INTRODUCTION 

Plans are nothing; planning is everything .

Irrespective of the delivery mode this module covers the fundamental principles of developing and underpinning a

robust project plan. Such a plan is vital for the success of any project and effort invested in producing one is vital in

building team understanding and commitment to the project. Any project has a better chance of success, if everyone

is clear of the objectives and their role within the master plan. Building this commitment to the project plan

requires an understanding from the whole project team of the approach, tools and techniques of project

management planning. This module covers the fundamental principles of project planning and the importance of 

involving the project team in the development of the project plan.

The workshop sessions will use active learning methods to engage all the delegates in the planning process. These

include:1)  Individual exercises and self evaluation quizzes

2)  Small group brainstorming sessions “buzz groups”

3)  Case study syndicate exercises using a course project

4)  Formal team presentations of the team plans for peer review but the course group and tutors.

LEARNING OBJECTIVES 

At the end of the course delegates will be able to:

  Explain scope management.

  Describe a Product Breakdown Structure (PBS).

  Describe a Work Breakdown Structure (WBS).

  Describe a Cost Breakdown Structure (CBS).

  Describe an Organisational Breakdown Structure (OBS).

  Explain the reasons for using a Responsibility Assignment Matrix (RAM).

  Explain how a project schedule is created and maintained.

  Demonstrate the use of different techniques for scheduling projects.

  Explain the advantages and disadvantages of using software tools for scheduling.

  Describe resource management.

  Distinguish between resource smoothing (time-limited scheduling) and resource leveling (resource-

limited scheduling).

  Demonstrate the use of different resource management techniques.

  Explain budgeting and cost management.

  Explain the benefits of budgeting and cost management and the links the schedule.

COURSE STRUCTURE 

1)   Course introduction

An introduction to the course learning objectives and structure. Delegate introductions and discussion of their

individual needs, the skills they bring to the group and ideals for improving project planning within their team.

2)   Defining the Scope

The foundation of good planning is a clear definition of the project scope. This can be derived from an analysis of the

project deliverables and requirements, followed by the progressive development of the work breakdown structure.This session includes:

1)  Scope definition techniques based on requirements and deliverables using the product breakdown

structure to define the scope of supply.

2)  Use of the work breakdown structure to develop and define the scope of work required

3)  Use of the cost breakdown structure, organisation breakdown structure and role assignment matrix

to define accountability for the deliverables and budget.

3)   Developing the Plan, Precedence Diagram

Understanding the dependencies between the delivery of different work packages and teams at an early stage is vital

to the smooth delivery of projects. The precedence diagram is the methods to develop these linkages between

activities, work packages and teams. We will explore a range of linking relationship available to develop a fair

representation of the work plan. This session includes:

1)  Development and use of the precedence diagram

2)  Typical dependencies including finish-start, start- start, finish- finish

3)  The use of leads and lags.

Syndicate Exercise: developing a precedence diagram.

4)   Developing the Plan Critical Path Analysis

Understanding and optimising the critical path is a vital step in making sure that resources are focused on the most

important activities. We will develop and understanding of those activities with or without float, using a forward and

backwards path analysis. In this session we will also discuss the strengths and weaknesses of using software tools for

project planning. This session includes:

1)  Identifying the critical path using a forwards and backwards pass

2)  The use of float in theory and in practice

3)  The strengths and weaknesses of using of project planning software such as Microsoft Project or

Primavera

5) 

Resource Planning and Cost Management

People make projects work and in this session we will look at the impact of resourcing on the schedule. We will

include the use of smoothing and levelling to reduce resource constraints and the peak demand for resources. This

session will also examine how the project budget can be integrated with the schedule to create a cost and resource

loaded plan. This session includes:

1)  Different types of resources reusable and replenishable

2)  Development of a resource histograms

3)  Using smoothing and levelling to manager resource constraints

4)  Producing a cost and resource loaded budget.

6)   Plan presentation and review

The final session includes the presentation of the plans prepared in syndicate exercises for peer review by the group.

Followed by individual action planning to define the next steps to apply what has been learned in the course in the

workplace.
