THE DEPARTMENT OF EDUCATION GRANT:WHAT IT MEANS TO LOUISIANA

I

Louisiana State University was awarded a $2.48 million grant by the Department of Education inOctober. Dr. Carolyn Hargrave, Jennifer Cargill, Ron Hay, D.W. Schneider, Ralph Bee’, TomJaques, Michael McKann, Michael Fox, Jane Kleiner, Nancy Pope and Dr. Lanny Greaves wereinstrumental in developing the grant proposal. A total of twenty states were in contention for the grantand tbeLouisianaproposal was ranked as number one by seven of the ten reviewers. These funds willbe used to:

1. Contract with vendors for data conversion services for all Phase II libraries (Delgado, LSU-S, LSU-A. McNeese andNorthwestern).

2. Purchase hardware to make Phase III libraries (LSU-Eunice, Southern-Shreveport, Southern-New Orleans) netwokready.

3. Enhance LOUIS by purchasing hardware and software to load several indexes and databases (ie: Wilson BusinessAbstracts, Wilson Biological and Agriculture Index, Wilson Education Index, IAC Data Bases).

4. Purchase hardware and software to make LOUIS (12 OPAC’s, indexes, databases), LEGIScribe and theINTERNET accessible at:

a. Grambling and Southern-Baton Rougeb. One public library in each parishc. Eighteen K-12 school libraries

5. Hire additional personnel.

This will be a very fast moving project involving the cooperation of hundreds of people throughoutthe state. The grant begins on January 1,1994 and should be completed by March 31,1995.

WHO, WHERE, AND WHEN TO CALLWHEN YOU ENCOUNTER PROBLEMS WITH LOUIS

It’s Thursday evening, around 790 pm, and it’s your night to work the reference desk. All day longyour LOUIS OPAC terminals have been busy with students excited about the new system, andeverything has been functioning properly for weeks. Suddenly, your most obnoxious patron (the guywith 8 books overdue who always interrupts you when you’re working with another patron) runs upto you and exclaims...? can’t get the LOUIS screen to come up!!!” “Figures it would happen on mynight,” you murmur, and you begin to imagine the various expletives you’d like to shout at the LOUISstaff, whoyouimagineareallintheircozy little homeseatinganice,microwaveddinnerand watchingpre-taped episodes of Seinfeld.

Well, help is only a phone call away! The LOUIS staff recently met with EmiJio Icaza, Director, andMalcolm McNaylor, Assistant Director, of LSU’s Information Technology Support (ITS). TheLOUIS staff, ITS, and SNCC (LSU’s System Network Computer Center) are working to centralizeoperational support for all users of the LSU mainframe (where LOUIS is housed).

In an effort to simplify andexpedite problem determination and resolution, we are requesting that youcall the following numbers to report any LOUIS-related problem (ie: hardware, software, poorresponse time, etc.).System Administrators, please post:

USL DECLINES IMPLEMENTATION

The USL administration has decided not to convert from their DOBIS library management systemto NOTIS and will not be participating in the Board of Regents grant as a Phase I institution. UsingIntemet,allinsti~tionswillbeabletoaccesstheUSLOPAC,andUSLwillbeabletoaccessLOUIS.Ralph will be contacting the remaining Phase I library directors to discuss R-allocating resourcesin late February.

REMINDERS FOR SYSTEMADMINISTRATORS TO ENSURE THATTHE HELP DESK CAN DO ITS JOB......

In order for the Help Desk to be able to analyzeand correct the problems that you call in, thefollowing steps should be taken at each LOUISsite:

1. All terminals (OPAC and staff) should belabeled with their correct VTAM address. Thisaddress looks like “Tl’T9xxx” where “xxx” isuniquetoeach terminal. Labelsshouldbeclearlyprinted and placed in the upperright-hand comerof the terminal monitor.

2. The control unit should be labeled with itscorrect VTAM address (contact the LOUIS of-fice if you are unsure as to your own VTAMaddress), but should also include pennanently-attached instructions as to how to IML (reset) theunit.

3. Please post the SNCC phone numbers and listof “needed information” , so that staff memberswho calI will know who to call, and what infor-mation will be needed before they call the HelpDesk.

UPDATE ON GOVERNMENT DOCUMENTS LOAD

Government Documents will be loaded into the Production Region for Phase I libraries early nextyear. ‘Ibrough an agreement with MARCIVE, we axe planning to extract each library’s records fromLSU’s database using the retrospective Marcive tapes of GPO. LSUis aRegional library that receivesdepository as well as all non-depository items. Each library has been asked to send in a diskette, listingall the Item Numbers selected and the Holding Codes to be used. Using this list, a file will be createdfor each library, the Holding Code will be added and then loaded into Production.

An option has been provided to the libraries to ‘suppress’ the records at the time of the load. If thisoption is selected it will prevent the records from displaying in the OPAC. They will, however, beavailable for technical processing. This will give the Technical Processing staff a chance to reviewand modify the records and then release them into the OPAC.

A Government Documents Workshop has been scheduled for Friday, Feb. 25, ‘94. It will beconducted by Smittie Bolner, Head of Government Documents and Reference at LSU. TheWorkshop will be a whole day session providing hands-on training on the computers with a break forlunch (dutch treat at the Plantation Room). ZeeZee has informed all the people who had attended theGovernment Documents session at LANUGM. If anyone else is interestedin attending this workshopthey should get in touch with her.

AUTHORITIESTRAINING CLASS

In order for the LOUIS participants to get ready east, Lina Hernandez and Selina Wang fromfor the loading of the NOTIS Authorities Mod- UNO, and Anne Stanton from LSU.ule, representatives of each LOUIS site currentlyloaded on the network converged at LSU for an Participants are encouraged to continue theiradvanced cataloging training class, also known own training using the Authorities Self-Pacedas“AuthoritiesTraining.” Nancy HunnofNOTIS Study Guide which was given out in the class.led the class through both demonstrations andhands-on work for two full days on October 28thand 29th. Most participants agreed that thistraining class was the most grueling so far (thiswas our third formal NOTIS class), with topicsincluding: Introducing the Merged HeadingsIndex,Creating andupdating Authority Recordsby Direct Input, Deleting Duplicate AuthorityRecords, Purging Authority Records, Using theGlobal Headings Change program and the Con-flict and Error Detection Reports, and discus-sions on the architecture of the database, coordi-nation of resources and tasks, and preprocessingissues.

You may want to do some of your learning in theTest Region, keeping in mind that the InstitutionGroup in the Test Region is “IN” and the Pro-cessing Unit is ‘Z-J.”

LALINC INTERLIBRARY LOAN PARTICIPANTS

Many people have called to inquire as to which Louisiana Universities are currently participat-ing in tbeLALINC Borrowing/Lending agreement. Currently, the following 30 universitiesareparticipating in this program. At this time, only faculty members are allowed these privileges,but must first obtain a “LALINC” sticker from their own institution.

T-SHIRT UPDATE

The ordering of LOUIS t-shirts was a big success!A grand total of 91 shirts were ordered for 6universities, and were sent home with the partici-pants of the Authorities Training class. We’vereceived several glowing comments about them;thanks to all of you who wrote or called! Severalpeople have inquired about ordering additionalshirts; there is a good chance that we will reorderin the future, but it won’t be for a few moremonths (to give Phase II people a chance begin toget involved with the network). Keep readingyour LOUIS Newsletter and the LALINC-L dis- \cussion list for more details.

At least one university mentioned that it is plan-ning to have a “LOUIS Day” so that those whoordered a shirt can show it off a little. But the bestreason to wear the shirt is to elicit the followingquestion from both strangers and friends....“So,what’s LOUIS anyway?” And then you’ll havea good excuse to tell them!

Lisa Beene comes to us from the referencedepartment of LSU’s Middleton Library.She received her Master of Library andInformation Sciencedegree fromLSUlastAugust, having earlier attained her B.S. inFinancetYomLouisianaTech. While work-ing on her MLIS , Lisa got to know NOTE“intimately” as a graduate assistant underNancy Pope. Previously, she worked for 2l/2 years as a paraprofessional in the cata-loging department of Louisiana Tech.

Mary “Bran” Laird has been working atLSU in Baton Rouge as a computer ana-lyst for 3 l/2 years. She is currently a co-editor of Behind the Screens, a newsletterfor Computing Services. She was theproject leader for the Student Health Cen-ter system which included ongoing devel-opment as well as trouble-shooting, ana-lyzing users’ needs, correcting programabet-ids, working with telecommunications,and demonstrating new enhancements tousers. Matthew Barker was an employee of In-formation Technology Support (ITS) atLSU in Baton Rouge for the past threeyears as a computer consultant. ILANUGM: A BIG SUCCESS!

On November 11, 1993, the Louisiana NOTISUser’s Group Meeting (LaNUGM) tmk place inthe conference rooms at the University Center onthe SOutheastem Louisiana University campus.The conference was a huge success, with 131registered pallicipants! Our warmest gratitudegoes to Kay Adams, Chair of the LaNUGMSteeringCommittee,aswelIaslh-.LannyGreavesandtherestoftheSoutheasterrllibmrystaffforhosting such a well-planned and upbeat event!Enthusiasmwasobvious;lotsoffoIkscametoleamfrom one another about LOUIS and the NOTISsystem, and to sham their concerns, problems, andsolutions with one another. Besides a well-struc-tured but flexible agenda, participants were treatedto door prizes (12 lunch passes for two at arearestaurants), as weIl as ail the coffee, juice, softdrinks, and tantalizing pastries a hungry librariancould ever hope for!

At 10345, participants bmke into four discussiongroups Cataloging, Circulation, Serials, and Sys-tern Adminisuator$Techl. Thecataloging group,modemted by Marie Morgan of Tulane, dis-cussedthepmcessbywhichalibratyceasestheprinted shelf list in favor of the NCYIIS shelf list,how libmries use SAS to keep statistics, how toderive records across institutions, and worktlowprocdms in NOTIS.

TheCimulauongroup,ledbyFlorisSt.AmantofLSU, discussed some of the options NOTIS provide.s and LSU’s policies for billing patrons foroverdue b&s. She also talked about the relation-shipbetwet!nthecimulauondeskandtheueasurersofficeandhow they worktogethezonp bills.PmblemswithNOTIS5.1incheckingoutbookswhich are due after an ID’s expimtion date, andoptionsforusingNGlTSforcoursereservecheck-outwasalsodisussed.

MiUieMooremodemtedtheSerialsgroup,whichfocusedontheprosandconsoftheLSERmodule.The discussion got particularly lively when thegovemment documents libmrians gave examplesof the various types of irregular items they receive.

systemadmin&mtor/&ch1groupdiscussion.’Iheydiscussed a range of issues, involving hardware set-up,dataconversion,implementationplanning,user semity, NOTLS local customization, stafftraining, the NOTIS version upgrade process,LALINC -L and NOTIS-L Discussion lists, andALA character display issues.

We then broke for lunch, after which we had a full-group discussion of SAS Reports, led by LewisCartee of Tulane University. He discussed themany SAS reportsTulane usesforstatisticsinarcassuch as circulation, authorities, and reserve. Only afew of the universities now use SAS (Southeastern,LSU, and Tulane), but the meeting served to alertother sites of its possible uses.

Again in the aftem, participants broke up intofour discussion groups. The OPAC group wasmodemted by Charlotte Mel& tiom the LSU-Law Center, and topics tanged from the difficultiesoftminingpatmnsonNOTIS,especiallytheexpla-nations of little problems that reference libmriansoften need to repeat to multiple patrons, and howbest to inform them of the most frequent of these.Also, we di.scussed the possibilities of NOTIS“mark/print”capability,thepmsandconsofhavingp-inters attached to OPACs, coping with increasedinterlibrary loan requests, and the possibilities forattaching braiIle printers to the OPACs for sight-impairedpams.

Acquisitions was led by Pat Litz of LSU andMelanie King of Southeastern. Topics includedthe initial set-up of the acquisitions module,workflow,theimpactofGTOonAcquisitions,fundrecords, bibliographic overlay, and claiming mes-sag-

Smittie Bolner of LSU led the Government docu-ments discussion group. Phase I libraries will hegetting tht$r documents online early next year andthe discussion was structured for them. SmittiediscussedpmpatingtoloadtherehospectiveMamivetapes of GPO, mentioned the salient points oftechnicalprocessing,providedtheopti~availablewith an automated shelflist, listed the various a.9peas of ongoing database maintenance, and cov-ered miscellaneous issues related to check-in. ‘Ihediscussion ended with everyone agreeing that aGovernment Documents Workshop was highlydesirable (see “Update on Government DocumentsLoad”inthisissueformoreworkshopinfo~ation).

The day ended with a discussion by Ralph Bee’,Project Coordinator for LOUIS, who gave us astatusrepottonPhaseIlibmries,aswellasaviewtothe fuhm now that we have been gmnted the $2.48Million from the Department of Education.

To further the more “personal” asset of theLOUIS network, librarians have begun to offertheir expertise and support as novice NOTIS-users begin the enormous task of learning theNOTIS LibraryManagement System.
