GUIDELINES FOR USING FAMILY

TREE The following guidelines are intended to help the user access current information and directions for

successful use of Family Tree. Each subject heading contains relevant topics with suggested links to

detailed guidance found in the Get Help section of Family Tree. Because Family Tree is a continually

evolving program, Get Help provides the most up-to-date answers to questions.

Finding and Using the Help Center on Family Search to Answer Family Tree

Questions

On the FamilySearch website, you can find different kinds of assistance. Materials include self-help for

products, online courses, and materials that teach you how to do family history. Courses are provided by

experts from FamilySearch and other organizations, and most are free. If a course or accompanying

material has a cost, the fee is indicated below the course title.

Use the steps below to access the Help Center:

1. Open a browser window, and go https://familysearch.org/.

2. In the top right corner, click Get Help.

3. Under Self Help in the left column, click Help Center.

4. Under “Select a Help Topic,” select Family Tree

5. Open the “Frequently Asked Questions” tab

6. Enter search terms in the box below Frequently Asked Questions, and click the magnifying glass or

type Enter.

7. You may need to revise your search phrase to find the required answer.

2. At the bottom of the Tree Tips page, click on Visit the Help Center

are definitely duplicates and, (2) make sure all relevant information, relationships and

sources are moved to the remaining record.

The information in Family Tree was obtained from many sources which may have resulted in duplicate

records or incorrect information.

Before you merge records, consider doing the following:

Review all information and documentation, if available, on the person’s details page.

Have a well-documented personal records management database.

Keep track of ID numbers and any notes of the information you may want to retain. You may lose

information once a merge is completed.

When you find incorrect information in your Family Tree, do the following:

Correct the information.

Check the possible duplicates and merge duplicate persons.

Indicate persons who are obviously “not a match” to prevent the records from being merged

incorrectly in the future, and give a clear reason why they are not a match.

5.8 Resolving Common Merge Situations As you merge records, you have to decide what information to keep and what to reject.

Situation What to Do The duplicate record contains a more

accurate or complete piece of

information.

Click Add or Replace to move the information to the record

being kept.

The duplicate record contains

information that is not correct.

Do not move the information over to the record being kept.

Click Reject. Before you finish the merge, make sure that all

incorrect information remains on the right side of the screen.

The duplicate record contains a

nickname or other name variation

that should be preserved.

Write down the name from the duplicate record. After you finish

merging the record, add the name as an Alternate name in the

person’s Other Information section.

One record contains an accurate

date. The other contains an accurate

place. Neither record contains both

the correct date and place.

1. Click the information to see the contributor and reason statement.

2. Keep the version that is easiest to correct. If one version has a

good reason statement, keep that version. It is often easier to write

down a date or place than it is to write a clear reason statement.

3. Write down what corrections you need to make after the merge is

done.

Both records contain different

versions of a piece of information,

but you do not know which is

accurate.

1. Keep the most reasonable version. Reasonable information fits

with the time, the place, and the family data that you already know

is accurate.

2. Keep notes so that you know what further research to conduct

about this person after you complete the merge.

3. Enter your concerns in the reason statement for the merge.

4. Enter your concerns in the person’s discussions.

The duplicate record contains

duplicate spouses and children.

1. For each duplicate person, click Accept or Add to move him

or her to the record that is being kept.

2. Finish the merge.

3. Go the spouse’s record and merge the duplicates.

11.2 Glossary of Terms

All Husbands and All Wives. An icon that

indicates there are other spouses for an individual.

All parents. An icon that indicates there is

another set of parents for an individual.

Ancestral File. A genealogy database that contains

lineage-linked names and other genealogically vital

information, such as the dates and place names for

the births, marriages, and deaths of millions of

individuals. Ancestral File data is made up of LDS

member-submitted information from around the

world.

Beta. A term used by computer engineers to

designate a system that is still under construction

and is not the finished product. A beta program is

one that is available to use, but is still being

developed and is likely to have missing features or

features that may not always work as intended. A

beta database contains data used to test beta

software. This data will not be used in the finished

product, but will eventually be discarded.

Born in the Covenant. Children who are born after their

mother has been sealed to a husband in a temple are

born in the covenant of that sealing. They do not need

to receive the ordinance of sealing to parents.

Citation. The specific information in a source pointing to

the exact location, such as a microfilm number, book

call number/page number. It is the most specific

information available to guide a subsequent researcher

to the original information.

Completed. An ordinance status indicating the

ordinances have been performed. If an ordinance is

completed, the date when the ordinance occurred is

listed, and the temple or place where it occurred may

also appear.

Contact name. The name that appears when Family

Tree displays a user’s name as a contributor of

information. When choosing the Contact name,

consider privacy.

Contributor. An individual who provides information to

Family Tree.

Details page. A page that shows all of the information

about an individual, such as event information, gender,

facts, family relationships, and LDS ordinances.

Discussions. A feature in Family Tree that helps you

coordinate family history work with other Family Tree

users. The Discussion feature works similar to social

networking sites.

Display name. Family Tree uses your display name as

your contact name, on Family Ordinance Requests, and

on your ordinance cards.

Event. An occurrence–such as a birth, marriage, or

death–in an individual’s life.

Fact. A piece of information about an individual that is

not related to a life event. A fact may or may not have a

date and place. Examples of facts might include hair

color, occupation, religious affiliation, and so forth.

Family ordinance card. A card or piece of paper that is

used to perform and record temple ordinances for

deceased ancestors.

Family Ordinance Request (FOR). Once an ancestor is

identified and their genealogical information verified

with sources, a FOR is printed by the patron and taken

to the Temple where the individual Pink, Blue and

Yellow temple ordinance cards are printed. One or

more names may be included on a single FOR.

Family History Partner Products. Software that works

with FamilySearch products, but that was not

developed by the FamilySearch organization. A

FamilySearch review board reviews the programs to

make sure they will work with the as promised.

FamilySearch Family Tree. A website owned and

operated by the Church of Jesus Christ of Latter

Day Saints on which is a common pedigree

containing the genealogical records and where a

record of all Temple Ordinances is maintained.

Family Tree Views. A screen that allows the user

to view family information. Four options are

available: Landscape, Portrait, Fan, and

Descendancy

Feedback. Found at the bottom of the Details

Page, this provides the opportunity to give

suggestions or alert the engineers to problems.

Female. An icon used to indicate an

individual is female.

Get Help. A page that appears when a user clicks the

Get Help link. Contact FamilySearch, Local Assistance,

and My Cases are found in the Help section. This section

also provides links for Questions and Answers, Video

Courses, Learning Center, and Wiki.

ID number (Person Identifier). A number that identifies

people in Family Tree. (This same number is used in

new.familysearch.org. It is called a “person identifier.”)

A person identifier number does not change over the

life and death of the person. Person identifiers are

generated randomly to help the system keep track of a

person. You cannot use them to determine specific

information about the person or the source of the

information.

In progress. An ordinance status indicating that the

ordinance is in the process of being completed.

Someone has already printed a Family Ordinance

Request or family ordinance cards.

Individual. A person with a record in Family Tree.

International Genealogical Index (IGI). A

computer file created by The Church of Jesus Christ

of Latter-day Saints. It was first published in 1973

and continued to grow through December 2008. It

was last updated in 2009.

LDS FamilySearch Account. A single user name and

password that Church members use to sign in to Church

websites and computer systems.

Legacy contributor. A person who originally submitted

information to new.FamilySearch.org, Ancestral File, or

the Pedigree Resource File. These sources are identified

as Legacy NFS Source.

Looping pedigree. A pedigree in which people are

incorrectly linked back to themselves in future or

previous generations. For example, a person may be

mistakenly combined with a father or grandfather of

the same name.

Male. An icon used to indicate an individual

is male.

Membership record number. A number that uniquely

identifies a Church membership record. Also called a

record number.

Needs more information. An ordinance status

indicating that more information is needed for an

individual before the ordinance can be done.

Not available. An ordinance status that indicates that

the ordinance work for this individual is not available to

the public. In most cases, ordinance information is not

available in order to maintain privacy.

Not needed. An ordinance status that indicates that the

individual does not need this ordinance because he or

she was stillborn, died before age 8, or was born in the

covenant.

Not ready. An ordinance status that indicates an

ordinance cannot be done because the individual has

not been deceased for at least one year.

Note. Narrative, free-form information that is attached

to an individual.

On hold. An ordinance status that appears when

someone has already accepted the responsibility to do

the preceding ordinances, which must be done before

this ordinance can be selected.

Ordinances are ready. A button that indicates

that one or more of an individual’s ordinances have the

status of “Ready.”

Ordinances are reserved or in progress.

Ordinances completed. A button that

indicates all ordinances for this

individual and his or her family are completed, or not

needed.

Password. A sequence of characters that a user must

enter before he or she can access Family Tree.

Password recovery questions. A series of questions that

a user answers when registering an LDS account. When

users forget their password, they can answer password

recovery questions to validate their identity. Then the

system allows them to change their password.

Pedigree Resource File (PRF). A growing collection of

user submitted genealogies. It shows individuals’

names; family relationships; and dates and places of

birth, marriage, and death.

Person. A person with a record in the system.

Record. A collection of information about an individual.

Relationship type. A piece of information in Family Tree

that describes how a parent and child are related. The

relationship types include biological, step, foster, and so

forth.

Request. An ordinance status that indicates there is

enough information to perform this ordinance.

Reserved. An ordinance status that indicates someone

has already accepted the responsibility to do this

ordinance.

Sign in. To enter a user name and password for the

purpose of using Family Tree.

Sign out. To end access to the computer system.

Source. The information necessary to find and view

a genealogical record that proves a birth, marriage,

death, burial or other genealogical fact. It must

contain sufficient information for a subsequent

researcher to find and locate the original

document/fact.

Source Box. A Source Box serves as a place to

capture an on-line record source and preserve it.

Your source box contains the sources that you want

to attach to your ancestors. It lets you reuse sources

instead of retyping a source each time you need to

use it. In Family Tree, you can find a record, add it

to the source box, and then attach it to an ancestor

on the Tree immediately or at a later date.

Standardized Places and Dates. Family Tree

provides a list of standardized information for

locations, and dates. They are used by Family Tree

to assist users in using exact spellings of place

names. It also assures that dates will be entered in

the proper format.

Submitter. An individual who enters information into

Family Tree.

Summary card. In Family Tree, a box that shows the

most important information about a person in the

system. To display it, click a person’s name.

User name. A sequence of characters that identifies the

individual who is using Family Tree.

Watch. A feature of the Family Tree program that

enables you to follow the activity on an individual

record, making it easier for users to collaborate their

research efforts.

11.3 Ordinance Status Terms

Status Meaning

Request You can prepare to take this ordinance to the temple. First check for a duplicate record

which may show the ordinances as being completed.

Completed

Ordinances may show as "Completed" for the following reasons:

The "Completed" ordinance might be a patron opinion from a GEDCOM submission with any type of information in the ordinance date field.

The "Completed" ordinance might be from an Ancestral File or Pedigree Resource File submission.

The "Completed" ordinance might have been entered in the FamilyTree Project. The FamilyTree Project is an outdated FamilySearch product that is no longer available.

The "Completed" ordinance might be part of an incomplete TempleReady submission or an incorrectly entered temple submission. NOTE: If the ordinances show as "Cleared" or "Completed" in the FamilySearch Family

Tree, they should be treated as missing ordinances because the official date for that

ordinance is missing. Feedback should be submitted requesting verification of

ordinance status.

Needs

information

You need more information about an individual before you can do the ordinance.

Possible problems in a record may include: Dates and places of birth, marriage, death, or other events are not standardized.

One of these events does not contain at least a country name in the place. Gender not specified. Missing names of family members, such as father, or spouse. Individual shows as living. Also, please check the following:

In the Individual’s Summary check that the name field has a valid name. The name should contain only letters (no parenthesis, numbers or symbols). Remove any invalid characters or symbols.

Check that the individual has the information required for ordinances.

Permission

Required

For individuals born within the last 110 years, please obtain permission to do

ordinances from the individual’s closest living relative. (The closest living relative

is, in this order: an undivorced spouse, an adult child, a parent, or a brother or sister).

Verbal approval is acceptable. Please honor the wishes of close relatives.

Not needed The individual does not need this ordinance because he or she was either stillborn or

died before age 8.

Not ready The ordinance cannot be done because the individual has not been deceased for at least

one year.

Status Meaning

Reserved Someone has already accepted the responsibility to do this ordinance.

Waiting Ordinances should be done in order. For example, the baptism should be done before

the confirmation, and the confirmation should be done before the initiatory. This

ordinance will be “on hold” until the prior ordinances have been completed.

Not available

This individual's ordinance information is not available to the public. The most

common reasons for this are: Privacy concerns preventing the information from being displayed. The individual lived before A.D. 1500, and the ordinances have probably been

done. To find out if the ordinances have already been done: o Click the Possible Duplicates button to see if there are other records for

this individual. o If you find other records for this individual, combine them. If the other

records indicate that the ordinances have been completed, the ordinance status should then change to "Completed."

Born in the

covenant

Children who are born after their mother has been sealed to a husband in a temple are

born in the covenant of that sealing. They do not need to receive the ordinance of sealing

to parents.

As long as the sealing was not canceled before the child’s birth, the child is born in the

covenant. This includes children born to any other husband after the death or divorce of

the sealed spouse. (In displaying temple ordinances, a BIC status from a membership

record takes priority as the earliest date over any subsequent sealing to parents).

11.4 Tree Connect

Tree Connect is a FamilySearch certified product that provides a template to create a source from a website

and puts the source into your Source Box. You can then link the source directly to your ancestors on

Family Tree.

Before you begin you will first need to put the Tree Connect link (bookmarklet) on the Favorites Bar of

your browser.

1. Go to http://recordseek.com.

2. Place the link (bookmarklet) on the toolbar.

Google Chrome—click and drag the Tree Connect (green box) to your bookmark bar.

Firefox—click and drag the Tree Connect link (green box) to your bookmark bar.

Internet Explorer—right click the Tree Connect link (green box) | Add to Favorites | Choose

Favorites Bar from the Favorites drop down list.

Using Tree Connect to create a source:

1. Find a record from a website other than FamilySearch.org. (The transcribed or indexed information,

not the image.)

2. To add the record information to the source, do one of the following:

a. Highlight the information (family summary, birth or death text, etc.) you want to appear in

the “Describe the Record” (Notes) section of the source.

b. Highlight the text and put it in “Notepad” or some other program to clean up the information

and then add it to the source.

3. Click Tree Connect link on your “Bookmark” or “Favorites” bar.

4. Sign in to Family Tree, if asked to do so.

5. Edit the title to make it more meaningful, for example add the name to the title.

6. Scroll to the bottom of the page to the “Describe the Record” (Notes) box and delete the reference

to Tree Connect. (If you highlighted record information this reference will be shown at the end of

your text.) Clean up the information if needed. If you used “Notepad,” add the record information.

7. Click Save.

8. “Discover Your Deceased Ancestors” window appears.

9. Fill in the form with either the name or Family Tree ID number.

10. Click Search.

11. Select the correct record from the list that appears.

12. Add a “Reason to Attach Source.”

13. Click Attach.

14. At the “Source Saved” box you can click “View <person’s> Person Card,” or “Close the

Window” to exit Tree Connect.

15. Sign in, if you choose to view the person summary card and the newly created source.

16. Tag the source verifying specific details if desired.
