INTRODUCTIONTOTHEEVALUATIONPROCESS
TheSchoolofMusic,Theatre,andDance(hereafterreferredtoas“School”)recognizesthatannualmeritsalaryevaluationsserve,amongothers,twoprimarypurposes.First,theyprovideanopportunitytoensurefacultyareactivelypursuinggoalscongruentwiththemissionsoftheprogram,school,anduniversity.Second,evaluationsareacogentmeanstoprovideformativefeedbacktofacultyandtopromoterelevanceandproficiencyintheirfieldsofexpertiseandhabitsoflife‐longlearning.
Meritsalaryevaluationsaremostsignificant,however,whenviewedintandemwiththeprocessofpromotion/tenure.Althoughthetwoprocessesareindependent,theresultsofmeritsalaryevaluationscanprovidevaluableindicatorsofprogresstowardpromotion.Asaresult,boththemeritsalaryandpromotion/tenureguidelinesthatfollowshouldbeconsideredforallevaluations.
MERITSALARYEVALUATION
Theschooldirector,inconsultationwiththerelevantprogram’sMeritSalaryCommitteeand,ifavailable,outsideexpertsintheevaluatedfieldwilldeterminetherelativemeritoffacultymembers’activitiesintheareasofTeaching,Research/Scholarship/CreativeActivity(hereafterreferredas“RSCA”),andService.Theseassessmentsarebasedonthefacultymembers’progressviewedrelativetotheirone‐andfive‐yeargoals,loadreport,andcontributiontoeachlistedactivity.
Tenure‐trackfacultyareencouragedtoseekmentoringfromassociateandfullprofessorswithinandoutsidetheschoolforguidanceandfeedbackrelatedtomeritevaluationandpromotion/tenure.Guidancemayincludethereviewofannualportfoliomaterials,developmentofgoalsastheyrelatetotheannualmeritcycleandpromotion/tenure,reviewofsyllabi,andobservationofteaching.
Theunitheadwillrecommendasalaryadjustmentforeachpersonevaluated.Therecommendedpercentageincreasesbasedontheannualevaluationforpersonswithhigherlevelsofaccomplishmentshallexceedthoseforpersonswithlowerlevelsofaccomplishment.Ifmeritsalarycategoriesareutilized,thenthepercentagerecommendedforpersonsinthefirstcategorywillbehigherthanthoseforthesecondcategory,whichinturnshallexceedthoseforlevelofaccomplishmentinthethirdcategory,etc.Asaroughguide,averagepercentageincreasesinthehighestcategoryareexpectedtobeabouttwicethoseinthelowestcategory;thisratioisexpectedtofluctuatebothwiththedegreetowhichmembersoftheunitdifferineffectivenessandwiththedegreetowhichfundsareavailable.1

ANNUALMERITSALARYEVALUATIONTIMELINEANDPROCEDURESDecember:
Facultymemberssubmittotheschooldirectoraportfoliosummarizingtheiractivitiesfortheprecedingcalendaryear.ThefilemustincludeanannualsummaryofsignificanteffortinthecategoriesofTeaching,RSCA,andService.AllportfoliomaterialsexceptTEVALdatafromthecurrentsemesteraredueontheFridayoftheweekpriortofinalexams.(SeeMeritSalaryPortfolio.)
December/January:
TheMusicProgramshallretainafive‐memberMeritSalaryCommittee;theTheatreandDanceProgramsshallcombinetoretainathree‐memberMeritSalaryCommittee.ThemembersofeachrespectiveMeritSalaryCommittee(seedescriptionunder“Committees”)andtheschooldirectorreadtheportfoliosandmakeindividualassessmentsoneachfaculty.Beforeorduringthefirstweekofthespringsemester,eachcommitteemeetswiththeschooldirectorandreportstheirassessments.
January/February:
AfterconsultingwiththeMeritSalaryCommittee,theschooldirectorassignsnumericalevaluationsoffacultymembersineachofthethreeareasusingascaleof1‐5,5beingthehighest.
Summarylettersaresubmittedtothefaculty.Theletterincludesastatementaddressingtheperceptionofwhetherthefacultymember’sworkhasbeen

Eachfacultymembermeetsindividuallywiththeschooldirectorduringthesecondweekofthespringsemestertoreviewtheevaluation,negotiateloadpercentages,anddiscussanyadjustmentstoone‐orfive‐yeargoals,ifnecessary.Atthattime,facultymembersareaskedtosigntheevaluationindicatingthemeetinghastakenplace.
Facultymembersmayrebuttheevaluation.Rebuttalsmustbesubmittedinwritingdirectlytotheschooldirector.Ifrebuttalsremainunresolved,facultymembersmayarticulatetheirpositioninwritingalongwithsupportingdocumentationtothedean.
Facultymembersreceivetheiroriginalevaluationsandphotocopies.Attheirevaluationconferenceswiththeschooldirector,theysigntheoriginalsandreturnittotheschooldirector.Originaldocumentsaresubmittedtothedeanandcopiesoftheevaluationsarekeptintheschoolpersonnelfile.

Probationaryfacultymemberssubmitannualmeritsalaryevaluationmaterials.Selectmeritsalarydocumentsrequestedbytheschooldirectoroftenserveasthefoundationforreappointmentmaterials.
March:
Tenuredfacultymembersreviewtheprobationaryfacultyreappointmentmaterials.Recommendationlettersarerequestedfromallfull‐timefacultymembers.Thetenuredfacultymembersthenmeettodiscussandvoteonreappointment.Iffacultymemberscannotbepresentatmeetingssetasidefordiscussionandvoting,theyshouldstillcasttheirballotwiththeappropriateadministratorandprovidenarrativejustifyingtheirvoteasappropriate.Theschooldirectorthenreportsthefindingsandthevoteinanarrativelettertothedean.Basedontheoutcomeofthevote,schooldirector'snarrative,andsupportingmaterials,thedeandeterminesthestatusofreappointment.
May‐July:
Contractsforfacultyappointmentaredistributed.Revisedsalaryamounts,ifany,aredeterminedoncemonetaryamountsareallocatedtotheuniversitybythestategovernmentinthespring.

MID‐TENUREREVIEWPROCEDURESANDTIMELINE
Tenure‐trackfacultymembersparticipateinaformalreviewapproximatelymid‐waythroughtheprobationaryperiodofemployment.Unlessstatedotherwiseintheircontract,themid‐tenurereviewshalltakeplaceduringthethirdyearofappointment.3
Mid‐tenurereviewproceduresshallfollowthesameproceduresandtimelineasthetenurereviewprocesswiththeexceptionoftherequiredsolicitationofoutsideevaluators.Thecandidate,however,maychoosetosolicitlettersontheirownbehalffromstudentsorcolleagues.

PROMOTIONANDTENUREPROCEDURESANDTIMELINE
TheschoolfollowstheeligibilityrequirementsforpromotionandtenureasoutlinedintheUniversityHandbook.Althoughtenureconsiderationisdeterminedbycontractualagreement,itisexpectedthatfacultymemberswillinitiatearequestforconsiderationforpromotionwiththeschooldirectoratsuchtimeastheyfeelthatthenecessarycriteriahavebeenmet.
Beginningwithappointmenttotherankoffull‐timeinstructororahigherrank,theprobationaryperiodshouldnotexceedsevenyears,includingwithinthisperiodfull‐timeserviceinallinstitutionsofhighereducation;butsubjecttotheprovisionthatwhen,afteratermofprobationaryserviceofmorethanthreeyearsinoneormoreinstitutions,apersonistobeappointedasafacultymemberatKansasStateUniversity,itmaybeagreedinwritingthathis/hernewappointmentisforaprobationaryperiodofnotmorethanfouryears,eventhoughtherebytheperson'stotalprobationaryperiodintheacademicprofessionisextendedbeyondthenormalmaximumofsevenyears;except,whentheinterestofbothpartiesmaybestbeservedbymutualagreementatthetimeoftheinitialemployment,KansasStateUniversitymayagreetoallowformorethanfouryearsofprobationaryserviceprovidedtheprobationaryperiodatKansasStateUniversitydoesnotexceedsevenyears.Noticesshouldbegivenatleastoneyearpriortotheexpirationoftheprobationaryperiod,iftheteacherisnottobecontinuedinserviceaftertheexpirationofthatperiod.4
Facultymembersonprobationaryappointmentswhohavemetthecriteriaandstandardsfortenurepriortotheabovemaximumtimesmaybegrantedearlytenure.Becausecandidatesmaybeconsideredfortenureatanytimeduringtheirprobationaryperiod,notimecreditshallbegrantedforservicepriortoemploymentatKansasStateUniversity.5

FullprofessoristhehighestacademicrankatKansasStateUniversity.Standardsforachievementandperformancearehigherforpromotiontofullprofessorthantoassociateprofessor.Thecandidatemustadheretoandsubstantiallyexceedtherequirementsfortherankofassociateprofessor.Evaluationwillfocusonthecompletebodyofworkinteaching,RSCA,andservicetakingplaceafterpromotiontoassociate,particularlyactivitiesoccurringwithinthelastfiveyears.
Itisimportantthatthecandidateforfullprofessorworkwithafacultymentorwhohasachievedthisrank.Thiswillhelpthecandidatefullyunderstandtheexpectationsandpreparationneeded.
TEACHING
Documentedoutcomesofthesuccessfulcandidate’steachingmustdemonstratetangibleresultsatthenationalorinternationallevels.Resultscanincludestudentparticipation,presentation,and/orperformanceatconferences,competitions,masterclasses,orworkshops.Compellingevidencemustshowthatanimpacthasbeenmadeontheadvancementofpedagogicalpracticesinone’sarea(s)ofinstruction.TEVALorothermeasuresofteachingassessmentmustdemonstrateconsistencyinthehighqualityofinstructionforuniversitycourses.Anarrativeexplaininganyanomaliesinscoringassessmentshouldbeprovidedtotheschooldirectoratthetimeofapplicationforfullprofessor.Additionalresults,suchasstudentprofessionalachievementsfollowingdegreecompletion,canbeanimportantindicatorofinstructionalquality.Examplesofstudentaccomplishmentincludeprofessionalpositionsheld,evidenceofadvancementinthefield,awardsorrecognitionforexemplaryprofessionalwork,completionoffurtheradvanceddegrees,performanceawards,andteachingassistantshipsorfellowships.Evidenceofstudentachievementmustshowthedirectinfluenceofthecandidate’steachinginthestudent’ssuccess.

MERITSALARYCOMMITTEESELECTIONPROCESS
Eachyear,theMusicProgramandtheTheatreandDancePrograms(combined)willretainindependentMeritSalaryEvaluationCommittees.Committeemembershipwillcomprisefacultyoftherespectivedisciplinesasspecifiedbelow.
TheMusicProgramwillhaveafive‐membercommitteetoevaluatetheannualmeritsalaryfiles(portfolios)ofMusicfaculty.Themembershipofthiscommitteewillincludethefollowingrepresentationoffacultyranks:
1. Onetenure‐trackassistantprofessorwithtwoyearsatthatrank
2. AssociateProfessor
3. FullProfessor

TheTheatreandDanceProgramswillhaveathree‐membercommittee,consistingoftwofacultymembersfromtheTheatreProgramandonefromtheDanceProgramtoevaluatetheannualmeritsalaryfiles(portfolios)ofTheatreandDancefaculty.Twoofthepositions,onefromeachdiscipline,areelectedbytheTheatreandDancefaculty;alltenuredfacultymembersareeligible.Theremainingpositionisappointedbytheschooldirectortomaintainbalanceingenderandrank.Theappointedmembermustbeattherankofassistantprofessorwithtwoormoreyearsatthatrankintheschool.Anyfacultymemberelectedorappointedtothiscommitteewillbeexemptfromservingonthiscommitteeforoneyearfollowingayearofservicethereto.
TheportfolioofeachfacultymemberwillbeevaluatedbyallthemembersofhisorherrespectiveMeritSalaryEvaluationCommittee,withthefollowingexceptions:

Committeemembersaretoreviewtheone‐yeargoals,activitiessummaryofthesameyear,five‐yeargoals,vita,loadreportsforspringandfallsemestersoftheappropriateyear,TEVALsummariesofthesameyear,andsupportiveportfoliodocuments.Theschooldirectorandcommitteemembersevaluatesubmittedmaterialsbasedonthegoals,theachievementofthosegoals,andmitigatingfactorssuchasloadandothervariables.
FACULTYLOADPERCENTAGES
Facultycanandshouldconsultwiththeirrespectiveprogramdirectorsatanytimeduringtheprocessofdeterminingtheirloadpercentages,oneandfive‐yeargoalsforteaching,RSCA,andservice.Thefacultymemberandtheirrespectiveprogramdirectorcanworkwiththeschooldirectortonegotiate,clarify,anddesignateloadorgoalsastheyapplytoevaluationatanytime.Subsequently,facultywhowishtoinitiatesuchchangeswillmeetwiththeirrespectiveprogramdirectorsandtheschooldirectortoassurethatanysignificantchangeswillnotjeopardizethedeliveryoftheothercomponentsofthefacultymembers’responsibilities.
Intermsofload,thetotalofthethreeareasmustequateto100%forfulltimefaculty.Anexampleforafirst‐yearfacultymembercouldbe:75%Teaching,15%Creative/Research,10%Service;however,itshouldbenotedthatthereisno"typical"loaddesignationandthatfacultymustcommunicatewiththeirrespectiveprogramdirectorswiththerealizationthattheadministratorsmustdeliverthecurriculaandperformanceobligationsoftheprograms.Wheninstancesofongoingoverloadarenoted,theprogramdirectorsworktogetherwiththeschooldirectortofindsolutions.Communicationisnecessarythroughouttheadministrativestructureoftheschooltoidentifyresourcesthatcaneventuallybringoverloadsinoneareabackintoabetterdistributionbetweenthethreeareasofevaluation.

MUSIC
TheMusicProgramfollowsNASMguidelinesfordetermininginstructionalworkloads.GuidelinesoftheNASMHandbookareasfollows:
Lecture/SeminarisbasedonaFullTimeEquivalent(FTE)of12contacthours/weekly.PrivateStudioInstructionisbasedonanFTEof18contacthours/weekly.Instructionalworkloadsarecalculatedonthesumoftheproratedcategoriesifprofessorsareactiveinbothlecture/seminarandprivatestudioinstruction.Thetwosemestersareaveragedtodeterminetheyear’sload.
Itshouldalsobenotedthatotherfactors,atthediscretionoftheschooldirector,areconsideredinassessingappropriatereleasetimewithregardtoafacultymember’sworkload.Thesefactorswouldincludeaheavyresearch/creativeactivityorservicecomponent,chairingadivision,havingalargenumberofadvisees,and/orservingthedepartmentinadministrativefunctionssuchasleadadvisor,chairofgraduatestudies,orotherareasasdefinedbytheschooldirector.
Coursesthataretaughtbymorethanonefacultymember,orcoursesthatuseaGTAtoteachapercentageofclass,willhavetheFTEreducedaccordingly.
NOTE:KSUfollowsthelecture/seminarformatincalculatingloadsforfacultymembersassignedtodirectmajorensembles.TheFTEvalueisbasedonthenumberofrehearsalhours.Thisissignificantbecausethecredithourvalueofensembleclassesistypicallylow(usually1hour).
MusicHistory/Literature/TheoryLoadConsiderations:
CourseslistedinthecatalogintheMusicHistory/Literature/Theoryareaandcarryingcoursenumbersof500orhigherthathaveanenrollmentoftenstudentsorhigherwillhaveonehouraddedtotheprofessor’scontacthourtotal.Music714(Orchestration)and801(IntroductiontoGraduateStudies)carrytheone‐hourbonuswithanenrollmentoffiveorhigherbecausetheyaresotime‐intensive.
Music230,320,and360(Theory2‐4)alsohaveonehouraddedtotheircontacthourswhenenrollmentreachestenstudentsorhigher.

Facultyattherankofinstructorwhoseprimaryresponsibilityisclassroominstruction,indifferencetoshopsupervisionorshopmanagement,willbeexpectedtocarryatwenty‐fourhourteachingloadperacademicyearbeforeadjustments.
Instructorswhoseprimaryresponsibilityisshopsupervisionorshopmanagementarenotrequiredtocarryaspecificteachingload,butarerequired,inconsultationwiththeirimmediatesupervisor,toworkaclearandconsistentschedulebasedontheneedsoftheprogramandschool.

Insomecasesthismayconstituteanoverloadonthefacultymember;however,withoutthefacultymemberofferingaminimumoftwocourseseachsemesterintheirareaofexpertise,itisimpossibletomaintainandgrowparticipationinthearea.

DIVISIONOFCONTINUINGEDUCATION(DCE)CLASSES:
FacultymembersintheMusicProgrammaydevelopcoursesthatcanbedeliveredthroughtheDivisionofContinuingEducation(DCE)atKansasStateUniversity.ThisincludesDistanceEducation,EveningCollege,andIntersession.CoursestaughtthroughDCEaredoneona“voluntaryoverload,”whichmeansthattheyaretaughtinadditiontoafacultymember’sregulardutiesaslistedontheirLoadReporteachsemester.Facultymembers(bothfulltimeandadjunct)areeligibletoteachDCEcoursesfromthesecondyearofemploymentonwardandareencouraged(whenpossible)toteachthecourseviaatraditionaldeliverymethodfromwithintheprogrampriortoofferingitthroughDCE.1
TheprogramlimitstheteachingofDCEcoursestothreedeliveriesofasinglecourseeachcalendaryearasfollows:Onecourseinthefallandspringsemestersrespectively,andonecourseannuallyinanintersessionorduringoneofthesummersessions.EnrollmentinaDCEcourseislimitedtotwentystudentsthefirsttimeitisoffered.Aftertheinitialsemester,thefacultymemberandheadconsulttosetenrollmenttargets/limits.SalariesforDCEteachingarecappednottoexceedthepaygeneratedbytheenrollmentof30studentsinthecourse.AlladditionalDCErevenueswillcometotheprogramtobeusedatthediscretionofthehead.FacultymaynotteachDCEcoursesduringasabbaticalorwhileonaleaveofabsencefromtheprogram.ThedeliveryofaDCEcourseisnotallowedduringthesemesterpriortoafacultymember’stenure/promotiondecision.SpecialpermissionisrequiredtoteachmorethanonecoursethroughDCE.

TheKSUMusicProgramoffersalimitednumberofgraduateteachingassistantshipsduringtheregularacademicyear.Assistantshipsarenotavailableinthesummer.Thesearegiveninspecificareas,accordingtotheneedsoftheProgram.Teachingassistantsarenormallyneededinthefollowingareas:auralskillsinstruction,grading,voiceclassinstruction,pianoclassinstruction,accompanying,monitoringtheMusicTechnologyLab,monitoring

Graduateassistantshipsrequireupto16‐20hoursaweek,whichisregardedasfive‐tenthsoffulltime.Suchanappointmententitlesthestudenttoa100%waiveroftuitionandout‐of‐statefees.

TheresponsibilitiesforadvisingaredividedintoundergraduateandgraduateareasintheSchoolofMusic,Theatre,andDance.Theprogram’sUndergraduateLeadAdvisorandtheLeadMusicEducationAdvisorcoordinateundergraduateadvising.TheDirectorofMusicGraduateStudiescoordinatesgraduateadvising.Itistheresponsibilityofthosethreepersonstoorientandupdatemusicfacultymemberstouniversityandprogramadvisingprocedures.
TheUndergraduateLeadAdvisor(ULA)istheliaisonbetweenenrollmentservicesandthemusicprogram.Furthermore,initialenrollmentassigningofadvisorsalsofallsunderthepurviewoftheULA.TheLeadMusicEducationAdvisor(LMEA)advisesallmusiceducationmajorsafterinitialenrollmentthroughtograduation.Bothundergraduateadvisorsconferonaregularbasistoaddressanyissuesinadvisingorenrollment.TheDirectorofMusicGraduateStudiesinconsultationwiththeirmajorprofessoradvisesgraduatestudents.
