Montalvo Employment Opportunity Job Title: Lucas Artists Residency Program Assistant & Artist Liaison FT, 40 hours/wk, hourly, non-exempt The international, multi-disciplinary, Lucas Artists Residency Program at Montalvo Arts Center is seeking a full-time Program Assistant and Artist Liaison. The ideal candidate will have an interest in the arts; be impeccably organized, detail oriented, energetic, flexible, and a people person; with excellent written and oral communication skills; curious in nature with openness to innovation and creativity; and strong interpersonal skills. This position reports directly to the Director of the Lucas Artists Residency Program, and works closely with the Associate Curator and Special Projects Associate, as well as all support departments, all resident artists and programmatic partners. Responsibilities include, but are not limited to: Keep residency database, files and archives current. Keep departmental schedule updated and communicated. Administrative support for the Residency Director. Administrative support in the selection process of all resident artists. Provide primary contact for selected fellows before, during and following their residency. Coordination of all aspects of artist’s visits including schedule, contract, arrivals, orientation, departures. Identify resident’s work and equipment needs and assure those needs are met upon arrival and during their residency stay. Administer and produce web content for residency, artists and related artistic programs. Develop and maintain database in conjunction with programs and public relations managers. Provide administrative support for artistic programs from the residency including but not limited to: monthly Open Access program, Art on the Grounds projects, Culinary programs, New Direction/Performance programs, and partner projects. Process and track weekly work orders, accounting requests and reconciliation, supply and equipment inventory. Maintain and oversee cleaning schedule for studios; ensure that studios are properly prepared for resident’s arrival; Oversee the scheduling and preparation of common spaces for artists and programmatic events as needed; communicate directly with housekeeping staff and facilities tech when and if necessary. Work closely with Development staff to coordinate monthly Directors Dinners. Order office supplies and maintain office efficiency. The ideal candidate will have the following qualifications: Bachelor's degree required or commensurate related experience in an administrative role. Highly motivated, energetic, positive person; Ability to work independently and take initiative as required. Demonstrated ability to work as a part of a team. Excellent organizational and administrative skills with particular attention to detail Capacity to manage multiple tasks simultaneously in a fast-paced environment Excellent written and verbal communication skills. Proficiency with Microsoft Office and Microsoft Outlook and FileMaker. Experienced with various social media platforms; Photoshop/ In Design a plus. Experience coordinating and leading volunteers and interns of all ages.

Working Conditions & Physical Tasks: Busy office environment; requires the ability to remain seated at a computer workstation for extended periods. Some job functions may be performed outdoors. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle, or feel; and reach with hands and arms. The employee is occasionally required to sit, stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception. Some local travel necessary; valid driver’s license and access to own vehicle and clean DMV record required. Background check required. CPR/First Aid certification required within 60-days of hire.
