Introduction

Chemicals are frequently used in workplaces, and quite a number of them

are hazardous.

In order to prevent serious accidents to occur, we must ensure employees

and contractors have adequate knowledge of the hazards and risks involved

in the use of chemicals.



The Purpose of this Induction

• Learn about the background of Material Safety Data Sheet (MSDS)

• Understand the information available to you in MSDS

• Understand why and when you need to use MSDS to ensure the safety and

health of employees and contractors working with hazardous chemicals



Responsibility of Jones Lang LaSalle

• Liaise with contractors and arrange MSDS related training for building staff /

contractors.

• Ensure the provision of adequate Personal Protective Equipment and

information for staff and contractors as required.

• Ensure the compliance with MSDS program requirements for all staff and

contractors.



What is MSDS?

Material Safety Data Sheet (MSDS) is a document that:

• Contains detailed information about the properties and the possible health

and safety hazards of a chemical.

• Provides workers and emergency personnel with procedures for handling or

working with the substance in a safe manner.



MSDS includes the following data:

• Physical data:

- Chemical’s boiling point, melting point, flash point, etc.

• Storage & Disposal:

- Chemical’s storage allowance / instructions, disposal instructions, etc.

• Health effects:

- Potential health effects resulting from different routes of exposure to chemical

• Personal Protective Equipment (PPE):

- Eye protection, protective footwear, protective gloves, etc

• First-aid procedures:

- Emergency response measures to be taken in case of accidents with the chemical

Who should use MSDS’s?

• Anyone who may be exposed to a hazardous chemical at work.

• Employers who need to know the proper methods for storage, emergency

measures, etc. to ensure the safety of the employees.

• Emergency responders such as fire fighters, emergency medical

technicians, etc.

All staff and contractor employees in contact with hazardous

chemical should be aware of what MSDS is, and its relevance

to their health and safety.



How do you get MSDS’s?

MSDS’s should be:

• Issued from the chemical supplier or original manufacturer.

• Provided by vendors / contractors for all hazardous chemicals that are

used or stored on site.



How do you get MSDS’s? - Procedures

Step 1 (FOR HKPM ONLY):

• Check out the MSDS Document Library on MyGreenManager and

download your required MSDS documents (if available).

Step 2 (Start here if Step 1 is not applicable):

• Request for MSDS documents from cleaning / landscaping / pest control

vendors.

• Send MSDS request letter to vendors for all chemicals that are used /

stored on site. Please refer to the sample request letter template.




If the vendor CANNOT provide the required MSDS:

• Ask the vendor to provide the brand and model of the chemicals as a

minimum request.

• Search on the reference websites (refer to “References”) with the

chemical brand and model. Request support from EOS Coordinator if the

required information cannot be found.




Step 3 - Once MSDS’s are collected / received:

• Check for outstanding MSDS or unmatched MSDS information with

inventory list, ask the vendor to provide any missing information.

• Ensure recommended handling methods or legal regulations for the

chemicals can be fulfilled.

• Ensure proper steps are taken to safeguard the health and safety of

occupants and owners when the chemicals are being used.




If certain requirements CANNOT be fulfilled due to environmental constraints,

lack of PPE, etc:

• Escalate the problem to EOS Coordinator

• Work out a solution with the vendor

• E.g. If the storage allowance for a certain chemical according to MSDS is

less than the required amount on site, ask the vendor to use another

chemical if possible.



Documents to complete and maintain

Property Managers should work with vendors to complete the following

documents and submit to EOS Coordinators for record:

• Chemical Inventory List

- A summary list of all chemicals stored / used on site for Cleaning,

Landscaping, or Pest Control.

• Chemical Fact Sheet

- One for each chemical should be completed and posted at where the

chemical is stored so that the critical information on the chemical can be

immediately accessed when required.



Where are MSDS’s located?

• MSDS should be maintained on site at all times and available for all staff

and contractors in contact with chemicals. A copy of the documents are

recommended to be kept at the control room.

• If not sure, ask your supervisor or manager where MSDS’s are located.

• Chemical Fact Sheets should be posted at the storage location for the

chemicals.



When do you use MSDS’s?

• Whenever you need additional information about a chemical that is not

included on the product label.

• If an accident occurs, you may not have time to look up the information you

need in an MSDS. Read the MSDS before you work with the chemical.

For example: You have spilled nitric acid on the floor and you need to know

how to clean it up safely. You will refer to the "Safe-Handling Procedures"

section of the chemical’s MSDS.



Why are MSDS’s important?

• It provides crucial information on the health hazards, storage instructions

etc, to ensure the health and safety of employees and contractors.

• In incidents involving chemicals, refer to MSDS for the required emergency

responses and handling procedures so as to take appropriate actions and

to minimize the potential risk.
