Job Title: Cataloguing Officer – Unlocking Our Sound Heritage

Grade: Executive Officer 1 Salary Scale: £27,845 - £28,730

Department: Collections Location: Corporate Headquarters, Cultra

Responsible to: Project Manager Duration: Fixed Term for 1 year

National Museums NI was established by the Museums & Galleries (NI) Order 1998, and comprises the Ulster Museum, Ulster Folk & Transport Museum and Ulster American Folk Park. The organisation receives its core funding from the Department for Communities (DfC), but generates income and sponsorship from a variety of other sources to meet its revenue and capital expenditure needs.

Overall purpose of job:

To enable the discovery and access of digitised sound recordings for a wide range of audiences. The role holder will create and amend catalogue records and other metadata and oversee the day to day digital data workflows.

This job is part of “Unlocking Our Sound Heritage”, an ambitious project funded by the HLF and led by the British Library in conjunction with national and regional partners across the UK.

Unlocking Our Sound Heritage will digitally preserve almost half a million endangered sound recordings digitise from across the UK and make 100,000 available online transforming the visibility of sound archive collections in the process.

National Museums NI will be the hub for Northern Ireland. Over the project we will digitise 5,000 physical Page 2 of 17

sound items, from our own collections, and from other collections within our area. The digitised material will then be used as part of a learning and outreach activity for the benefit of the people of Northern Ireland.

Duties and Responsibilities

Produce catalogue records and associated metadata for audio material that is being digitised as part of this project. This will include material held by National Museums NI and from other contributing partners.

Create information packages for the British Library’s Digital Library System (DLS) according to agreed procedures and targets.

In conjunction with the Rights Officer, deal with rights ownership according to agreed guidelines and procedures.

Quality check catalogue and other records being created for this project Assist in the project management of programmes of work, liaising with the Project Manager and

team as necessary

Responsible for overseeing the cataloguing work of the project team and volunteers

Leadership and Staff Development

To undertake appropriate training and personal development programmes. Identify the learning and development needs of your team ensuring that these are addressed

through relevant opportunities and interventions. Ensure the delivery of National Museums NI’s Vision, Mission and Values within your team. Act as a role model to staff and colleagues within National Museums NI. Embed a culture of continuous development and act as a coach / mentor when appropriate.

Communication

To establish and maintain effective methods of internal communication including the use of appropriate technology.

Ensure that information, directions and guidance are cascaded to all team members clearly, concisely and in a timely manner.

Develop a close and productive working relationship across sites and all National Museums NI Directorates.

Main Tasks

Create and / or amend records for National Museums NI catalogue, for sound material involved in this project.

Document physical sound recordings on loan to National Museums NI. Structure information packages for the British Library’s Digital Library System (DLS) according to

defined BL procedures. Ensure that the data is submitted in the required format. In conjunction with the Rights Officer, determine the rights holders. Send permissions requests to

identified rights holders (and/or their representatives, e.g. publishers, agents, estates, other relevant corporate bodies) for the digitisation and use of collection items.

In conjunction with the Rights Officer, record the process and outcomes of the rights clearance work to ensure that an audit trail of due diligence is maintained.

Ensure that collection items and material on loan are appropriately handled, cared for and returned in a timely manner.

Monitor cataloguing undertaken by volunteers and others to ensure that it meets the agreed quality standards.

Produce reports on progress to National Museums NI and the project team at the British Library.Page 4 of 17

Respond to enquiries from the wider project team and assist with other aspects of the project including learning and public engagement activities.

General terms and conditions of employment

Hours and Attendance This is a full time post and the successful candidate will be expected to work 37 hours per week.

Salary The post is graded on the EO1 salary scale currently £27,845 - £28,730 per annum. The starting salary is normally the minimum of the pay scale.

Pension Staff are eligible for membership of the Principal Civil Service Pension Scheme. Further details of the terms and entitlements under this scheme will be made available upon commencement of employment.

Annual Leave The annual leave entitlement will be 25 days, rising to 30 days after 5 years’ service plus 12 bank / public holidays.
