Consulate General of Switzerland in New York Posted: February 17 th , 2015 JOB OPENING The Consulate General of Switzerland in New York is looking for a Registrar / Office clerk Starting date: March 15 th , 2015 (or upon agreement) The Consulate General of Switzerland in New York is seeking a qualified candidate for a full-time position as registrar / office clerk. The candidate will be responsible for maintaining the records of the Swiss Consulate General and the Swiss Permanent Mission to the United Nations. One of your main tasks consists in electronic and paper filing with our document filing system (Data Management System). You will ensure that the daily incoming correspondence (hardcopy and electronic) will be registered and distributed to the proper section. The candidate will maintain continuity of work flow by documenting and reporting to the management. You will be able to multitask between several duties at once and work under pressure in a team. Further, the candidate must be willing and able to learn about the business of the Consulate and the Permanent Mission to the UN. Additional duties beyond those listed here will be determined and assigned as needed. Preference will be given to those candidates who have a relationship with Switzerland and / or Swiss citizenship. Duties and Responsibilities: Ensure proper distribution of daily correspondence Distribute incoming mail Prepare & drop off outgoing mail/packages Register files for proper placement File records away in alphabetical or numerical order Retrieve files as necessary Ensure if files are loaned out that they come back Close files and prepare them for off-site storage, maintain file lists Create new entries as needed Process and scan files to be entered into computer in digital database Work with electronic storage media Ensure no materials in file are lost Be able to explain the filing system to others Requirements: Employment experience in a related field and in Data Management System preferred.
