MUMUS IN 2011 COMMITTEES The Full Committee, made up of 40 positions (some paired) will decide the big picture goals of MUMUS. What is our stance on the change in Anatomy? Where should Clinical Skills teaching go? Should we give our money to charity? Should we make a profit on events? How much should we spend? The Executive, made up of seven positions, will oversee the day-to-day running of the society and ensure the financial and legal obligations of the society are met. They will oversee expenditure, contracts and budgets. They will also be available for escalation of issues, either with Faculty, specific sites or within MUMUS. The bulk of the work of MUMUS will be undertaken in smaller committees, which will increase efficiency and productivity. The Full Committee, made up of 40 positions (some paired) will decide the big picture goals of MUMUS. What is our stance on the change in Anatomy? Where should Clinical Skills teaching go? Should we give our money to charity? Should we make a profit on events? How much should we spend?

The Executive, made up of seven positions, will oversee the day-to-day running of the society and ensure the financial and legal obligations of the society are met. They will oversee expenditure, contracts and budgets. They will also be available for escalation of issues, either with Faculty, specific sites or within MUMUS.

The bulk of the work of MUMUS will be undertaken in smaller committees, which will increase efficiency and productivity. These committees include and Academic and Social committee, and a variety of sub-committees: AMSA, Community and Wellbeing, International, Global, MUSIG, Publications, O-Week/MedCamp, Graduation, MedBall and MUKEG.

All positions in this document shall share one vote on Full Committee with the exception of the Major Event Coordinators, who will be observers to committee only.

MUMUS ELECTIONS

This year, elections will take place in a slightly different manner.

- As always, year level reps will be elected directly by their own year. - The seven executive positions will be elected by a committee made up of year level

reps, based on a cover letter and CV. - Subcommittee chairs will be elected by vote, and will in turn appoint their own

subcommittees. This may be via election (as in MUSIG) or open to all (as in AMSA ThinkTank or Community and Wellbeing).

- The roles of Sponsorship, Marketing and IT (herein grouped as ‘Core Roles’) will be selected by the executive based on prior experience and skills – after all, we want to make sure our marketing reps can design a poster and our IT reps can code a website!

- The four Major Event Coordinators (O-Week/MedCamp, Med Ball, Med Revue, Graduation) will be selected by the Executive based on applications. This mirrors the current procedure, for instance in selecting a Med Ball organiser.

With the new structure of Academic and Social Committees, together with existing subcommittees, the bulk of MUMUS’ work will occur outside of the executive, by your directly elected representatives. These committees will also provide the bulk of MUMUS’ direction. The Executive will move from being the MUMUS workhorse to have of an oversight and administration role.

This change has been made so that MUMUS is able to function more efficiently. Furthermore, it will ensure the best person for the job is selected, allow for more detailed applications and a more thorough consideration of candidates for positions. A similar

process is applied in various situations. Many Medical Student Societies around Australia have a mixture of election and selection. AMSAvic has its representatives elect their chair. AMSA’s councillors elect the new executive. Even state and federal parliament elect their leaders and cabinet internally! We believe that this process is still extremely democratic, with over 70% of the voting members of the 40-strong committee being directly elected.

The other main change will see two distinct election periods. Aside from this year, the executive will be elected early in July, allowing for a time of shadowing, learning and forward planning. In future, year level reps will be elected in September/October. Through this process, there will be better continuity within MUMUS, and projects may be able to span across the calendar year.

TIME LINE

Elections for the 2011 MUMUS Committee will be taking place over the coming months. The timetable for these elections is outlined below. Key dates for the 2011 Committee are highlighted in blue and nominees should take note to ensure these dates are kept available.

REQUIREMENTS OF NOMINATIONS

Nominations for each position shall consist of the documents outline below. All positions will require a nomination form consisting of name, student year level and Monash email address of both the nominee and the seconder. Students may apply for a maximum of three positions. If applying for more than one position, please indicate the preference of the positions being applied for.

President

- Cover Letter (1 page) – The letter should outline personal skills, attributes or experience that you have which you believe would make you a good president. You should also describe what your motivation is for running.

- Curriculum Vitae (2 pages) – Your CV should illustrate recent and relevant experience or accomplishments. These can be academic, professional or extra-curricular.

- Platform Statement (2 pages) – As president you are uniquely placed to steer MUMUS for the coming year. The platform should outline your hopes, goals, plans and vision for MUMUS should you be elected.

PRESIDENT

2011 will see the continued growth of MUMUS as a united society, with almost 1800 members! Chair meetings, plan events, get involved in university politics; this is your last chance to have your say. This position is a lot of hard work and requires a high level of organisation and leadership; so only apply if you’re willing and keen to put in the necessary hours!

The duties of the President shall be:

- To chair fort nightly Executive meetings;- To chair six-weekly Full Committee meetings;- To coordinate all activities within the committee through close liaison with Vice

Presidents;- To act as the official spokesperson for the Society;- To act as Returning Officer and coordinate MUMUS Committee Elections;- Assist with other matters of the Committee where relevant; and- Sit on Faculty Committees where necessary.

The President shall sit on the following committees, reporting back to MUMUS after each, and address issues arising from:

- MBBS Faculty Board (meets quarterly);- AMSA Council (meets three times per year for three days each);- Medical Student Council of Victoria (meets monthly); and- Monash Alumni (meets every two months).

ACADEMIC VICE-PRESIDENT

Responsible to: President

One of MUMUS’ key goals is to represent students to the Faculty. For the first time in 2011, MUMUS will have a dedicated position to oversee this representation. The Academic Vice-President will need to be highly organised, a good manager of people and enthusiastic. In addition to this, the Academic Vice-President needs to be willing to represent, sensitively and firmly, the view of the Society to Faculty Committees, often battling numerous layers of bureaucracy.

The role of the Academic Vice-President is to:

- Chair monthly meetings of the Academic Committee;- Assist academic year level reps in voicing concerns and feedback to the Faculty;- Coordinate the allocation of to MUMUS Committee members to all relevant Faculty

meetings;- Oversee the running and creation of events with an academic focus;- Assume the roles of President should the President be unavailable;- Assist with other matters of the Committee where relevant; and- Sit on Faculty Committees where necessary.

The Academic Vice-President shall sit on the following committees, reporting back to MUMUS after each, and address issues arising from:

- MBBS Course Management Committee (meets monthly); and- MBBS Assessment Sub-Committee (meets monthly).

SOCIAL VICE PRESIDENT

Responsible to: President

Each year, MUMUS runs in the order of 50 events across its many year levels and sites. The vast majority of these are social events. For the first time in 2011, a dedicated role will be created to oversee and ensure efficient and safe organisation of these events. The Social Vice-President will be responsible for ensuring the success of the MUMUS social calendar.

The role of the Social Vice-President is to:

- Chair monthly social committee meetings;- Create and maintain templates for the running of events under MUMUS;- Ensure appropriate budgets are created for each event;- Ensure appropriate contracts are entered into on MUMUS’ behalf;- Ensure events are safe and insurance is appropriate;- Oversee the creation of an events calendar for the year;- Assist the Major Event Convenors as required;- Liaise with Sponsorship Officers to ensure MUMUS obtains the maximum

sponsorship funding as possible and that sponsors are accompanied throughout the running of an event;

- Assist with other matters of the Committee where relevant; and- Sit on Faculty Committees where necessary.

GIPPSLAND VICE PRESIDENT

Responsible to: President, Academic Vice-President, Social Vice-President

Reports to: Executive

Representing the hundreds of students enrolled in the Gippsland Medical School, building the profile of MUMUS within these cohorts and strengthening MUMUS’ activities and representation within the Gippsland Medical School.

The role of the Gippsland Vice-President will be to:

- Oversee the promotion and running of all MUMUS, AMSA and MSCV events held at Churchill or for GMS students;

- To assist the President in the running of the Society;- Arrange a sub-committee for and coordinate a GMS Students’ Social Club

(‘MedClub’);- Act as a driver for the development of MUMUS Policy in issues relevant to the GMS;- Assist with other matters of the Committee where relevant; and- Sit on Faculty Committees where necessary.

The Gippsland Vice-President shall sit on the following committees, reporting back to MUMUS after each, and address issues arising from:

- GMS Curriculum Committee (meets monthly);- AMSA Council (meets three times per year for three days each); and- Medical Student Council of Victoria (meets monthly).

PRE-CLINICAL VICE PRESIDENT

Responsible to: President, Academic Vice-President, Social Vice-President

With two years of students seeking an active life on and off campus, the Pre-clinical Vice-President will help oversee all academic and social events held for pre-clinical students. They will provide an essential voice as representative of the pre-clinical students to the MUMUS Executive, and assist the President in the running of the Society.

The role of the Pre-clinical Vice-President will be to:

- Oversee the O-Week and Med Camp convenors (must be in Melbourne during February);

- To represent MUMUS to Monash Clubs and Societies;- To assist the President in the running of the Society;- Arrange a sub-committee for and coordinate a Pre-Clinical Students’ Social Club

(‘MedClub’);- Assist with other matters of the Committee where relevant; and- Sit on Faculty Committees where necessary.

The Pre-Clinical Vice-President shall sit on the following committees, reporting back to MUMUS after each, and address issues arising from:

- MBBS Course Management Committee (meets monthly);- MBBS Assessment Sub-Committee (meets monthly); and- Monash Clubs and Societies Council (meets quarterly).

TREASURER

Responsible to: President

Overseeing a budget in excess of $200,000 is no mean feat. Nearly everything MUMUS does requires money, whether ordering stethoscopes, arranging PFEs or ensuring we have enough stationary!

If you have a like for numbers, spreadsheets and accounting software, then this position is for you! A knowledge of QuickBooks will help, but is not essential. Most importantly, this position requires organisation, organisation and more organisation.

The role of the treasurer is to:

- Construct, review and update an annual budget;- Provide monthly financial reports;- Supervise event budgets;- Liaise with the IT Officers to receive money from online sales;- Maintain efficient procedures for submitting budgets and receiving reimbursements;- Reimburse students’ expenses;- Provide invoices to sponsors;- Liaise with the Society’s auditor and prepare the Society’s books for audit;- To act as Public Officer of the Society;- Submit documents to and comply with requirements of the Australia Taxation Office

in a timely fashion;- Submit documents to and comply with requirements of Consumer Affairs Victoria in

a timely fashion;- Assist with other matters of the Committee where relevant; and- Sit on Faculty Committees where necessary.

SECRETARY

Responsible to: President

Love lists, folders and everything organisational? Want to take a slightly more ‘behind-the-scenes’ role? This position is for you! Although many committees have their minute taker as a non-voting role, you will have a vote on all committees you sit on. That said, your prime role will be to ensure that minutes are accurate, comprehensive, easily read and distributed in a timely fashion. This may come at the expense of being fully involved in discussion. Those wishing to run for the position of Secretary should enter the role with this understanding.

The role of the Secretary shall be to:

- Arrange and attend executive, Full Committee and general meetings;- Prepare agendas for above meetings;- Record accurate, comprehensive and easy to read minutes for above meetings;- Distribute minutes within 48 hours of the meeting to all members of the relevant

committee, as well as online;- Maintain files of legal documents such as minutes, constitutions, leases and titles - Handle inward and outward communication for the Society, including managing the

Society email address and physical mailbox;- Assist with other matters of the Committee where relevant; and- Sit on Faculty Committees where necessary.

SPONSORSHIP OFFICER (must be paired)

Sponsorship is the lifeblood of MUMUS. Particularly with free membership into MUMUS for all Monash University medical students in Victoria, a successful sponsorship team is vital to ensure that MUMUS events remain viable and have good value for money. The sponsorship officers function as a unit to maintain our existing strong partnerships with sponsors and to cultivate new opportunities for our members.

One of Sponsorship Officers must be in Melbourne during Jan/Feb, as the annual Sponsorship prospectus is drafted, published, sent out to sponsors, and packages negotiated at this time.

The duties of the Sponsorship Officers will be to:

- To liaise with existing Society sponsors to ensure that the existing agreements are mutually satisfactory and that the maximum benefit is being obtained for the members of the Society;

- To seek new sponsors for the Society or specific projects;- To negotiate/renegotiate terms of sponsorship agreements with current and

potential sponsors;- To collate feedback from event sponsors and event organisers to ensure MUMUS

events continue to improve and remain marketable;- Assist with other matters of the Committee where relevant; and- Sit on Faculty Committees where necessary.

IT OFFICER (must be paired)

Responsible to: President

Reports to: Executive and Full Committee as required

Sits on: Full committee

As technology becomes a larger and more important part of life, the role of IT Officer becomes more and more integral to the running of MUMUS. The IT Officer must have had prior experience in managing websites. A knowledge of Joomla, CSS and HTML is essential and proficiency in Photoshop, SQL, PHP, Java and/or Ajax certainly couldn’t hurt!

The role of the IT officer is to:

- To develop, update, maintain and backup the Society website;- Liaise closely with the Marketing officer to ensure that posters, graphics and

bulletins are created and publicised widely;- To coordinate the sending of a weekly bulletin;- To oversee online ticket sales and merchandise orders;- To regularly update content on the website (at least weekly);- To ensure the website contains no racist, sexist, homophobic or militaristic material

or material that the executive deems to be offensive;- Set up email addresses for all committee members;- To assist in other IT related issues as necessary;- Assist with other matters of the Committee where relevant; and- Sit on Faculty Committees where necessary.

MARKETING OFFICER (must be paired)

Sits on: Full Committee

This role is for those who believe photoshopping photos is not only fun, but essential. The marketing officer will be responsible for ensuring our events have flashy ads and thinking about all possible things we can put our logo onto, whether lab coats, key rings, hoodies or something more imaginative!

A knowledge of and proficiency in Photoshop or similar programs is essential. A basic understanding of Joomla and HTML would be useful.

The role of the Marketing Officer will be to:

- Create both print and online media for the advertisement of events as required by the Society;

- Arrange merchandise for the Society, including but not limited to:o Stethoscopes, sphygmomanometers and other medical equipment;o Lab coats;o Hoodies; ando Key-rings;

- Liaise with Academic and Social Vice-Presidents to understand the need for advertisements;

- Collate and design the weekly bulletin in conjunction with the IT officers;- Develop a marketing plan to help Monash students know what MUMUS is, what it is

doing and how to get involved;- Recruit others as necessary to assist in Marketing and Merchandise opportunities;- Assist with other matters of the Committee where relevant;- Sit on Faculty Committees where necessary.

YEAR LEVEL REPS (ACADEMIC)

Responsible to: Academic Vice-President

Reports to: Academic committee

Sits on: Academic committee, Full committee

A new role in 2011, the academic year rep will seek to strengthen an already strong representation of MUMUS on Faculty committees. They will be responsible for providing feedback to the Faculty regarding issues affecting their year level, and, where necessary, campaign for change. As part of this, reps will need Reports from all encounters with the Faculty should be written up and once reviewed by the Academic VP, placed on the MUMUS website to ensure transparency.

The academic year rep will meet monthly with other academic year reps to form an academic committee. This committee will be responsible for running academic events, including but not limited to:

- Careers nights;- Revision lectures; and- O-week information sessions.

The academic year reps will also assist the Society with other tasks where relevant, particularly supporting social year reps when necessary.

The academic reps shall sit on the following committees, reporting back to MUMUS after each, and address issues arising from:

- Relevant Year Management Committees; and- Other committees as necessary.

YEAR LEVEL REPS (SOCIAL)

Responsible to: Social Vice-President

Sits on: Social committee, Full committee

With more and more social events being run every year, it’s time MUMUS had a dedicated social team, tasked with making events bigger, better, more varied and run more often. To achieve this, for the first time in 2011, there will be social year level representative.

The social reps will meet with other like-minded social reps from all year levels to form the Social committee. Through senior students meeting with junior students, knowledge of how events can be successfully run can be shared. A knowledge of what events have and have not worked can also be shared. Events such as PFEs should be able to be more easily organised in this way.

The social committee will oversee the running of the following events, and other events as they see fit:

- A minimum Four Pleasant Friday Evenings per year level per year;- Back-to-base events;- Cocktail evenings;- River cruise;- Sports days; and- Non-alcohol focussed social events (ie BBQs, Bowling, Paintball, Movies, etc.).

Relevant year reps will assist in the running of the following events:

- O-week social evenings;- Med Ball;- Graduation events;- MedClub.

The social year reps will also assist the Society with other tasks where relevant, particularly supporting academic year reps when necessary, and sit on Faculty committees where necessary.

EXTENDED RURAL COHORT REPRESENTATIVE

Responsible to: Academic Vice-President

Reports to: Academic committee

Sits on: Academic committee, Full committee

Whether you’re concerned about the quality of rural medical education or worried that your new accommodation might not have Internet, this role is for you. As the chief liaison between the ERC cohort and MUMUS, you will represent students needs to MUMUS and the Faculty, and advocate for change where possible.

The duties of the ERC Rep shall be:

- Represent and advocate for all students enrolled in the ERC;- Act as liaison between Wildfire and MUMUS;- To organise activities for rural students;- To represent the Society on the committees of any relevant bodies involved in the

promotion of rural health;- To represent the Society on all Faculty committees regarding rural medical students

The Varicocoele has long been a feature of common rooms throughout Victorian hospitals and a provider of comic relief to students regardless of age and location. If you love Microsoft Publisher or Adobe inDesign, can work well in a team, are able to plan to meet deadlines and don’t mind chasing up articles from people who’ve promised to write them, then this spot is for you. In addition to these skills, a strong background in written communication and graphic design is necessary. A previous role in publications couldn’t hurt, and a sense of humour would be greatly appreciated.

The role of the Publications officer shall be to:

- Recruit and chair the publications sub-committee;- Oversee and contribute to draft layouts for the four editions of the Varicocele;- Oversee and contribute to draft design and copy-editing of the four editions;- Write a 500-800 word article for each edition;- Write a 100 word editorial for each edition;- Contribute other "filler" segments for each edition;- Negotiate and commission other students to write articles for each edition;- Maintain the publications email account (which usually involves 30-60mins replying

The Monash University Konvention Enjoyment Group (MUKEG) was founded, with the aim of supporting all students who wished to attend the convention, and providing a medium for students to meet prior, during, and after the convention as a united delegation. The group were interested in boosting spirit and pride for Monash and representing Monash in all aspects associated with the convention.

As MUKEG Chair, you will oversee the following aims and objectives:

- To promote the AMSA Convention to all Monash medical students - To organise and host meetings for all students interested in ASMA convention prior

to and after each AMSA convention allowing delegates to interact with one another and with other Monash students;

- To organise the delegation to the AMSA Convention, including the organisation of teams for all inter-university competitions;

- To encourage and foster pride in Monash amongst all students;- To support Monash convention delegates prior to, during and after the convention in

any matters which pertain to the convention;- To organise any uniform or other requirements required by Monash delegates;- To complete the above in co-operation with and conjunction with the Monash AMSA

Rep; - To buy and sell to members such things as the Sub-committee may deem fit; and- To raise funds, with approval from the MUMUS Sponsorship Officers, for any of the

o Futures forum (advice about the course, mental health, where med can take you, etc.)

o MedFest (a BBQ with stalls from sponsors, sub-committees and other student groups such as Ignite, Wildfire, Friends4Fiji, Team:MED, etc.)

o A social evening- Oversee the arrangement of MedCamp, including
