Frequently Asked Questions from Students 1. Which option should I choose if I want to apply for conditional admission as an undergraduate

student? You should always choose “undergraduate application.” “ESL application” is for students who only want to attend the ESL program at Kent State University.

2. What should I do if I make a mistake on my online application? You should send a written clarification with the corrections to International Admissions ([email protected]). Include a scanned copy of the biographical page in the passport if you need to change student information.

3. Am I likely to be admitted by Kent State University? The International Admissions Office and Centers cannot evaluate your academic credentials without your online application. We will evaluate your application after receiving your complete application materials.

4. Does Kent State accept IB or A-levels for new Freshman applications? Yes, we do. Credits can be given to A & As levels from Edexcel and Cambridge International Examination. Grades from the International Baccalaureate have to be submitted electronically to Kent State University and will be evaluated by KSU’s Honor College

5. Can I submit multiple applications for different graduate school programs? Yes, you can submit multiple applications for graduate school (Note, you may only submit one application for undergraduate). However, you should send the application materials with a clear Statement of Career Goals separately explaining which application the materials are intended for. Make sure you’ve paid the application fee for each program. Make sure to use the same Login ID and PIN if you have submitted another application in the past. If you do not remember your login details please contact International Admissions. (**Our online application system can only support one student per Login ID. We recommend that students complete the application him/herself. If a representative completes an application on behalf of a student, that representative will need to create separate accounts for each student.)

6. How can I change the term of my application once I’ve already submitted an application? For an undergraduate and graduate application, the application and application fee are only valid for one academic year. Please send a written “deferral” request to [email protected]. You must complete an application before it can be deferred to another term.

7. How can I change the term once I have been admitted? For undergraduate and graduate admission, your offer letter is only valid for one academic year. You should send a written “deferral” request to [email protected] along with your updated financial statement and worksheet if they are expired. The date on the financial statement should be within 6 months of your enrollment date.

8. Can I send my application materials separately? Yes, you can as long as you submit them before the deadline, but we prefer that all materials are sent together. (Note: the financial guarantee and financial worksheet are not required until after acceptance, but we recommend they be sent with the rest of the materials.)

Page 21: Kent State University Agent handbook 2013 2014

20 Kent State University | Office of Global Education | [email protected] | Tel. +1-330-672-7980

9. Can I change my admission letter from conditional to unconditional if I receive a passing TOEFL or IELTS score?

We cannot change your KSU admission letter once it is issued. Students should bring their conditional offer letter and I-20 to their visa interview. When you arrive at Kent State University, you need to bring your TOEFL or IELTS score to International Admissions and the ESL Center to remove your English proficiency hold.

10. Why do I keep getting “application materials not yet received” emails? These email reminders are generated by our computer system automatically. We ask for your patience while we attach your materials to your application. You should contact the International Admissions Office if you believe you are receiving these emails in error after 15 business days.

11. Everything on my application is marked as “received” with a date, why does the application still show “applied and incomplete”?

This means we are evaluating your credentials and completing your international document review. Your online application will show “applied and complete” once your international document review is finished and uploaded.

12. How many credits can I get transferred? The International Admissions office plays only a small role in the process of transferring international courses (credits). We determine what the equivalent credit hours and grades are, but it is your responsibility to meet with an academic advisor to see how your courses fit into your major at Kent State. We cannot guarantee all of your credits will transfer to exact equivalents in your program. The Transfer Center will email you when your evaluation is complete. When you receive this email you will be able to view your transfer credits in your GPS Report and then schedule a meeting with your academic advisor. Please bring course syllabi and descriptions in English to make this process easier. ESL students should wait until they have completed ESL.

13. When will I receive my I-20? Upon your admission, it will take 5 working days to issue both your admission letter and I-20 if you have already submitted a valid financial statement. You will be sent tracking information when your package is sent. We send materials via DHL.

Part 3: Visa and Pre-departure

How should you advise students after they have been admitted? This section provides comprehensive visa and pre-departure information.

Visa Application

General Information • Applicants for a student visa are typically required to schedule an appointment with the nearest U.S.

Consulate or Embassy in advance. A list of U.S. Consulates and Embassies is available online: www.usembassy.gov/

• On the day of the appointment, the applicant should have all of the required documents (requirements vary by post and are subject to change without notice, so telephone or check the website of the Consulate or Embassy to confirm procedures).

• Workshops on how to complete the visa application process are offered in many countries by the U.S. State Department’s Bureau of Educational and Cultural Affairs. For a site convenient to you, check http://educationusa.state.gov/

• Consular officers will determine visa qualification.

Types of Visas for Students and Exchange Visitors • F-1, or Student Visa: The visa for people who want to study at an accredited U.S. college or

university, or to study English at a university or language institute. • J-1, or Exchange Visitor Visa: The visa issued to people who will be participating in an educational or

cultural exchange program.

Visa Application Steps 1. Receive the Form I-20 or DS-2019

After acceptance and receipt of all required financial documents, and before applying for a visa, Kent State will send the proper documentation that enrolls the student in the Student and Exchange Visitor Information System (SEVIS).

2. Pay the Required Fees There are a number of fees that applicants are responsible for paying. These may include: SEVIS I-901 Fee, Nonimmigrant Visa Application Processing Fee, Visa Issuance Fee The full list of fees is available online: http://travel.state.gov/visa/temp/types/types_1263.html

3. Apply Online Review the particular consulate or embassy as the process varies: www.usembassy.gov/

4. Schedule a Visa Interview Appointment Make an appointment for a visa interview by contacting the nearest U.S. Embassy or Consulate. You’ll find that information at www.usembassy.gov/ . • Visa processing procedures can vary, depending on the U.S. Embassy or Consulate, but all

student visa and exchange visitor visa applicants are given priority. The US Department of State lists typical visa wait times by country: http://travel.state.gov/visa/temp/wait/wait_4638.html

5. Prepare Documentation for the Visa Interview Appointment • The applicant should assemble all the required documentation prior to the interview

appointment. This may include a number of documents and receipts so students should review the information provided on the embassy or consulate website before going to an appointment.

Page 23: Kent State University Agent handbook 2013 2014

22 Kent State University | Office of Global Education | [email protected] | Tel. +1-330-672-7980

• In applying for a visa, the applicant needs to be aware that the visa alone does not guarantee entry to the United States. With a visa, a foreign citizen is allowed to travel to a U.S. port of entry. Upon arrival there, a U.S. Customs and Border Protection inspector makes the decision about the individual’s admission into the country.

• The process of obtaining a visa might sound complicated, but over 8 million people went through the process to receive non-immigrant visas to the United States in 2012 alone.

Visa Interview Tips Kent State University offers support to students who experience visa denials. Please feel free to contact us for support before making a second visa appointment: [email protected].

Considerations during the Application process Interviewing officers may consider many different things in the evaluation process. Here are some possible considerations:

• Is the applicant going to do whatever he/she claims? • Is the applicant able to pay for all the expenses during his/her stay? • Will the applicant have the ability to finish school in the US? • Is there a strong home country connection for the applicant? • Is the applicant planning on returning home after they finish their degree?

Knowing the answers to the following questions can help establish a student’s intention of returning to the home country after completion:

• Is there a positive job market in the home country? • Does the student have a bank account in the home country? • Does the student have a home or property in the home country? • Does the student have family in the home country?

Key points for the visa interview: To have a good interview, students should have a…

• Good mindset: relax and try not to be nervous. • Good manner: be friendly and polite. • Good information: understand basic information about Kent State University, major information,

and, if applicable, parents work and income information. • Good body language: look at the interviewer in the eyes, smile, speak loudly and clearly. • Good pace: speaking slowly may be misconstrued as lying or confusion.

Myths and Reality Misconceptions abound about the difficulty of obtaining a U.S. visa. Here are some realities:

Myth Reality

The United States sets a quota on visas to limit the number of foreign students entering the country.

There is no limit to the number of student visas issued by U.S. embassies and consulates around the world. If you are a qualified student visa applicant who has gained admission to a U.S. institution, the State Department wants you to pursue that opportunity.

An education agent will get the visa for me.

An agent can help prepare you for your visa interview but cannot get you a visa. Self-proclaimed visa “fixers” have no special access to the U.S. government.

A visa applicant needs to document a minimum income level.

A student visa applicant should be able to provide financial evidence that shows you, your parents, or your sponsor have sufficient funds to cover your tuition and living expenses during the period of your intended study.

Only the academic superstars get visas.

Visas are not reserved for the very best students, but getting a visa depends on first having gained acceptance to a college or university in the United States. When you have been academically admitted to the institution or accepted as a participant in an exchange program, the academic institution will provide you with the appropriate form required by SEVIS. You will be required to submit this form when you apply for a visa. You will need to demonstrate to the consular officer who conducts your interview that you are a serious student who is well-informed about the admitting institution. You also need to show that you have a well-developed plan of study and are knowledgeable about the subject you are studying.

During your visa interview, the consular officer will be waiting to hear the “right” answers.

The consular officer will want to hear your own answers and an honest description of your personal circumstances.

You’ll get a visa only if you are proficient in English.

If you are planning to study English in the United States, you do not need to show proficiency in the language. Command of the English language is one factor that consular officers will use in evaluating the overall competence of a student applying for a visa. Sufficient English proficiency, however, is a pre-requisite for J1 exchange visitor visa applicants.

You’ll get a visa only if you have relatives in the United States.

This is not true. The interviewing consular officer may ask about relatives in the United States during the visa interview, just as he or she may ask about your family situation in your home country.

International students are not permitted to work while visiting the United States on a student visa.

Some job opportunities are possible, especially in on-campus work-study programs with limited hours.

You must have your entire future planned to get a visa.

You need to be able to discuss a realistic study plan, but not a detailed plan for your entire career.

You must return to your home country immediately upon completion of your degree.

You may apply for Optional Practical Training to work for up to one year in your field in the United States to gain practical experience. Graduates of certain Science, Technology, Engineering and Mathematics fields may be eligible for an additional 17 months of employment.

Pre-departure Information

Important Kent State IDs

Kent State ID Kent State ID is the identification number for students and employees of Kent State University. It is also referred to as “Banner ID.” It is a 9-digit number beginning with an “8” and is important for correctly identifying a student’s record. Flashline User ID The FlashLine username is everything before the "@" symbol in the Kent State email address. For example, if the Kent State email address is [email protected], then the FlashLine user name would be jdoe1. The student can also find the username on their admission decision letter. Only students are permitted to access their Flashline account. Agent representatives should create nor access student’s username and passwords.

Kent State Email Kent State Email is an important link between the student and the university. The “Access” tab provides important notifications and should be the first thing students check. This tab is available after the student logs into the Flashline page.

Applying for On-campus Residence or Off-campus Housing

• Are you 20 years old or older? • Are you at least a junior (do you have at least 60 credit hours)? • Are you married?

If students answer YES to ANY of the above questions, they may choose to live on or off campus:

To live on-campus, students need to complete the housing application. Visit the Residence Services website here: www.kent.edu/housing/index.cfm and click on “Online Housing Application (New Residents)” on the left-hand side. If students answered YES to at least one of the questions above and prefer to live off campus, there are websites that can help them. Kent Cribs (www.kentcribs.com) lets people search for apartments based on distance from campus, price, and the number of bedrooms.

If students answer NO to ALL of the questions above, they are required to live on campus until they meet one of the above conditions.

Students need to complete the housing application. Visit the Residence Services website here: www.kent.edu/housing/index.cfm and click on “Online Housing Application (New Residents)” on the left-hand side.

Airport and Arrivals There are two airports students should consider when making flight arrangements that are located in close proximity (by car) to Kent: 1. Cleveland-Hopkins International Airport (airport code: CLE) approximately 50 minutes 2. Akron-Canton International Airport (airport code CAK), approximately 30 minutes

Students will receive an airport pick-up guide when they receive their immigration documents. This guide will provide information on the most efficient and safest way to arrive to campus. Students must arrive before or on the Program Start Date. For example if the Program Start Date is August 18th, the student may arrive in the US up to 30 days before—the earliest date being July 19th. If for some reason students are not able to arrive by the Program Start Date, contact International Student and Scholar Services by email at [email protected]. We strongly recommend students arrive within a week before Program Start Date.

Minor Status In the United States, a person under the age of 18 is considered a minor. They may be restricted from

activities like receiving a debit card, signing housing contracts/health forms, renting cars, etc. without a

parent’s signature or a power of attorney. Please make sure that parents research US policies in

advance or ask our ISSS department if they have particular questions.

Medical Insurance Requirement; Medical History and Immunization Forms • Health Center website is www.kent.edu/uhs • All Kent State students are required to carry medical insurance. This insurance will help cover the

students’ expenses if they are injured or become ill while at Kent. • Kent State offers its students an affordable and valuable medical insurance plan. See the website

above for details. • Kent’s Health Center requires an immunization record and Medical History Form. A copy is sent with

the admission package and also available from the website above. These forms may be submitted to the Health Center upon your arrival on campus.

What to Bring Attire American college students dress informally for class. Men wear jeans or casual pants with a sweater or sweatshirt in cold weather. Frequently they wear shorts and short sleeve shirts in very warm weather. Women students wear slacks, sweaters and sweatshirts to class in cold weather. In warmer weather they may wear a skirt or shorts and a blouse. To note: US buildings normally try to maintain moderate temperatures. During the summer and fall (May – September), buildings are air conditioned so students may want to bring a light jacket for indoor use or for cool evenings. In the winter (November – March) the buildings are heated. Students should have a warm coat that is easy to remove when indoors. It will be cold outside and warm inside.

Toiletries There are numerous places to purchase toiletries in Kent. We recommend that students bring as little as possible and buy what is needed upon arrival. Some items to bring or purchase upon arrival are:

Medication If the student requires prescribed medication, it is best to bring at least a three month supply along with the name of the medication. The student will need to obtain refills from the University Health Services Center after seeing a doctor there. If applicable, students may need to bring prescription information. The student’s insurance may or may not cover the cost of prescription medications. It is best to carry any medication as hand luggage so it is easily accessible. Over-the-counter medications for headaches, pain or fever, etc. can be purchased at various stores in Kent and at the University Health Services Center.

Student Arrival: What Your Student Should Expect When He/ She Arrives.

Flight Students will need to book a flight when coming to Kent State University. Here are some tips for the international trip: • Bring all the documents with you on the airplane. • Be nice and greet people around you. • Contact the airline for baggage requirements (you may need to pay for your bags). • Wear comfortable clothes and shoes. • The air conditioner is very efficient on the airplanes; students may get cold. • A Customs Declaration form will be completed on the airplane. To be prepared, students should

bring their US address with them on the plane. • After landing, students will go through customs. Students should have their admission and

immigration documents prepared. Answer questions honestly and confidently. • It is likely that the student will have a connection to a smaller airplane that will take him/her to

Cleveland or Akron. To be prepared, your carry-on bags may need to be checked at the gate. Make sure if you have any fragile items in your carry-on that they are well packed in case this occurs.

Pick up at airport (if applicable) • Students should have the written contact

information of the organization or the person who is supposed to pick him/her up from the airport and make sure to confirm the flight information ahead of time.

• Students should make sure to confirm the identity and destination with the person picking up before leaving the airport.

Housing Check-in (On-campus housing, transition housing or your own apartment) • On-campus check-in will be available 24

hours at the designated front desk for both residence halls and temporary housing residents.

• Most apartments will have a designated office hour schedule, please make sure to visit the office during the office hours.

• Students that plan to arrive before the residence halls are officially open will need to apply for transition housing.

Check-in at Office of Global Education International students must check-in at the Office of Global Education (located at Van Campen Hall) upon arrival. A comprehensive guide for orientation week will be given to students during check-in. Students must bring their passport, visa, I-20 and other immigration documents with them. *Students may also bring their official and final transcript to International Admission (located inside the Office of Global Education)—these documents must be submitted within the first semester.

Orientation Week There will be plenty of activities happening the first week. These activities will help get you involved in campus and will include: International Student Orientation, ESL placement tests, campus tours, movies, and many more!
