In this video, you will learn about How to format a paragraph We will then demonstrate how to manipulate some most commonly used paragraph formatting tools We will also perform some quick tests followed by a recap

Let’s start the lesson by having a look a word document. From the Microsoft Word 2016 Interface which we had already demonstrated in Video session 1, select the Home Tab to obtain all the icons in the PARAGRAPH GROUP used for paragraph Formatting as shown We will elaborate on these Paragraph formatting tools shortly.

We will start with Align Left icon It aligns your text with the left margins As you can see the computer studies , Grade 7 is written to the left of the margin The Keyboard shortcut key for Left Align is Ctrl +L, that is you need to select your text and press The Conrol (Ctrl) key on your keyboard and press Letter L at the same time to get the text to be left aligned Center It centers your content on the page As shown in the example Computer Studies Grade 7 is centered in the table The keyboard shotcut key for Right Align is CTRL +E

Align Right icon It aligns your text with the right margins As you can see the computer studies , Grade 7 is written with the right of the margin The keyboard shotcut key for Right Align is CTRL +R Justify It distributes your text evenly between the margins As you can see in the example given, making the text more organised The keyboard shotcut key for Justify is CTRL + J

Let us perform some Paragraph formatting on an already typed document This is the interface of Microsoft Word 2016 where we have already typed a text taken from your ICT Grade 7 book. From the Home tab, we will use the paragraph Group here where you can see the paragraph formatting icons . First select we select Birthday Party and click on the center icon which will shift the text to an equal distance from the left and right margins, that is to the centre of the document Select the 1st paragraph and click on the right align icon, as you can see the whole paragraph is shifted to the right of the document. We reselect the paragraph, and click on left align, which will shift the paragraph to the left of the document Now we select flower pots, decorated lamps and balloons, and click on bullet. As it is shown different type of bullets is available. As the cursor is being passed on the different bullets you could see how the bullet types are changing from circle, to dark circle to square and so on. We will select the tick Again select flower pots, decorated lamps and balloons, and click on numbering. You could see different style of numbering, numbers, alphabets, roman numbers etc.. We move on by selecting the next paragraph and click on Justify. You could notice that the justified text is equal in both margins

We select the whole document and click on line and paragraph spacing. As you could see, the drop-down menu shows 1.0, 1.15, 1.5 which are the space between any two lines of a text in a paragraph. While selecting 1.15 to 1.5 you could observe how the spaces in between the paragraph is increased. We select flower pots, decorated lamps and balloons, and click on 1.5 line spacing For shading, we select birthday party, click on shading and select blue Again select birthday party and click on all borders to get a border all around the text, just like a box To demonstrate increase indent, we select dearest friend to see the amount of space between the margin increases when we select increase indent Click on decrease indent to reduce the space between margins and the paragraph. This is how we have demonstrated the use of paragraph formatting tools.
