Welcome to the autumn 2013 FM Solutions email Newsletter to update our Support Office Forum representatives. We understand that your time is valuable and in a bid to maximise this we have now structured a monthly email to minimise the amount of time we take to cover these headline issues at your regular Forum meeting.

1. FM Solutions - introducing the FM Solutions Service Centre

We held a Pavilion event on Tuesday 15 October to launch the newly re-branded Service Centre and help people understand what the FM team do and talk them through anything FM related from how to book a meeting room to how to report a dripping tap.Don’t forget, whether it’s catering, cleaning, grounds or garden, check it out the FM Solutions Service Centre website. We are all here to help make your day easier.

This also gave everyone a chance to meet the team, find out useful information and handy hints about our website. 2. On-site Road Safety Improvement

We started road safety improvement works to the D6 Roundabout on Friday 11 October. This work will affect First Avenue, Main Road and the Beeston Gate exit and is due to be completed by the end of November. Pedestrian and traffic management systems will be in

place and clearly sign posted. For safety reasons, all traffic including cyclists and pedestrians must follow the temporary arrangements as there will be reduced crossings and therefore increased risk while the work is carried out. Please take extra care when travelling through this area to ensure your safety as well as those of others using the site including your colleagues and the contractors.For further information, please contact Neville Hopkinson on: [email protected] or Janet Gibbs on: [email protected] checking this site for updates on traffic flow and the progress of the work. 3. Let’s do lunch with a new traffic light system in Nottingham’s New Ways Café

Eat here – don’t meet here (at least at lunchtimes)

Taking time out to catch up with colleagues and friends over lunch is a great way to recharge during the working day. You’ve told us that it can be hard finding free tables during lunchtime at D90’s New Ways Café, so we’re introducing a great new system to make it even easier to enjoy a little rest and relaxation at the café. From 14th October 2013, a new traffic light system will make it really clear when tables should be kept free for diners. Between noon and 1.30pm, red lights around the café will signal that the tables are reserved for lunch, and meetings shouldn’t be held in the area. Outside of these hours, green lights will signal that the area is available for meetings.If you do need to hold impromptu meetings during the lunchtime period, there are lots of places around D90 you can use:

• The Link • Local quiet rooms• Costa Coffee (D90 West)• You can also check the booking system for last-minute availability by visiting

www.facilitiesmanagementatboots.co.uk or ask at reception about the availability of the Reception meeting rooms.

If you’re planning meetings, you can book a room by visiting the FM Solutions website, or simply plan your meeting during the ‘green light’ periods at New Ways Café.Remember these changes are the result of your feedback, so let’s keep New Ways a work-free zone between 12-1.30pm every day, and help create an even better working environment for all our colleagues. If you’d like to find out more, please see the FM Solutions boards in D90 or contact us through the Contact Us links on this site.

4. Preferential parking

Throughout the site we have a number of spaces allocated to those visitors and staff who have a blue disabled badge as issued by an authorised public authority. If you have a temporary illness or physical restriction, you can apply for a Temporary User permit which will give the holder permission to park in one of our newly designated spaces.

Our disabled spaces are indicated by the signage shown here:

The Preferential Parking spaces are located in car park B in the front row on either side of the walkways and can be identified by the marked up barrier as below:

5. De-clutter programmeFollowing a decline in their Great Place to Work working environment score, the Marketing team decided to take matters into their own hands and put the same gusto into making their working environment as they do into their community challenges. What went well:• IT Amnesty brought in savings of over £ 1,700• Communication- Marketing GPTW Forum invited members of the FM team to

ensure awareness, tap into expertise and log the support required• Ownership - Management interaction led by GPTW Champions• Supported, driven and inspired by Elizabeth Fagan• David Fawcett Observations from a Boots FM Perspective (back to the floor)• Flexibility of the FM Team on the ground with a ‘can do attitude’ and the FM

Solutions Management support• Ownership of cleaning taken on by office colleagues as they de-clutteredWhat wasn’t so good?• There was a failure to observe and follow instruction regarding the sorting process.

This was despite labelling and shared information on process prior and during the process meant that FM Solutions could not keep up with demand despite 38 cages being in place for the de-clutter. This created double handling by FM Team and was time consuming.

What would we do differently?• Introduce a “Nominate your area” promotion and get Boots Comms publicity• Get the Forums buy in• Have senior management sponsorship – departmental competition on accuracy and

before and after results!• Split the area into manageable sections with the advice of the department(s) and

the FM Cleaning Manager• Have team accountability for accuracy• Introduce visual prompts to encourage accurate disposal of waste (What good looks

like)

6. How Can You Help Us? Precise collated feedback – Please remind colleagues to log work requests initially through the FM Solutions helpdesk 722222 (option 1, option 2) or via the FM Solutions website. If they/you are not happy with the outcome then please escalate through your forum colleague feedback. This ensures we capture all information.
