Basics - General Ledger (GL) and Chart of Accounts (CoA)

General Ledger is used to store the financial transactions of an organization.

Chart of Accounts is a listing of all the accounts used in the general ledger of an organization.

Define a Retained Earnings Account Number here. This usually is under the Equities/Capital Stock Account Group. Hence as per our setting I’ve used 302000 for it.

Note: You just key in the account number first. Later you can create it as a GL master data.

For now, just need to fill in the CoA and the Field status variant (Select the SAP provided 1000).

If required you can enter the Country Chart of Accounts.

Currency – Define the account currency

Only balances in local crcy.- If you tick this then the balances will only be displayed in AUD. But you can still view the line item in whatever currency it was posted.

Tax category – You can specify for some accounts to have an input or an output tax. You can set the indicator here.

Reconciliation. Account for acct type – Select this is the Balance Sheet account is a Fixed Asset, Accounts Receivable or Accounts Payable account.

Open Item Management – Set this indicator for clearing accounts if you want to clear them later. e.g. GR/IR Clearing, Payroll Clearing, Bank Clearing Accounts.

Line item display – If you require the GL Account to display as line item. It must be ticked if Open Item is also ticked.

Sort Key– Indicates what should be populated in the “Assignment” field in the document line item. Examples of sort fields are shown.

Field Status Group– Determines which fields are suppressed, required or optional during document entry.

Post Automatically Only – Indicates that this account can only be posted by the system. (i.e. No manual posting by user against this account) E.g. stock, consumption accounts.

Information tab – Information tab contains details of the user who created, date, CoA and country. By clicking on Change documents you can see changes made to this account.
