Select Account in GL Inquiry

•After finding your accounts, be sure to select Browse first

•Select the Excel button to export

Create your amendment•Calculate the change in your budget

Create your amendment . . .•Sort spreadsheet by Change in Amendment•Delete accounts that do not require a change

Create your amendment . . .•Add your Debit and Credit Column – see column J

•Multiply your Credits by -100 (negatives are not allowed) and Debits by +100 to create column K

Column F-Column E C= Neg ChangeD=Pos Change

Create your amendment . . .•Select entire spreadsheet •Change Format to Text•Save As – Use the Excel Worksheet and file name 3480amend

the column header, you have to select each cell

3.Copy amount – VERY IMPORTANT – after you select your amounts in file 3480amend, when you switch to the Budget Template file, you must RIGHT CLICK and select Paste Values instead of All so only the numbers are copies and not #REF# because of the formula

Copy to Budget Template Cont..4. Modify columns E, F, and G in row 1

and copy down to all rows in the spreadsheet. Column E is the individual line desciption, F and G are reference fields from the budget header screen.

5.Copy column K, the “B”, down to the last row in the amendment

Save file to Import•Save as Formatted Text

Import Into MUNIS•Go into Import Journals•Define: • Import Source should be Budget Import File• Import File – find your .prn file• Budget amendment type – should be 1 for only expenditure amendments and type 3 for amendments with both revenue and expenditures

Import Into MUNIS . . .•Select the Pre-Edit button•No Errors were Found should appear – select OK•Select Import•Print or Spool your amendment report•Exit the Import JE menu and go to the Budget Transfers & Amendments Menu•Select Browse all your own journals and select your journal to post•Adjustments can be made if you forgot an account
