Why Accounts Payable Matters Impact of Accounts Payable

Hard Dollar Savings

Discounts average 0.8% if payment is remitted within 10 days

For a company with $1.5 billion in annual supplier purchases this equates to $12 million in savings

Satisfied Suppliers

Paying suppliers on-time and accurately fosters supportive supplier relationships

Suppliers can have a direct and positive impact on: Product quality Product innovation Product delivery

Improved Cash Flow

PresenterPresentation NotesYour accounts payable (AP) department has many responsibilitiesother than simply paying the bills. Balancing supplier needs, payment terms, discounts, and cash management requires a flexible and adaptable system that automatesand optimizesyour entire accounts payable process. AP personnel help build supplier relationships and trust by ensuring that all delivery, payment, and contractual conditions of the relationship are fulfilled. Managing the flow of invoice processingwhether for a handful or hundreds of daily invoicesrequires an integrated, automated system to ensure each and every invoice is processed promptly and accurately. In addition, your AP department can add value to the bottom line by optimizing the use of invoice discounts and timing of cash flow disbursements.

Your accounts payable department has the responsibility to ensure that payments to suppliers are made on time and fulfill both the needs of the supplier and the cash flow needs of the company. The AP department helps to manage supplier relationships by ensuring all terms and conditions of the supplier contract are metthus encouraging supplier partnerships that can directly impact product quality, product innovation, and product delivery. On the cash flow side, AP can ensure that maximum supplier discounts are taken and applied, creating millions of dollars in savings for the average company. Average discounts of 0.8% from Gartner Research note, Sept. 17, 2002: Invoicing and Payments: The Payer Value Proposition

JD Edwards EnterpriseOne Accounts Payable provides the flexibility you need to manage your accounts payable operation. Enhance supplier relationships by fulfilling payment obligations in an accurate and timely manner. Use an automated, integrated system to streamline and process invoices with ease. And improve your cash management with controlled and accurate payment processing. With EnterpriseOne Accounts Payable, you can:

Why Accounts Receivable matters

Impact of Accounts Receivable

Customer Relationship

Credit Risk Cash Flow

Customer Relationship Process customer invoices and

payments accurately and in a timely manner

Recognize customer-specific processing requests

Manage customer accounts across multiple lines of business

Minimize impact of damaged goods, late deliveries, other errors

Cash Flow Promptly and accurately record

cash receipts Accurately calculate and apply

taxes and deductions

Credit Risk Evaluate credit worthiness rapidly Establish appropriate credit limits

PresenterPresentation NotesAccounts Receivable managers struggle with balancing the need for critical evaluation of credit worthiness with managing positive customer relationships while maintaining a consistent and profitable cash flow. A misstep in any of these three areas can have a big impact on the bottom line.

Why Fixed Asset Accounting Matters

Managing Fixed Assets

Compliance Am I in compliance with tax

regulations? Am I able to meet IFRS and GAAP

standards?

Accurate Data Am I consistently recording,

valuing and disposing of fixed assets?

Maximize Profitability Am I using the most advantageous depreciation

method?

PresenterPresentation NotesAccounting for fixed assets can be a complex balancing act. Organizations strive to ensure compliance with changing tax and accounting regulations while constantly recording, updating, and disposing of fixed assets. And, because these are often high value assets, the ability to select and apply the best depreciation parametersfrom usefullives to the most advantageous depreciation method or schedulecan significantly impact the bottom line.

Automatic Cost Drivers Indirect Cost Assignments Cost Object Tracking

Managerial Accounting

Automated Cost Object Determination

Cost Analyzer Multiple Views

PresenterPresentation NotesMajor features within JDE E1 Advanced Cost Accounting:Automatic Cost Drivers provide the ability to capture driver volumes for use in cost assignments. Eg. The number of sales order lines per customer when allocating the overhead cost of filling orders to customers.Indirect Cost Assignments provide the ability to assign overhead costs to a cost object by cost driver.Cost Object Tracking enables you to directly assign transactions to their original cost objects. Eg. You can define item as a cost object and capture direct costs such as inventory costs to the item/cost object automatically.Automated Cost Object Determination provides a rules based method to automatically assign cost objects to transactions based on other attributes.E1 Advanced Cost Accounting enables you to analyze data using traditional cost accounting, activity-based costing, or a combination of the two. You can combine traditional cost accounting and activity-based costing for greater flexibility in managing a business. The ACA process moves the data outside of the G/L into the Cost Analyzer table. The Cost Analyzer enables you to arrange and analyze managerial accounting information without affecting financial accounting information.Cost analyzer views allow you to look at data that the system summarizes differently in different years or for the same year. When you define a view, you specify the fiscal year and the fiscal date pattern for the data that you want to view. Additionally, you define the level of detail that you want to view, such as the ledger type, business unit of the data, and the cost objects. You can post to multiple views simultaneously.

Advanced Cost Accounting

PresenterPresentation NotesThe first component of capturing detailed cost information is the ability to leverage built-in integration with core financial systems. This reduces implementation time and gets the advanced cost accounting system up and running in days, not months. Integration helps to eliminate errors associated with re-keying data into systems across the enterprise and it also lower costs associated with implementation, maintenance, and administration.

All JD Edwards EnterpriseOne modules come completely pre-integrated, so you now that as you expand your systems capabilities you will leverage this built in integration for rapid and accurate transaction processing.

Why Advanced Cost Accounting Matters

Traditional Accounting

Improved Performance

Do you know your real costs by: Customer? Product? Channel?

Advanced Cost Accounting Deliver precise, accurate cost

information to: Improve visibility Strengthen fiscal

accountability Facilitate more informed

decision, eliminate waste, and focus resources

Actively manage customers, products, and channels to improve performance

+ =

PresenterPresentation NotesTraditional accounting is great for keeping track of the books and for staying on the good side of auditors, but it lacks the ability to collect and organize your financial information in order to answer fundamental questions such as: Do you know your real costs by customer? By Product? By channel? Layered on top of your current accounting system, JD Edwards EnterpriseOne Advanced Cost Accounting opens up the possibilities to deliver precise cost accounting information that:Improves visibilityStrengthens fiscal accountabilityFacilitates more informed decision-making, eliminating waste and focusing limited resources

The result? The ability to actively manage your customers, product lines, regions, and channels in order to improve overall performance and profitability.

Expense Management Leverage built in connections to other systems

PresenterPresentation NotesThe EnterpriseOne Expense Management system is directly integrated to other EnterpriseOne applications including the Accounts Payable system, the General Ledger, payroll, and more.

Employees can be reimbursed from the Accounts Payable system or the Payroll system, or you can directly pay the credit card provider. There is no need to build interfaces from your Expense Management system to Payroll because with EnterpriseOne, the integration is pre-built directly into the solution.

There are several benefits to this direct integration:Eliminate cost and errors associated with duplicate entryProvide faster reimbursement cycle timesReduce costs associated with implementation, maintenance, and administration

This integration helps to streamline the expensing process.

Built in Integration Points include:Address Book, Employee Master, Payroll, A/P, General Accounting, Projects, Jobs, Contract Billing, Service Billing, Workflow Engine, TaxThe point should be to explain that this works out of the box. Buying a 3rd party expense product would require the custom development, testing, maintenance of these integrations.

Margin Improvement How do we reduce processing costs? How do we avoid illegitimate expense

reimbursement?

Globalization How do we control spending worldwide? How do we comply with local legislation?

T&E Policy Enforcement How do we enforce travel policy to reduce

T&E spend?

How do we handle the expense reimbursement process consistently?

Employee Overload How do we make the process hassle-

free?

How do we improve employee productivity?

Travel and Expense Management Business Pressures

PresenterPresentation NotesThere are many external pressures that executives face in the travel and expense management area:

Margin Improvement There is always pressure to reduce processing costs - in this case, the time and headcount used to process expense reports. And in the T&E space, there is also pressure to avoid reimbursing employees for illegitimate expenses in order to improve margins.

T&E Policy Enforcement Companies need to setup policies and then enforce the policies consistently in order to reduce T&E spend.

Employee Overload The process of entering, submitting, and approving expense reports can be time-consuming and tedious for employees. Companies are looking to find ways to make the process as easy as possible in order to improve employee satisfaction and productivity.

Globalization Spending needs to be controlled worldwide - and there are many local regulations and statutory requirements that companies need to comply with in various countries around the world.

Governance, Risk, and Compliance Overview

Copyright 2015, Oracle and/or its affiliates. All rights reserved. |

JD Edwards EnterpriseOne Financial Management Governance, Risk, and Compliance Native JD Edwards EnterpriseOne Controls

System Constants Application Security Integrity Reports Integrated Posting to the General Ledger Workflow Foundation Calendar Processing Options/Versions Data Change Tracker Electronic Signature Capture Oracle Access Manager Built for purpose controls (i.e.. Payee control, batch control, budget checking) Data Relationships Segregation of Duties Data Masking

PresenterPresentation NotesIn addition to Oracle GRC, JD Edwards EnterpriseOne contains many internal controls.System ConstantsSystem constants provide system-wide control of the way an application works, regardless of individual user roles. For example, a system constant can be used if a company wants to control posting of journal entries into a prior closed period, no matter who in the organization initiates the transaction. The system constant can be set to allow the posting and show a warning, or disallow the posting. Application SecurityArguably one of the most important areas of internal controls, application security plays a key role in enforcing segregation of duties and therefore preventing fraud. For example, it ensures that the person who creates a purchase order requisition will not be allowed to also approve the requisition. Integrity ReportsIntegrity reports supplement internal procedures by helping companies locate any data inconsistencies. These reports can be run between multiple applications as well as within the general ledger itself, helping to ensure data integrity throughout the enterprise. Integrated Postings to General LedgerJD Edwards EnterpriseOne Financial Management software has built-in integration with other EnterpriseOne applications including accounts payable, accounts receivable, payroll, and fixed assets systems, manufacturing and distribution. Entries into these applications are automatically posted to the general ledger, providing enterprise-wide data integrity.

Other native JDE GRC features include:Workflow standardize information flow.Foundation Calendar is used to create and manage compliance activity schedules. The EnterpriseOne Foundation Calendar provides core calendaring functionality which is directly integrated to EnterpriseOne products. The calendar is designed to track activities, tasks, and events across a variety of entities including people, companies, and branch plants. Each calendar created can have a defined work day and work week. Activities can be assigned to the calendar directly using the new calendaring application or automatically by linking calendar entries to specific activities within the system workflow. In addition to scheduling meetings, events, and tasks, the calendar can also be used to schedule resources by assigning users to an activity. The new EnterpriseOne Calendar can be synched directly to Lotus Notes and/or Microsoft Outlook systems, giving you a connection between the EnterpriseOne system and time management systems people are comfortable using. The calendar can also be configured to send out alarms to users for activity notification purposes.Processing Options control business process flow.Data Change Tracker establish audit trail for critical data. The Tracker functionality was original created to address concerns about 21 CFR Part 11 within the Life Sciences industry. 21 CFR Part 11 became law on 20 August 1997. The regulation outlines its criteria for acceptance of electronic records, electronic signatures, and handwritten signatures. It allows electronic records to be considered equivalent to paper records and handwritten signatures.Code of Federal Regulations (CFR) The Data Change Tracker can create Date, time & user stamp of any change to the databasethe customer picks what fields they want to track. The Tracker includes the ability to record changes made to key database fields which control overall system functionality such as system constants, automatic accounting instructions, and security settings. These recorded data changes can then be accessed by custom reports to support a variety of compliance requirements including 21 CFR Part 11 and Sarbanes-Oxley.The Data Change Tracker came out in SP21 for Xe/ERP 8 and SP2 for 8.9, 8.10Electronic Signature Capture forces a signature and comment on key transactions.Oracle Access Manager manages access to applications and other resources.E1 applications have many built for purpose controls, payee control, batch control, budget checking etc.Data Relationships documents relationships rules between columns and data and enforces those rules to maintain quality and consistency.
