A message from the CEO…

Thank you for generously offering your time to support those who must travel to Kelowna for their healthcare. As a volunteer

supporting people at JoeAnna’s House you are the first – and often last impression they will hold of the House, the Hospital and of the

KGH Foundation. In your work, we are sure you will represent the Foundation in a warm and caring manner.

The KGH Foundation is proud of the work that takes place at JoeAnna’s House. It is meant to be a place of safety during crisis and a

place to come home to during some of their most trying times. Your work is important to us because you represent our hopes for

recovery and resolution, and the caring we hope these people will receive.

The people staying at JoeAnna’s House are often facing some of the most challenging times they have experienced. This will present

challenges to you to support them respectfully and to help them get through very worrisome times. Times of stress often do not bring

out the best in people, so it is up to us to ensure our guests have as safe and as secure a home base as possible.

Your work is integral to the success of the House, and that of the Foundation. Thank you for being a part of the KGH Foundation Team.

This handbook contains valuable information related to our Volunteers at JoeAnna’s House; please refer to it if you have any questions. We truly hope you have a warm and positive experience while volunteering at JoeAnna’s House.

Organizational Description JoeAnna’s House opened its doors to the first Guest on November 25th, 2019 It is through the Kelowna General Hospital Foundation and the many generous donors that JoeAnna’s House has become a reality.

Vision JoeAnna’s House is a shared home-away-from-home created to support families with loved ones requiring medical care at KGH. Our hope is to create a home where families are safe and secure allowing them to provide support to their loved one in care.

Philosophy Many families are in urgent or stressful situations. We strive to provide a nurturing environment, while respecting that families may value their privacy. We will strive to be a positive aspect of people’s experience, we will exercise respect for the situation each is facing, and we will be empathetic in our interactions with guests.

ABOUT JOEANNA’S HOUSE

Who Can Stay? JoeAnna’s House welcomes families who live *OUTSIDE OF THE AREA and have a loved one who is hospitalised at Kelowna General Hospital. At any given time, one out of every four beds at KGH is occupied by a patient from outside the Central Okanagan. These patients are here for many different reasons; emergency trauma, cases requiring air ambulance, neonatal intensive care, open-heart or other surgery, serious illness or injury. JoeAnna’s House is also available to high-risk pregnant women who live outside of the area but are required to be close to the hospital.

*OUTSIDE OF THE AREA is considered to be Summerland to the South and Vernon to the North; exceptions will be identified on a case by case basis.

JoeAnna’s House is unable to accept walk-in guests. A referral form, found on our website at www.joeannashouse.com, can be completed and faxed to 250-470-0102 or emailed it to [email protected]. All referrals must be confirmed by an IH Social Worker or KGH Staff member.

Bookings are available for the family member(s) only; patients are not able to stay at JoeAnna’s House. Once a patient has been discharged from the hospital the family member(s) must vacate their room at JoeAnna’s House in order to make space for other families. We are only able to offer one Guest room per family. A family is defined as 1 person up to a maximum capacity of 5 in most rooms.

Day Use is available at JoeAnna’s House for a family member who is attending a loved one admitted to Kelowna General Hospital and who need a break from the hospital environment. Family members can use the Day Use Room located on-site at JoeAnna’s House where they will be able take a shower, do a load of laundry, let their kids enjoy the games and activity area (all children must be supervised by an adult), and use the business center. Wi-Fi is available throughout JoeAnna’s House. Families accessing the facilities for ‘day use only’ must be referred through an IH Social Worker or KGH Clinical Staff or request a referral at www.joeannashouse.com. Walk-ins are not permitted.

Animals are not allowed in JoeAnna’s House. An exception to this rule however would be a BC Certified Guide Dog or BC Certified Service Dog. These dogs require the proper certification through the Ministry of Public Safety and Solicitor General. Proper documentation is required preferably prior to arrival. Dogs cannot stay at JoeAnna’s House unsupervised at any time; it is the Guest’s responsibility to care for and clean up after them. JoeAnna’s House management reserves the right to make decisions, at its own discretion, about the eligibility for initial, continued or repeat stays by any Guests, as well as room location and assignment.

Where Are We Located? JoeAnna’s House address is 321 Royal Avenue – Kelowna B.C. It is physically located on the corner of Abbott Street and Royal Avenue. Follow ‘H’ signs, turn on Royal Avenue toward the Emergency entrance to the hospital; we are conveniently located at the end of the street just down from the Emergency Department.

What Is The Cost? Room Rate is $25.00 per night per family. GST or PST will NOT be charged. There is free parking at the back of JoeAnna’s House for our registered Guests only. No family will be turned away if they cannot afford to pay.

Payment by cash, debit or credit card or third party agency is to be made at the time of check out. All third party agency billing arrangements must be made with Management prior to the family checking in at JoeAnna’s House. For your convenience there are also ATM’s located throughout the hospital.

How to book a room? Few families can know exactly when or for how long they will need to be in town and some will arrive right from a doctor’s office or the Emergency Department in an emergent situation. Because of the wide variety of the nature of our Guests’ situations we will not always know whether we have available accommodation. Room requests can be made at any time however we can only guarantee a room 24 hours prior to arrival.

Social Workers and / or Clinical Staff will liaise daily with Management at JoeAnna’s House as to the need for accommodation. A Referral Form is used by all stakeholders and is available at www.joeannashouse.com. If required an Employee or Clinical Staff member will work with the family member to fill out all pertinent information on the referral form. Applications will be treated with the utmost confidentiality.

STAYING AT JOEANNA’S HOUSE

CHECK IN JoeAnna’s House has an employee available on-site 24/7, 365 days a year in order to register Guests. The check-in process will take approximately 30-45 minutes the first time you stay with us. During this time we will complete the Guest information, provide a tour of the home, go over the JoeAnna’s House policies and procedures and help to get you settled into your Guest room. In instances where the situation is emergent, we will check you in, provide you with key cards, parking passes, etc., and then arrange for your orientation as soon as you are able to be on-site for a longer period of time.

Please ensure you have proper photo ID. E.g. Driver’s license, Passport or similar identification.

When you first arrive at JoeAnna’s House you will be given a parking pass for your vehicle which must be displayed at all times. Once you are parked please proceed back to reception where you will be greeted, registered and given an orientation regarding your stay.

Once you are registered, oriented and settled in, please feel free to come and go as needed; your key card will work on the parking lot door as well as your Guest room. For security reasons Guests returning to the house after 10pm will have to buzz in for an employee to open the door.

Guests are responsible for ALL items that they bring into JoeAnna’s House. JoeAnna’s House does not cover loss or damage to Guest property.

Incidentals such as toothpaste and toothbrushes are provided for Guests who may have arrived urgently or they just forgot something; please ask an Employee or Volunteer if there is anything you need.

CHECK OUT Before checking out Guests are asked to leave your room clean (remove garbage and recycling to the outside bins), place all soiled towels and bed linens into the tub. Please remove personal items from the fridge and pantry bins.

We ask that you complete a Guest Experience Form and leave it on the desk in your room. It is very important for us to know what worked well, or ideas you might have to make JoeAnna’s House better for our Guests. We would also like to know your story and appreciate it if we could share it either with your name attached or anonymously. Sharing personal stories helps the community understand the need families have and engages them to provide ongoing support for JoeAnna’s House. It is through their support that we are able to continue to operate from year to year.

Before leaving your room please dial “0” to notify the Employee on duty that you are leaving. You will then meet the Employee at the front desk in order to pay for your stay, return your room key card, parking pass and any other equipment you have signed out.

Check out time will be determined on a case by case basis. We may require you to vacate your room earlier in the day in order to prepare it for another Guest, or you may be able to stay in the room until later in the day if there is availability. In the event we ask you to vacate your room earlier than your departure time we will make every effort to provide the Quiet Room for the duration of your stay at JoeAnna’s House.

We understand that your check out day may be changed and you may need to leave on a later date. Whenever possible we will accommodate you to stay longer; however you may or may not be able to stay in the same room. There is also the possibility that we will not have an available room; all efforts will be made to assist you with finding alternate accommodations.

Please notify an Employee as soon as possible if your departure date has changed.

In the event that the room will be unoccupied for more than one night Guests must properly check-out of the room and ask to be put back on the waitlist for the date of their return.

WHAT JOEANNA’S HOUSE HAS TO OFFER OUR GUESTS JoeAnna’s House is open 24/7, 365 days each year and serves families from many communities throughout the Interior of BC. We have 20 guest rooms of which 3 are handicapped accessible and a variety of amenities to make our families stay as comfortable as possible. We are in close proximity to Lake Okanagan, walking paths, parks and just steps away from Kelowna General Hospital. We also have available a list of local services you might require during your stay in Kelowna, e.g. Grocery Stores, Faith Groups, etc.

VOLUNTEER INFORMATION, POLICIES & PROCEDURES

Volunteer Selection Our selection process includes an interview (one-on-one or part of a group information night), 2 references supplied by the applicant, the completion of a criminal record check, and the signing of a confidentiality agreement. The purpose of this process is to:

Assess and screen each applicant (skill set, availability, areas of interest, motivation, commitment and dependability)

Familiarize the applicant with the current Volunteer opportunities. It is important that our Volunteer roles meet the needs of JoeAnna’s House and the families we support.

Provide the applicant with the goals of the Volunteer Handbook and explain how the Volunteers play an important role in supporting JoeAnna’s House.

Training and Support General orientation and training will be provided in a group or one-on-one environment by our Manager of Operations or our Manager of

Guest Services or designate.

Role specific training will be provided.

Continued training and support will be offered to all Volunteers.

It is important that JAH Volunteers show a willingness to learn, attend educational meetings, workshop and orientation programs.

Supervision All Volunteers report to the Employee on duty at the beginning of their shift.

Volunteers receive direction, supervision and support from all Employees at JoeAnna’s House.

JoeAnna’s House expects a high standard of conduct, integrity and loyalty from its Volunteers. Volunteers should expect the same from JoeAnna’s House.

Disciplinary procedures exist to ensure that issues are addressed and all individuals are treated fairly. If you have any questions regarding disciplinary procedures please speak with the Manager of Operations or Manager of Guest Services.

A gala evening once a year to honour Volunteers

Letters of reference for students moving forward to post-secondary programs

Letters of reference for work, other Volunteer positions, grants or bursaries.

Volunteer Scheduling and Time Commitment Volunteers are asked to commit to a minimum of 12 months. There may be an opportunity for 2 Volunteers to share a 12 month block. We ask that each Volunteer commit to one 4 – 5 hour shift per week. We will offer 2 shift times, the first one will be an early morning start at 7:30am and the second one will be a later afternoon start at 3:30pm. If you need to cancel your shift with short notice please call our front desk at 250-470-0100. If you have a planned day off please complete a Day Off Request Form and return it to the Manger of Operations or Manager of Guest Services, providing as much advance notice as possible.

It is important that we can depend on our Volunteers to attend their shifts, as you are a vital part of our team.

Beginning and Ending your Shift It is important that you be punctual, dependable, and consistent and honour the commitment you made when you started your Volunteer work at JoeAnna’s House. We advise that you leave any money or valuables at home, or lock them up in a locker provided in the Employee Lounge when you arrive. JoeAnna’s House cannot be held responsible in the event of theft of personal belongings. Please check in with the Employee on duty when you arrive for your shift. Please, check the Volunteer bulletin board for any special announcements every shift. Before leaving, check in with the Employee on duty to pass along any important information and to let them know the status of your duties. Please do this every shift.

While on Duty – Electronic Devices

Please refrain from using any electronic devices including your cell phone; these devices must be kept in the secure Employee Lounge. Please do not eat in front of Guests; if you take a break and want to have something to eat please use the Employee Lounge.

Name Tags Be sure to wear your name tag on each shift; this helps identify you as a Volunteer and someone our Guests can go to for assistance.

Dress Code Please do not wear jeans or gym wear such as spandex or sweat pants. Practice good personal hygiene. Aprons will be available for you to wear while working in the kitchen.

Scent Free We are a scent free home and so we ask that you refrain from strongly scented body lotions, perfumes or air fresheners that may affect those who either already have respiratory issues or who are allergic.

Teamwork It is important that you take any criticisms, complaints or suggestions to the Manager of Operations or Manager of Guest Services. Do not discuss your grievances with other Volunteers, Employees or Guests. We sincerely want your Volunteer experience to be a great one, and the only way we can address issues is if you speak with us directly. We have created a home-like space for our Guests and it is not appropriate to share gossip, discuss problems or anything negative regarding your Volunteer role. If you overhear others having an inappropriate conversation, please remind them to take their concerns to the appropriate Employee.

Change in Personal Data Notify the Manager of Operations or Manager of Guest Services if you have a change in name, address, telephone number or email address. This will allow us to communicate with you more effectively.

Flu Shots All Volunteers are encouraged to get an annual flu shot; these are provided free of charge through local pharmacies (Remedy’s is located in KGH). During flu season if you have not had a flu shot you may choose to wear a mask (available at the front desk) during your shift. Volunteers will be

notified when flu season starts and ends.

Hand Washing This is the single most effective way to prevent the spread of infections. “Good" hand washing techniques include using an adequate amount of soap, rubbing the hands together to create friction, and rinsing under running water. Please wash your hands properly before working in the kitchen and before returning to work after eating or going to the bathroom. Please remove your apron prior to going to the bathroom.

Tips, Gifts, Gratuities & Loans Volunteers should not accept any compensation or rewards from individuals or agencies for their service. You should graciously, but firmly, refuse money or gifts offered. Volunteers should not lend money or accept loans from Guests or agencies. Tips and gifts should not be accepted

Fire Alarm

1) Evacuate JoeAnna’s House from where you are at that time. 2) Close any nearby windows or doors as you walk through JoeAnna’s House to the exit. 3) As you walk, direct families to the muster point in the parking lot. 4) Wait for Fire Department to take over evacuation. 5) Help keep families calm.

First Aid Kits Available in the Employee Lounge and Facility Laundry Room

Emergency 1) If there is an extremely urgent situation where outside assistance is required DIAL 911 immediately 2) As soon as possible communicate the emergency to the Employee on duty. 3) If the Employee on duty is not available contact the Manager on Call immediately.

Medical Care No medical care or evaluation may be provided by JoeAnna’s House Employee or Volunteer. Employee and Volunteers are not to perform or participate in any medical procedure unless it is CPR and there is a qualified trained First Aid Attendant available, in any event of emergency call 911.

No Lifting Do not assist anyone who has fallen or to get in or out of a wheelchair or high chair.

Safety & Security It is vital that all Volunteers feel completely safe and secure while at JoeAnna’s House. If at any time you do not feel safe or you feel threatened, or you require immediate assistance, call 911 immediately. You are required to report all issues of safety or harassment to the Manager of Operations or Manager of Guest Services. Harassment or bullying of any kind will not be tolerated.

Door System Guests staying at JoeAnna’s House will have a swipe key for the main entrance and their Guest room. If someone rings to come in you will be able to view them on screen as you speak with them. Ensure that they are supposed to be there prior to letting them in. If you are uncomfortable letting someone in, simply politely ask them to wait while you find an Employee to help them.

Visitors / Deliveries Guests are permitted to have a Visitor; Guests must greet them at the door and Visitors must remain in common areas only, they are not allowed in Guest rooms. All Visitors must sign in and out at the front desk. We may limit the number of Visitors depending on how full JoeAnna’s House is at the time. All Visitors must abide by JoeAnna’s House Guidelines as laid out in the Guest Handbook and leave the premises by 10:00pm. Guests at JoeAnna’s House are responsible for their Visitors at all times.

If Guests are awaiting a delivery (pizza, Skip the dishes, etc.) they must be at the front door to receive it.

Greeting Guests & Visitors JoeAnna’s House is a place of warmth and support away from the medical setting for families, while being able to remain close to their loved one. Every family we meet is different, yet they are all here for the same reason; their loved one is seriously ill or injured and in the hospital. Volunteers are expected to greet/smile at everyone who enters JoeAnna’s House. Every person who enters JoeAnna’s House must be treated with dignity and respect and be made to feel welcome and comfortable.

Supervision of Children Children under the age of 19, with no exceptions, must be supervised by an adult while at JoeAnna’s House. Volunteers may not provide child care services at any time, not even for a “few minutes”. If Volunteers are ever asked to supervise a child, politely advise parents that it is JoeAnna’s House policy that all children be supervised by an adult family member while staying at JoeAnna’s House and children under 3 are at arm’s reach from a parent at all times. Do not pick up a child without the parents’ consent first.

Interactions with Guests It’s often hard to know what to say or do when speaking to someone who has a loved one who is sick or seriously injured. You may be afraid of intruding, saying the wrong thing, or making the person feel even worse. While we can’t change their situation, we can provide comfort and support to families. It is common to feel awkward when trying to comfort someone who is upset or grieving. Many people do not know what to say or do. The following are suggestions to use as a guide:

Listen with compassion; acknowledge what the person is saying and how they are feeling. This confirms you are listening.

Express concern. Example: “I’m sorry” or “I am here to listen” Don’t be afraid to be honest. Example: "I’m not sure what to say, but I want you to know I care." Offer support. Example: “How can I help?”. Ask how the person is feeling in a meaningful way.

Comfort can be offered in silence. If you can’t think of something to say, a squeeze of the hand or a reassuring hug speaks volumes. Comments / topics to avoid when comforting or speaking to parents:

"I know how you feel." One can never know how another may feel.

"It's part of God's plan," or “It’s for the best.” This is never an appropriate comment.

"Look at what you have to be thankful for." You have no idea what their personal circumstances are.

“It will be okay.” You do not know that it will be ok. Never discuss religion or politics; if a family member brings it up please refrain from sharing your beliefs.

Smoking The use of any tobacco product or e-cigarettes is not permitted anywhere within JoeAnna’s House or on the property in areas other than what has been designated by JoeAnna’s House. Any evidence of smoking in rooms, bathrooms or any other part of JoeAnna’s House, inside or out, may lead to you being asked to leave the premises and if special cleaning needs to be done a fee charge will be applied.

CONFIDENTIALITY / RELEASE OF LIABILITY / CONSENT

Confidentiality Each individual who comes to JoeAnna’s House is required to respect the rights to privacy surrounding each Guest(s) situation. We are committed

to and legally bound to protect a Guest and/or Patient’s privacy and ensure confidentiality. During your time as a Volunteer at JoeAnna’s House, it is possible that personal or other confidential information may be overheard or viewed; you understand that any such information obtained will be kept

strictly confidential. You agree not to disclose or seek any confidential information that has come to your attention in verbal, written or computerized

form concerning a Patient, Guest, Employee or Volunteer of JoeAnna’s House and the KGH Foundation and you understand that photography/videography of Employees, Volunteers or other Guests is prohibited without their written consent.

Release of Liability I release and forever discharge and hold harmless the KGH Foundation from any and all liability, claims and demands of whatever kind or nature, either in law or in equity, resulting from my role as a volunteer.

Consent I consent to a Criminal Record Check to be done to ensure the protection of children and other vulnerable people. JoeAnna’s House asks that you grant permission to the KGH Foundation and its affiliates and sponsors to use of any photographs, motion pictures, recordings involving you or any other record for any purpose including, but not limited to, promoting, advertising and marketing purposes.

It opened in 1908, on land donated by the Kelowna Land & Orchards (KLO) Company, with just 19 beds and has grown exponentially to meet the needs of an ever-expanding community.
