Lesson 1 Introductory Materials

Training overview Menu Driver training takes place during one visit that lasts one or two days.

This manual is intended to lead you through your SunGard HTE training classes. SunGard HTE provides comprehensive online help for your ongoing reference and refresher needs. Throughout this manual you will see references to related online help sections that you should refer to. These references are noted by an icon. The procedures in this guide are also in your online help. SunGard HTE recommends that you train your employees to utilize the online help, since it will always include the most comprehensive, up-to-date instructions for using your SunGard HTE software.

Objectives By the end of the training sessions, you will be able to:

• Add menus, functions, and subfunctions • Add users to the SunGard HTE System and to applications • Set up user groups • Set up security levels • Set up test and multiple environments • Use the online help

Who should attend? SunGard HTE recommends that the following personnel attend:

• System administrators who will be authorizing users to the System i5 and setting up user groups

GUI vs. green screen The best way to demonstrate the difference between a graphical user interface (GUI) screen and SunGard HTE’s text-based screen (green-screen) is to compare them side by side. Figure 1 is a green-screen representation of the Budgeting Level Selection screen. In green-screens, options display with a number. In order to perform an action, you must type the number next to the record and press Enter. To perform a function, you must press the appropriate function key on your keyboard.

Figure 2 below is the GUI representation of the same screen used in Figure 1. GUI provides a Windows-like look and feel, and has buttons and drop-down menus that you can click with your mouse. Though the functionality of GUI and green-screen remains the same, the process in GUI is slightly different. In order to perform an action, you must highlight the record and click the option you want to perform. In most cases, there is no need to click OK or press Enter because GUI performs that step for you. Functions display on the bottom of the screen, just like in green-screen. However, both options and functions also display in a drop-down menu.

Note: Always check the drop-down menus for options and functions that may not display on the screen.

Notice that in GUI, options and functions do not display with numbers. However, the function key functionality also works in GUI.

Example: You want to exit the Budget Level Selection screen in GUI. You can press F3 on your keyboard or click Exit.

Start using SunGard HTE's online help

What is online help? Online help provides the same information that you would find in paper bound manuals, such as:

• What's New - Brief descriptions of enhancements to the latest release of the software.

• Overviews - Background and conceptual information, which includes examples to help illustrate concepts.

• Procedures - Step-by-step instructions for how to perform basic job tasks.

• Checklists - Broad procedures that may be used on a weekly, monthly, or yearly basis. Checklists can help remind you of steps that need to be taken at a certain time.

• Frequently Asked Questions - Answers to questions that customers most often ask.

• Contents and Index - Tools that help you locate information online quickly and easily.

How do I use the online help? To access your online help, double-click the Help icon located on your desktop. To locate sections, you can use the tabs on the left side of the help screen.

Benefits of online help • Unlike a paper manual, all your employees can use the help at the same time.

• The help is always current. Software updates automatically include updated online help. When new features are developed or changes are made to the software, the help can be updated quickly.

• You don't have to fumble with insert pages when you receive a software update.

• Familiar browser-style format means you don't have to learn how to use a new online help format.

• Full-text search capability makes it easy to search the entire online help for a single word or phrase.

Lesson 2 Overview of Menu Driver

Overview of Menu Driver Menu Driver is a SunGard HTE application that allows you to control who uses applications, menus, functions, and subfunctions. Only the system administrator should be authorized to everything. You can use Menu Driver to set up and maintain users, user groups, functions, subfunctions, and menus. You give user groups authority to work with features and functions of software applications.

You can also use Menu Driver to customize menus by setting up your own menu and adding existing menus as menu options. SunGard HTE also creates menus and functions and sends them with each update of the software applications. You can copy any of these menus and modify them as a user menu.

Overview of program selection Menu Driver has a feature called "program selection," which allows access to all authorized functions and programs across all applications. This saves time by allowing access to different functions at the same time.

Functions are menu options you use to accomplish tasks. You can use the "program selection" feature to select functions you want to work with. The "program selection" feature creates a list of functions you select during your work session. You can keep several functions open as you work to create a "multi-tasking" environment.

The "program selection" feature allows you to:

• Select new functions that are added to your list of open functions • Return to functions you already used during your current work session

SunGard HTE defines functions that arrive with the software application. Your organization can also define custom functions. You use these functions during work sessions to perform software tasks.

By creating a list of functions for your work session, you can move easily from one function to another. You do not have to select or type the function you want to work with. You just select the function from your list.

When you finish work with each function, you can add it to your function list for use later in your work session. Once you add a function to your list, you can easily return to it by selecting it with the "program selection" feature.

To select a function, you can:

• Type the function you want to work with • Choose the function from the list of functions already used during your work session • Choose the function from a list using the Prompt function

When you type the function you want to work with, you specify the software application and the function. You can type the software application or use the Prompt function to select it. You can type all or part of the function name. If you type the entire function name, the system retrieves the function you want to work with. If you type a partial function name, the system retrieves the function or displays a list of functions starting with the letters you typed. You can select the function you want from this list.

If the function you want is not on your list of previously used functions or you do not know the exact function name, you can use the Prompt function. First, you specify the software application to which the function belongs. When you use the Prompt function, the system displays a list of functions for the software application you specified. You can select the function from this list.

Example: You want to print an Actual Costs Report in the Fleet Management (FM) software application. You press Escape or Attention to display the Program Selection window. You type FM in the Application field. The cursor automatically moves to the Function field. You use the Prompt function. The software application displays a list of all available FM functions. You select the Actual Costs Report function from the list, and the software application retrieves the function for you to work with.

When you select a new function, the previous function is added to your list. You can select previously used functions later in your work session. If you do, the system returns you to where you were in the function before you pressed Escape or Attention.

Example: You are viewing your messages using the Mail function. You need to send a message. You press Escape or Attention. In the Application field, you type HT. Then you select the Send message function. The system adds the Mail function to your list of functions and allows you to send a message.

If you do not need to use a function again during your work session, you can use the Cancel or Exit functions. If you use either of these functions, the system closes the function and does not add it to your list of open functions. If you want to keep the function open and add it to your list, press Attention or Escape instead.

If you use the Cancel function when the Program Selection window displays, the system returns you to the function you used most recently.

Starting Menu Driver You can access Menu Driver using one of three commands or the user initial program.

Commands • HTEMNU HT *SELECT

Use this command to begin working with Menu Driver and go directly to other applications and menus. The *USER parameter determines which menu displays when you use this command.

• HTEMNU XX *SELECT

Replace "XX" in the above command with the two-letter application designator to display the selection of menus for that application. For example, if you want to display Payroll/Personnel menus, you type HTEMNU PR *SELECT, since PR is the two-letter code for Payroll/Personnel.

• HTEMNU XX *FIRST

Replace "XX" in the above command with the two-letter application designator of the application you want to display the main menu for. For example, if you want to display the main menu for Customer Information System, you type HTEMNU CX *FIRST, since CX is the application designator for Customer Information System.

User initial program The user initial program is a SunGard HTE program that is embedded within the System i5 user profile. You use this program to set up the menu that displays for each user when the user signs on to the System i5. This allows the user to access Menu Driver without typing any commands.

You set up the initial application and the initial menu when you set up user information within SunGard HTE software. You can select any SunGard HTE application or menu.

The four components of Menu Driver are:

• Applications • Menus • Functions • Subfunctions

The HTEGPL application Menu Driver uses an application called HTEGPL to control basic functions such as:

• Menus and functions • Function keys • The "program selection" feature

You also use HTEGPL to control the use of menu screens and access to the command line.

Menu Driver is different from other SunGard HTE applications because it allows system administrators to access menus for all SunGard HTE software applications.

Signing on to the system

Follow these steps to sign on to the System i5 for this training session.

1. In the User field on the Sign On screen, type QSTUxx, where "xx" is your student number.

Note: Your Application Specialist will tell you your student number.

Example: QSTU18

2. In the Password field, type QSTUxx again.

3. Click OK or press Enter.

Adding application codes to activate the menu system Before you can work with software security, you should follow these steps to set up and activate the menu system.

1. Sign on to the system as QSECOFR.

2. Type the following on a command line:

3. Click OK or press Enter.

Note: If the Application Menus Selection window does not appear, type ADDLIBLE HTEGPL *LAST on a command line and click OK or press Enter. Then repeat steps 2-3.

4. Select Menu/Security Functions Menu.

5. On the Menu/Security Functions Menu, select Applications.

6. Do application codes display?

• If yes: Make a note of the codes that display. Then proceed to step 9.

• If no: Proceed to step 7.

7. Type the following on a command line:

DSPAPPSTS 8. Click OK or press Enter.

Result: The list of libraries you have installed on your system displays. Make a note of the codes that display. The first two characters of the library names are the application codes.

9. Compare the list of libraries against the list of application codes you noted in step 6 or step 8.

10. Do you have application codes set up for all of your SunGard HTE libraries?

Note: You must have the HT application code set up. The HT application may not display even though it is installed. The HT application installs automatically when you install another SunGard HTE software application. Therefore, if you have any application codes set up, the HT application is set up.

• If yes: Use the Exit function. Then proceed to step 16.

• If no: Proceed to step 11 to set up the application codes you are missing.

11. Type the application code you want to set up in the Appl field.

12. Use the Create option for the application code you just typed.

13. If you want to change the description that displays, type over the description.

Note: SunGard HTE recommends that you do not change the application description.

14. Click OK or press Enter.

15. Repeat steps 11-14 for each application code that you need to set up.

16. Select HTE, Inc. Application Menu.

Result: The SunGard HTE menu system is set up.

Overview of menus Each application has a set of system menus that SunGard HTE sends with the application. These system menus access the standard functions for the application you are using.

You can customize the user menus, but you should not customize any SunGard HTE-defined menus. The title of the screen indicates whether you are working with user-defined information or SunGard HTE-defined information.

Warning: If you customize SunGard HTE-defined information, you may lose your changes when you install a new version or PTFs for the application.

Overview of functions SunGard HTE sends you each software application with a set of base functions that provide access to a program or command.

A function may be a standard or even a mandatory use of the software application. Functions include SunGard HTE software menu options that allow you to perform actions necessary to the basic use of the software application.

Determining the function you are working with Follow these steps to determine the function you are currently working with.

Note: You should be a system administrator to do this procedure.

1. Write down the code that displays in the upper left corner of your System i5 session.

Note: You only need to write down the two-letter application code and the next three numbers that display.

Example: BP101IU0 displays in the upper left corner of your screen. You only need to write down BP101.

2. Use the Exit function until you return to the Menu/Security Functions screen.

3. Select Applications.

4. On the Work with Applications screen, use the Functions option for the application represented by the two-letter application code you wrote down.

5. Use the Switch type function.

6. On the Work with HTE Application Functions screen, use the Subset function.

7. In the Executes field, type the code you wrote down in step 1.

8. Click OK or press Enter.

Result: The name of the function you are working with displays.

Overview of subfunctions Subfunctions are functions that perform operations on other functions. For example, you use the Add subfunction to add the File Maintenance Menu to your main menu. You use the Delete subfunction to remove the Meter Functions Menu from the main menu. Subfunctions also provide additional application security.

Since not all functions contain subfunctions, you can use the Subset function to display a list of functions that contain subfunctions.

Selecting functions to work with Follow these steps to select a function to work with.

1. Click the SunGard HTE logo in the upper right corner.

Note: If you are not using SunGard HTE’s graphical environment, press Attention or Escape.

Result: The software application puts your current function on hold and displays the Program Selection window.

2. Is the function you want to work with listed in the Function column of this screen?

• If yes: Select the function you want to work with. Then proceed to step 6.

• If no: In the Application field, type the application you want to work with.

3. In the Function field, type the function you want to work with.

Example: You want to work with the calendars in the HT application. Type HT in the Application field. Then type cal in the Function field. When you click OK or press Enter, the software application displays the Calendar function. However if you type only c, the software application displays a list of HT functions starting with the letter "C."

4. Click OK or press Enter.

5. Does the software application display the function you want to work with or a list of functions?

• If the function you want to work with displays: Proceed to step 6.

• If a list of functions displays: Select the function you want to work with.

6. When you finish working with the selected function, what do you want to do?

• To return to the function you were last working with: Use the Exit function.

• To return to a function you worked with previously: Press Escape or Attention. Select the function you want to work with from the list on the Program Selection window.

• To select another function to work with: Repeat steps 1-6.

Levels of security Software security should be the responsibility of a select few within your organization. Those who set up software security need the authority to work with the following functions:

Every software application has the functions listed above for setting up security.

The security you set up determines who can use menus, menu options, functions, and subfunctions. You give user groups and individual users authority to work with features and functions of software applications. You can also deny authority to user groups and individual users.

Note: The system administrator should be authorized to all applications, all functions, all menus, and all subfunctions. No one else should have full authority to the software applications. The system administrator should also have *SECOFR authority in their System i5 user profile.

SunGard HTE recommends that you set up the following levels of security:

• System administrator • Application administrator • Application users

Security officer (QSECOFR) Note: QSECOFR is already set up on your system and has full access to Menu Driver security. When you start using the system, you use the QSECOFR user profile.

You use the QSECOFR user profile to:

• Set up Menu Driver for your organization • Set up the system administrator • Perform system maintenance • Change object security

Only one or two people in your organization should have authority to this user profile.

QHTE Note: QHTE is already set up on your system and has full access to Menu Driver security.

SunGard HTE support personnel use the QHTE user profile to assist with software-related problems on your system. The QHTE user profile:

• Has programmer (QPGMR) authority • Has access to all SunGard HTE applications • Is not enrolled in Menu Driver

Note: If you change the password for the QHTE user profile, you must let SunGard HTE know the new password.

System administrator The system administrator should control security across all SunGard HTE applications. They should be responsible for:

• Installing the SunGard HTE software applications • Adding application codes to activate the menu system • Setting up the HTEGPL user group for application users • Setting up users in the SunGard HTE menu system

The system administrator should have security officer (QSECOFR) authority in order to create other user profiles.

You should create this user profile before any others and give the profile access to all applications, all menus, all functions, and all subfunctions. The system administrator does not need to belong to a user group.

• Controlled access to SunGard HTE software applications • A user class of *USER • Limited access to HTEGPL and menu and security maintenance functions

Setting up the HTEGPL user group for application users SunGard HTE’s general purpose library, HTEGPL, allows all users in your organization access to the SunGard HTE Main Menu and SunGard HTE application menus. However, it does not allow users access to security functions. These functions are reserved for the security officers and system administrators.

Note: The HTEGPL group does not include command line authority.

Follow these steps to set up the HTEGPL user group and give all users in your organization access to the SunGard HTE, Inc. Application Menu.

Note: You should be a system administrator to perform this procedure. You must activate SunGard HTE's menu system before you perform this procedure.

1. Sign on to the system as QSECOFR.

2. Type the following on a command line:

Adding users to the System i5 When you set up user authority, the system administrator is the only person who should have authority to all applications, all functions, all menus, and all subfunctions.

Note: The system administrator adds users to applications, and the application administrator assigns the users to application user groups.

Follow these steps to set up a user in SunGard HTE’s menu system.

1. Sign on to the system as QSECOFR.

2. Type the following on a command line:

HTEMNU HT *SELECT 3. Click OK or press Enter.

4. Select Menu/Security Functions Menu.

5. On the Menu/Security Functions Menu, select Users.

6. Select the blank User ID field.

7. Type the ID for the user you are setting up in the User ID field.

8. Type the user’s name in the Description field.

Tip: You should use the same format for all users you set up. (Last name then first name or first name then last name, and so forth.)

9. Click OK or press Enter.

10. Type HT in the Initial application field.

11. Use the Prompt function in the Initial menu field to select HTE, Inc. Application Menu.

12. In the Show non-authorized menu options field, indicate whether you want the user you are setting up to view menu options they are not authorized to access.

13. Indicate No in the following fields:

• All applications • All functions • All menus • All subfunctions

Note: Only indicate Yes in these fields if you are setting up a security administrator.

14. Leave the preset *USER in the User Class field.

Note: If you are setting up a security administrator, indicate *SECADM in this field.

15. Click OK or press Enter.

16. Make sure that HTINLPGM displays in the Initial program to call field.

Note: If you had a previous System i5 system, be careful not to override any settings that pertain to that system.

The application administrator should be responsible for controlling access to a specific application. Once a user is set up in the SunGard HTE menu system by the system administrator, the application administrator should set up the user in the appropriate HTE application. The application administrator should be responsible for:

• Setting up application user groups • Adding users to an application’s user groups

The application administrator should have Menu Driver maintenance authority only through the file maintenance menu of the application.

Overview of users and user groups Menu Driver user profiles combine System i5 user profile information with SunGard HTE user information. The System i5 user profile information is created automatically by the User Maintenance program.

Note: The system administrator sets up users in the system. Application administrators should check with the system administrator for the list of users for their applications.

User groups are categories of related personnel who work with the system. For example, the members of a department can be assigned to a user group indicated by the department name. A user group can be authorized to certain programs or functions within the system, and one user can be authorized to more than one user group.

You should limit the number of applications that you authorize a group to, and you should not create a group that has authority to all applications. System administrators should be the only group authorized to all applications.

Setting up application user groups Follow these steps to set up user groups for an application.

Note: If you are a system administrator and you want to set up user groups for multiple applications, proceed to Setting up application administrator user groups.

1. On the File Maintenance Menu, select Application security - Groups.

2. Type a name you want to use to identify the group in the blank Description field.

Note: SunGard HTE recommends that you start the name of the user group with the application code. For example, if you are setting up a user group for Building Permits, start the name of the user group with "BP." That way all user groups for an application display together.

Adding menus Follow these steps to add menus to a software application.

1. Sign on to the system with your system administrator user profile.

2. Type the following on a command line:

4. Select Menu/Security Functions Menu.

5. On the Menu/Security Functions Menu, select Applications.

6. Use the Menus option for the application you want to add a menu to.

10. In the Allow public to use field, indicate whether you want everyone to have authority to this menu.

12. In the Main menu for application field, indicate whether you want this menu to be the main menu for the current application.

Note: The menu you indicate here replaces the system menu.

13. In the Check for new mail field, indicate whether you want the application to check for new mail messages.

14. If you want the application to perform a function before displaying the menu options, type the command in the Command to execute before field.

15. If you want the application to perform a function after displaying the menu options, type the command in the Command to execute after field.

• If in a vacant position on the menu: Press Tab to move to the Sequence number field. Type an unused sequence number over the preset number. Press Field Exit.

• If before a specific option: Press Field Exit twice to move to the Insert before sequence field. This also deletes the number preset in the Sequence number field. Type the number of the menu option you want the new option to precede. Press Field Exit.

• If after a specific option: Press Field Exit three times to move to the Insert after sequence field. This also deletes the number preset in the Sequence number field. Type the number of the menu option you want the new option to follow. Press Field Exit.

11. Complete the appropriate fields in the "Optional values" section.

12. Click OK or press Enter.

13. Does either of the following messages display?

A menu option with this sequence already exists.

Only one of the three sequence options can be used.

• If yes: Press Reset. Repeat steps 10-13, making sure that the:

- Number in the Sequence number field is not already used for a menu option

- Sequence number field does not contain a number if you typed a number in either the Insert before sequence field or Insert after sequence field

- Insert before sequence field and the Insert after sequence field do not both contain numbers

• If no: Proceed to step 14.

Result: The software application:

- Adds the selected function or menu to the options on the menu

- Clears the information you typed in the fields on the Add Application Menu Option screen

- Updates the number in the Sequence number field if appropriate

14. Use the Cancel function.

15. View the list of options now on your menu. Do you want to remove any gaps in option sequence?

Checklist for including your old custom options program in Menu Driver In the past, SunGard HTE software applications ran on a control language menu system that included a Custom Options program for each application. This program was designed to present customer programs in menu format and included a program to add entries to the Custom Options program. Since SunGard HTE software applications started using Menu Driver, many of these custom options programs were not available.

Note: If you want to add custom options to Building Permits, GMBA, Business Licenses, Code Enforcement, or Planning & Zoning, use that application’s File Maintenance Menu instead of following this procedure.

Note: You should only follow these steps if you have existing custom options programs that you want to add to Menu Driver. If you don’t, you should follow the steps in the following procedures, depending on what you want to do:

• Adding menus • Copying a menu to substitute a main menu • Changing menu information • Adding menu options

Note: In order to do this procedure, you need to know the name of your custom options program. If you do not know the name of your custom options program, call the customer support team for the application you are working with.

Follow these steps to apply these programs to Menu Driver and create a Custom Options Menu.

1. Create a function that calls the old custom options program by following the steps in Adding functions and function security.

2. Add the function you created to a menu by following the steps in Adding menu options.

3. Copy the menu to substitute a main menu.

Note: Indicate that the new menu will be the main menu for the application.

4. Assign users or user groups to the new menu.

Appendix B Test Environments

Overview of test environments You can use a test environment to test a new release of SunGard HTE software. It may include all of your application libraries or only those libraries you select. You will need additional disk space to create a test environment. Be sure to check the amount of disk space on your server.

A test environment will also include a separate library for Menu Driver. This means that all menus, functions, subfunctions, and user information will be separate from your base HTEGPL library and contained in library HTEGPLTEST.

Implementing your test environment menu You can use Menu Driver to rename and rearrange the menus. However, it is important to make these two environments stand apart from one another. You should also make users aware of this difference and have them periodically check themselves while going in and out of the test environment. In order to make the environment obvious to the users, use the System Control Maintenance options in each of the test applications and update the company information to reflect "Test Environment."

Additional considerations When you schedule an application load from SunGard HTE, please inform SunGard HTE’s Distributions department that you have a test environment. You will be required to load HTEGPL both to test and production, even though you may be loading application changes to the test environment only.

If you decide to replace the test libraries, delete the old test libraries (not HTEGPLTEST) and restore them to the system from a recent tape containing the base libraries. Be sure that both environments are at the same application release level.

If you have an error that you are unable to determine the cause of, contact Technical Services at (800) 695-6915 as soon as possible. If you are unable to contact someone immediately, be sure to obtain any program dumps, print keys, and job logs that will assist in resolving the problem.

Glossary

# 5250: IBM communications protocol that allows access to the System i5 application server.

A application: SunGard HTE software program, such Cash Receipts or Building Permits.

application administrator: Individual who is responsible for controlling access to a specific application.

B browser: Program that allows you to navigate the web. SunGard HTE NaviLine applications

require the browser to be Microsoft Internet Explorer.

C command line: Line at the bottom of the screen that allows you to work directly with the

System i5. You use the command line to view a spooled file or call a program.

Connect Care: Customer Relationship Management (CRM) system used by SunGard HTE to maintain information about customers, products, and support cases.

F Fax Support System: SunGard HTE service that offers a fast and easy way for you to receive

documents that will assist in resolving questions about application processing and information support.

function: SunGard HTE options that allow you to perform actions in the software application. You can set up user security for each function.

G GIS: geographic information system

I iSeries: IBM's application server formerly known as the AS/400.

iSeries Access for the Web: IBM application that offers browser-based access to System i5 application servers.

J job: Specific task the System i5 performs, such as printing a file or running a program.

M menu: Group of related information or procedures within SunGard HTE software applications.

Menu Driver: SunGard HTE application that allows you to control who uses applications, menus, functions, and subfunctions.

MyHTE: Secured area of SunGard HTE’s web site that allows you to create new support logs, check the status of an existing support log, search for solutions to a problem, e-mail customer support, and access Fax Support documents.

O output queue: A group of jobs waiting to output to a device such as a printer.

P pass-through: Feature that allows SunGard HTE employees to log onto your computer and fix

or diagnose problems. A detailed record is created for each session, allowing you to view information about a specific pass-through session.

PCR: Product change request. A PCR is created in Connect Care when it is determined that a programming change to required for a product.

PTF: Program temporary fix. Used to repair problems or bugs. You install PTFs from a tape you receive from SunGard HTE's Distributions department.

Q QHTE: User profile that SunGard HTE personnel use to assist with software-related problems

on your system.

QSECOFR: Security Officer user profile. This is usually your information services officer.

Query: IBM tool that allows you to obtain information from the System i5 database. You can select, arrange, and present information in the form of a report.

Questys: Third-party application used with SunGard HTE's imaging interface.

S spool file: System i5 file used to temporarily store data for later processing. Many reports print

to your spool file, where you can review them prior to sending them to the printer.

subfunction: Function that performs operations on other functions or menu options. Your security officer can grant authority to specific functions and subfunctions.

submitted jobs: Task that is waiting for processing by the System i5.

subset: Feature to help customize the list of selectable items on a screen to meet your specific needs.

system administrator: Individual who controls security across all SunGard HTE applications.

System i5: IBM's application server formerly known as the System i5 or AS/400.

T test environment: System i5 environment used to test a new release of SunGard HTE software.

It may include all of your application libraries or only those libraries you select.

U user group: Category of related personnel who work with the system. Security to functions and

menus can be assigned by user group.
