ROLE DESCRIPTION VOLUNTEER RECEPTIONIST / ADMINISTRATOR Based at Headway Centre, Frenchay Reports to: HR, Admin & Facilities Manager and Services Administrator The role, which is a customer facing one working with vulnerable adults who have suffered a brain injury, will involve: Reception Duties: o welcoming Service Users to the Centre, recording attendance or absence; o receiving daily cash from Service Users for teas/coffees and planned activities; o greeting visitors to the Centre and making appointments; o dealing with postal and courier deliveries to the Centre including incoming and outgoing daily mail; o answering and directing telephone enquiries, taking and delivering messages; o recording support workers arrival at and departure from outreach sessions, and following up if support workers fail to make contact; o contacting service users if support workers are delayed for outreach session; o liaising with transport providers, supporting staff and other professionals, using telephone and email; Other Administration: o issuing and distributing information, leaflets, brochures and alike o assisting the Services, Support Outreach, Admin, HR, Fundraising and Bookkeeping teams. o researching information for service user activities and helping to plan/book rooms, venues and travel arrangements where required; o photocopying and filing duties to include making up new files; o sending correspondence by post or email, printing and laminating posters; o inputting updated information into service user / support records & databases; o reporting and recording building repair and maintenance problems; o any other general clerical tasks which fall within the scope of the role. Reports to: HR, Admin & Facilities Manager and Services Administrator

The role, which is a customer facing one working with vulnerable adults who have suffered a brain injury, will involve:

Desirable Skills / Experience:

experience of working in a reception/administration or front facing office customer services role; strong organisational skills and the ability to maintain discretion and confidentiality; a reasonable level of numeracy as the role will involve handling cash/payments; a methodical, flexible and unflappable approach, with an eye for detail; confident telephone manner & interpersonal skills and ability to manage calls with sensitivity; basic experience of using Microsoft Office packages – particularly Word, Excel and Outlook..
