Software - various types of program used to operate and manipulate computers and their peripheral devices

Types of software: 1. Application software - includes variety of programs that

can be subdivided into

(a) general purpose - perform common information processing jobs for end users. Sometimes called productivity package.Examples: word processing, spreadsheet, web browsers, email

(b) function specific application - software packages available to support specific applications of end-users in business and other fields

(c) custom software - developed within an organization and for use only by that organization; all specifications functionality and ownship are owned and controlled by the developing organization.

(d) COTS software or Commercial-off-the-shelf software - products sold in many copies for profit with minimal changes beyond scheduled upgrade releases; purchasers have no control over the specifications and no access to source code; though it is sold/leased, vendor retains intellectual property rights of the software.

(e) open-source software - developers collaborate on the development of application using programming standards that allow anyone to contribute in the software.

Software suites - most widely used productivity packages that come in bundle. Each software suite integrates software packages for word processing, spreadsheet, presentation graphics, database management and personal information management. Example: Microsoft Office -word, excel, powerpoint, access, outlook

Web browser - a softwre package that provides the user interfacefor accessing internet, intranet, and extranet web sites. Also used to send/receive e-mails, download files, access Java applets, etc.

Integrated package - software that combines the ability to do several general-purpose applications such as word processing, electronic spreadsheet and graphics into one program.

Instant messaging - an email/computer conferencing hybrid technology that has become a standard method of electronic messaging for millions of users worldwide.

E-mail - electronic messages and file attachments sent via internet or user's organization intranet or extranet. Email is stored on networked mail servers until user is ready to read and display on user's workstation.

Word processing software - computerize the creation, editing, revision, and printing of documents by electronically processing text data. Top word processing packages such as Microsoft word, Lotus word pro etc provides a wide variety of attractively printed documents. They can also convert documents to HTML packages.

Spreadsheet packages - used for analysis, planning and modeling. Developing a spreadsheet involves designing its format and developing the relationships (formulas) that will be used in the worksheet.Example: Microsoft excel, Openoffice Calc, Corel QuattroPro

Desktop publishing (DTP) - Used by users to produce their own printed materials that look professionally published. User can design and print their own newsletters, brochures, manuals, and books with several styles, graphics, photos etc.Example: Adobe InDesign, Microsoft Publisher, QuarkXPress

 Presentation graphics software - help convert numerical data into displays such as line chas, bar graphs, pie charts and other graphics.nalso help prepare multimedia graphical presentation with photos, animation, video clips including publishing to the world wide web.

Personal Information Manager (PIM) - popular software package for end user productivity and collaboration as well as popular application for personal digital assistant handheld devices (PDA).

Groupware - software that helps Workgroups and teams collaborate to accomplish group assignments. A category of general-purpose application software that combines a variety of software features and functions to facilitate collaboration.Example: Lotus Notes, Novell GroupWise, Microsoft exchange support

Application Service Provider (ASP) - companies that own, operate and maintain application software and the computer system resources (servers, system software, networks and IT personnel) required to offer the use of the application software for a fee as a service over the internet.

Cloud computing - a style of computing in which software and, in some cases, virtualized hardware resources are provided as a service over the internet; a method of computing in which an individual or an organization makes use of another organizations excess computing power or data storage capacity.

Operating system - integrated system of programs that manages the operations of the CPU, controls the input/output and storage resources and activities of the computer system, and provides various support services as the computer executes the application programs of users.

Functions: 1. User Interface - end user/system and network

communications; part of the operating system that allows user to communicate with it so you can load programs, access files, and accomplish other tasks.

2. Resource Management - manage the use of hardware resources.

3. Task Management - managing the accomplishment of task 4. File Management - managing data and program files 5. Utilities and Other Functions - Providing a variety of Support

System software - consist of programs that manage and support a computer system and its information processing activities.

Categories: 1. System Management Programs - programs that manage

the hardware, software, network and data resources of computer systems during the execution of the various information processing jobs of the user.

2. System Development Program - programs that help users develop information system programs and procedures and prepare user programs for computer processing.

Virtual memory - the use of secondary storage devices as an extension of the primary storage of the computer, thus giving the appearance of a larger main memory than actually exist

There should have a Finance/Focal Person or Expert reviewing, who is knowledgeable in choosing the new software.

Recommendation

Yes, SME’s should take advantage of such a program but they should still take into consideration if the program matches the requirements that they need in order to prevent further mistakes and costs.

The program can give management timely reports that can help them make decisions faster . The software suites handles multiple facets of the business process, not just one aspect. The program is relatively affordable for the the SME. It is also very easy to use and implement. Operations would not be dirupted that much when

rolling out this program. This will help the company focus on growth and expansion rather than worrying about report

generation and etc.
