MM1A.2.1] MM01- Create material Master data

Group in charge of master data is notified that a material master is required for a material.

PurposeThis Work instruction will be used by the relevant in-charge for maintenance of Material masters. Material will be created at Plant level and same can be extended to various other plant with applicable views.

Prerequisites Using a reference material (similar characteristics etc.) saves a lot of effort as all the views

will be copied over and can be changed or overwritten. To set user defaults for views and organizational levels follow these steps:

Views: Menus: Defaults >> Views Select those views to be checked on by default when generating a new material. Select

‘View selection only on request’ when the select view pop-up is to be by-passed unless selected.

Organizational levels: Menus: Defaults >> organizational levels Enter those organizational levels to be defaulted when generating a new material. Select

‘Org. levels/profiles only on request’ when the select view pop-up is to be by-passed unless selected.

1.1. Access Create Material: Initial screen by:

Menu PathTo go to the Create Master Data: Create Basic Data View screen, use the following menu path:

Work Steps

1. Update the following Required, Optional, and Conditional fields, as needed:

Field R/O/C Description/Action

Material R Enter the Material Code since External Material no. is applicable

Industry Sector R Choose “chemical industry” from the drop down in this field

Material Type R Choose the relevant Material Type in this field. Following is the type of Material defined for project items:

Z003Project

Copy from Material O If there is a material which is similar to the material required to be created, enter it in the reference material. This will copy all the views existing and necessary changes can be made to create the new material.

R = Required, O = Optional, C = Conditional



2. Select the following views first :




Select View R Choose the following Views

1. Basic Data View 1&2

2. Classification View

3. Purchasing

4. Purchase order Text

Note: Basic data views 1 & 2 & Classification view are at client level, therefore it will not require any organizational data. These will be maintained by central agency.

4. Update the following Required, Optional, and Conditional fields, as needed in above screen :

Material Description R Description of Material

Enter material description

Base unit of measure R Base unit of measure in which material will be managed

Select from unit of measure table

Material group R Material group will be X004.

5. Update the following Required, Optional, and Conditional fields, as needed n basic data 2.


DG Indicator Profile O Indicates whether material is dangerous.

In case it is dangerous nature enter G00.



6. Update the following Required, Optional, and Conditional fields in Classification view as follows:


RC_General R Enter Old Material Code in RC Old material no.

Enter Drawing No. in RC Drawing no.



7 ..Update the following Required field in Purchasing in above screen :


Batch Management R Check it. It is must for all stores and Spares



8.Update the following Required field in Purchase Order Text View, as needed:


Purchase order Text R Long Description of item

Save it.

Now material is to be extended to a plant and other plant specific data to be entered.

T Code :MM 01 :

Please enter item code to be extended , enter items code from which other plant data is to be copied .Select following views:

Purchasing , MRP1,2,3&4 views ,General Plant Data1 &2 ,accounting1&2 views .

Specify the Organizational Levels for which the material has to be defined.



9. Update the following Required, Optional, and Conditional fields, in Purchasing View as needed:


Plant R Enter the plant in which the material is to be defined.

Storage Location R Enter the Storage Location-

Valuation Type O Enter the valuation type to which this material is to be extended- Domestic/Imported/FOC/Repair.

(To start with material will be created without valuation type only with valuation category B i/e split valuation is effective later on it will be extended to respective types.)

10.Please enter following information in Purchasing view:




Order Unit O Unit of Order.

UOM of order to be entered in case dual unit are maintained.

Variable order unit active C It will be used in case dual units are maintained

In case of above we will enter 2 i.e active with own price.

Purchasing group R Purchase Group which do procurement activity for this item.

Since it is not known at the time of item creation hence we will UNK , later on at the time of PR final release by purchase , it will be corrected .

Plant-Specific Material Status

O This will indicate whether material is Surplus / Obsolete and we have to block procurement.

In case material is surplus we will put G1 and in case of obsolete G2 flag.

Material freight group R We have decided to Denote Consumption type Fixed / Variable / Specified.

In case of Variable Consumption item-V, Fixed nature –F and Specified-S.

Batch management R Will denote that material is batch managed.

In our case all of our Stores & Spares stock will be maintained department wise through batch management ,hence batch management will be active -Checked

Purchasing Value Key O Key defining the reminder days and tolerance limits valid, as well as the shipping instructions and order acknowledgment requirement of the material for Purchasing.

GR Processing Time R Number of workdays required after receiving the material for inspection and placement into storage.

In our case value will be 3 days

Critical part R Item is of high consumption value or Low consumption value.

For high consumption value items it will be X, otherwise blank.

11. IN MRP1 view enter following information :

12. Update the following Required, Optional, and Conditional fields In MRP1 View, as needed:


MRP Group R To denote whether material covered in MRP.

For all items except AC/VC common ideal we will use 0000 and AC/VC common items Z002

MRP Type R To Denote whether this item is covered in Min-Max/Ideal/Specified

For Min-Max Items -VB, Department Ideal items-Z1, Specified items-Z2.

Reorder Point C To Inform Reorder qty in case MRP Type-VB

MRP controller O To inform responsibility to Maintain the stock.

STR-If MRP type VB, Deptt Code- For MRP type Z1 and else blank.

ABC Indicator R Insurance-V, Critical- E, Non critical -D

Lot size C Key that determines which lot-sizing procedure the system uses within materials planning to calculate the quantity to be procured or produced.

In case of VB-HB else blank.

Maximum stock level C Quantity of the material in this plant that may not be exceeded.

In case of Min-Max- Max qty, in case of department ideal-Ideal qty else blank.

10. Update the following Required, Optional, and Conditional fields in MRP 2 Views, as needed:


Planned Delivery Time R Enter the planned delivery time(Lead Time) for this material in the aforesaid plant.

Safety Stock R Please enter the safety stock for this material plant combination in case MRP type is VB.

Storage location for EP R Storage location

11. Update the following Conditional field in MRP 3 view, as needed:


Availability Check R Specifies whether and how the system checks availability and generates requirements for materials planning.

In our case we will use 02 -Individual requirements

12. Update the following Conditional field in MRP4 View as needed:


Storage location MRP indicator

C Indicator that you use to exclude storage locations from material requirements planning at plant level.

If you do not set this indicator, stock, requirements, and receipts are included in MRP at plant level.



13. Update the following Required, Optional, and Conditional fields in Plant Data/Store data 1 &2 View, as needed:


Storage Bin R Indicates Bin no. in storage location where material is stored.

Temp. Condition O Will use to indicate whether material is Combustible / Non Combustible.

01- For Combustible items ,02-For Non Combustible items.

Stock Determination Group R Will use to indicate whether materials is Fast /Slow / Non Moving.

Fast Moving- Blank, Slow Moving 01 , Non Moving 02 .

CC Physical Inventory Indicator O At what freq. material will be counted.

Minimum Remaining Shelf Life O In case of Shelf life item what is minimum shelf life required for the itemNo. of Days minimum shelf life required for a item.

Total Shelf Life C Total Shelf of item required in days in case item is shelf life item.



14. Update the following Required, Optional, and Conditional fields in Plant Data/Store data 2 View, as needed:


Profit Centre R Key that uniquely identifies the profit center in the current controlling area.

We will use one form following:

RCM –RC,GSR-GS,GCR-GC,BSH-BSC ETC.

15. Update the following Required, Optional, and Conditional fields in Accounting1 View, as needed:


Valuation Category R Determines whether stocks of the material are valuated together or separately.

Since we will be suing split valuation for Stores & Spares hence we will use B to indicate the same.




Valuation Class To determine which GL account Material movements to be posted.We will use following classes:

Price Control R Determines whether the price is valuated at standard price or moving average price. Enter “V” for all Stores & Spares valuation type Domestic & Imported ,for FOC and Repair type we will use and “V” Standard Value.

Moving Avg. Price R Enter the moving average price to the material. Next time onwards the system will automatically calculate the MAP and default in this field.

Price Unit C Number of units to which the price refers ,in our case it will be always 1

Save Code.

Now material is to be extended to a Valuation Type as under :

Please enter item code to be extended , Select following views:

Accounting1 view .

Specify the Organizational Levels for which the material has to be defined.



16. Update the following Required, Optional, and Conditional fields, in Purchasing View as needed:


Plant R Enter the plant in which the material is to be defined.

Storage Location R Enter the Storage Location-

Valuation Type O Enter the valuation type to which this material is to be extended- Domestic/Imported/FOC/Repair.



17.Update the following Required, Optional, and Conditional fields, in Purchasing View as needed:
