Th is month we take a week to celebrate administrative professionals from all walks of life. The week of April 19-

23, 2010 we should take time to educate those in your office of the value you bring to your organi-zation. If nobody else does, buy yourself a bou-quet of flowers, set them on your desk, then when asked what they are for, take that opportunity to enlighten your staff that since 1952, the Interna-tional Association of Administrative Professionals has honored office workers by sponsoring Administrative Professionals Week (IAAP, 2009). We once celebrated a day, Secretary’s Day, but now have expanded this to an entire week! On Friday, April 23, 2010, the Denver, Denver Downtown and Boul-der Chapters of IAAP are set to host an Administrative Professionals Week event in Denver. Keeping with IAAP’s annual theme the day is entitled the “Power of Commitment.” There will be a vendor show, and a day full of valuable learning from Gini Courter of Triad Consulting. She will cover topics to help us perfect our skills in Word and Power-Point, as well as giving us a preview of Office 2010 and keeping up with our computer skills, and showing us some tips and tricks that work both in Office 2003 and 2007. She is also a very entertaining speaker who will leave you feeling great when the day ends! I encourage you to show your Power of Commitment by attending this wonderful day to celebrate your efforts as administrative profession-als. The price is reasonable at $110 for members of IAAP; however, please encourage those around you to join in the fun at only $125 for non-members. Now that spring is coming, we have set the clocks ahead and the warm weather hopefully is on its way! Springtime is a time for renewal and fresh starts. As we work together as a team, the journey of being an officer is an enjoyable one knowing that we each bring a little piece of our profes-sionalism to the group and from that we become one strong unit. Last month the column “Ask SuZee” was introduced and I encourage you all to read this enjoyable and enlightening column. Don’t be shy, please give her some scenarios to ponder and respond to; we can all learn by this column and enjoy a new view on many issues that we face each day in our jobs. March Fundraiser A Success!

A s most of you know, we held a balloon raffle at the March membership meeting to benefit RTF. Ten baskets were available to be won such as: hand and foot spa, movie

night, quick fix dinner, reading basket, and bath spa. Many raffle tickets were purchased, and it took us several drawings each time to find someone who had not already gotten a numbered balloon. Part of the fun was once you picked your numbered balloon you didn’t know which basket had the corresponding number. In the end, once all the basket numbers were revealed, I think everyone who won was very happy with their prize. The best part of all is that we raised $89 which will be sent to the Retirement Trust Foundation as a donation from our Denver Chapter. Here is an explanation of what the RTF is about as stated on their website: “The Trust exists to help needy and elderly adminis-trative professionals with housing, whether it's through their retire-ment home, Vista Grande or through grants. Our mission is to pro-vide assistance for housing to administrative professionals, age 55 and older, who are in need. The Trust, founded in 1947, operates exclusively for charitable purposes and can help those in need be-cause of the generous gifts from individuals around the world.” There are many ways to help RTF, such as direct donations, pur-chasing a patio paver in honor of/in memory of someone, and pur-chasing annual RTF holiday cards. I t’s best for continuity if we work toward consistency in our style of writing association names in our communications. Inconsistency causes confusion for members and non-

members. Traditionally we have capitalized the following (this is not an exhaustive list): member, association, board, chapter, di-vision, manager, administrative professional, certification, inter-national president, trustee, chapter president, newsletter editor, recertification…None of these should be capitalized since they are all common nouns. Only capitalize if the word is used as part of a proper noun. Another change that will be effective immediately is we will now be using a comma to set off designations: Susan Shamali, CPS/CAP. In your communications, please lower case these words unless they are in a correct title. EXAMPLES: Correct The IAAP International Board of Directors met in Reno to discuss matters important to the association. When we use IAAP with international board it becomes a proper noun. Association is only capped when it is in our proper title. Incorrect The Board asked several Members to come to the Board Meet-ing to discuss their respective Divisions about matters important to the Association. These are all common nouns and should not be capitalized. Correct International President Susan Shamali, CPS/CAP, asked the president of the Ohio Division to meet with her at the recent IAAP conference. She also spoke with Emily Allen, communi-cations and publications manager at Spring Conference. We capitalize Susan’s title because it appears before her name. If we said “Susan Shamali, international president,” it would not be capped as in the example of Emily Allen. Ohio Di-vision is a proper title. IAAP conference is not capped since it’s not the title of anything. Spring Conference is capped because it is now the official name of that conference. Incorrect Many Administrative Professionals have attained Certification through IAAP. Those who are Certified can earn up to 7 percent more, according to OfficeTeam, an IAAP Corporate Partner. These are all common nouns. The words in bold should all be lower case. ONE-MINUTE TIP I strongly encourage you to get out of town, break the routine, go where you have time and space (and encouragement) tofocus on yourself, your goals, your skills and your dreams.  Take time to look back over the months and see how far you’ve come.  Take time to be in the moment and enjoy yourself.

HOW TO SURVIVE WORKPLACE RE-ENTRY

S tarting a new job can be exciting, but it also can be nerve-racking, disorienting and confusing, especially when it comes to fitting in with your colleagues. In a recent survey conducted by OfficeTeam, nearly one-third of workers interviewed said acclimating to a different corporate culture poses the greatest challenge when re-entering the workforce after an extended absence.

You can make your transition smoother by learning as much as possible about your firm’s culture before your first day. Asking questions of the hiring manager and connecting with current or former employees can help you understand the work environment, dress code and general policies. Here are some tips for easing your way back into the workplace: • Attack tech terror head-on. Intimidated by the amount of technical change that has taken place since you

last touched a keyboard? Determine which software applications and other technology you will use on the job, then consider training courses to help you refresh your skills or learn new aspects of the programs. Great low-cost tutorials are often available online.

• Switch gears in advance. If you have been used to life without a commute and 8 a.m. calls, start getting ac-climated to your new schedule. Begin at least a week in advance so you’re comfortable with the routine by your first day.

• Make new friends. Introduce yourself to others on your team immediately. Coworkers can be the best re-source for getting to know the ins-and-outs of your new employer. To break the ice, invite new colleagues to join you for lunch or coffee.

• Keep your eyes open. Pay close attention to how your new coworkers act in the workplace. Office culture is governed by many unwritten rules, and certain aspects — such as how people prefer to communicate — can only be learned through observation.

• Be confident. While it can take some time to feel comfortable in your new environment, try to project confi-dence in everything you do. Remember, you were hired for your experience and qualifications. If you believe in yourself, others will, too.

Dear SuZee, I recently sent out a meeting notice through Outlook to about 65 in people in my company for one of my managers. I only received about 12 responses, so I had to send a reminder to those who had not re-sponded. I got about 30 responses from the reminder. I finally had to send e-mails to the supervisors of

the remaining non-responders before I finally heard back. I was trying to make things easy for these people – one click of the mouse and this meeting would be on their calendars and I would receive an accurate count of attendees. Am I doing something wrong?

Responseless and Riled Dear Responseless: No you’re not doing anything wrong. This seems to be a widespread problem both in the business and personal worlds; and I’m not really sure why, since a response to an invitation is a fairly basic social expectation. An Outlook meeting notice (or any e-mail based invitation) should, indeed, make a response simple. In terms of invitations that include the abbreviation R.S.V.P., I’m wondering if people no longer know what it means: Respondez s’il vous plait or “please respond.” This is straightforward and requires a response regardless of whether the answer is positive or negative – unless the invitation requests a response either for acceptances only or negative replies only. Yet, once again many people don’t reply. Responsless, I actually don’t have an answer for you beyond reminders and/or follow-up calls, which, in a perfect world, would not be required. Old Business Committee on Nominations The committee has identified a full slate of candidates for 2010 – 2011 chapter officer elections to be held in May. Professional Certification Awards Mellissa Bowers, CPS was presented a chapter ‘Lamp of Learning’ for achieving her CPS professional rating in May of 2009. IAAP Colorado-Wyoming-Montana (CWM) Division Meeting Numerous donations have been received, and more are being accepted, for two prize baskets to be raffled at the

for volunteering to serve as a chapter officer. Outgoing and incoming chapter officers will meet in future to discuss best practices/procedures unique to each officer’s position. CWM Division Meeting The CWM Division meeting, hosted by the Old West Chapter, will be held June 3 – 5, 2010 in Cheyenne, WY. Registration begins March 15. Information will be posted on the Denver Chapter website and also included in the newsletter. Retirement Trust Foundation (RTF) Balloon Raffle Wanda Sparks, CPS/CAP gave a brief presentation on the RTF. IAAP’s website has additional detailed informa-tion available. Ten prize baskets were raffled with $84 raised for the RTF.
