Section 1 Introduction
Industrial Training programme is part of the requirement for a number of diploma or
degree programmes offered in Southern University College (thereafter SUC).
Students involved are final year undergraduates and are expected to have mastered
sufficient theoretical knowledge to perform practical jobs in the industries.
Entrepreneurial, Incubation, and Career Centre (thereafter EICC) is the
operation centre for SUC Industrial Training programme.

Section 2 Industrial Training Managerial Manual
2.1 Faculty Industrial Training Programme
In 2019, there are SIX (6) faculties and One (1) school in SUC. Each faculty houses
different departments that offering variety of courses. Each course in line with its
course content, has different requirement of industrial training, including
compulsories, duration, and pre-requisitions.
All faculties and departments, is strongly encouraged to update EICC with
amended syllabus of industrial training.
The following sub-sections summarised the details of industrial training for all
course offering in SUC.

2.2 Industrial Training Assessment & Weightage
Started from semester X of year 20XX, industrial training subjects across all faculties
of SUC will be substituted from grading system to Pass/Fail system1. A minimum
total mark of Fifty (50) is the only criteria of the new system.

2.3.1 Industrial Training in National Schools
Students who intend to pursue their industrial training at National Primary/Secondary
Schools, should observe the standard procedure:
1. First, obtain approval orally from relevant schools.
2. Then, complete the Industrial Training application form, attach a copy of the
curriculum, and submit to EICC.
3. EICC submits the application form to JPNJ (JPNY takes about three weeks to
process).
4. EICC receives confirmation from JPNY, and release a photocopy of the
approval letter and Industrial Training Acceptance letter to students.
5. Students approach the school of confirm their applications.
The whole process takes at least 4 weeks to complete. Students should submit
their application form to EICC, at least 5 weeks before the industrial training
commencement date.
2.3.2 Industrial Training in Taska & Tadika
Faculty of Education & Psychology has special request on the licensing of Taska and
Tadika. EICC needs to confirm the below license before posting any internship
vacancy from Taska and Tadika among students of Faculty of Education &
Psychology. Specifically: -

o Sijil SSM (issued from Suruhanjaya Syarikat Malaysia)
o Lesen Tadika (issued from Jabatan Pendidikan Negeri)

2.4 Equivalence of Credit Hour for Teaching Load Calculation
Credit Hour as an Academic Supervisor is: 0.04 credit hour per ONE (1) industrial
training students2 per ONE (1) semester.
An Academic Supervisor can only have a maximum of TEN (10) industrial
training students per semester3.
2.5 Faculty Industrial Training Manual
Faculty of Education and Psychology has its own Industrial Training Handbook. This
manual thereby serves as a general guideline for students of Education and
Psychology.
2.6 Enrol Additional Subject During Industrial Training
Except students of Faculty of Art and Design, all students are NOT allowed to take
additional subject during their industrial training4.
Students of Faculty of Art and Design only allowed to take ONE (1) additional
subject in SUC in long semester. In such case, involving student/s should:
a. Seek permission from Head of Departments
b. Acquire a letter of approval from participating company
c. Endorse the letter of approval by Head of Departments
d. Submit the endorsed letter of approval together with the Internship
Application Form to EICC
e. Submit the photostat letter of approval to the industrial training
supervisor

Section 3 Industrial Training Academic Supervisor
Manual
3.1 Foreword
The term Academic Supervisor refers to an academic staff who is given the task/s of
supervising SUC industrial training student/s for a duration of ONE (1) semester.
As an Academic Supervisor, your main responsibility is to ensure a smooth
operation of the programme. Detailed responsibilities of an Academic Supervisor are
enclosed in section 3.9.
A list of participating company is available at EICC. Academic Supervisors
can inform their students to check their preferred company before submitting their
applications to companies.
Students participating in industrial training are under the protection of
Students’ Insurance scheme. Details of the scheme is available in the SUC Students
Manual.
3.2 Equivalence of Credit Hour for Teaching Load Calculation
Credit Hour as an Academic Supervisor is: 0.04 credit hour per ONE (1) industrial
training students per ONE (1) semester.
An Academic Supervisor can only have a maximum of TEN (10) industrial
training students per semester.

3.3 Claims
Under section 4.6 of SUC Employee Handbook (pg. 23), Academic Supervisors are
entitled for transportation allowance of RM 0.60 per km. The procedure is as follows:
i. Fill in the Purchase/Project Request & Approval Form
ii. Attach any proof of mileage and original toll fee receipt/s
iii. Endorsed by Heads of Department and Deans
iv. Submit to Account Department
3.4 Industrial Training Form
Students are required to submit their Industrial Training Application Form ONE (1)
month before the date of industrial training commencement. Kindly instruct students
to obtain the form from EICC.
3.5 Industrial Training Report Content
At the end of industrial training, students MUST submit their industrial training
reports to the Academic Supervisors. All students should adhere to the format of
industrial training report set by respective faculty. A suggested format is as follow:

3.7 Industrial Training Assessment & Weightage
Please refer to course syllabus.
3.8 Responsibilities
Academic Supervisors should access industrial training students’ on-site
performance, at least once per student, during their industrial training period.
Academic Supervisors have the right to choose the convenience method (e.g.
site visit, telephone call, videoconference, etc.), taken that the chosen method
promise a reliable response of students’ on-site performance5.
Academic Supervisors should, communicate with students’ industry
supervisor regarding the performance of the industrial training students.
Academic Supervisors should monitor students’ progress and compliance on
industrial training rules and regulations.
Academic Supervisors should take initiatives to investigate any complain
raised by either students or participating company.
Academic Supervisors should report to Heads of Department or EICC
regarding industrial training students’ misconduct, including:
o rules and regulations of industrial training
o SUC Code of Conduct
o The terms of the participating company
o The University Act
o the law of Malaysia
o Any other behaviour that causes problems to participating companies
For industrial training students who are engaged in misconducts or raised
special cases (section 3.8), Academic Supervisors should accept the decision
made by Heads of Department and EICC, thereby grading the student/s as
instructed.

3.9 Special Cases
In the event that Academic Supervisor receives complain from industrial
training student or participating company during the industrial training, the
Academic Supervisor should:
o Report to the Heads of Department
o Conduct investigation with the student and the company.
o If the Academic Supervisor finds the participating company has
engaged in misconduct, he/she should:
Consult the student/s and advice him/her student to stay or quit
the placement
Submit an investigation report to EICC and blacklist the
participating company
In case the student decides to quit the placement, the Academic
Supervisor should:
o Advice the student to request for change of industrial
training placement, taken that the new industrial training
appointment CAN be ended before semester’s examination
result submission due date, or
o Terminate student’s industrial training and award ZERO
(0) mark to the student
o If the Academic Supervisor finds the student has engaged in
misconduct, he/she should:
Collect written reports from the participating companies.
Submit an investigation report together with the photostat written
reports to EICC
Terminate student’s industrial training and award ZERO (0)
mark to the student

In the event that Academic Supervisor found student terminated from
participating company WITHOUT any prior notification, the Academic
Supervisor should:
o Report to the Heads of Department
o Conduct investigation with the student and the company.
o Submit an investigation report to EICC to blacklist the participating
company
o If the Academic Supervisor finds the reason WAS due to student’s
misconduct, he/she should award ZERO (0) mark to the student
o If the Academic Supervisor finds the reason WAS NOT due to
student’s misconduct, the Academic Supervisor should:
o Advice the student to request for change of industrial
training placement, taken that the new industrial training
appointment CAN be ended before semester’s examination
result submission due date, or
o Terminate student’s industrial training and award ZERO
(0) mark to the student
If a student requests for voluntary change of industrial training placement, the
Academic Supervisor should:
o check the new placement schedule
o If the student’s new industrial training period CANNOT be completed
before the semester’s examination result submission due date, the
Academic Supervisor should REJECT the student’s application.
o If the student’s new industrial training period CAN be completed
before the semester’s examination result submission due date, the
Academic Supervisor should:
Request the student to submit justification letter and a copy of
the letter of resignation
endorse the students’ letter and the letter of resignation
Instruct the student to submit the letter to EICC
Inform EICC to archive documents and process his/her new
industrial training application

placement WITH prior notification, the Academic Supervisor should;
o Request the involving student/s to submit their justification letter and
photostat resign letter
o acknowledge thus submit the student/s’ justification letter and the
photostat resign letter to EICC.
o EICC archive documents
o Terminate student’s industrial training and award ZERO (0) mark to
the student
In the event that a student voluntarily decided to quit the industrial training
placement WITHOUT prior notification, the Academic Supervisor should;
o Contact the student and participating company
o Submit an investigation report to the Head of Department and EICC
o Inform EICC to archive documents and issue warning letter to the
student

3.10 Industrial Training Rules & Regulations
The Heads of Department and EICC, with written report from Academic Supervisor
or industrial supervisor, has the right to terminate students who breach the rules and
regulations, thereby fail these students’ industrial training course.
Academic Supervisors should actively monitor students’ performance and
reported any non-compliance of rules and regulation during students’ industrial
training to Heads of Department and EICC.
3.10.1 When Applying for Industrial Training Position
ii. Students are NOT allowed to work with an immediate and extended relative’s
company.
iii. Except students of Faculty of Art and Design, all students are NOT allowed
to take additional subject during their industrial training.
iv. Students are NOT allowed to change or exchange with other student his/her
industrial training subject after accepting the offer letter, unless he/she drops
the industrial training subject in the semester.
v. Students MUST attach the Industrial Training Industrial Supervisor
Manual (section 4) together with the Industrial Training Application Form to
participating companies.
vi. Students MUST return the Industrial Training Application Form to EICC
before deadline.

3.10.2 During Industrial Training
i. Students are NOT allowed to change their industrial training placement
without prior notification to Academic Supervisors. A justification letter and
a copy or letter of resignation to the participating company must be submitted
to Academic Supervisors and EICC before quitting the placement. A student
cannot carry forward his/her working days accumulated from previous
placement to a new placement. If the student’s new industrial training
exceeded the semester’s examination result submission due date, he/she is
NOT allowed to change his/her current industrial training company, unless
he/she drops the industrial training subject in the semester.
ii. Students are NOT allowed to quit their industrial training without prior
notification to Academic Supervisors. A justification letter and a copy or letter
of resignation to the participating company must be submitted to Academic
Supervisors and EICC.
iii. All students MUST complete the industrial training logbooks as instructed by
industrial training supervisors.
iv. All students MUST apply for leave from participating company before going
on leave. Students are also required to inform the Academic Supervisor.
v. All students MUST cooperate with Academic Supervisors in arranging
industrial training site-visit, at least once during the industrial training.
vi. During the industrial training, all students MUST abide by the following:
o The law of Malaysia
o SUC Code of Conduct
o The terms of the participating company
o The University Act
vii. Students MUST observe the following:
o Good general behaviour
o Good work Attitude
o Good work Behaviour

with the industrial training report.
iii. The industrial training report MUST comply with the format in this manual.
iv. All students MUST submit the original copy of Industrial Training
Performance Appraisal Form to EICC after report submission.
v. All students MUST complete the EICC web-based Company Evaluation Form
AFTER report submission.

Manual
4.1 Foreword
The term Industrial Supervisor refers to participating company’s appointed person
who is given the task of guiding students during their industrial training.
Industrial training is a compulsory subject for most final year students. The
objective of industrial training is to expose the students to real working environment
and enhance their knowledge and skills from what they have learned in the university.
Participating companies and industrial supervisors thereby should focus on
students’ learning outcome, rather than demand some levels of work performance
during their industrial training.

4.4 Responsibilities
i. Participating companies and industrial supervisors SHOULD ensure
professional industrial trainings provide to students.
ii. Participating companies and industrial supervisors MUST ensure safe
working conditions at all times for industrial training students. In case of any
injuries or death, participating company MUST provide active cooperation to
the investigation/s.
iii. Participating companies and industrial supervisors MUST ensure a
constructive workload assign to student. In case the workload requires
additional working hours to complete, participating companies should
compensate involving students with overtime claim.
iv. Participating companies and industrial supervisors MUST liaise with
Academic Supervisors and students in arranging industrial training site-visit,
at least once during the industrial training period, and discuss students’
performance.
v. Participating companies and industrial supervisors MUST rationally evaluate
and rate industrial training students’ performance, using the Industrial
Training Performance Appraisal Form submitted from industrial training
students.
vi. Participating companies and industrial supervisors MUST inform EICC
regarding any dissatisfaction or misconduct of industrial training students,
before terminating the students’ industrial training session.

a) Students’ Industrial Training Application Form must be completed by
participating companies, and submitted by students to EICC, ONE (1) month
before the date of industrial training commencement.
The Internship Acceptance Letter is available upon request. Participating
companies may request students to obtain the letter from EICC

Section 5 Industrial Training Student Handbook
5.1 Foreword
Students should bear in mind that, the Rules and Regulations of SUC govern the
conduct of students during the industrial training period, while the industrial training
contract with participating companies governs the time and effort of students spent in
the company.
When a student encounters a problem during the industrial training, he/she
should actively seek assistance from the Academic Supervisor and/or Head of
Department.
Students are also under the protection of Students’ Insurance scheme while
undergoing the industrial trainings. Details of the insurance protection scheme can be
found in SUC Students Manual.

5.2 Key Notes
i. Students should approach companies that they are keen to work with, and
apply for industrial training placement on their own.
ii. A list of industrial training vacancies is available at EICC Job Portal. Students
may access the portal to obtain the details of the company.
iii. A closed-referenced list of participating companies is available at EICC.
Students may check the reputation of participating companies before making
any placement decision.
iv. Both faculties and EICC have NO right in deciding the placement, allowance,
EPF, and SOCSO contribution of participating companies to industrial training
students.
v. All industrial training placements must be FULL TIME work.
vi. Students have to submit their Industrial Training Application Form ONE (1)
month before the date of industrial training commencement.
vii. To pass the industrial training subject, students should score the minimum
marks of FIFTY (50) of the total assessment mark.
viii. Students will be awarded with ZERO (0) mark thus fail the industrial training
subject, under the following circumstance.
Reported from the industrial supervisor on misconducts during industrial
training
Terminated by cooperating companies from the industrial training
placement
Voluntarily quit the industrial training placement and cannot secure the
next industrial training placement within given time.
Unable to submit industrial training reports before submission deadline

FORMAT OF REFERENCES
Sources that are referred to in an assignment, whether published or not, must be stated.
The source of information must be acknowledged in the text as well as in the reference
list. Proper acknowledgement is important because it will help others locate and verify
the original sources. Furthermore, proper citation can avoid allegations of plagiarism.
Acknowledgements in the text must be linked to the list of reference using the “Author
(Date)” system or the “Number (IEEE) Format”.
The system is known as the American Psychological Association (APA)
system. Failure of complying referencing system will dramatically reduce your marks,
or get an zero for your submission.
1 Citing references in the text
A reference can be written in a sentence itself or at the end of a sentence.
a) In the Author (Date) style, the year of publication must be placed in
brackets after the name of the author. For example;
According to Ali (2015), motivation remains the perennial
question for all attitude and behaviour actualised at work
b) If a reference is not cited in the sentence itself, the author’s name and
year of publication must be written within brackets. For example;
Therefore, research on motives of employees become
the focus of current research (Ali, 2015).
c) If a source of reference is authored by two people, state both authors’
names. For example;

d) If a reference contains three authors, state all three names the first time
it is referred to in the text. For the second and subsequent times it is mentioned,
state only the first author’s name followed by “et al.” and year. For example;

e) For a reference with four or more authors, state only the name of the

In general, an author’s surname (family name) or patronymic name (father’s name) is
written first followed by the initials of his/her other names. Format of reporting an
author’s name are as follows:

In thesis writing, references can be made to various types of sources. The following
examples can be used as a guide in writing the different types of sources in the
reference list.
3.1 Books
The major elements that must be included when an article is taken from a book are as
follows:
Author (Year). Title of book. Edition. Location: Publisher.
An example of a reference by one author;
Tan, A.K. (2002). How to Survive in University? Prentice.
An example of a reference by two or three authors;
Tan, A.K. & Ibn. Ali, A. (2002). How to Survive in University? Prentice.
3.2 Articles from journals
The major elements that must be included when an article is taken from a journal are
as follows:
Author (Year). Title of article. Title of journal, vol. no.(issue no.), page numbers.
For example;
Tan, A.K. (2002). How to Survive from Assignment? International Journal of
Survivor, Vol. 6, No. 2, pp. 37 – 43.
If a DOI is provided, use it instead of the URL. Example of a reference with a DOI
is given bellow.
