ACT (Auto Claim Technology) is an exclusive automotive store excelling in paintless dent repair/removal, paint over spray removal and hail damage repair for vehicles of all sizes. It was established in 1994 in Atlanta, Georgia. With 30 years of experience under their sleeves, they have satisfied over thousands of clients and serviced 200,000+ vehicles nationwide. Even though they are one of the leaders in the automotive service industry, their main process consisted of Excel sheet printouts and paper forms, which were both time consuming and re-dundant in nature. They wanted to automate and streamline their entire process with the use of mobile technology.of mobile technology.

The manager at ACT received the list of jobs to be done in an Excel sheet. The Excel sheet had all the details of the job to be done, the client’s name and their address. The manager then assigned the job to the field technicians who then visited the client’s premises to fix the particular issue.

The field technician had to manually fill in the paper form and note the details about the ve-hicle before they started working on it.

The forms that were filled by field technicians were subject to numerous errors. Once they returned to the office, they had to input all the details from the paper form to a spreadsheet in order to create an invoice. It was time consuming and waste of resource talent!

Also, there was no backend service to streamline and analyze data that was collected over the years using the paper forms.

The team of technicians and the managers were so used to the manual process, that they were 0% inclined towards getting everything automated.

Client’s Problem

We proposed the use of an iPad app to streamline their process and simplify the field technician’s task. They had no other backend service, so we had to build it from scratch and link the mobile app to it. The mobile app was designed to similar to the manual entry of the company, making the transformationtransformation process more familiar and easy.

We even created roles for all field techni-cians, managers and other employees during the transition period. Each field technician had a separe pin number to enter the app se-curely. For each job order, the manager had to assign the cases through the app to the field technicians. The field technician then visits the customer’s house and records the details directly through the form-page in the app.

To avoid manual entry error, each field has many restrictions. Only when the particular format is correct, is a technician allowed to enter the next field. This ensures that the technicians enter error-free data. They also have the option to capture images of dents or other damages, along with the vehicle regis-trationtration number and make/model. This makes the data-capture process easier. They app also allows for scanning the VIN barcode number to have a unique identification for each vehicle.

Once all the data is entered, it can be upload-ed to the backend server, through which the manager can create the invoice without the hassle of re-entering the data.

How We Solved The Client’s Problem

Before the app, it would take an average time of 4 days to create an invoice for a single client. Now, by the end of the day, all customer invoices are generated.

Errors due to manual paper form entry are avoided completely with the substitution of a complete app form model.

TheThe field technicians initially found it was too hard to adapt to the new technology, but once they got the hang of it, they were happy with the complete process simplification. They were able to handle more clients, as they saved time by avoiding re-entry of data.

Since all data is available in a centralized location, they could further use the data for more analysis and business intelligence purposes.
