15 Questions For Every MaintenanceManager

Tired of reading CMMS articles that alwaysseem to say the same thing but leave you won-dering what good is it? Then perhaps it is time

to take in a new perspective. By working backward

from a determined set of asset maintenance needsyou will be able to tell if a CMMS software solutionis right for your business. As strange as it soundsthe answer is in the questions.

A good operations consultant can get a feel for anoperation in just a few moments. The type of things

they look for are not always obvious to the people(especially management) working in the company.Although each operation is different, the same prin-ciples to understanding work ow will apply. The

following set of questions are intended to help youunderstand your operational needs.

1. When was the last time your proceduresfor handling work requests, writing workorders and performing maintenance wereupdated, changed or created?

2. How many manual procedures are there?Manual is dened as the lling out of pape-rwork or performing a function without theaid of technology that could expedite the

process.3. Is there a work ow map/brownpaper/setof manuals that detail how maintenancework is processed from beginning to end?Or is the work ow a collection of band-aidprocedures and solutions to problems asthey arose?

4. What percentage of the maintenance teamtime is spent re ghting the daily problemsversus performing planned or scheduledmaintenance? Is the ratio anywhere nearan ideal 80% planned and 20% reactive(80/20) that well run maintenance organiza-tions achieve ?

5. How often do you inspect assets or equip-ment to make sure all is in optimal workingcondition?

6. What performance measurements are inplace? Do you know if your team is workingeciently? How long does it take to processa work request or what is the average timeto repair a broken valve etc.?
