1 Welcome & Apologies – LP welcomed all. (KR in the process of joining virtually when the meeting started). Meeting 20/05/2020 – JG had sent apologies to clerk part way through the meeting – due to unprecedented work commitments due to COVID19 situation. This meeting – JG had sent apologies (assumed work commitment) on morning of meeting. LP reminded FGB that a timescale for giving apologies had been agreed at the housekeeping meeting in September, however in the current COVID19 situation it is accepted that it may not be possible to give the required amount of notice. Both apologies sanctioned. A gov voiced gratitude to JG’s financial expertise regarding the financial aspect of school.
2 Meeting documents – Govs confirmed documents accessed. A gov wished to discuss parts of the Behaviour policy – was asked to defer to relative agenda item later in the meeting.
3 Business Interests – None declared at this point. A gov felt interest may need to be declared later in meeting regarding re-opening of the school
4 Minutes of previous meetings –

20/05/2020 – minute ref 4l “Concerned that governors and school are having to rush

b. KR contact all staff – confirmed a zoom meeting held for all staff c. KR send finalised letter to parents – confirmed carried out. How many children are
returning? KR confirmed 19 children, including 1 with EHCP – support in place with the child’s regular 1:1 being a staff member who will be in school
d. KR prepare letter “we will” or “we wont’..” be opening (following government announcement on 28 May). No further letter has been sent to those who are returning. KR/LDB to send ParentMail confirmation to those families
There are things that the children will need to know before coming into the classroom – how will children / parents be informed of that? Will a list of instructions be read out to them? KR – all the info has gone to parents. The teacher in each bubble will do a daily reminder of expectations etc. Governors who have children in school confirmed that very detailed information has been sent out to parents. Has any update on extending the return to school offer been received. KR confirmed not for primary aged children – some secondary year groups. She reminded the FGB that, with current ruling/guidelines the classrooms at Monkleigh will be full with the number that is returning. Will school be expected to be open in the summer holidays? KR confirmed that the guidance that she has seen to date (unions and DCC) is saying that it is expected that schools will close during the holidays.

a. Is it possible to have rules / guidance regarding etiquette for children using “zoom”?
Suggest, with the majority of children continuing home learning, that zoom sessions
are held for the children at home plus those in school. KR explained that due to bubbles
in school having large age ranges it is doubtful that it will work. If not part of the
behaviour policy a “zoom” protocol will be drawn up – FGB was informed that zoom
guidance has already gone out on newsletters. Further discussion was held regarding
possible solutions
KR explained that 3 teachers will be working from home – taking responsibility for home
learning (subject based learning). TAs working from home will be taking on key-worker
roles. Every member of classroom staff not in school will be given an allocated group.
Contact will be different, but greater.
b. Concern about Annex R (notification of reduced timetable) – unable to see what’s
involved. LDB contact Education Welfare Officer regarding Annex R (in respect to the
key-worker children who are not returning full time, and attendance code guidance.

h) A gov “uncomfortable” – needs reassurance that the trend is going down – it is not. KR
stated that the school should follow guidelines to the letter – there will be staff briefing
every day
(Other items from head) i) KR advised FGB that transition for those coming into Year R & those going up into Year 1 in
Sept 2020 will be difficult. She outlined a plan to locate the new Reception intake in with the
preschool in Sept. Initially this number of staff in the planned Foundation Stage Unit would
be beneficial in helping to settle new children in who would normally be doing transition
visits. LDB has already been working on a financial plan as requested by county.
j) What about year 6 secondary transition? KR confirmed that the Yr6 teacher has been
liaising with secondary transition leaders. LP (as a parent) confirmed that GTS has been in
contact with children moving into year 7 with them.
9 Safeguarding LP has attended a safeguarding for Governors webinar. Proposed pointers for online safety for children – especially whilst working at home. KR to issue reminder – to link in with concerns about zoom etiquette

10 Staff Wellbeing Thanks to staff who have “stepped up”, those coming in to school and those who are working from home. KR confirmed that a meeting of all staff has been held, with open discussion about concerns. School cannot provide PPE “24hrs”. All roles within school have been able to be covered by staff who are happy to come in. All staff are happy with the roles they have been given. Staff working from home to submit a weekly return to KR. Children will have regular point of contact.

Proactive and thinking ahead – planning for children for September onward and thinking
about the needs of the children at that time
Children at home have not been “forgotten” – still a feeling of the Monkleigh Community.
