What to Include in Your Apology

Usually, if you acknowledge you've made an error in judgment or were wrong in some fashion and express your regret sincerely, the person receiving the letter will forgive the infraction and continue to do business with you. However, sometimes it takes more than words, and an apology letter must be accompanied by appropriate restitution to repair your business relationship.

Start by saying you are sorry. You want the intent of the letter to be clear. Next, offer an explanation regarding the reason for the letter. Currently, I’m finishing my VWO-degree at Stella Maris College Meerssen. I’m in the ‘E&M’ stream, which includes advanced economics.

The past two years I’ve been researching different bachelor programmes, and narrowed my options down to a few. When I visited an open day at the university of Tilburg, and attended a course about the new ‘Economics’ programme, I knew that this was a programme that would challenge me, and thus interest me. The economy has always been important in our lives, so understanding how it actually works and functions seems very interesting and also profitable to me. Also, because the ‘Economics’ programme is international, it doesn’t tie you down to remain in the Netherlands for your entire life, but instead, it gives you to opportunity to build your future anywhere you want, which fits perfectly in my later ambitions, such as going to (and maybe settling) in the Asian world, which I’ve always been fascinated with.

Although the university of Maastricht also offers the ‘economics’ programme, and is only a half an hour away from here, I prefer the university of Tilburg for 2 reasons, firstly: the university of Tilburg is a smaller university, which means there is more room for teacher-student conversation and attention, so if there would be something I wouldn’t understand, I can immediately ask a teacher for guidance. Secondly: the university of Maastricht uses their so-called ‘PGO’-system, which I’m not a big fan of.

I’m from a typical rural village in the southern parts of Limburg, and thus, my international experiences are limited to vacation and school trips to European countries (such as Germany, France, Italy, The U.K. and Austria). Because I haven’t explored much of the world, I want to have a career which is international, and allows me to venture through the entire world, so I can see the many things our world has to offer, and also, to become successful.

As for my later career goals, as I mentioned before, I have ambitions to become international successful, preferably in the Asian world, because I believe that’s where the future will be the best(for several reasons). I’m hoping I can become successful in the banking sector, because banking is a very interesting part of the economy, and also a complicated one. Since I was a little boy I always found it odd how people could use so many types of money in the entire world, and why ,for example, people couldn’t pay with euro’s in the U.K. , and how exactly the exchange rates work.

PolitenessThe tone of complaint letters should not be aggressive or insulting, as this would annoy the reader and not encourage them to solve the problem. In addition, questions such as 'Why can't you get this right?' should not be included.

Content

The content should contain enough details so that the receiver does not have to write back requesting more.

Legal action is not normally threatened in the first letter of complaint, unless the situation is very serious.

I attended your exhibition Sound Systems 2012 at the Fortune Hotel from 15 - 16 November and found it informative and interesting. Unfortunately, my enjoyment of the event was spoiled by a number of organisational problems. I explain each of the problems below.

Firstly, I had difficulty in registering to attend the event. You set up an on-line registration facility, but I found the facility totally unworkable. Even after spending several wasted hours trying to register in this way, the computer would not accept my application. I eventually succeeded in registering by faxing you.

Secondly, the exhibition was held at one of Hong Kong's most prestigious hotels, but frankly the venue was better suited to a medium-sized business conference than to a large exhibition open by registration to the public. The lack of space led to serious overcrowding in the venue, particularly at peak visiting times (i.e. lunch times and early evening). On one or two occasions I was also seriously concerned about the physical safety of attendees.

To resolve the problem I would like you to explain what happened on that day, why the nurses and doctors did not do more for him and why he was not diagnosed and treated properly. I want you to write to him and apologise. The hospital he had his surgery in is a private one and I have to pay for the follow up physiotherapy. I think you should arrange for free physiotherapy for him.

Dear Complaints Officer,

On 1 June my father (Patrick Brown, DOB 1/1/31, above address) was admitted to the hospital following a turn at home. He had been very dependent at home for two years, requiring almost 24 hour supervision from his family, due to dementia and physical disability caused by a stroke. He was admitted to St Angela’s ward where I spoke to the nursing staff and told them all about his dependency and his needs. I offered to stay for a few hours to settle him in but they said no, they needed to assess him and they would look after him well.

I am very disappointed because you failed to provide a satisfactory service to him.

a) On his first night he fell out of bed and broke his leg as he says no-one answered his call to help him to the toilet

b) He was never assisted to eat his meals and hence they went uneaten and he lost a lot of weight during his 3 week admission

c) From Friday afternoon until Tuesday morning he saw no doctors as it was a bank holiday weekend, even though we asked nurses on four occasions to have him seen as he was deteriorating

To resolve the problem I would like you to fully explain who was responsible for his care and why the above happened. I would like a sincere apology from the hospital and staff concerned and I want concrete evidence that the failures that occurred will not recur for other patients.

I look forward to hearing from you and to a resolution of this problem. I had contacted the Ombudsman, but they advised me to take it up with you first. However, if I am dissatisfied with your response, I am entitled to revert to them.

Your father told me good news that you had finished last semester very successfully, so congratulations to you. He also asked me to give some advice about studying a foreign language, because you are starting to learn English next semester.

First of all, you should buy a good dictionary if you haven't got it yet, because having a good dictionary is very useful for studying a foreign language and, in my opinion, it is not very expensive. Secondly, you shoul watch TV programs or listen to a radio broadcast in English at least one hour per week at first, so that new words and phrases and foreign spoken language will become more familiar to yoгю I also think, you should work out your own system how to learn new words. As for me, I used to write new words on special cards, which I carried in my pocket constantly and reviewed them on every good opportunity.  I can suggest too, that you would be more motivated to learn English if you had a penfriend from an English-speaking country. In addition, I need to say that English can be very useful and even essential for your future career.
