LOUISIANA LIBRARY NETWORK (LLN) -ON THE ROAD AGAIN....

The LOUIS staff is quite familiar with this Willie Nelson song! As you can imagine,we are seeing quite a bit of Louisiana as we progress with the implementation of theLLN project. During the summer months, we made 12 presentations to 160 peopleincluding directors, staff, trustees, local government officials, family members, and atsome sites, the general public. In the month of August alone we traveled 3,500 miles.

now, Option 1 for mainframe sites, andOption 4 for sites with no mainframe inplace. Each parish should now understandwhich option will be installed at their siteand the costs they will be responsible forafter the initial year. If you have not beenexposed to the explanation of Option 4,call Sara Zimmerman (W/388-3705) andshe will explain it to you. As we installyour site we will present you with a list ofyour responsibilities to insure that eachparish understands its role in this project.You will also receive the name and numberof the support personnel at your regionalhub site and at the LOUIS Office.

As of August 15th, we have installedrouters in 6 parishes: Orleans, Jefferson,East Baton Rouge, Allen, Calcasieu, andBossier. Allen is totally operational;Orleans, East Baton Rouge and Jeffersonare on the Internet but are still searchingfor the appropriate TN3270 software toload onto their mainframes which willallow them to access LOUIS; Orleans hasopened up their system to terminals in allbranches successfully; Calcasieu has theTN3270 software installed and has jumpedonto the Internet; Bossier is working withtheir vendor to install software andhardware. In September, we plan to installhardware and software for the parishesconnecting to the LSU-BR regional hubsite. These parishes are East and WestFeliciana, St. Helena, Livingston, Ascen-sion, St. James, Iberville, West BatonRouge, and Pointe Coupee.

Between October and December we planto order and install the hardware andsoftware for the remaining parishes andregional hub sites. Currently, the 56KBcircuit implementation schedule forregional hub sites and parishes associatedwith a regional hub site is: Northwesternand La Tech, October 1; LSU-E, October15; Northeast and LSU-A, November 1;McNeese, Nicholls and Southeastern,November 15. Each library needs toidentify where the PC is to be placed sincethelinetothePCwillberunbythephonecompany at the same time the circuit isinstalled. Members of the LOUIS staffwill install your PC and router after thecircuit is installed and tested. Each libraryshould have access to LOUIS and theInternet approximately 3 weeks after thecircuit is installed.

Parishes should know which regional

hub site they will be connected to. If youare not sure, don’t panic! Sara will becalling each parish confirming theirregional hub site (since some are subject tochange), and requesting information abouttheir building and operational hours to fillout the 56KB data circuit orders to beginthe installation process. At that time, shewill explain your immediate responsibili-ties and request that you send the Educa-tional Discount letter (if you have notalready done so), and she will also answerany questions you may have.

As you may know, training will beprovided on the use of LOUIS, Internet,and Vista. On August 30 members of theLOUIS staff presented the first tminingsession to the Allen Parish Library staff.On September 22 and 23 training wasprovided at LSU Middleton Library for theparishes attached to the LSU-BR regionalhub site. Future training session details areforthcoming and each library will benotified after arrangements are finalized.

Administmtors, mark your calendars!Our next scheduled presentation to give anupdate of the LLN project will take placeat the Fall Administrative Librarians’Conference in Lafayette on Thursday,November 3,1994 at 9:45am.

Remember, there will always be anupdate in the LOUIS newsletter regardingthe LLN Project and we ask that you lookfor the article and remind fellow parishlibrarians to read at least this part of thenewsletter. Of course the newsletter alsohas many other interesting and informativearticles that will keep you abreast of ouractivities and progress. Please notify Saraif you have not received a newsletter orknow of another parish that has notreceived one. We will also be puttingupdates in the State Library newsletterCommunique.

We encourage the parishes to discuss thisproject with each other, staff, trustees, localpoliticians, Legislators, and your patrons.The more publicity the project receives thebetter the chance of receiving state fundsto continue this effort in the future.

QUARTERLY U P D A T ESERVICE FROM BNA

Southeastern Louisiana University isgetting the Quarterly Update service fromBNA. What this means is that everyquarter BNA is sent a tape of SLU’sBibliographic records. BNA flips theheadings and provides a tape of matchingAuthority records. Both tapes are thenloaded back into Southeastern’s database.This update service saves a lot of timeand effort for the library.

If you would like a similar service foryour library, you first need to contractwith BNA for it. Then the SystemAdministrator has to send a letter toRalph requesting that on a quarterly basiswe cut a tape for their institution. In theletter please specify the exact date rangefor the tape and the date in each quarterwhen the tape should be created. You canalso give your choice of whether youwould like a tape or a cartridge. We willhave the specified bibliographic recordsextracted and sent to BNA and thenreloaded into the system.

GLOBAL CHANGES INSTRUCTIONS

The Global Heading Change feature of NOTIS changes headings in the Bibliographicrecords. A heading change request can be initiated from an Authority record using theGLOB command, or the GLCH command can be used to get the Global Change ActionMenu to create a change request, update a change request, or simply view the requestqueue.

If complex heading changes are needed (e.g. changing embedded subfields, blockingsubfields, or for subject heading splits), then it is much easier to use GLCH commandand get the Global Change Action Menu.

The NOTIS system expects all commands and transactions in upper case, so thedefault has been set to upper case. This works fine for everything except headingchanges, where upper and lower case are important. As a result, we have to followcertain steps to enable us to enter our changes in upper and lower case and yet have allthe commands in upper case so the system can understand and act on them.

The following steps need to be followed by all stiff to use the GLCH command:

1. Staff member logs on to NOTIS (NOT through TPX).2. Type KASE LOWER to turn off upper case translation. This is like GTO, so you

have to type transactions and commands in all upper case.3. Type LTxx GLCH in all upper case (where xx is your institution code). This will

give you the Global Change Menu. Enter or update the changes requested.They will be saved in upper and lower case. Press PF3 to exit. This assumesthe system adminstrator has given you access via LSYS.

4. Type KASE UPPER to return translation of transactions and commands typed inlower case to upper case.

5. Request the system administrator to run the Global Change programs.

Barry defined the KASE transaction for all terminals except TPX. This is becausepeople are likely to forget step 4 and the next person who gets that TPX terminal id willnot know why they cannot type transactions and commands in lower case.

ANOTHER LOUIS PRESENTATIONSCHEDULED AT NUGM

Nancy Nuckles, Assistant Dean for Automation and Systems at LSU, will discuss“GTO in a Consortium Environment” on Thursday, October 27,3:454:45pm(Session 28).

She will introduce the multi-institution group structure of LOUIS, describe the variousbrands of GTO PCs, discuss some problems encountered in implementation, and list themost important tasks for implementation. In conclusion, she will describe the method totest downloading one school’s records from another’s G’IO PC.

opted for a magnetic stripe using theABA standard. This meant we couldmake use of existing equipment.

Getting the patron database shipped toLSU required the close cooperation of thecomputing center. Roy Waters developedthe software to take the information onthe Tech campus and put it into a formatNOTIS could use. Shaolong Huang andLisa Beene at LOUIS worked with ourcomputing center in making sure thetransfer went smoothly. In May, wetransmitted patron data to Training.Throughout the summer we refined andtested the transfer so that in July weloaded the patron database into produc-tion.Satisfied that we could get the patron partdone, Rebecca Stenzel (Head of AccessServices) began the work on the circula-tion tables. In February, Kay Adams andBetty Burroughs at Southeastern hosted aone day workshop for Tech and Nichollson circulation from the SLU perspective.Tech, being in size closer to SLU, felt theexperience SLU had with circulationwould match our activities. LOUIS sentCarolyn Coca and Lisa to the meeting.Information was exchanged on workflow,

procedures, security, etc.By the time of the Circulation Work-

shop hosted at NLU in July, we were veryfar into getting circulation set up intraining. Nancy Nuckles, Assistant Deanfor Automation and Systems at LSU, andLisa assisted us in refining our circulationsituations and procedures. We had onemore meeting at LSU-A in August withLisa, Floris St. Amant (Head of LSUCirculation Services), and Nancy to lookover our shoulders and critique thetraining manuals and operation proce-dures.

Thanks to all who have given so muchof their time to get us circulating. It wasa team effort that paid great dividends forTech: one operation I would hate to doalone!

We have loaded into production PhaseII library bibliographic records, with theexception of Delgado whose tapes weexpect to load by the end of October.The number of records for each institu-tion are:

These tape loaded records are added tothe records each library has been catalog-ing using GTO.

We loaded into both training andproduction, the authority tapes for LSU-Sand LSU-A. Phase II institutions canexpect to hear from our office in the nextmonth about the schedule for anAuthority’s Training Class.

Ian Fairclough, head of cataloging atLSU-Shreveport, is glad that we havefinally installed GTO in their new library,Noel Memorial, and that the printer isworking. Their computing center staff isstill running some wires before theyinstall all the OPAC and catalogingterminals.

Floyd Bennett, System Administrator atLSU-Alexandria, said they are preparinga plan to dumb-barcode their collectionfor when circulation comes up in about ayear. Jeff Pins of their computing centeris wiring the library for the OPAC andcataloging terminals. LSU-A’s OPACOpening is scheduled for this Fall.

Mike Smith of Delgado CommunityCollege’s computer center has success-fully installed three IBM 3 15 1 ASCIIterminals in the cataloging department.Denise Repman, System Administrator,

The OPAC Opening for NorthwesternUniversity is Tuesday, October 4th.

Another group of institutions willLOUIS within the next year. The PhaseIII institutions are Southern at Shreveport(Director Orella Brazil), Southern at NewOrleans (Director Eddiemae Young),Nunez Community College (DirectorGeneveive Wheeler), and LSU-Eunice(Director Sue Forest).

We made our first visits to all the PhaseIII institutions to learn about their presentsystems. Southern-Shreveport uses LSSIwith Lasemet, the State’s interlibraryloan system for public libraries, LSU-Euses Bibliophile, and Nunez catalogs andcirculates on Follett Plus. AI1 of thesesystems will be the first non-OCLCsource data we will convert to run onNOTIS. Southern-New Orleans catalogson OCLC.

We will be conducting more extensivedata conversion interviews in the nearfuture to introduce the Phase III Direc-tors/System Administrators to the NOTISrecord structure and how their biblio-graphic records can be converted toNOTIS. We look forward to workingwith a new group of libraries.

NOEL MEMORIAL LIBRARY AND “MAVEN” GRAND OPENING

A grand opening was held at LSU-Shreveport September 19 for twoevents. The dedication of the Noel Memorial Library and the LSU-SOPAC was held on the front steps of the new library. Dr. Allen Cop-ping, president of the LSU System; Dr. Carolyn Hargrave, professor ofQBA at LSU-BR; and Governor Edwin Edwards were the key speakers.The Noel Memorial Library, with the donation of the 450,000 volumeNoel family collection, now has the largest library collection in itscategory in the United States.

The opening of the LSU-S OPAC, named MAVEN, is the first OPACopening of the Phase II institutuions. Dr. Hargrave said the librarynetwork for the state is a reality through the cooperation, support, andhard work of the directors of the public universities, the members andstaff of the Louisiana Board of Regents, the Louisiana Office ofTelecommunications Management, the LSU Libraries, LSU ComputingServices, the LOUIS staff, South Central Bell, IBM, and the PublicService Commission. She said the library network “will expand libraryinformation to all throughout the state.”

CIRCULATION CLINICS HELD

In July, two Circulation Clinics were held to introduce and teach system administra-tors and circulation managers how to implement the NOTIS circulation module. Oneclinic was held at Northeast State University on July 25 and the other at LSU on July29. These classes were taught by Nancy Nuckles, Assistant Dean for Automation andSystems at LSU, with the assistance of Lisa Beene, LOUIS Network InformationSpecialist.

Participants were introduced to the NOTIS Tables and Control Files required for theimplementation of the Circulation module and learned how to enter circulation valuesand test their results. They also learned to identify the responsibilities of NOTIS, thelibrary, and LOUIS in the area of system support.

BIBLIOGRAPHIC/AUTHORITY PURGE

It is now possible to have a Biblio-graphic/Authority purge performed onyour database. The purge program(LD560) removes either Authorityrecords or paired sets of Bibliographicand Copy Holdings records from thedatabase.

Bibliographic records may have beendeleted because: the wrong record wasdownloaded, a monograph was changedto a serial format, or the wrong recordwas GTOed or overlaid. All such recordscan be deleted by the catalogers, butremain in the database unless they arepurged.

Duplicate Authority records may existbecause of a cataloging error or as aresult of the Authority file creation usingthe 1Xx fields, for established nameheadings as names and subjects. Thelatter results in two authority records withidentical 010 numbers. One record willhave an ‘n’ prefix for Name, and theother will have an ‘s’ prefix for SubjectHeading and one of these needs to bedeleted.

The Bibliographic/Authority purgeprogram (LD560) removes these deletedrecords (or any other records you specify)from the database, using values youspecify. The program generates threereports: Parameter Audit/Error Report,Summary Report, and Detail Report,which provides statistics and reflects theresults of having run the program.

An important point to note is that theBibliographic purge will not take place ifthere are any records attached to theBibliographic record: e.g. Linked Item,MHLD, OPR, or Bill and Fine. Theserecords have to be deleted from theBibliographic record before the purge. Areport will be printed of all Bibliographicrecords that were not deleted because oflinked records.

The Bibliographic/Authority job hasbeen set up for LSU and UNO. If youwould like more information, or want tohave the purge performed for yourdatabase, please contact ZeeZee (504/388-3747). She will have the job set upand guide you through a test run beforethe actual purge.

This is our second annual listing of Louisiana library staff, both LOUIS and non-LOUIS, who are attending NUGM, the NOTIS User’s Group Meeting, in Chicago onOctober 27-29th 1994. Thanks to the addition of the Phase II LOUIS libraries, thenumber of universities being represented is growing!

Watch the LALINC-L discussion list for details on the “Louisiana NUGMContingent’s” big plans to show our “state spirit” at the NUGM Halloween party. Itwould be nice if everyone attending could participate, and we hope to get the wholestate involved (not just LOUIS sites!). As we go to press, some of the folks are planningto wear Mardi Gras type apparel to the Halloween party....LOUIS shirts or Mardi Grasshirts, Mardi Gras beads, masks, and kazoos.
