this will be taught “hands-on,” entirely within SharePoint (no slides). The goal is for the student to gain a deeper understanding of the lecture in chapter 2. The features implemented in this chapter support the use cases from chapter 2, and the final integration lab in chapter 5. Each demonstration will generate discussion and the instructor will encourage exploration. Carefully monitor time at this point to be sure to leave enough time for the integration labs in chapter 5.

• Discuss Web Services generally and show how they are implemented in Microsoft Dynamics NAV.

• Extend the Cronus Global Website discussed in chapter 1 using Employee Portal.

How to Teach this Chapter

General This chapter is where the student is tested on his or her understanding of the course. The student will be encouraged to “figure things out” as much as possible, without getting frustrated. Exploration will be encouraged, but within the time constraints of the class. There will be a brief lecture on Web Services followed by releasing the students to do the labs. The last hour of the class will be used to review the lab and answer questions. Web Services Emphasize the importance of Web Services to future interoperability. Point out that Employee Portal is not the only way to expose Web Services from Microsoft Dynamics NAV and that SharePoint is not the only way to consume them. Point out the links to the Microsoft blogs for further, excellent information. Cronus Global Website There are a lot of detailed steps to take in this section. The student will be tempted to simply follow the steps without thinking them through. Be especially prepared for many questions about setting up Actions, they are complex at first.
