5. Committee Reports a) Suzanne Heath

i) Club Portals up and running with dashboard analytics; need club administrator password to access (Contact Barb Frith for passwords)

ii) LSC Portal up and running; no password needed; may be accessed by anyone iii) Deck pass patches may be assigned by coaches for swimmers who achieve Scholastic All

American (SAA) or Age Group Top 10 status (1) Bill to send out information to coaches to distribute patches (2) MOTION: Approve membership report as presented - PASSED

6. Unfinished (old) business

a) Deck changing policies at aquatic centers in the LSC – Dave Olack i) TABLE: Until next meeting, March 11, 2015

b) Publish how to register and become an official on website – Chris Kitchens i) Chris stated that instructions have been posted on the website - Complete

c) Hall of Fame at GAC – Trish Martin i) TABLE: Until September BOD meeting

d) Attendance records of board members – Lisa Olack i) With updated by-laws, the attendance by-law was removed. ii) ACTION ITEM: Wayne Shulby to do a comparison of the old by-laws versus the new

ones (January 1, 2015) for any items that may have been inadvertently deleted or otherwise revised.

e) Open Water – Taylor Cooper i) Changes to rules ii) Request for funds for open water zones iii) John Payne – Head coach; Ashley Twichell & Chip Peterson – Assistants

(1) MOTION: Accept changes to rules as presented (see attached) – PASSED (2) MOTION: Accept OW team as presented and give the OW committee authority to

choose the remaining athletes – PASSED (3) MOTION: Accept $4900 for OW from general funds – PASSED (4) ACTION ITEMS: Taylor Cooper to turn in legislation for funding to zones and

develop a policy for the selection process for the team

f) Zone – John Fedena/Bill Martin i) Report anticipated expenses for zone trip to Tupelo, Mississippi

chaperones, John Fedena, Head Coach, Amy Faulk, Manager o Age Group Zone Team, August 4-8, 2015, Tupelo, MS, John Fedena, Head Coach,

Amy Faulk, Manager o NCS Awards Banquet, October 10, 2015, with Fall HOD, NC State o Spring 2016, HOD weekend. Greensboro

4/24 HOD o Ronnie Roach presented options for the website and ways to effectively communicate

o Phase I: Auto link to social media; write once, publish many (Facebook, Twitter, Instagram, Google Plus); cost $30; host service $99/year; expanded service $20/month; completed by February 15, 2015

MOTION: Accept $240 for Phase I implementation – PASSED

o Phase II: Mobile responsive-formats to machine being used (computer, tablet, phone); banner ad to promote our sponsors with the ability to rotate through the sponsors; blogs keep things in chronological order while this allows feature articles to stay at the forefront; cost needs to be determined; may be implemented by April 30, 2015

ACTION ITEM: Committee to prepare a cost estimate for Phase II by next BOD meeting, March 11, 2015

o Phase III: Meet Page-this has 3 times the hits as any other page on our website; this phase will revamp the page to make the search engine more user friendly (city, pool, meet), place the current season first, etc.; will use another domain to create and test the page and have it live by August 31, 2015

o Carl Labonge presented incentives for greater HOD attendance/participation and governance based on retreat

o ACTION ITEM: Present cost for these incentives at the next BOD meeting, March 11, 2015

o Wayne Shulby presented new vision and mission statements o Vision statement: Leading the Nation in Achievement, Development, Diversity, and

Citizenship. o Mission statement: Promoting Excellence by Providing Resources to Support and

Empower the North Carolina Swimming Community.

MOTION: To accept the vision and mission statement - PASSED

NCOWS 2014/2015UPDATES

1. Not scoring the 2015 NC Championships. With some of the swimmers in the Zone meet, not

fair to those teams, coaches and swimmer will not have to pick between the two

2. Still awarding medals at NC Championships

3. Picking Open Water Select Camp swimmers from both races (NC Championships and Zone

Meet). Same venue same day condition will be as simaliar as posable.

4. Picking Next years zone team from Fall race.

Rules for 2015 NC Open Water Champs:

The following changes will be in effect due to the inclusion of Zone races in the meet, but

separate from the NCOWS races:

The meet will not be scored since top swimmers may not be in the races.

Medals will be awarded

Select Camp nominees will be pulled from both NCOWS and Zone meet races

2015 Fall Select Camp will be used to pick 2016’s Zone swimmers

Here is the information I have so far for this year’s Zone Team Trip.

Thanks to Bill Martin for providing/making most of the reservations thus far.

The expense budget for the 2015 Zone team is $42,000.

Hotel rooms, estimated airfares, and van rentals alone are $49,350.

There will also be per diem expenses, team outfitting expenses, and other miscellaneous

expenses.

Last year actual expenses were $61,500 against a budget of $39,000.

Airfares will be somewhat less this year but I expect that your total expenses will be in the

$56,000 range.

Dates of travel will be August 3rd to August 9th.
