Exclusive Services Food & Beverage

Due to liability and legal restrictions no outside food or beverage of any kind may be brought into the Resort by the customer, guests or exhibitors. Reunion Resort is the only licensed authority to sell and serve liquor for consumption on the premises. Florida Law requires persons to be a minimum of 21 years of age to consume alcoholic beverages and must poses a valid form of identification. Reunion Resort reserves the right to refuse alcohol service to anyone.

Information Technology Wireless Internet is available complimentary in our meeting space and guest accommodations. The following

Safety Services Cables

All cables that cross doorways, aisles or walkways are to be covered with rubber matting, carpet, or run through a cable trough.

Capacities and Room Layout Listed capacities of all meeting/conference rooms must strictly be adhered to. All room sets must comply with federal, state and local safety codes. At no time should an exit door be locked, blocked or obstructed.

Elevators Equipment and freight may only be transported via the freight elevators which will be supervised by a resort employee. Passenger elevators are for guest use only.

• Reunion Grande has one Freight Elevator from Loading Dock to Grande Ballroom Level. The Grande Freight Elevator is 7’9” wide x 7’9” tall x 9’ deep.

• For events in Eleven the only access is through passenger service elevators. The Eleven Service Elevator is 4’ wide x 7’ tall x 7’8” deep.

Fire Regulations/ Permits Compliance with all federal, state and local fire and building codes is required for all group activity. All emergency equipment, exits, aisles and walkways must remain unobstructed. Special permits are required for events that involve pyrotechnics, cooking or other potentially hazardous situations. Please talk to your Conference Services Manager for permit information.

Flame Proofing All materials used in the resort must be flame retardant or non-flammable. A certificate of flame proofing may be required.

Floor Plans Any production designed floor plans must be submitted and approved a minimum 30 days prior to an event. For professional production involving haze, smoke or pyrotechnics, it is the responsibility of the production company to obtain Fire Marshall approval on all diagrams.

Hazardous Materials The group is responsible for removal of any hazardous waste and must comply with federal, state and local regulations regarding the handling and disposal of materials. Hazardous waste includes materials that are toxic, corrosive, reactive, ignitable, or biohazard. A Material Safety Data Sheet (MSDS) must be provided.

Haze/ Fog/ Smoke Machines The use of any haze, fog, or smoke machines must be approved by your Conference Service Manager. A schedule of rehearsals and show times must be submitted in advance. Only water based machines are permitted and require Fire Marshall approval and a fire watch during event hours. Fees will apply.

Open Flame Candles are permitted on tables if they are securely supported on noncombustible bases. Candle flames must be protected using a votive holder or another noncombustible container.

Smoking In accordance with the Florida Clean Air Act, Reunion Resort is a smoke free environment. Smoking is only permitted in designated outdoor areas.

Vehicles Vehicles cannot be brought into the building; they must remain outdoors. For further information, please contact your Conference Services Manager.

Facility Guidelines Air Walls

Air walls in the ballrooms are to be moved by resort staff only. Business Office – Self Service

We offer a self-service, 24 hour business office located in the Grande. The office includes two desk top computer stations, black and white copier/printer and fax machine. For larger printing needs, Please contact your Conference Services Manager for a Custom Quote for your event.

Banner Hanging Please speak to your Conference Services Manager about approved Banner Hanging locations. A fee of $100.00 plus tax per banner will apply.

Carpet Protection All carpeted areas must be protected when moving equipment in or out of any area. We require the use of a non-skid floor covering like Poly Tak. Please ask your Conference Service Manager for such a product.

Custodial Services and Waste Removal The resort provides all waste removal and custodial services in all public areas and restrooms. The client is required to handle all show related waste to include adhesive materials and bulk trash. If you require a dumpster, please advise your Conference Service Manager.

Damages Any damages to the resort, as a result of group activity, will be subject to repair charge. A scheduled walk-through should be arranged through Catering/Conference Services prior to move-in and after move-out to assess the condition. Damages include hotel rooms. Reunion Resort is not a pet friendly hotel with the exception of services animals. Reunion Resort accommodations are all smoke free. A deep clean fee will apply to any guest that violates this policy.

Loading Dock There is one loading dock bay available for deliveries at the Grande. All deliveries must be scheduled through Conference Services and will be scheduled around Resort deliveries. There is no parking at the loading dock. Please do not utilize the loading docks as storage.

Meeting Inventory Reunion Resort will handle all meeting equipment up to what is in inventory. Any needs that exceed what we have available will be the responsibility of the group.

Signage and Decorations Banners, posters or signs are not to be stapled, taped or affixed in any manner to any of the resort walls or block any resort posted signs. Please speak with your Conference Services Manager for appropriate posting options and regarding any decorations as you may be subject to a clean-up charge.

Staging Any staging needs will be the responsibility of the group as we do not provide it. For assistance in obtaining staging, please ask your Conference Manager. The resort does provide a modest inventory of risers for group use at no additional charge.

Storage There are limited areas throughout the resort to assist in your storing needs. Please ensure that you are never blocking a fire/emergency exit and that all appropriate resort signage is still in view. Please do not utilize the loading docks as storage.

Tape Removal Any tape that is used by the group is the responsibility of the group to remove. If there are any cleaning or repair needs due to the tape, the group will be responsible for such charges.

Catering Guidelines Attendant Fee

Cooking Stations and Carving Stations are subject to a $200.00 chef fee per chef. Bartender Fees

Each bartender will be billed to the group’s master account at a rate of $200.00 per bar for each three (3) hour period. The bartender fee will be waived with a minimum spend of $750.00 per bar, Cash Bar minimum is $750.00. Bars will be portioned one (1) bar per 75-100 guests.

Banquet Service Charge and Taxes Current Banquet Service Charge and Tax are as follows and are subject to change.

Banquet Service Charge - 25% (Service Charge is taxable) Sales Tax – 7.5% Cashier Fees

Each cashier will be billed to the group’s master account at the rate of $200.00 per bar for each three (3) hour period.

Expected Guest Counts & Final Guarantees Ten (10) working days prior to all food and beverage functions, the Resort requires the customer to submit an expected number of guests for each scheduled event. The expected number cannot be reduced by more than 10% at the time the Resort receives the guaranteed number of guests. The guaranteed number of guests for all Food and Beverage Functions must be submitted to the Catering Department by 12pm (noon), three (3) business days prior to the date of the function. If the guarantee is not received by the cutoff date the Resort will assume that the “expected” number of guests noted as the guarantee. The guarantee becomes the minimum number of guests used in calculation food preparation and event staffing. Should the actual number of guests exceed the guarantee the customer will be charged for the actual number of guests in attendance. On plated Food and Beverage food functions, the Resort will set seating for (3%-5%) over the guarantee. Food will only be prepared for the guarantee not the overset.

Function Rooms Function rooms are assigned by the Resort according to the guaranteed minimum number of guests anticipated. Increases in room rental fees are applicable if group attendance drops below the estimated attendance at the time of the booking. The Resort reserves the right to change groups to a room more suitable at the Resort’s discretion for the attendance with notification to the client if attendance drops or increases.

Weather Guidelines For evening functions, Reunion Resort will decide by 12:00pm (noon) on the day of your function whether the function will be held inside or outside. For daytime functions, Reunion Resort will decide by 5:00pm on the day prior. Should there be a report of 30% or more chance of precipitation in the area, the scheduled function will take place in the designated back up location. Temperatures below 60 degrees and/or wind gusts in excess of 20mph shall also be cause to hold the function indoors. In all cases, the Resort reserves the right to make the FINAL say if lightning or severe weather conditions are expected that may endanger the safety of guests or employees.

FootGolf – 407.396.3199 Played like traditional golf but with a soccer ball, FootGolf offers a unique and exciting way to experience the undulating fairways of our award-wining Watson Course. FootGolf is played using the basic model of golf, with a tee box, a green, bunkers, hazards, a similar scorecard and 9 or 18 holes to play. The main differences are the cups, which are 21 inches in diameter, the ball (a #5 soccer ball), the shorter holes, and the fact that the players kick the ball instead of using clubs. The main goal is simple: kick the ball into the hole with the fewest amount of kicks possible. Each hole has a Par just like golf ranging from Par 3-5 which adds up to a Par 72 the par indicates the possible number of kicks a player would need to get the ball into the hole.
