1. Job Purpose

2. Duties and Responsibilities

2.1. Housekeeping and Safety

The employee must:

Be responsible for housekeeping and safety as per NOSA standards.

Be responsible for adherence to relevant standards, processes and procedures as described in ISO

14001:2004 and ISO9001:2015 systems.

Ensure site safety rules and regulations are adhered to.

Ensure specific plant safety rules and regulations are adhered to (e.g. Amines Plant, Laboratory, Tank

Farm).

in the complaint checklist, sign and file it

e.g. effluent contamination. Execute water or land pollution preventive measures where possible and if

safe to do so. Contact the Utilities team leader.

Immediately report to immediate supervisor any significant fire hazard e.g. hydrocarbon or flammable

gas or liquid spill or leak. Execute fire hazard preventive measures where possible and if safe to do so.

2.3. Procedures

Outbound Deliveries (local)

The employee must:

Receive customer orders, verify details (e.g. price, quantity) and confirm with the customer.

Confirm correct price used as per pricelist set by Financial manager.

Confirm product availability with production.

Arrange outbound transport with transporter.

Schedule, track and control container loading process.

Prepare outbound documentation e.g. dispatch notes, certificate of analysis.

Advise customer of any exceptions and manage customer queries or complaints.

Notify management of any exceptions, problems or customer complaints.

Outbound Deliveries (Export)

The employee must:

Receive customer order, verify details (e.g. price, quantity). Orders must be authorized by Director

before processing.

Confirm product availability with production.

Prepare pro-forma invoice and e-mail to customer for approval.

Inspect whether export permit needed, and arrange if required from DTI.

Arrange isotank preparation, associated documentation and expected isotank loading date range with

isotank supplier.

Monitor exporting vessel / ship stack dates at port.

Schedule isotank pickup and African Amines plant loading dates with transporter.

Check isotanks are correct, in good condition, and suitably labeled (Hazchem), when isotanks arrive on

site at African Amines.

Track and control isotank loading process.

Prepare outbound documentation e.g. invoice, packing list, certificate of analysis, certificate of origin,

bill of lading.

Advise ships agent of expected time of arrival of isotank(s).

Send draft and final export documents to customer for approval (courier documents).

Advise customer of any exceptions and manage customer queries or complaints.

Advise management of any delays, queries, problems or customer complaints.

File commercial and statutory (safety related) documentation.

Raw Material Planning, Call-Off scheduling

The employee must:

Check raw material stock on hand daily.

Calculate call-offs (ammonia and methanol) based on projected material usage, current stock-holdings

and on-rail or on-road inbound loads.

Order and schedule deliveries with suppliers of raw materials, after quantities are authorized by

Production manager.

Monitor progress of inbound loads.

Schedule offloading at Karbochem tank farm. Take retention sample as per OPM.

Monitor offloading. Expedite to avoid demurrage charges (after 2 days for ammonia, 3 hours for

methanol).

Process raw material goods receipts vouchers.

Advise suppliers, transporters, tank farm and/or production of any exceptions and manage stakeholder

queries or complaints.

Document official complaints for late delivery of raw materials if they occur.

Notify management of possible delays.

Other

The employee must:

Prepare daily, weekly and monthly reports (Daily – DMA60 Stocks and Sales Orders, Weekly, Monthly

logistics report).

Schedule maintenance of isotanks, request quotes, and request authorization from Financial Manager.

Forward customer queries to Kevin McNally.

Place purchase orders for drums and labels.

Schedule and control drum filling for local or export customers.

Manage export permit applications with Dept. of Trade and Industry (DTI).

Weekly update of MMA stock levels at Sasol Nitro.

Schedule and control Lifting Crane usage of isotanks.

Be part of Hazchem response team.

Act as substitute for financial assistant.

Act in the best interests of African Amines at all times and carry out all reasonable and lawful

instructions given by a superior. Devote all your time and attention to your duties during working hours.

3. Qualifications

3.1. Education

Minimum: Matric / Grade 12 / N3 – Accounting, Mathematics.

Recommended: Higher / Further Education courses in Logistics e.g. B. Comm. Logistics.

3.2. Skills

Conscientious.

Accurate.

Attention to detail.

3.3. Specific Knowledge

Excel, Word and MS Office

Export processes and documentation.

Inbound and outbound (local) logistics processes and documentation.

Spreadsheets and reporting.

3.4. Abilities

Good “people” skills – interacts with customers and multiple logistics parties.

Self-starter.

Enthusiasm, perseverance and adaptability.

Practical, systematic and methodical.

Able to work under time-pressure e.g. expediting inbound supply, or meeting customers’ delivery due

dates.

3.5. Experience

At least1 years experience insales order processing and outbound logistics for bulk hazardous chemicals.

chemicals.

4. Working Conditions Contact and relationship with multiple external parties.

Some call-outs over weekends or after hours.
