Radio Button

Radio buttons are clicked to turn a selection on or off. If the radio button is filled black it is selected (or on). If the radio button is clear as in this example, it is unselected or off.

Check Box

Similar to radio buttons, check boxes are used to turn a selection on or off. The check box will display a check mark if it is turned on, and will be empty as in this example if turned off.

Entry or Display field

These are used to enter data or for display of data previously entered. These fields may be protected or unprotected. If protected, this means it is for your information only and it may not be changed. You will not be able to enter data into a protected field. If unprotected, you may enter data into the field by positioning your mouse cursor over the field and typing the data you wish to enter.

List of Values or LOV

An LOV is used when there is a choice of items to enter in a screen field. Use the down arrow to display the list. Then position your mouse pointer over the list item that you wish to select and click the left mouse button to select it. The selected item is populated in the screen field.

Scroll Bar

A scroll bar appears on the right hand side of a screen or an LOV when there is more data than can fit in a single screen image or LOV box. Left mouse click on the arrow keys or left click and slide the rectangular elevator to move the screen or LOV up or down and display additional data.

hyperlink Usually underlined in blue or magenta and sometimes bracketed, these work similarly to buttons and enable the user to move from function to function or access sub forms.

ABOUT THE MACHINE POPULATION AND BILLING INFORMATION SYSTEM ..................................................................................................................................................................

The Machine Population and Billing Information System is an Extranet system developed by Canon’s IT Division to give Canon’s top Retail Accounts (those supported by National Accounts and the Government Marketing Division) the ability to view online and/or download reports showing their billing activity, machine population, and meter counts. The system will provide more timely access to billing data and will help eliminate paper reports that are currently distributed to customers.

Information may be summarized for an entire account or a group of accounts, or may be detailed down to the individual machine level. Counts and billing data are listed by month and may be summarized by quarter. Various formatting and sort parameters are provided so the user may customize their own version of the reports.

Access to the Machine Population and Billing Information System is through Canon’s CNA (Canon Network Access) Extranet System. Canon customers will be assigned access rights to CNA and to the Machine Population and Billing Information System. The Logon ID (UserID) will determine the access rights that each user will have to both the CNA system and to functions within the Machine Population and Billing Information System.

Accessing the Machine Population and Billing Information System

Access the Machine Population and Billing Information System through the Canon Network Access system (CNA) using the procedure described below.

The CNA Main Menu allows Canon customers access to many different functions within the Canon Network Access Extranet system. One of these functions is the Machine Population and Billing Information System.

Using Menus Menus allow you to execute major system processes as well as allowing you to move quickly between one system function and another. There are three types of menus in the Machine Population and Billing Information System:

• The Internet Browser Menu bar- appears at the top of your browser window and is independent of the application you are running. For example, the Back button on the Internet Browser Menu Bar will return you to the last screen you accessed, whether you are running the Machine Population and Billing Information System or another application.

• The Machine Population and Billing Information System Menu Bar – will enable you to navigate to other functions within the Machine Population and Billing Information System.

• Hyperlink Menus – the example below shows the Machine Population and Billing Information system hyperlink menu with two choices. Click on the hyperlink to proceed to a menu option.

This function summarizes copy volumes, billed amounts, and machine population for the account. Data is summarized monthly with quarterly totals. You may also “drill down” to display this summary data from the highest level of Account down to the individual machine serial number.

1 Report Title Monthly Billing Report by Account. This report was generated when the user “drilled down” to the Account Level by clicking on the Group Name hyperlink on Report #1.

The default selection for this LOV is 07: Total Bill. In this case the report will show total dollars billed by month with monthly totals summed for each quarter shown on the report.

There are eight selections available in this LOV. Once the report is displayed, you may make another selection from this LOV.

Summary Report Download allows you to generate Report #3 Monthly Billing Report by Location showing billing details for each machine and its attached accessories. The report may be viewed on screen in a printable version, or may be downloaded to your PC as an Excel file. This function also gives you the flexibility to sort the report using one or more fields appearing on the report.

1 Data Selection Use this LOV to limit the amount of data selected for the report or download. Choices are First 10, First 20, First 30, First 40, First 50 or ALL.

2 Account Code

Your company’s Account Code and Account Name. Use this LOV to select a specific account if more than one account exists for your company. The report will be produced for all machines associated with the selected account.

3 Sort Elements Any of the fields listed in this box may be used as report sort fields. In order to use one or more of these fields as sort fields, they must be moved into the Selected Sort Keys box, as described below.

4 Selected Sort Keys

This box contains the actual sort fields. The user may move any or all of the Sort Elements into this box. Once moved here, these fields become the actual sort fields used when the report is run. The field appearing at the top of this box is the primary sort field. Fields appearing below this primary sort field are the secondary and tertiary, etc. sort fields. For example if Model appeared at the top of this box and Serial Number was below it, the report would be sorted first by model name and then within each model name sorted by serial number. All sorts are ascending.
