NP Ann Tracy, The Little Clinic, 21st Street, Wichita, Kansas Yesterday we had a visit from a new patient that was wanting to be seen for possible pink eye. He was not very concerned about his eye, and was very hesitant about coming to the clinic to begin with. After we checked him out, Ann was VERY concerned! She discovered his sclera was EXTREMELY swollen and irritated after shining the ophthalmoscope on it. This man was also very hypertensive, but otherwise, felt fine. Ann strongly encouraged him to go to the ER, and he agreed to go to St. Theresa. She called him today to follow-up and see how he was. He was kept overnight at Via Christi for a possible MI and his eye was VERY damaged due to his elevated blood pressure. They were able to control his BP and now he will be getting regular treatment for it. He was very grateful for TLC and especially for Ann. Ann saved his eye and may have saved his life! Thank you, Ann, for acknowledging the patient’s concerns and providing the medical guidance necessary to address his situation! Yesterday we had a visit from a new patient that was wanting to be seen for possible pink eye. He was not very concerned about his eye, and was very hesitant about coming to the clinic to begin with. After we checked him out, Ann was VERY concerned! She discovered his sclera was EXTREMELY swollen and irritated after shining the ophthalmoscope on it. This man was also very hypertensive, but otherwise, felt fine. Ann strongly encouraged him to go to the ER, and he agreed to go to St. Theresa. She called him today to follow-up and see how he was. Sports Physicals Season From Heather Tseng, Field Marketing Manager, Denver

“For the thousands in attendance, and the millions watching around the world…Let’s get ready to RUMBLE!!!”-Michael Buffer, legendary boxing ring announcer

Anyone who’s been around TLC for a while has witnessed a sports physical season. It’s exciting, it’s action packed and TLC goes round for round in the toughest company…teenagers!! But ultimately, with the right preparation and determination, we will emerge as champions!

Generally speaking, sports physical season is a two-week period in which every school-aged child in North America descends upon healthcare providers in order to gain clearance to play soccer, lacrosse, football, polo or underwater basket weaving. Although sports physical season has always been – and probably always will be – a little chaotic for many regions, I’d like to share with you some of the wisdom we’ve gained in Colorado through years of trial and error. I’ll let you know what we do before, during and after sports physical season to deliver the best experience to the most patients.

First: This isn’t the Field of Dreams. If you build it, they will NOT come. Just sitting there in the clinic with the lights on will not bring the number of sports physicals that you need to grow your clinic. NOW is the time to help market sports physicals in the store, while field marketing reaches out in the community.

We had a PCT named Jason Azumendi that had this to say about his approach to sports physicals in our Greeley clinic:

In light of the upcoming “busy season” for sports/school/camp physicals, I’ve taken a proactive approach to help out my clinic. I’ve been incorporating our promotion into the small talk with patients as they wait. If they have children with them it’s pretty easy, just a few simple open-ended questions like, “What did you do last year for your physicals?” Then I’ll let them know how we can help them, mention the days that we’ve seen historically high volume and let them know they can beat the rush by doing it early. I’ve found that the “soccer mom” community is pretty close; they all know one another, so I ask them to talk to the other parents and pass the word along.

Second: Your regional leadership team has created a plan to help with the busy sports physical season. It probably includes increased staffing in clinics that historically are busiest, maybe extended hours, a multi-person on-call system (for NPs and PCTs), split shifts and more.

But the best-laid plans are worthless without the participation of NPs, PAs and PCTs.

We need every last person to step up and fill those needs in your region. The point is that we want to keep anyone from reaching exhaustion. It’s impossible to give stellar service if you’re dead on your feet. So we all need to share the responsibility for keeping the clinics running smoothly. Teamwork makes the dream work.

Third: During the busy season, don’t think of sports physicals as just another patient. The truth is we don’t make much money on sports physicals. So why do we even bother? We do it because it gives us an opportunity to give the customer first experience to thousands of new patients every single year. These patients may have never otherwise tried TLC. If we deliver the customer first, they’ll be back as loyal patients!

But it can backfire, too.

All too often, the family sits around for two hours, feels misled by our promise of convenience, gets the exam and is never seen or heard from again (except by their friends and family, who get to hear all about their crummy experience). So we have to make a commitment to every patient to provide stellar service – even the ones who are impatient, unfriendly and grumpy. Every patient. That might mean something different for each one. It could take the shape of friendly conversation, a cold bottle of water or an offer to go home and be called back 20 minutes prior to being seen. It could be a coloring book and crayons for a younger sibling. It could be calling the next closest clinic to see if the wait is shorter. The point is this: Talk to your patients. Find out what would make each one’s experience just a little more convenient and a little more stellar.

Fourth: A special point for the regional leadership out there. Don’t be afraid to jump in where you’re needed. Shadow a PCT, let them teach you how to check in, take payment and manage the reception area. Do this before we get busy…because it’s tougher than the PCTs make it look! I even own a pair of TLC scrubs and I wear them on the busiest weeks just in case. Most of you probably do this already, but I think we all should have the skills to help out when our patients need it. Even if you don’t have the skills to check in and take payment, you can still help. Answer the phone, hand out paperwork, hand out water, etc. Every little bit helps.

Finally: I want to end with a few quick tips for PCTs and providers to take away:

1. Between now and August, talk to your patients, store associates, shoppers, family and friends about sports physicals at The Little Clinic. Together, we make a small army of TLC ambassadors…let’s all help spread the word. Word of mouth works.

2. Clinic partners should support each other! Formal staffing plan or no, clinic partners need to help each other out of a jam when needed. Ask your regional leadership what the busiest days are going to be and be willing to help your partner out, even if you’re not scheduled to work. You don’t have to stay the whole day; just a few hours of help can make a tremendous difference.

3. Talk to your store manager about seating before it gets busy. It is inevitable that we’ll need more seating than we usually do. Most store managers are happy to help provide additional seating for waiting patients. While you’re talking to your store management, be sure that they understand the importance of our sports physical season; it’s absolutely vital to our business!

4. Do not be afraid to ask for help. Many times, asking for help feels like we’re showing weakness. That’s not the case! Asking for help takes courage! Remember our motto…it’s customer first. If you’re getting overrun and overwhelmed, the patients can’t possibly have a stellar experience. So keep those regional leadership phone numbers handy and reach out for help if you need it!

As TLC grows, we are continuing to come up with innovative ideas to help simplify our processes for a quicker response to the issues faced in the clinic on a daily basis. The new application will be coming in the near future and will be 100 percent internet interface. Utilizing the NP SharePoint application will help us become more acclimated with using the internet process with ease. Unfortunately, the current process on the NP SharePoint is utilized less than 10 percent. If you have been using this tool and you have comments and/or suggestions for improving the process, please feel free to contact me via email at [email protected] or by phone at 615.425.4237.

Please remember to add your first and last name in the “Your Name” field when submitting maintenance requests. This will allow us to identify you easier when sending reply emails.

The July Outreach Program is a great opportunity to encourage our clinic associates to connect with store customers. Read on for details on the program.

Objective: To engage and create awareness with store customers to support our 5|5|95 Strategy. This outreach program will be a fun and targeted program to help drive our associates to connect with store customers.

Goal: Connect to 25 people each day and 500 people over 3-week program time period.

Program Dates: July 1 – July 20 (20 days)

What materials will each clinic team receive?• Program Instructions• Tissues - 1 box of 196• Lip Balm - 250• Bag Clips – 100 (this item will be shipped out separately and will arrive on or before July 1)• TLC General Services Flyer - 500

How does this program work?• Make this program fun and exciting by getting out of the clinic each day, and connect

with 25 store customers by providing them a handy TLC promotional item and TLC general services flyer.

What do I say while handing out a flyer and promotional item? Sample scripts include:• “Would you like a free _____? as they take the item, continue… Have you ever been to The

Little Clinic?” If they say yes, “thank you, we appreciate you choosing The Little Clinic for your healthcare needs.”

• If they say no, “If you ever need us, we treat conditions like sinus infections, strep and give vaccines.” If half way engaged, continue… “We are open 7 days a week and accept most major health insurance plans.” Thank you for your time.

These are suggested scripts and you are welcome to use your own that best fits your style. Just make sure to let them know they are getting a free item, tell them a little about us and thank them for their time.

Why should I do this?• If each clinic connects to a total of 500 customers during this 3-week program,

we will connect to almost 100,000 customers in 20 days! Even if only 10% return, that is 10,000 new patients!

• This program is a great opportunity to help drive our 5|5|95 Strategy by: reaching out to store customers to increase visits in our clinics; eliminate wasted time during slow periods; and executing at our highest levels with a simple and clear goal for each clinic.

What do I do next if I run out of items?• Continue to connect with your store customers throughout the year by giving out tissues

and flyers that are available on the FISI ordering site.

Event Overview: Johnson & Johnson (Band-Aid, Neutrogena) and Pfizer (Advil, Centrum) are sponsoring in-store events to promote sports physicals for The Little Clinic. Each store event will be managed by a Discoveries Event Specialist. The event specialist will set up their promotional cart near the clinic in each store and they will promote sports physicals and give out sponsor product samples (mentioned above) along with an informational coupon booklet.Discoveries Event Specialists are frequently used in Kroger and Kroger banner stores to engage customers through product sampling and promotional coupons.

Dates/Times: The Discoveries Event Specialist will be in each clinic store location for six hours on one of the following days:

In five clinic stores across The Little Clinic footprint, Discoveries will be promoting sports physicals in a BIG way! This same event will also take place at the Kroger General Office in Cincinnati, Ohio.

Each event will take place at the front of the store in a highly visible area and will host local celebrities to sign autographs and pose for pictures with store customers. The event will also have fun games to play and logoed premiums to give away, such as small footballs and water bottles.

A Discoveries Event Specialist will be at the front entrance of the store directing store customers to the event area. Other Discoveries Event Specialists will be working the event area promoting TLC and sports physicals, engaging store customers with giveaways and promoting the celebrities and fun games.

NP Debbie Bartine, The Little Clinic in Tempe, Ariz. When I was at store 124 yesterday (University clinic), one of the cashiers pulled me aside and asked me if anyone had let me know that during the winter, she had called “corporate” to report what an amazing experience she had during a visit with Debbie at clinic 03113 (I had not heard). She told me that without her, she would not be standing here today. She went to the Gilbert clinic because she was having difficulty breathing and overall feeling lousy. Debbie gave her a breathing treatment and since she had little improvement in her symptoms, she recommended that the patient go to the ER for additional care. She was resistant and wanted Debbie to just give her another breathing treatment. Debbie calmly explained to the patient why she needed to go to the ER and would not take no for an answer. She finally agreed but only because she said Debbie really seemed to care about her. She wouldn’t let Debbie call the ambulance but had a friend drive her to the ER. She said she was barely able to walk in to the hospital. She was so short of breath that she had to stop and rest every couple of steps. She said that had Debbie not been so caring and insistent, she would have gone home and “very likely would have died.” She wanted to be sure that I knew how very happy she was that Debbie cared so much for her. She told me that all too often, people only share the bad experiences. She wanted to be sure that everyone at TLC heard about the outstanding experience she had with Debbie. Thank you Debbie, for your outstanding medical care but more importantly for showing how much you care about our patients. While we provide many medical services, our purpose is feeding the human spirit. You probably thought you were “just doing my job” but this one gesture had a powerful impact on this patient/associate!
