The Project Cycle

Page 5: I mprove your Club’s project design and implementation

A PROJECT

- is not an activity e.g. a lecture or one time event- Can focus on awareness, advocacy or action (hands on)- Has a clear goal and - Is based on SMART objectives:

SpecificMeasurableAchievableRealisticTimebound

Example: 20 Women have received basic accounting skills at the end of Dec 2013

Considerations for Project Identification

- Who shall benefit? > Involve beneficiaries

- What are the specific needs of the beneficiaries ? > needs assessment

- What are the problems to be addressed?> problem analysis

- What are others doing? > Stakeholder analysis

- What can the beneficiaries contribute ? > capacity assessment

Project Formulation

Prepare a plan (logical framework) to guide implementation, monitoring and evaluation, which addresses these questions :

> What do we want to achieve? (Goal, Results)> How will we get there? ( Activities)> How will we know when we have got there? (Indicators)> What is the proof that we got there? (Evidence)> What are the potential problems along the way?

(Assumptions/ Risk analysis)

What resources (inputs) do we need ? How do we get those resources?

Project Formulation (2) : Clear indicators :

Measure quantity (extent of change) e.g. % increase of school enrolment, number of people attending…

and / or quality (kind of change) e.g. satisfaction, decision making ability, change of attitude,

Are relevant to the objective it is measuring Are sufficient to achieve the wanted result And indicate the time frame

Evidence should be available at low cost and the right time e.g. reports, minutes of meetings, participant list; official statistics; pictures; expenditure

Project Implementation and Monitoring

Update the stakeholder analysis regularly Consult beneficiaries Reassess the risks to the project Continuously monitor progress against

indicators Review the strategies used to achieve results make adjustments or improvements

Page 10: I mprove your Club’s project design and implementation

Project Evaluation

Measure performance against indicators for > Accountability and > Lesson learning

When we measure performance, we have to ask:

Does the project address needs? RELEVANCE Are we using the available resources wisely? EFFICIENCY Are the desired results being achieved? EFFECTIVENESS Has the wider goal been achieved? What changes have

occurred that help beneficiaries mid and long term? IMPACT

Will the impact be last beyond project ? SUSTAINABILITY

Page 13: I mprove your Club’s project design and implementation

Group Tasks1)Identify 1 main issue you deal with in each of the project phases below -

a) Identificationb) Formulation (design)c) Implementation/ monitoring d) Evaluation e) Reporting ?And discuss possible solutions for those issues.

2) Agree on a maximum of 2 important questions regarding project management you would like to raise in the plenary .
